UBC Engineering Co op Program Using EngCORE Employer Instructions Engineering Co-op Program Faculty of Applied Science 2385 East Mall Vancouver, BC Canada V6T 1Z4 Phone 604 822 3022 Fax 604 822 3449 eng.coop@ubc.ca www.ubcengineeringcoop.com The EngCORE Employer module will allow Engineering Co op employers to: maintain company information; post new job descriptions; access previously posted positions; view and select student's resumes; and set up an interview schedule. Link to access EngCORE is https://www.ubcengcore.com/home.htm. If you have any questions or concerns, please contact the UBC Engineering Co op Program at 604 822 3022 or eng.coop@ubc.ca.

Employer login: Before you can access EngCORE, you will need to create a login ID and password. *If you are an existing employer with the UBC Engineering Co op Program and are logging into EngCORE for the first time, you will NOT need to register for a new account. Click the Forgot Password button and follow the steps provided in the Forgot Password section. On the Employers main screen, please choose the Register for an Account button and complete the New Account Registration information on the Register for an Account page. Once complete, please click the Submit Registration button at the bottom of the screen.

Click Submit Registration at the bottom of the page. Login: To login, click the Login button, enter in your email address and password and click the Go button. Forgot Password: If you have forgotten your password to access EngCORE, you can reset the password by completing the following process: 1. Step 1. Receive your reset code Enter in your email address and click the Email Reset Code button. You will be sent an email with your reset code. 2. Step 2. Fill out the Form below Copy the RESET code from the email and paste the copied code in the RESET CODE box. 3. Complete the requested information: Email, Login ID, New Password, Confirm New Password and Question. 4. Click Reset Password button 5. Login

1. Home Page The Employer home page provides access to the UBC Engineering Co op recruiting modules and contact information we have on record for you. It is an overview of your recruiting activity at UBC Engineering Co op, including jobs posted and interviews scheduled. Your home page consists of two tabs: Employer and My Account Information. Employer Overview tab My Account Update My Account Reset My Password Co op Post a Job View My Postings View Applications for My Postings Job Postings tab Listing of job postings My Account Information View your: Login Information Contact Information Organization Information You may make changes to these editable fields by clicking Update Account. 2. Job Postings To post a new job, repost a job or view your job postings, click on the Job Postings tab near the top of the screen or the Post a Job link on the Employer Home page. The Job Postings tab will also show your current job postings. The job postings listed under the Current Job Postings can be viewed, edited or copied. Post a Job: Click Post a New Job Update your job posting information in the editable fields. The page is divided into three sections. Required fields within each section are specified with an asterisk (*). Organization Information for Job Posting. This section automatically populates with information previously provided to the UBC Engineering Co op Office. Please change the Job Contact information if you wish us to contact someone other than yourself for a particular job posting. Job Posting Information: This section requires you to specify the following information: co op work term, position type, start of work term, length of work term, job title, job location, number of positions, salary, frequency, industry, company type, job description, job requirements and targeted Co op disciplines.

Application Information: This section specifies the application deadline, application receipt procedure, application material required (e.g. resume, cover letter, transcript) and you may provide further information to students in the Additional Application Information field. Click Submit Job Posting for Processing. You will receive an email from the UBC Engineering Coop Program when your posting becomes viewable on EngCORE. View Previous Jobs Click on the Job Postings tab and click My Job Postings. The option to view, edit or repost (see Repost a Job below) is available by clicking on the appropriate links. Re Post a Job Click on Job Postings tab and click Repost a Job. A list of your previous job postings will be generated. Click Repost. Scroll down to the Application Information section and update the Application Deadline to a date of your choice. You may also update any other information pertaining to the job. Click Submit Job Posting for Processing. Your job posting will re appear on EngCORE after the UBC Engineering Co op Office processes your request. 3. Applications If students apply online through EngCORE, you will be able to obtain a list of applicants, along with student cover letters, resumes and transcripts. Applications will be available for you to view online as of 12:00 pm, the day following the job deadline date. If you choose to have students apply through your organization s website, you will not be able to see applications through EngCORE. You will, however, be able to see a list of students that have applied to your job posting. View Applications To view applications click on the Applications tab near the top of the screen or the View My Postings link on the Employer Home page. Under the Applications tab, applications can be viewed under Recent Applications and People Interested in Jobs. If you are a past employer, there will be tabs to the left where you can view past applicants. Once a job posting is closed, click the View Applications link to generate a list of student applications. Select Students for Interviews through Applications tab: After clicking View Applications for a list of applicants and reviewing the applications, select Yes or No for each applicant you wish to interview.

Click Update Interviewees to update each applicant s status to either selected for interview or not selected for interview. Your request will then be submitted to the UBC Engineering Co op for review and approval. Interview schedules remain in a pending status: Interview has been requested; pending approval, until processed by the UBC Engineering Co op Office. To check the status of the interviews that are pending, click the Interviews tab to check job postings and the status of interviews. To view approved schedules, click the appropriate View Schedule link under the Scheduled Interviews section. 4. Interviews Request interviews To request interview arrangements for your job postings, click the Interviews tab. Under Job Postings with No Interview(s) Scheduled, click Request Interview Date(s) for the appropriate job posting. Click Co op Interview Date(s) Request in the Request Interview screen. Click Submit a Request. 5. Rank and Match This module is available only during the employer ranking period after the first round of interviews each term. 6. Events The Events module advertises sessions you arrange with the UBC Engineering Co op Office. To obtain a list, simply click the Filter Events by Categories button. Click on each session to retrieve more detailed information.
