1 2016 CHAPTER OFFICERS & COMMITTEE ROLES REGIONAL CHAIR - OFFICER One year with the option to serve a second year in same position. Two-year consecutive term maximum. 3-4 hours/month The regional chair is responsible for the general oversight, management, and operations of a GMN Regional Chapter. This includes setting the strategic direction, identifying goals, managing volunteers, serving as liaison to GMN national, and building local partnerships that support the regional chapter s delivery of quality member programs. Establish direction and overall culture for the regional chapter. Serve as mentor and leader for chapter committee chairs. Establish and oversee project management goals to achieve required operating standards. Serves as primary liaison with GMN national office and staff. Participate in five meetings throughout the year in-person and via conference call including the Leadership Summit, Annual Conference Leadership Breakfast, and quarterly conference calls. Attend and/or host regional meetings throughout the year. Oversee succession plan to ensure volunteer structure is stable including transition steps for the regional chair position. Oversee volunteer recruitment activities to support the work of the chapter. Lead strategic planning and annual planning process for chapter programs and events. Build relationships with local regional organizations partners to enhance regional meetings and/or other member programs (with support from the program chair) Approve meeting expenses prior to submitting to GMN national for final preapproval. Participate in regional leader training and development programs offered by GMN national. Volunteer management Public speaking Leadership development Other regional chairs all GMN chapter leaders are connected via an online group to share advice, ideas, and help with problem solving. GMN staff GMN has dedicated staff to support GMN chapter needs and efforts. All volunteers receive training from GMN national and will have access to a written guide on common regional processes and practices.
2 REGIONAL VICE-CHAIR - OFFICER One-year with eligibility to serve as regional chair in the second year if position is open. 3-4 hours/month The regional vice-chair provides general support to the regional chair and other volunteers by assisting in the daily operation and management of key chapter activities and events. Assist regional chair in the daily management and operation of chapter activities. Serve as liaison to committee chair and volunteers by providing direction/ support in achieving goals. Work with regional chair to ensure successful transition of chapter leadership and committee volunteer roles. Participate in the planning process and approval of programming topics in conjunction with regional and program chair. Assist in the recruitment and management of volunteers/committee members. Work closely with the regional chair to learn role, receive guidance, and to develop leadership skills and competencies. Attend and participate in regional chapter meetings. Assist in building relationships with local partners to achieve programming goals and to develop quality meeting content. Review meeting expenses and/or provide approval in lieu of regional chair. Participate in regional leader training and development programs offered by GMN. Volunteer management Public speaking Leadership development Other regional chairs and vice chairs all GMN chapter leaders are connected via an online group to share advice, ideas, and help with problem solving. GMN staff GMN has dedicated staff to support GMN chapter needs and efforts. 3 REGIONAL PROGRAM CHAIR - OFFICER One-year with option to serve a second one-year term or move to a lateral committee chair role. 3-4 hours/month (increases to 5-6 hours/month prior to a regional meeting) The program chair manages a team to plan and execute GMN regional meetings and other special activities. Develop meeting agenda, set programming calendar, and plan member social events. Conduct surveys to generate program ideas and topics as well as to obtain attendee/member feedback. Keep abreast of industry news, trends, and topics that impact meeting topic selection. Coordinate and delegate meeting planning tasks and logistics (i.e., lunch, meeting space, and speakers) including preparing handouts, meeting minutes, agenda, attendance list, name badges, and other materials. Facilitates chapter meetings. Recruit volunteers and manage work of program steering committee members. Submit meeting expense budget to regional chair for approval and to GMN for final pre-approval and reimbursement. Work with regional chair to ensure successful transition and recruitment of incoming chair. Submit final agenda and meeting attendance list to GMN national. Work jointly with regional chair to build relationships with local regional partner organizations to enhance meetings. Event planning Project management Public speaking Regional vice chair provides direction and support to share advice, ideas, and help with problem solving. Other regional program chairs can be consulted to share best practices and tips. All new volunteers receive training and development from GMN national and have access to tools and resources to assist in their role.
4 REGIONAL MEMBERSHIP CHAIR - OFFICER Professional Skills One-year with option to serve a second one-year term or move to a lateral committee chair role. 2-3 hours/month The member chair develops and implements strategies to connect and engage members in GMN and regional chapter activities as well as encourage non-gmn members to become members. Welcome new members and engage them at regional meetings utilizing sample templates and marketing materials provided by GMN national. Encourage and follow-up with non-member prospects (at regional meetings) to become GMN members using personal reach out and activities. Connect with non-active GMN members to engage them to attend regional chapter activities and participate in the online chapter group. Partner with communications chair to coordinate and implement efforts to share the value of regional chapter programs and other GMN member benefits with existing members. Participate in the annual planning and implementation of chapter events. Recruit volunteers for Membership Steering Committee (as needed). Coordinate mentor/buddy system between new and seasoned members. Conduct outreach efforts to engage members in secondary assigned regional area (if appropriate). Participate in GMN national leadership training and development programs. Work with regional chair to ensure successful transition and recruitment of incoming chair. Marketing Problem solving Strategic thinking Regional vice chair provides direction and support to share advice, ideas, and help with problem solving. Other regional membership chairs can be consulted to share best practices and tips. All new volunteers receive training and development from GMN national and have access to tools and resources to assist in their role.
5 REGIONAL COMMUNICATIONS CHAIR - OFFICER One-year with option to serve a second one-year term or move to a lateral committee chair role. 2-3 hours/month (may increase to 3-4 hours during scheduled meeting events) The communications chair is responsible for promoting regional chapter events, increasing attendance at regional meetings, and enhancing participation of members in online group activities. Promote and market regional chapter meetings including adding/posting event on GMN Calendar and in the online group as well as distributing the final agenda and other logistics to members and/or other invitees. Works with program chair to coordinate technical needs for meeting program (i.e., conference calls, webinars, etc.) and assists in managing meeting RSVPs as needed. Utilize marketing materials, templates, and social media tools provided by GMN national in promoting interest in and visibility of regional chapter events. Partner with membership chair to coordinate and implement efforts to share the value of regional chapter programs and other GMN member benefits with existing members. Participate in the annual planning and implementation of chapter events. Assist as needed to distribute attendance list and final agenda to GMN national as required. Recruit volunteers for Communications Steering Committee (as needed). Participate in GMN national leadership training and development programs. Work with regional chair to ensure successful transition and recruitment of incoming chair. Communications Problem solving Writing Regional vice chair provides direction and support to share advice, ideas, and help with problem solving. Other regional communication chairs can be consulted to share best practices and tips. All new volunteers receive training and development from GMN national and have access to tools and resources to assist in their role.
6 STEERING COMMITTEE MEMBERS (Program, Membership, and Communications) One-year with option to serve a second term on current or other committee. 2-3 hours/month depending on committee selected Steering committee members support the work of the regional program, membership, and communications chairs. Actively participate in planning meetings or conference calls and conduct the work of designated committee to ensure chapter and GMN national goals are met. Assist in the recruitment of volunteers to serve on the committee as needed. Participate in GMN national leadership training and development programs. Varies by committee selected and may include: Event planning Marketing Communications Membership development Public speaking Strategic thinking Project management Committee chairs provide direction and support to share advice, ideas, and help with problem solving. All volunteers receive training and development from GMN national and have access to tools and resources to assist in their role.
