Bb COLLABORATE (ONLINE ROOM) APPLICATION SHARING REFERENCE GUIDE Reminder: All users should utilize Mozilla Firefox browser when accessing Bb Collaborate Online Rooms. Application sharing allows a Moderator or Participant to share an application (such as Excel, Word, etc.) or his/her entire desktop with other online room attendees. The host of the application (in most cases this will be the Faculty member) may give control to a shared application to other participants and/or allow other participants to share their application(s). HOW TO START APPLICATION SHARING (Note: Only the Moderator can start Application sharing.) 1. Click on the Application Sharing button on the top of the screen. 2. Select either to Share desktop or a specific application from the list. Note that only open applications that are not minimized will be displayed in the list. 3. Click on the Share button. 4. The shared application will now display in the Content Window for all participants to view.
NAVIGATING A SHARED APPLICATION The participant who is sharing the application should resize the shared application so that it can fit in the content window area. This way that participant who is sharing can also see the Collaborate side panels along with the shared application. The moderator will notice that a yellow box will appear around the area that is displayed to the online room participants. Participants will not see the yellow box. A small controller will be displayed on the top of the yellow box with application sharing controls to stop sharing, pause sharing and to take a screenshot. HOW TO GIVE CONTROL OF YOUR SHARED APPLICATION OR DESKTOP If the moderator would like to work collaboratively with a participant, he/she can give control of the shared application to a specific participant. This person will then be able to manipulate the shared application (desktop, document, etc.). To give control of a Shared Application to a specific participant: Select the participant from the participant list. From the Tools menu to the right of the person s name, select Give Control of Shared Applications. Click OK, to confirm that you would like to give control of the shared application. The participant will now have the ability to interact with the shared application. The Application Sharing permission icon will appear next to that Participant s name.
The moderator may regain control of the shared application from the participant, by: Holding down the CTRL key and Space key at the same time. From the dropdown menu next to the participant s name, select Take Away Control of Shared Applications. Important Note: When you give control of your shared application, that participant will have access to your computer files as well as the application itself. To stop sharing the application by either: Click on the Stop Sharing icon. Click on Tools > Application Sharing and then Stop Sharing.
To ALL participants: HOW TO GRANT PERMISSION TO THE APPLICATION SHARING TOOL From the Participant panel Global Permissions options dropdown menu, select Application Sharing. To share an application, the Participant must click the Application Sharing, click on the Starting Sharing button, select an application and then click Share. To an individual participant: In the Participant panel to the right of the participant s name, uncheck the Application Sharing icon. To share an application, the Participant must click the Application Sharing, click on the Starting Sharing button, select an application and then click Share. Note: The Application Sharing permission icon will change to an active status for the person who is actively sharing the application.
Tips: When another participant is controlling your application: o Do not touch your mouse so that you do not compete for control of the application. o Use the F2 key to turn on and off your audio. o Use the Tab key to move between panels. When you are sharing an application, to view what your participants are seeing, from the Tools menu, select Application Sharing and then Show Preview Window. A thumbnail of the shared application will display in a new window.
Application Sharing Preferences (Click Edit > Preferences > Application Sharing > Hosting Options) o To distinguish the cursor of the shared application from your computer cursor, select Emphasize Cursor. The cursor will be displayed as: o To optimize the image quality that you would like to show to others, select from the Image Quality dropdown menu.
