3 Overview The Reflection DBR User Guide is a complete installation, configuration and management guide for use with the Reflection DBR system. You received your domain name in your Reflection DBR Welcome Letter, this is how your organization will be identified in the Reflection DBR system. The Reflection DBR domain is essentially a container for logically organizing activated laptops and servers under one interface for your company. All of your clients, once installed and activated to your domain, will appear under your domain. Only the Reflection DBR administrator assigned to your domain will be able to see and manage your clients. This guide will step you through the steps required to get the Reflection DBR service up and running in your enterprise. The primary steps involved are: 1. Read this guide, in its entirety. It details all of the steps necessary to get up and running on the service. 2. Download and install Reflection DBR clients and agents on each PC or server that you intend to backup. 3. Activate clients. 4. Download and install Reflection DBR Administration Console. Once logged on, you ll see each client that is activated on your domain. 5. Setup Datasets, Schedules and Retention Policies for each PC or server. 6. Take an initial data seed from each PC or server. 7. Rest easy knowing your data is being moved to a carrier class off site data center at your predefined schedule. 8. Perform data restores as needed. Page 3 of 3

4 Installation of Reflection DBR Components Reflection DBR has three primary components: 1. Reflection Clients: These are PCs and Servers that you wish to back up. A small piece of software needs to be installed and activated on every client 2. Reflection Agents: Agents are installed on clients that require Open File backup for Databases or Messaging platforms. Agents are not required on most clients. For more information on Agents and why they are needed, please refer to Appendix A of this guide for more information. 3. Reflection Administrator Console: The console enables you to select, schedule, backup and restore data from and to any of the clients within your domain. The domain is used as a way to organize all of your clients into a single, manageable structure. Download Software Components: 1. Go to and enter the credentials for the support site included in your Welcome Letter. 2. On the Customer Support Page, under software applications, you will see links for the available clients and agents that you can download. If you do not see a client for an Operating System that you want to backup, contact Evolve IP technical support to see when that Operating System will be supported. 3. Click on the link for the OS Client or agent that you want to install, you will be prompted to save the installation program, which will be in a zipped file format, locally to your computer. Move this file to the server or laptop that you want to backup, unzip the file and follow the instructions below for the OS that you are installing. You will be billed for any clients or agents that you install and activate, regardless of what appears on your initial order. Reflection DBR Administrative Console Installation for Windows: Start by installing the Administrative console on any PC (s) from which you would like to manage the Reflection DBR service. Note: The installation procedure for installing the 32 bit version for Windows XP will also work for the 32 bit version of Windows Vista. Note: You will need Java Runtime Environment 1.5. If you do not have it installed you will be notified during the installation process. For help with the installation of JRE 1.5 see Appendix B. Double click the ReflectionConsole Windows.exe install package. 1. Follow the on screen instructions. You can accept the defaults. Page 4 of 4

5 2. Click Finish to complete the installation procedure. 3. Double click the Avamar Administrator icon on your desktop 4. Click the options button and enter reflection.evolveip.net under Default. 5. Enter your domain from your Welcome Letter under Default Domain Name and then click OK. 6. You can now log in to the Avamar Administrator to manage your backups. See the Reflection DBR Launcher section of this guide for help with using this tool. Windows Client Installation and Registration: Next, install the Windows Client Software on any Windows servers or PCs that you wish to backup. Note: The installation procedure for installing 32 bit and x64 editions is the same for both versions. The main difference is that 32 bit versions use the InstallShield installation wizard, while x64 editions use the Microsoft installation wizard. In both cases, simply initiate the install procedure as described below: Double click the ReflectionClient VERSION.Windows.exe install package. 1. Follow the on screen instructions. 2. Click Finish to complete the installation procedure. The Avamar icon (shown below) appears in the system tray. 3. Right click the Avamar system tray icon. A menu appears. 4. Choose Activate. The Activate Client Setup dialog box appears. Page 5 of 5

6 3. Enter the following: Administrative Server Address: reflection.evolveip.net Client Domain: /your domain (this can be found on your welcome letter) 4. Click Activate. The Activate Client Setup dialog box closes. Linux Client Installation and Registration: 1. Open a command shell and log in as root. 2. Change directory to your temporary install directory. For example: cd /tmp 3. Enter the following: rpm ih REFLECTIONLINUX.rpm (Where REFLECTIONLINUX.rpm is the actual file name of the Reflection DBR Linux Client install package you previously downloaded.) Press ENTER to accept the default cache and log file location. 11 Configuring Scheduled Reflection DBR Backups 1. An Introduction to Reflection DBR Backups Reflection DBR clients are recommended to be backed up on a consistent basis and this is achieved by adding the client to a Group. Grouping clients reduces administration and allows you to assign schedules, datasets and retention policies to a collection of clients. The following section of this guide details how to setup schedules, datasets and retention policies, assign them to a group and add client to that group to govern the backup process on those clients. Evolve IP can assist in the configuration of these resources. Call Evolve IP technical support for more information. 2. Client side Preparation Before attempting to backup a client, either manually or automatically, the Administrator must check several things on the backup client. 2.1 Client Software Install The backup client is required to have the appropriate Reflection DBR client software installed and the client is registered to the correct Reflection DBR Server for Backups. (See the Reflection DBR Client and Console Installation section of this guide.) 2.2 Connectivity Connectivity to the backup server on which the client is to be backed up is especially important. Test with ping and nslookup to ensure the Reflection DBR Client & Server IP s, short name s and FQDN s are resolvable. Basically, you need to make sure that you can resolve, reflection.evolveip.net from the client that you are trying to backup. 3. Server side Preparation Configuring Reflection DBR scheduled backups first requires the configuration of several Reflection DBR resources including DataSets, Retention Policies and Schedules. Once these resources are configured, you create a Group and assign these resources and specific clients to it. Note: Reflection DBR provides default templates for all resources that can be assigned to groups. However if you wish to make any modifications to the resource templates you must first make a copy of that resource and make necessary changes to the copy. Page 11 of 11

12 3.1 Datasets Datasets are the Reflection DBR resource that will determine what gets backed up during a backup. To configure Datasets: 1) Login to Administrator Console and go to Tools and choose Manage Datasets. 2) Click on New for a completely new Dataset or Copy to copy and modify an existing Dataset. The Edit option allows modification of an existing Dataset. You will see the following screen: 3) Clicking on New launches a New Dataset window with 4 tabs and prompts you to provide a name for the dataset: Source data tab allows you to select what will be backed up. You can explicitly state what is to be backed up or you can select to backup all filesystems. Exclusions & Inclusions allow you to narrow down what gets backed up. Options allows you access to Advanced options depending on the type of data being backed up 4) If you want to specify specific file systems to back up then you must select the Enter Explicitly radial button and select the Plug In type, i.e. Windows File System. 13 5) You can either select the radial button for All local Windows file systems to backup everything on that windows client or select the radial button for Select Files and/or Folders. Here is where you can specify an absolute path to the file system you want to backup. In the example below the Documents and Settings file system was specified. Note: When specifying absolute paths to file systems in the Reflection DBR system you must use the forward slash (/) and not the back slash (\). Note: Notice that the options for all other file systems including windows was removed from box below the + and sign. You accomplish this by highlighting the file system you want to remove, i.e. All Local AIX File Systems and then selecting the sign to remove it. In the same fashion when you want to add a file system, as in the example above, you type it in the Select Files and/or Folders box and then select the plus button to add the file system to be backed up. Note: You have the option to browse for files and folders by selecting the button with the three dots on it to the right of Select Files and/or Folders but you have to have a vpn connection from the client to Page 13 of 13

14 the Reflection DBR system for this function to work. See Appendix C for further details. If you do not have a vpn connection and you select a system to browse from your list of activated clients you will see the following message: 6) Click OK to create the new Dataset. Page 14 of 14

15 3.2 Schedules Schedules determine how often a Reflection DBR group will be backed up. 1) Login to the Administrator Console and go to Tools and choose Manage Schedules. 2) Click on the your domain. 3) Click on New for a completely new Schedule or Copy to copy and modify an existing Schedule. The Edit option allows modification of an existing Schedule. To suspend or resume all scheduled Reflection DBR backups click on the Suspend/Resume All button. You will see the following screen: 4) Clicking on New launches a New Schedule window where you choose from the following settings: Select a Schedule Name and how often the schedule will be repeated. Choices are Daily, Weekly or On Demand. Page 15 of 15

16 After choosing Daily, select the time(s) of day to run a backup keeping in mind other scheduled groups as well as Reflection DBR s daily maintenance schedule. NOTE: It is very important not to schedule backups during the time of 7 to 8 AM/PM. Choose a value for Limit Each Run so that backups will not run beyond that time and possibly impact the effectiveness of other backups or maintenance jobs. Leave default end data as No End Date. 5) Click OK to create the new Schedule. Page 16 of 16

17 3.3 Retention Policies Retention Policies are intended to determine how long backups will be kept on the Reflection DBR Server. 1) Login to the Administrator Console and go to Tools and choose Manage Retention Policies. 2) Click on your domain. 3) Click on New for a completely new Retention Policy or Copy to copy and modify an existing Retention Policy. The Edit option allows modification of an existing Retention Policy. You will see the following screen: 4) Clicking on New launches a New Schedule window where you choose from the following settings: Select a Retention Policy Name. Select a Basic retention Period or choose Advanced Retention. 5) Click OK to create the new Retention Schedule. Page 17 of 17

18 3.4 Groups Groups are the Reflection DBR resources that tie together Datasets, Schedules, Retention Policies and Clients. 1) Login to the Administrator Console and choose Policy. 2) Under the Policy Management and Groups tabs, click on your domain. 3) Go to Actions and choose New Group. You will see the following screen: Page 18 of 18

19 4) Give the Group a name. Notice that the Disabled checkbox is set by default. Uncheck this if you would like scheduled backups to begin as soon as the group is created. 5) Click Next and choose the Dataset to be associated with this group. See above section ) Click Next and choose the Schedule to be associated with this group. See above section ) Click Next and choose the Retention Policy to be associated with this group. See above section ) Click Next and select the Reflection DBR Clients that you would like to join the group. 9) Click Finish to create the Group. To perform an immediate backup of the group, right click on the Group and choose Backup Group Now otherwise, the Group will be backed up according to the assigned schedule. TIP: You can use groups to associate your clients with a specific dataset, schedule and retention policy. You could create a group for laptops that just backs up the Documents and Settings folder in windows or you may want to create a linux group that backs up all the common linux file systems. 20 Performing Reflection DBR Restores: Windows 1. An Introduction to Reflection DBR Restores Windows clients backed up via Reflection DBR can be restored a couple of different ways: using the Reflection DBR Administrator GUI and the Web Restore Method. Both methods will restore the same data but the chosen method will depend on the user s access permissions as well as personal preference. 2. Before Starting Before attempting a restore, the Administrator must check several things on the restore destination server or PC. This is especially important when performing a directed restore (using one machine s backup as the source and restoring to a second machine). Note: The destination server for a directed restore should also be running the Reflection DBR client software. 2.1 Filesystem The destination client must be the same filesystem format as the source machine. i.e. Windows boxes should restore to other Windows boxes, Unix should restore to Unix, etc. 2.2 Connectivity Connectivity to the backup server on which the source client backed up is especially important. For this reason, it is optimal to for directed recoveries to choose a client that backs up to the same backup server as the source. 2.3 Capacity It is the responsibility of the administrator to ensure enough space on the destination to completely restore the target files. Be especially mindful of larger restores (spanning multiple dates, database dumps, etc). 2.4 Reflection DBR Running Any machine performing a restore must have the Reflection DBR client configured and running. 21 2.5 Remote Access Permissions If you are performing a directed restore, the Reflection DBR user account requires administrator permissions on the destination client. This can be granted in the Reflection DBR Administrator GUI in the Administration section. See the Adding Reflection DBR User Accounts section of this document. 3. Performing a recovery operation from the Reflection DBR Administrator Console The Reflection DBR Administrator Console is a java application that gets launched from an icon on a windows desktop. The Reflection DBR user will be required to have at a minimum restore rights to the Reflection DBR domain in which the recovery client resides. 1. Double click on the Avamar icon and then complete the User Name, Password and Domain. Click on Log On. 2. Click on Backup & Restore from the Reflection DBR Administrator Console. 3. In the left pane of the Backup & Restore window, navigate the domain hierarchy and select the client that is to have data restored. In the right pane, choose the Select for Restore tab. 4. Chose either the a) By Date or b) By File/Folder tab depending on what information you have for the recovery you will perform. a) If you know the data of the backup that you wish to restore from, choose the By Date tab. High light the day of the backup in the calendar, high light the backup for that day in the Backups for <Date> section. The in the lower section of the window, navigate the backed up filesystems and put a checkmark beside the files/folders you wish to restore. b) If you don t have a backup date for the data you need to recover, select the By File/Folder tab. Click the browse button to navigate the recovery client s filesystem, navigate and checkmark the files/folders for recovery. Click on OK. Click on retrieve. Choose a version of the backup based on the date and file size and then in the Backup Containing section in the right side pane, high light the snapup you wish to restore from. You ll now be able to see the contents of the snapup as well as the files you have selected for restore at the bottom of the screen. 5. Go to Actions in the menu bar and select Restore Now 6. The Restore options window appears and the Targets field will show the selected files/folders for recovery. 7. Click OK to initiate the recovery operation. 8. Monitor the status of the recovery operation by clicking on Activity in the Reflection DBR Console window. You will see something similar to the screen shot below when performing this function: Page 21 of 21

22 4. Performing restores using Reflection DBR Web Restore Reflection DBR provides the ability for Windows clients to restore their data via Reflection DBR Web Restore. This Internet Browser based application can be run on any Windows host provided it has connectivity to the Reflection DBR Server. Note: The Reflection DBR client software is NOT required for this restore method. 1. Open an Internet Explorer Web Browser on the Windows host that will be the restore destination. 2. Go to the following URL: 3. Enter the necessary information in the Account Field. Syntax: Reflection DBR_domain> Example: 4. Enter the Client Path. Syntax: /<Reflection DBR_domain>/<Client_Name> Example: /clients/server1.gs.com 5. Enter the Password for your Reflection DBR User Account 6. Click on Log On Page 22 of 22

23 7. Use the calendar to select the date of the Backup you would like to recover from. 8. Once the date is selected, to the right of the calendar you will see a list of backups for that particular date. Choose a backup by clicking on the Sequence number. 9. In the bottom section of the browser, you should now see the available filesystems for restore. Navigate to the folder or file that you would like to restore. 10. To restore a folder, click on the Zip icon under the download column. You will be advised there may be a delay while the file is downloaded (or restored) to your system and then you will be prompted to Save the folder and to provide a target destination. Once the.zip file containing your restored data is saved to the target file system, open and extract the folders/files as you would normally do for a.zip file. 11. For files, you can restore them by clicking on the Down Arrow icon and then you will be prompted to Save the file and to provide a target destination. See Screen Shot below for Web Restore Interface: 5. Performing a directed restore If you would like to restore data to a client which is not the original source client, you can perform a directed restore. Page 23 of 23

24 5.1 Using Reflection DBR Administration Console 1. Perform steps 1 7 from Section 3 Performing a Recovery Operation from the Reflection DBR Administrator GUI. 2. In the Restore Options window, change the radio button for Restore Destination Choices to be Restore everything to a different location. 3. Click on the Browse button and select a client and target path for the recovered data. 4. Click OK to initiate the recovery operation. 5.2 Using Reflection DBR Web Restore Directed restores with Reflection DBR. Web Restores are accomplished by opening the Web Browser on the intended destination host for the recovered data. Then complete the steps described in the above section Performing restores using Reflection DBR Web Restore. Page 24 of 24

25 Performing Reflection DBR On Demand Backups 1. Log in to the Reflection DBR Administration Console. 2. Click on Backup and Restore. 3. Select the client from the list on the left that you want to back up. 4. You will probably get the message below: 5. At this point you have 1 of two options. a. Establish a vpn connection from the client you are trying to back up to the Reflection DBR system so that you can browse file systems. See Appendix C on how to do this. b. Select the radial button for Select one File, Folder or Directory and enter the absolute path to the file system that you want to back up, i.e. C:/Documents and Settings. 6. Click Actions on the menu and then Backup Up Now, you will see the following window: Page 25 of 25

26 7. Enter the appropriate options and select the Ok button to start the backup. Page 26 of 26

27 Viewing Reflection DBR Backup and Restore Activity 1. Log in to the Reflection DBR Administration Console. 2. Select the Activity button 3. This is where you can see the activity of all your backups and restores, see screen below 4. From the Activity Monitor tab you can see what backups/restores failed, completed successfully, or Timed Out. A backup will time out if the client is not available at the time the backup starts. This happens quite frequently with laptops. You will see this activity as a Timed Out Start. You may also a Timed Out End, this means that there was not enough time allotted to the client to complete. In that case you would need to increase your Backup Window Duration for the schedule that this client is associated with. 5. The other three tabs show different views of the same type of information. 28 Backup Management 1. Log in to the Reflection DBR Administration Console. 2. Click on Backup Management. 3. Select the client on the left hand side that you want to manage backups for. 4. Days of the week that backups were performed will appear in yellow. Click on the day of the weeks backup that you want to manage. 5. You will see a screen similar to the one below: 6. Right click on that backup number for that day. 7. You will have the option to: a. Change the expiration date of this backup. b. Change the retention of this backup. c. Delete this backup. d. View statistics of this backup. Page 28 of 28

29 Policy Management Managing Reflection DBR Groups and Clients 1. Log in to the Reflection DBR Administration Console. 2. Click on the Policy Button 3. From here you will be able to manage your groups or clients. 4. Click on the clients tab and you will see a screen similar to the one below: 5. You can manage all the attributes of this client from this screen Page 29 of 29

30 6. One important option to note is the Overtime option. This is important when seeding the data for this client for the first time. If you only allowed a one hour backup window in the schedule that this client is assigned to and it takes 5 hours to seed the data for this client having the Overtime until successful backup option enabled will override the backup window assigned in the schedule and the seeding can run until all data is successfully backed up. 31 Adding Reflection DBR User Accounts You can add users to your assigned domain for the sole purpose of performing restores. This person would be able perform restores for all clients within the domain that he or she has been given permissions. 1. Click on your domain. 2. Now that it has the focus, right click on it and select the New User(s) option. 3. You should see the screen below: 4. Enter the user name for the user in the following format, first letter of first name and full last name, i.e. jsmith for John Smith. 5. For the Role click the drop down box and select the role that you feel is appropriate for this user, i.e. Restore (Read) Only User or Administrator. 6. Assign the user a password. Note: A user with the Restore (Read) Only User assigned can not login to the Reflection DBR Administrator Console. That user can only perform restores from the reflection.evolveip.net website initiated from their client machine by right clicking on the Avamar Icon and selecting restore. Page 31 of 31

33 Appendix A: Installing and using Reflection DBR Agents If you will be backing up databases or Microsoft Exchange you will also require a Reflection DBR Agent for that particular product. A Reflection DBR Agent allows the backup of large files such as databases without taking the database offline. It is vital that the entire backup represent a singlemoment snapshot of the file. Either the database file must be locked to prevent changes, or a method must be implemented to ensure that the original snapshot is preserved long enough to be copied, all while changes are being preserved. 34 Appendix B: Installing Java Runtime Environment version 1.5 for use with the Reflection DBR Administrator Console If you do not have the java runtime 1.5 installed you will be required to install it for this application. If you are not sure if you have it or not you will be notified during the installation of the console that you do not have that version installed and the installation will abort. Even though you will see a message stating that you need version and 1.5 or greater and you know that you have 1.6 installed you still require the 1.5 version for the console to work properly. You can download this from Sun Microsystems website at You will also need to install the daylight savings time patch for this version of the jre. You can get that from our support site, the file name is tzupdater 1_3_5 2008b. Extract this file to a directory and apply the patch with the following command based on where the jar file is extracted: C:\Program Files\Java\jre1.5.0_12\bin\java" jar C:\tzupdater.jar f bc. 35 Appendix C: Installing and using the Cisco VPN Client to connect to Reflection DBR Installation of the Cisco VPN client is required if you would like to take advantage of the file browsing capabilities of the Reflection DBR system when you are building your datasets or doing an ondemand backup with the Reflection DBR console. Using this connection to the Reflection DBR system provides an extra layer of security while negotiating file systems from the Reflection DBR system at Evolve IP to the your client system at your office. Please visit to download the Cisco VPN client. Follow the installation instructions with that download. You will also need the reflection.pcf file which can be downloaded from the Evolve IP support site. You will need to import this file to the Cisco VPN application. Use the following credentials with the Reflection VPN connection: User Name: Password: reflectionadmin Axs4dbr Steps for installing the Cisco VPN Client: 1. Go to 2. Click on the VPN Client Software link under the Software Applications section of the main page. Download and save the file locally. 3. Click on the link under the Reflection DBR section. Navigate to the bottom of the page to the General section and then click the link for Reflection VPN PCF file. Download and save the file locally. 4. Extract and then run the Cisco VPN Installation program: vpnclient win msi k9. 5. Take the defaults. You will have to reboot your computer. 6. When the computer comes back up, click on Start Program Files Cisco Systems VPN Client VPN Client 7. Click on Import and locate the Evolve IP PCF file that you downloaded earlier. 8.
