1 Overview You should have received emails detailing your FTP username and password. If you have not received an email or you have lost your username or password please read the Frequently Asked Questions by following the FAQ link on the top of the main TRUD registration site, https://www.uktcregistration.nss.cfh.nhs.uk The FAQ should be checked if any problems or errors arise while following this guide. Some organisations will block access to FTP sites as a general rule, please check with your local IT department before raising connection problems with the Information Standards Service Desk. Note: If you previously received releases via CD (or DVD) please review the new steps you need to take: 1.) Register for the required release sub packs (content areas) on the main registration site, https://www.uktcregistration.nss.cfh.nhs.uk. 2.) Once accepted you will have an FTP user set up and be given access to only those content areas you registered for. 3.) Download the release files, uncompress the main release file to an area on your machine (or network). Then use this area as you would the CD (or DVD), for example uninstall and reinstall the UK READ Codes Browser. All processes involved in this step 3 are documented here. 2 FTP Directory Structure Overview Before you access the FTP server you need to understand how to find out what releases are where. With every TRUD release an email is sent to the relevant organisations detailing the location of the associated release files. Once connected to the TRUD FTP server there are a number of files and folders containing various TRUD releases. The README_<date>.txt and README_<date>.htm list each directory and state which release is contained under it. Future releases can also be found when following the Release Schedule link on the bottom left of the main registration page. At the time of this help the following files and directories were available: README_20080922.txt an index detailing what is available for download in a plain text format. README_20080922.htm - an index detailing what is available for download in an html format. This includes links to the specific directories and is of most use to those people using internet browsers to download releases. TrudClient.zip a test client for SOAP messaging. Note: SOAP communication is not currently live but the client is available to those DEP Types 1 and 2 who would be required to configure it if or when it becomes a live feature. trud_ftp_help.pdf this download help document. 5.0.0 - Combined Terminology April 2008 Bi-annual Release, contains releases of - UK READ codes, UK READ Browser (English and Scottish), UK SNOMED, IHTSDO Core SNOMED, UK and IHTSDO Core SNOMED in Health Language format, dm+d in SNOMED format, dm+d bonus files, UK READ V2 to SNOMED CT cross mapping files and CiniClue Browser. DIAGIMG contains a number of release directories relating to scheduled releases under which is a NHS_DIAGIMG directory holding the release files. For example DIAGIMG\2.0.0\NHS_DIAGIMG contains the release files for the Diagnostic Imaging October 2007 Bi-annual Release. IHTSDO - contains a number of release directories relating to scheduled releases under which is a IHTSDO_SNOMED directory holding the release files. For example IHTSDO\3.0.0\ IHTSDO_SNOMED contains the release files for the IHTSDO July 2008 Core Bi-annual Release. NHSBSA - contains a number of release directories relating to scheduled releases under which is an NHSBSA_DMD and NHSBSA_DMDBONUS directory holding the release files. For example NHSBSA\9.3.0\NHSBSA_DMD and NHSBSA\9.3.0\NHSBSA_DMDBONUS contain the release files for Week 38 nhsbsa dm+d main release and supplementary files release. The last eight releases are available for download. PBCL - contains a number of release directories relating to scheduled releases under which is a NHS_READPBCL directory holding the release files. For example PBCL\2.0.0\NHS_READPBCL contains the release files for the READ Pathology Bounded Code List April 2008 Bi-annual Release SDS - contains a number of release directories relating to scheduled releases under which is a NHS_SDS and NHS_SDSNONNHS directory holding the release files. For example SDS\2.0.0\NHS_SDS and SDS\2.0.0\NHS_SDSNONNHS contain the release files for the SDS August 2008 Quarterly release, both full and licensee versions. TESTRELEASE - contains a test release directory under which is a NHS_TESTRELEASE directory holding the release files for a test release. This release can be used to check downloads and access to the FTP server. TRUD_Documentation this is a general documentation area, uses include a UK READ CTV3 static documentation area. 2.1 Release Files Every release distributed via the TRUD Service consists of three files:- 1. A compressed archive (.zip) file containing all release files for that given release. 2. A checksum file (.xml) that can be used to verify that the.zip file was downloaded fully and is valid. 3. A signature file (.asc) that along with the checksum gives proof of authorship that NHS CFH generated the release files. It is up to the organisation to decide whether or not to use the validation files we supply. It is our understanding that some people downloading releases may not understand how to use the additional files but if they want to use them they should seek internal technical support for help. See Verify the Download using the Checksum and Signature Files for an example of how you could use these additional files. 3 Download Methods There are a number of different ways for organisations to connect and download release files from the TRUD FTP servers. The recommended method is to use a dedicated FTP Client. However we recognise that this may not suit all, the following sections detail the three ways of connecting and downloading. 3.1 A Dedicated FTP Client (Recommended Method) The example used in this section is a download of the October 2008 UK SNOMED release using a dedicated ftp client. A dedicated FTP client is the easiest and recommended way to download releases from the TRUD Service. This example uses Filezilla which is free open source software (http://filezilla-project.org), although other FTP clients do have similar interfaces. Note: please ensure that you check with your local IT department before installing external software! For detailed install instructions review the main FileZilla Wiki, http://wiki.filezillaproject.org/main_page 1.) Open FileZilla, connect to the FTP server (N3 access is nww.uktcdownload.iss.cfh.nhs.uk and WWW access www.uktcdownload.nss.cfh.nhs.uk) and download the README_<date>.txt file, as this file is an index of releases available: - 6 -
Note: the using guide has detailed instructions on connecting and downloading files, http://wiki.filezilla-project.org/using 2.) Open the README_<date>.txt and find the release you require, for example the October 2008 UK SNOMED release: Note: with each release via TRUD the system will send an email to all organisations currently registered for the associated release sub packs detailing where to find the release on the FTP server. Therefore if you know where you need to go you may choose not to download the README_<date>.txt file. 3.) Go to the main sub pack folder and download the files you require (at a minimum the.zip file). It is recommended that you create a separate folder somewhere, e.g. c:\trud_downloads and download the files here. - 7 -

Now follow the section How to Use the Downloaded Release Files Note: If you have problems connecting please copy and paste the messages in the top section of the screen and contact your local IT department before contacting the Information Standards Service Desk to ensure that the problem is not local to your site. These messages would also be useful if you did come to raise an issue via the Information Standards Service Desk. 3.2 An Internet Browser The example used in this section is a download of the October 2008 UK SNOMED release using an Internet Browser. A new TRUD service has been introduced to allow users to download via http at www.uktcregistration.nss.cfh.nhs.uk An FTP site is similar to a HTTP site but will look much more basic and will just show the server contents as folders and files. You will only have access to those release sub packs you are registered for. There a number of different flavours of Internet Browser, Microsoft Internet Explorer being the most popular. Each browser and version will work differently but this example is using MS Internet Explorer 6. If you change browser or update to a newer version this may affect your FTP access, even if it was working before. If this happens please contact your local IT department before raising a call with the Information Standards Service Desk. Each browser may also be configured differently and there are some options that affect the use of FTP browsing and download. - 8 -

Click on the N3 or WWW link below, this will open your default Internet Browser, an example would be Internet Explorer, and login. ftp://nww.uktcdownload.iss.cfh.nhs.uk ftp://www.uktcdownload.nss.cfh.nhs.uk You can also type in one of the above links into an Internet Browser, for example: 2.) Double click to open the README_<date>.txt file or README_<date>.htm, as these files are an index of releases available. Note: If you get an error while trying to open either of these then please download the README_<date>.txt file (right click and select Copy to Folder ) and then open it. - 9 -

3.3 Standard FTP Protocol The example used in this section is a download of the October 2008 UK SNOMED release using standard FTP Protocol. Any operating system (OS) with ftp built in and external access to the TRUD FTP severs can be used to download the data. Examples are windows command prompt, UNIX systems (such as Solaris, AIX), and Linux. The following example uses Windows XP but the ftp commands used are universal to all OS: 1. Click on Start then Run, type cmd and then click OK. This will bring up a command prompt window. 2. Change directory ( cd ) to where you want to save the files into, it is recommended that you create a separate folder somewhere, e.g. c:\trud_downloads. 3. Connect to the N3 (nww.uktcdownload.iss.cfh.nhs.uk) or WWW (www.uktcdownload.nss.cfh.nhs.uk) FTP server and login: Using dir to view folders and files, cd to move around download (using get ) and then open the README_<date>.txt and find the release you require, for example the October 2008 UK SNOMED release: - 12 -

4. Go to the main sub pack folder and download the files you require (at a minimum the.zip file). Note: the bin command is used to set the transfer mode to binary, if this is not set the downloaded zip file will be corrupt! 5. Now follow the section How to Use the Downloaded Release Files - 14 -
4 How to Use the Downloaded Release Files 4.1 Verify the Download using the Checksum and Signature Files This section details how to verify the download if you wish to do so. It is up to the organisation to decide whether or not to use the validation files we supply. It is our understanding that some people downloading releases may not understand how to use the additional files but if they want to use them they should seek internal technical support for help. Note: If you have only downloaded the.zip file please move to the next section, Uncompress the Main Release file To verify the download was complete and the release was from Health and Social Care Information Centre you will need to install some external software, for example Microsoft FCIV and GNU Privacy Guard, and the TRUD public keys. For instructions on where to find the software and install the public keys please review the README_<date>.txt or.htm file on the root of the TRUD FTP Server. 1.) Note: the command syntax is fully explained in the README_<date>.txt or.htm file on the root of the TRUD FTP Server. 4.2 Uncompress the Main Release file The.zip compressed archive within the release sub pack directory contains all the files required for that content area release, for example, the file nhs_readbrowser_6.0.0_20081001000001.zip contains the files required to install the October 2008 English or Scottish UK READ Codes browser. Note: different types of files can be found within different compressed archives: Install files for example, the zip for NHS_READBROWSER. Vendor independent files for example, the zip for NHS_SNOMED contains tabular separated text files, NHSBSA_DMD contains XML and XSD files. Vendor dependent files for example, the zip for HLI_SNOMED is a full content LE backup that is dependent on Health Language software. For more information on how to use the files within each release (.zip file) please review the corresponding documentation within the archive. The following procedure assumes you are using a Microsoft Windows machine. 1. Most windows machines will have a built in uncompress utility but if your machine doesn t have one you will need to contact your IT department. To unzip the contents you right click the file and select Extract All - 16 -

Note: you may also have local copies of Winzip or WinRar. You can use these as well but be sure to make a note of where you choose to extract the files to on your machine. 3. Once finished you can ask the wizard to open the extracted files in a new folder if you want to, for example: - 18 -
4.3 Use the Extracted Release Files All files related to the release will not be within the folder ready for use. This includes data files and documentation files. If you are unsure how to use these files look for documentation files within the various folders for help. There are also a set of links at the start of the Frequently Asked Questions, access this by following the FAQ link on the top of the main TRUD registration site, https://www.uktcregistration.nss.cfh.nhs.uk In the above example, the UK READ Codes Browser, you would go to the nhs_readbrowser_6.0.0_20081001000001\standard or nhs_readbrowser_6.0.0_20081001000001\scottish directory and review the UKTC_READ_Browser_Manual_20081001.pdf for instructions on how to uninstall any previous versions and also how to install the latest browser. - 19 -
