1. What is Communité - MIC 3.0 (Messaging Interaction Center)? A: Communité - MIC is a messaging system that allows consolidation of voicemail and faxes to your Communité - MIC Inbox. You can listen to your voicemail messages over the phone or through the speakers on your PC and you can view your faxes through your PC. 2. How does Communité - MIC work? A: You can receive voicemail messages or faxes directly to your campus extension. All messages will be forwarded to your Communité - MIC Inbox. The voicemail messages arrive as a WAV file and your faxes are delivered to your Communité - MIC Inbox as a TIF file. 3. How do I access my voicemail? A: There are many ways to access the voicemail system, choose the one that s most convenient for you. Go to http://voicemail.miami.edu and login with your CaneID username and password. Dial a system access number from any phone or press the MESSAGE KEY on your phone: External Access Numbers: 305-284-3888 or 305-243-3888 Internal Access Numbers: UM Hospital 2-3888 Satellite Locations 2-3888 Kendall Medical Center 4-3888 Rosenstiel Marine School 5-3888

Miller School of Medicine 6-3888 Bascom Palmer 7-3888 Coral Gables Campus 8-3888 From another person s extension: Press the * key, enter your 5-digit mailbox number and password. From off network: Dial the system access number; enter your 5-digit mailbox number and password. Dial your own number: Press * when you hear your greeting, you will be prompted to enter your password. 4. What is the Deleted Items folder for? A: The deleted items folder is similar to the deleted items folder in your e-mail Inbox. Deleted messages can be retrieved even after you have deleted them. You can permanently delete items from this folder and save valuable message space. Click on your Deleted Items folder, place a check mark next to each item and click Delete. Example Below: To manage recently deleted messages dial 1 + 3 from the main menu.

5. Should I delete the voicemail after I listen to it? A: Each Communité - MIC Inbox has a 20MB storage capacity for new, saved & deleted messages and faxes. Each Inbox has a 60 day retention period for new and save messages. Deleted messages will stay in your deleted items folder to 2 weeks then will automatically be purged from your mailbox. You can view your current storage capacity through the progress bar in the upper right side of your Communité - MIC web access page. If your web page does not display the progress bar shown above please contact Telecommunications at 8-6565 to request one. If you reach the 20MB limit your mailbox will be full and messages will have to be deleted or off loaded to you PC. 6. Can I customize my voicemail greeting? A: You can record your voicemail greeting using your telephone hand set. Log on to the Communité - MIC web access, select RULES choose Custom Greeting and use the Text to Speech engine to create a custom greeting. Log in into your mailbox and follow the steps to Manage Personal Options. To record your personal greeting, from the main menu press 4 + 1 + 1. 7. How can I check my voicemail if I am not at my desk? A: There are two ways to check to see if you have messages. Go to http://voicemail.miami.edu. Message play back can be accessed on any PC with a sound card and speakers or headphones. You can dial the voicemail system by dialing either one of the following access numbers 305-284-3888 or 305-243-3888.

8. Can I allow calls to follow me to another number? A: Create a Follow-Me rule From the web access page, go to http://voicemail.miami.edu. 1. Click on the Rules tab at the top of the page. 2. Click Create New Rule 3. Click on Follow Me under the Inbound Call Rules category: 4. Click Continue at the bottom of the page. 5. Enter the details of your Follow Me rule. 6. Select "Save" at the bottom of the page. Hint: Use 5 digits for on-campus extensions and 11 digits for off-campus phone numbers, 9 + area code + 7 digit number. Use no spaces when designating your Follow-Me number. 5-digit example: 86565. 11-digit example: 93055551212. You can also create a Follow-Me rule over the phone: From the main menu dial 4+4+2. A basic Follow Me rule can be set up over the phone, but for more robust follow me rules please use the web access page. PLEASE NOTE: The Follow Me feature will only work for calls within our local calling area. UM has an extended local calling area, there are no long distance charges if your calling from campus to anywhere within the extended calling area from Key West to Sebastian on the east coast. 9. Can Communité - MIC notify me when I receive a new message? A: You can set your notification options to be notified by pager, email or by phone when you receive new messages. Create a notification rule at the Communité Communité - MIC web site www.voicemail.miami.edu

For Telephone access: When you receive a new voicemail message you can set your notification options to be notified by pager or by phone. Dial 4+4+1 from the main menu. 10. Can I leave someone a message without ringing their phone? A: Dial the Message Direct access number(s) 305-284-6243 (8-6243) or 305-243-6242 (6-6242), enter the recipient s 5-digit voicemail box number and leave a message after the tone. 11. How can I set my Operator Number also known as The Zero Option? A: The operator number can be created by using the Communité - MIC web page Go to the Options drop down menu at the top of the page, select Operator Number. You can use a 5-digit extension or an 11-digit off-campus number. Example: 8xxxx or 93055551212 (No spaces or dashes). Changing the (0 option) Operator Number is only available using the Communité - MIC web page. PLEASE NOTE: An operator number must be a local non-toll call. University of Miami has an extended local calling area from Key West to Sebastian. 12. Who do I call if I am having a problem with my voicemail or web access page? A: Contact the IT Support Center at 8-6565 or or email the support center at: 13. Is there a way to bypass the greeting when reaching someone s voicemail message? A: When you hear the persons greeting, press # to bypass the greeting or press # # to go right to the beep.

14. What if I forgot my mailbox password? A: Login to MyUM at (http://www.miami.edu/myum) and select Voicemail Information under the section called Personal & Biographical Info. Select your new pass code, and re-type the pass code to confirm. Click the submit button to complete your pass code change. If you need to reset the pass code for a departmental mailbox, please contact the IT Support Center at 8-6565. Your pass codes are secured data, we are not able to tell you what the password was, but we can change it. Once you have your new password we recommend you change it to a secure number that only you know. 15. Can I receive a fax directly to my extension? A: If you re expecting to receive a fax, allow the fax call to be answered by the voicemail system. The fax will be stored as a TIF file. If you inadvertently answer a fax call and you hear the fax tone, press the TRANSFER key on your phone dial your own extension and press TRANSFER again, allow the call to ring through. Your faxes will be delivered to your Communité - MIC inbox and can be viewed from your Communité - MIC web access page. PLEASE NOTE: Storing faxes on your web access page will use part of your allocated memory space (20MB). Once you receive a fax you can right-click on the attachment and save it to your PC. Once saved to your PC you can delete it from your Inbox and free up valuable memory space. 16. Can I use or create a temporary or out of office greeting? A: Select from one of the following options: Option 1: Activate your Out of Office greeting by changing your status to Out of the Office, record a temporary greeting (4+1+3) from the main menu. A temporary greeting will not delete your standard greeting; it just temporally replaces it until you change your status back to Available You can apply a time and date range for your temporary greeting to be played to callers.

Option 2: Activate one of the status options from the drop down menu. Choose from the following status options: 1. Available 2. Away from Desk 3. At Lunch 4. Do Not Disturb 5. Gone Home 6. In a Meeting 7. Out of the Office 8. Out of Town 9. On Vacation 10. Working at Home To change your status over the phone select option 3 from the main menu. Option 3: You can also create a custom greeting using the text-to-speech engine. 1. From the web access page: 2. Select the RULES tab 3. Select Create New Rule 4. Choose Custom Greeting (click continue at the bottom of the page) 5. Customize your settings 6. Type your greeting in the text to speech box 7. Click Save *The Text to Speech engine is only available using the Communité - MIC web access page 17. Can Communité - MIC Follow Me to a long distance number? A: Only within UM s extended calling area (Key West to Sebastian) or to a toll free number. 18. Can I call someone back or respond directly to a message? A: You can call someone back using the web or the telephone.

After clicking on and listening to you message, select Reply To or call sender, Forward or Return Call. To call the person back, after listening to the message press 5 + 1. This will call the person back at the extension or phone number they called you from. To Reply Using Voicemail: Press 5 + 2, this will leave a message directly in their mailbox without ringing their phone. 19. Can I turn off the time & date information before each message plays? A: You can switch between Verbose mode and Brief mode at anytime. Select the Options drop down menu and choose the Telephone Interface tab. Choose Brief or Verbose mode under the Playback Options category. Dial 4+3+1 from the main menu. 20. Do you have a list of shortcuts commands to help navigate through the menu prompts? A: Below is a list of the most commonly used commands. Main Menu * Listen to New Voicemail Auto Play at login or 1 + 1 + 1 Listen to Saved Voicemail 1 + 1 + 2 Set your Status 3 + Selection Record Standard Greeting: 4 + 1 + 1 Activate/Deactivate Standard Greeting 4 + 1+ 9 Record Out of Office Greeting 4 + 1 + 3 Activate/Deactivate Out of Office 4 + 1+ 7 Record Name Prompt 4 + 1 + 5 Send a Message 2 + 1+ ext Place a Call 2 + 2+ ext Manage Personal Groups 5 + 1 Verbose / Brief: 4 + 3 + 1

What commands are available after you listen to a message? When a person moves or transfers from one extension to another how can they claim their mailbox as my own?

A: Call the IT Support Center at 8-6565. We will clear the extension and mailbox in the Communité - MIC system which will allow you to claim your extension through www.myum.miami.edu 23. Can I prevent my voicemail box from accepting new messages? A: Select the Announcement Only option. This might be helpful if you are leaving for an extended time period, if you simply want the callers to reach you by pressing the 0 option for the day or you maybe you want callers to select the Follow-Me option to reach you immediately, instead of leaving you a message and waiting for a call back. Select the Options drop down menu, under the Greeting Options category select Disallow callers from leaving messages. Select the announcement only option, from the main menu dial 4+4+4.
