The instructions in this document will guide you in accessing and downloading MSU s Google Drive on your computer.. Policy N/A Definitions MSU Google Apps: MSU has secured an agreement with Google to offer MSU Google Apps Education Edition to our faculty, academic faculty retirees, students and staff Google Drive: In the latter part of 2012, Google replaced the Google Docs listing with a cloud storage service called Google Drive. As part of the implementation, Google has increased the storage available for MSU Google Apps for Education to a full 5GB per user. During the week of September 10, 2012, MSU Google Apps users who had not yet opted in to Google Drive were switched to Google Drive. LOGIN TO MSU GOOGLE APPS ACCOUNT Go to the MSU Google Apps sign in page - http://googleapps.msu.edu/. Click on the Google Drive and Docs link. 3
In the login screen, type your MSU ID and Password and click Login 4
DOWNLOAD GOOGLE DRIVE FOR PC Your MSU Google Drive will open, and you will see the page below. Click on Download Google Drive for PC. Click Accept and Install. 5
The Google Drive software will begin to install on your computer. Once install is finished, click Close. 6
SIGN IN TO YOUR GOOGLE DRIVE ACCOUNT Click the Sign in now button. Type in your MSU username (MSU email address), then click Sign in 7
The MSU login window will open, type in your MSU username (MSU NetID) and password, then click Login. 8
Follow along, with the next two windows, clicking Next after reading the information provided. Click Start Sync to begin syncing files from Google Drive on the Web to the Google Drive folder you created on your computer. 9
Your Google Drive folder will open. For reference, your Google Drive folder is housed on your computer s hard drive C: The file path to the folder is: Computer > Local Disk (C:) > Users >your username > Google Drive Double clicking on the Google Drive folder will reveal the contents. You can click and drag files here, to save them to your Google Drive, and they will appear on the web drive as well. Conversely, you can access items saved online in your Google Drive here on your computer. Google Files in Google Drive Folder 10
To move files from your computer into the Google Drive folder, open another Explorer Window alongside the Google Drive window, and drag the file from that window into the Google Drivewindow. In the example below, the file Tips_From_Trainer_Logo_Monthly was dragged to the Google Drive window and now is saved in the Google Drive folder. 11
ACCESS GOOGLE DRIVE FROM YOU COMPUTER Your Google Drive will remain open on your computer unless you sign out. If you have signed out and want to access your Google Drive again, do the following: To access the Google Drive on your Computer Locate the Google Drive icon in the right corner of your computer screen. Click on the icon, and in the menu click Open Google Drive Folder. Your Google Drive folder will open for you to view your files. Google Files in Google Drive Folder 12
ACCESS YOUR GOOGLE DRIVE ONLINE To open your online MSU Google Drive, go back to the Google Drive icon in the lower right of your computer, click on the icon and then click Visit Google Drive on the Web. 13
You may also open your online Google Drive by: Going to - http://googleapps.msu.edu/ in a web browser Once on the MSU Google Apps page, click on Google Drive and Docs Log in with your MSU username and Password 14
In your online MSU Google Drive, you will see the same contents as was in your Google Drive folder on your computer. Notice in the example below, that the file that we dragged and dropped into the Google Drive folder on the computer, Tips_From_Trainer_Logo_Monthly, appears in the online Google Drive space 15
SHARING ACCESS TO YOUR GOOGLE DRIVE To share items in your Google Drive with others, simply check the checkbox to the left of the item(s) you would like to share. In the example below, 3 items were checked. After checking the item(s) you want to share, click on the Share icon above the listed items. 16
A Share Settings window will open. You will see and can do the following: The links to share for each document checked are listed under the Links to share text box Under Add people, you may type email addresses of people you want to share with. Separate addresses with a coma. Click the Notify people via email checkbox to send an email to those listed, notifying them of their access to the shared items. Click the Add message link to add a message to the email notification Check the Send a copy to myself checkbox to send a copy of the email notification to yourself Click Share & save to save what you have selected and send email(s) 17
If you typed an email address that is outside MSU (a non @msu.edu address) the following window will appear. Click Yes to continue. Now you can see the names and email addresses of the people with whom you shared items with. To edit their privileges, click on Can edit and you will be given the choice of having that person be editor (Can Edit) or viewer (Can View). Editors can make changes, viewers can only view the item(s). Click Done to close the window 18
To delete someone from having access to an item, click the X to the right of Can edit and click Save changes. If you do want to delete that person (made a mistake by clicking the X), click Cancel. 19
