At this point all new email will be routed to your new Office365 account and the Outlook.com account will be inactive. Exporting Contacts from your Outlook.com Club Email Account How to sign in and access Outlook.com club Email 1. Open an internet browser window (i.e.: Internet Explorer, Firefox, Safari, etc) 2. In the address line type: outlook.com and press enter on the keyboard. 3. Enter your Microsoft Account ID = siclubname@soroptimist.net 4. Enter your Password = 6 digit club ID number (this number begins with a 1 ) or password the club has updated. Please do not add any spaces or characters to the Microsoft Account/Club email address provided by Soroptimist Headquarters. Example: Soroptimist International of Nassau County sinassaucounty@soroptimist.net Enter email address here (#3) Enter 6-digit password here (#4) Note: Some names are the same for more than one club, in this situation the abbreviation for the state is added to the log in after the club name. 8. After choosing Export for Outlook.com and other services you should receive a pop up message asking you if you would like to save OutlookContacts.csv. Depending on the version of Internet browser you are using (i.e. Internet Explorer, FireFox, Chrome, etc.), the message appearance and location on the screen will vary. The example below is Internet Explorer 11. 9. Choose Save as to save a local copy of your contacts as a.csv file. 10. Save the file in a location where you will remember as you will need this file to import into your new Office365 club email account. Archiving Email from your Outlook.com Club Email Account 1. Open an internet browser window (i.e.: Internet Explorer, Firefox, Safari, etc) 2. 5. Once logged in, you should see your inbox like the screenshot below. 6. Click the options icon and then choose options from the dropdown menu. Click the options icon and then choose Options from the dropdown menu. 7. Under Managing Your Account, click Connect devices and apps with POP. Soroptimist International of the Americas. 8. Under POP, select Enable 9. Under Deleting Downloaded Messages, select Don t let devices or apps delete messages from Outlook.com. 10. Click Save. 11. You can log out of your account once the settings have been saved. 12. Next we will download and install a free email client application from Microsoft that we will use to archive your club email. 13. Open an Internet browser and go to the following URL http://windows.microsoft.com/en us/windows live/essentials other#essentials=overviewother 14. Click the Download Now button to download Windows Essentials. 15. You will receive a pop up asking you if you would like to run or save wlsetup web.exe. Choose Save As and save the file to a location of your choice. Depending on the version of Internet browser you are using (i.e. Internet Explorer, FireFox, Chrome, etc.); the message appearance and location on the screen will vary. 16. After the download has completed. Browse to the file location and double click the file to run the installer. 17. Click Choose the programs you want to install. Soroptimist International of the Americas. Created October 2014 page 11 of 29
18. Uncheck all the boxes except for Mail and click the Install button. We will only need to install the mail client application. 19. The installer will now install the mail application component of Windows Essentials. 20. You will see the following window when the installation is complete. 21. Click the close button. 24. The Windows Live Mail application will open to the Add your email accounts window. 25. Enter your SIA club email address, assigned password (club number is the default), and enter your club name for the display name. 26. Check Remember this password 27. 30. You should now begin to see your Outlook.com SIA club email in your inbox. 31. Right click on the account folder in the left pane and choose properties. In this case it is named Soroptimist (siahqtest), but it will be named something different on your system. Right click Choose Properties Soroptimist International of the Americas. 32. On the General tab, rename the mail account name to Outlook and click OK. 33. Now the account folder in the left pane should be labeled Outlook as shown below. 34. At this point, you have completed archiving of your Outlook.com club email. Your archived club email will remain on your PC in the Windows Live Mail application until it is time to migrate it to the Office356 system after the switchover on December 15, 2014. 35. The Windows Live Application will have a live connection to your Outlook.com account until the switchover is complete on December 15, 2014. After that point, all new email to your club email account will go to your new Office365 account and this account will no longer receive new email. Soroptimist International of the Americas. 5. Once logged into your inbox, click People in the top menu bar. 6. You should now see your Office365 contacts page. Click the options gear icon on the right of the top toolbar and choose Import Contacts. Soroptimist International of the Americas. Created October 2014 page 19 of 29
7. Now you should see the import contacts window. Click the browse button and navigate to the OutlookContacts.csv file that you exported and saved from Outlook.com in the first section of this guide. 8. 9. You should now see the results of your import on the import contacts window. In this example, five contacts were imported. 10. Click finish to complete the contacts import process. 11. Importing Archived Email into your Office365 Club Email Account 1. Go to your Windows program menu and open the Windows Live Mail application that we used to archive your Outlook.com club email in the second section of this guide. 2. We are now going to set up a second account in the Windows Live Mail program for your new Office365 account. We will then be able to copy the archived Outlook.com email into your new live Office365 account using this application. 3. Click on Accounts in the top menu bar. 4. Click on email on the top left. 5. Enter your SIA club email address, assigned Office365 password (club number preceded by sia) i.e. sia199999, and enter your club name for the display name. 6. 7. Enter the following information into the configure server settings page. Incoming server information Server type: IMAP Server Address: outlook.office365.com Port: 993 Check the box for Requires a secure connection (SSL) Authenticate using: Clear text Logon user name: si*****@soroptimist.net (Your club email address) Outgoing Server Information Server address: smtp.office365.com Port: 587 Check the box for Requires authentication 8. 9. You should now see two accounts in the left pane of the main Windows Live Mail window. 10. Right click the new account folder in the left pane and choose Properties. 11. 12. Click OK 13. You should now see your old Outlook.com club email account as well as your new Office365 account in the mail Windows Live Mail window. 14. 16. Right click on any email in the list. 17. Alternatively, you can select the top email hold the shift key down and select a lower email in the list to select a group of email or even all email at once. Then right click on the group of highlighted email. 18. Select Copy to folder. 19. Choose Inbox under the Office365 account and click OK. Soroptimist International of the Americas. 20. You should now see the copying messages notification box. 21. Your email messages are now being transferred from the old Outlook.com account to the new Office365 account. 22. After this completes, click the Send/Receive button in the top toolbar of the main window to complete the transfer process. 23. 24. Your old Outlook.com club email should now show in the inbox of your new Office365 account. 25. This completes the migration of your old Outlook.com club email to the new Office365 club email account. If you did not transfer all of the email you need to in one list, you can repeat the steps above as often as needed until you transfer everything that is needed.
