1 Dear Provider: June 10, 2011 The latest version of New York State Medicaid software for your Omni3750 will be required as of July 21, The new software is needed to comply with the HIPAA 5010 requirements. Computer Sciences Corporation is attempting to make this update as easy as possible. In order to facilitate an automatic download of the new software release, please leave your device turned on and plugged into an analog phone line when not in use. We will attempt an automated download of your POS terminal from July 20, :00p.m. to July 21, :00a.m. You will not be able to download the new software version to your Omni3750 terminal prior to the evening of July 20. Save this letter to help you with the changes being implemented in emedny on July 21, You will need to perform the following steps to update the Omni3750 terminal(s) with the new software version. Step 1 Anytime prior to July 20, 2011 Record your provider information on the attached VeriFone POS 5010 Check Off sheet (Located on pages 3 & 4) and have the sheet available on July 21 so this information can easily be re-established in the device. Step 2- Between July 20 6:00 p.m. and July 21 6:00 a.m. Leave your VeriFone POS terminal plugged into a power source and an analog phone line for this entire time period. CSC will download new software to the terminal sometime during this time period. The emedny host will also be updated to HIPAA 5010 sometime during this time frame. Please note that if your POS terminal is updated before the emedny host, the terminal will not function until the emedny host has been updated. You will receive a reject code 41. Similarly, if the emedny host is updated before your POS terminal is updated, the POS terminal will not function until it has also been updated. You will receive a reject code 41. No action is required until after July 21, :00a.m. Step 3 After July 21 6:00 a.m. Verify that your VeriFone POS terminal(s) has successfully loaded the new software. The device has been loaded with the most current application. No download is required. The device HAS NOT been loaded with the most current application. Follow the download directions on pages 4 & 5. 2 Step 4 If the VeriFone POS terminal DOES NOT have the new application In the event that the automatic download fails you will need to perform the download manually by following the attached instructions on How to Download a VeriFone Omni3750 Terminal (Located on pages 4 & 5). If you need assistance, please go to to view a presentation of this script or call the emedny Call Center at Step 5 After the VeriFone POS terminal has been updated with the new application After the VeriFone POS terminal has been successfully updated, you will need to re-establish your provider information in the terminal. See the attached instructions on How to Add/Delete Provider IDs and How to Add/Delete a Dial Prefix (Located on page 6). After the automatic update, your terminal will automatically be set to print. If you wish to turn your printer off, see attached instructions on How to Turn Off the Terminal Printer (Located on page 6). 4 How to Locate Programmed Provider IDs 2. Press the PROVIDER key (terminal should display ENTER PASSWORD). 3. Type in and press the GREEN key (terminal should display PROVIDER SETUP). 4. Type in 01 and press the GREEN key. The terminal will display Provider Number 01 with a provider number listed below. Press the GREEN key. 5. Type in 02 and press the GREEN key. The terminal will display Provider Number 02 with a provider number listed below. Press the GREEN key. Continue performing these steps increasing the provider number by one each time. The terminal can program 20 Provider ID s. How to Locate a Programmed Dial Prefix 2. Press the SETUP key (terminal should display TERM SETUP ENTER PASSWORD). 3. Type in and press the GREEN key (terminal should display DIAL PREFIX). On the left side of the screen you may or may not see a programmed dial prefix. If your terminal dials a 9 first you should see a 9 programmed. If your terminal does not require a dial prefix you should see nothing displayed. 4. Press the Red key. How to Download the V2140 Application (Steps 3 & 4) NOTE: Only use these instructions if the terminal DOES NOT have the new software release V2140. The Omni3750 MEVS Device displays the version number of the software loaded inside it on the idle screen that is displayed when it is waiting for a transaction to begin. The version number is printed on the bottom line of the display. If the Omni3750 you are using displays V2140, it has been loaded with the most current application and no action is required. If it displays V2120, please follow the directions below. EXAMPLES: The device has been loaded with the most current application. No download is required. The device HAS NOT been loaded with the most current application. Follow the download directions below. Page 4 of 6

The terminal is dialing the download computer. If the terminal displays CHECK LINE, check the telephone connection. If the cord is properly connected, the line may be busy. Press the RED key to abandon the call, or wait until the line is free. When the download begins, a line of dashes (-) will appear on the second line. As the download progresses, the dashes will change to asterisks (*). Even though the device displays DOWNLOADING NOW, once DOWNLOAD DONE appears the terminal has successfully completed the download. Press the GREEN key to restart the device and return to the day, date and time display. This response must be displayed before continuing. Entering any information before DOWNLOAD DONE is displayed will terminate this procedure. 6 Instructions needed to re-establish provider information after July 21, 2011 (Step 5) How to Add/Delete a Dial Prefix 2. Press the SETUP key (terminal should display TERM SETUP ENTER PASSWORD). 3. Type in and press the GREEN key (terminal should display DIAL PREFIX). Some providers may need to dial something special to get an outside line on their phone system, though a 9 is most common. If you require a number other than 9, please adjust the following accordingly: If a 9 is needed type in 9 * ALPHA and press the GREEN key. If no 9 is needed type in 0 (zero) ALPHA ALPHA and press the GREEN key. 4. Terminal should display ENTER NYM TELE NO. 5. Press the GREEN key (terminal will display BACKUP#). 6. Press the GREEN key (terminal will display DIAL TYPE with the word TONE underneath it. If the terminal displays PULSE, press F1 to set the Dial Type to Tone). 7. Press the RED key and try another transaction. How to Add/Delete Provider IDs 2. Press the PROVIDER key (terminal should display ENTER PASSWORD). 3. Type in and press the GREEN key (terminal should display PROVIDER SETUP). 4. Type in the 2 digit provider location (terminal can hold 1-20 providers). 5. Press the GREEN key after the provider location has been typed in. If Adding a Provider, go to 6a: If Deleting a Provider, go to 6b: 6a. Type in the new Provider number to be added to the device. Continue to 7. 6b. Press the BACKSPACE (yellow) key over the existing Provider ID. Continue to Press the GREEN key and then press the RED key you will now be back at the emedny main menu. How to Turn Off the Terminal Printer 2. Press the SETUP key (terminal should display TERM SETUP ENTER PASSWORD). 3. Type in and press the GREEN key (terminal should display DIAL PREFIX). 4. Press the GREEN key (terminal should display ENTER NYM TELE NO.). 5. Press the GREEN key (terminal should display ENTER BACKUP NO.). 6. Press the GREEN key (terminal should display DIAL TYPE). 7. Press the GREEN key (terminal should display PRINT ALL). 8. Press the F2 key to turn your printer off. (terminal should display KEY BEEP). 9. Press the RED key (terminal should display EMEDNY DAY, DATE and TIME). Page 6 of 6
