Please be patient as you work through the list of steps necessary to install all the prerequisites to Access. READ ME FIRST: This document provides FAQs, detailed instructions and screenshots intended to assist you in accessing Employee Self-Service and mybt Support from home, on your personal computer. You must feel confident in following prompts to install programs on your personal computer, as well as navigating menu paths in your Internet browser before you use this job aid. Information Technology Services (ITS) is able to provide support only after you successfully navigate to the Citrix logon page. Due to the myriad operating system settings, software installations, browser versions and other unique characteristics, as well as the inability to remotely access your personal computer, ITS cannot provide detailed support for setup and installation Access. 2 Frequently Asked Questions What Access is a new service designed to allow you to access select American Water tools (Employee Self-Service, mybt Support) that you may want to use from home. This service should be used on a non-american Water computer on a network outside of American Water's network (e.g., home Internet, wireless hotspot). Where do I Access? You can Access only from your personal computer at home. The links and functionality will not work properly on the American Water network. What applications can I access using this job aid Access? You will have links for the American Water intranet (mysource), Employee Self-Service (ESS), and Training Materials (mybt Support). Who can Access? You need to know your employee ID number to use this tool; it is located on your badge. You must also be an active employee or on leave; retirees do not have access. What are the technical prerequisites for Access? Please refer to the section listed in the table of contents associated with the type of browser you use. You also must have administrative rights to your personal computer. What parts of ESS will not be available from Access solution? Here is the general ESS functionality that will not work Access: Printing to employee home printer. Attaching documents to Adobe Forms (e.g., tuition reimbursement) Accessing corporate organizational chart (Nakisa). It looks like I can't print Access. How will I do things like print my benefits enrollment if I enroll using this method? If you have an American Water computer, log in to ESS at work and print to a network computer. If you do not have an American Water computer, use an Employee Information Workstation to log in to ESS and print to the local printer attached to the device. Whom do I contact with questions Access won't work for me? ITS will be able to provide limited support for technical issues you encounter with Access since you are performing the activity on your home computer, which ITS does not manage or own. If you experience logon, security or technical issues after you access the Citrix logon screen, please call the American Water Service Desk at between 7 a.m. and 8 p.m. Eastern Time. Because of these predetermined hours, you may need to wait until the next business day to get help. If you have process or activity-related questions on how to perform a certain activity in ESS, please reference job aids and simulations posted on mybt Support. To speed resolution, please have the following information available: Operating system. Browser type (e.g., Internet Explorer or Safari) and version. Detailed description of error message displayed. ITS will not be able to remotely view your screen since this is your personal computer. Do I have to perform all of the steps in the following sections every time I want to log on Access? No. The prerequisite steps are completed only once during the initial setup. By creating a favorite or bookmarking the website (see the last step in the set for each browser), you will be directed to Access logon screen. Your logon name will be prepopulated, requiring you to enter only your AWW network password. American Water 2

3 Prerequisite Computer Prep for Safari To access American Water at home, the following steps must be completed to prep your home computer. STEP 1: Open Safari. Type into the address field. Press Return. STEP 2: Click Here under myjobtools. Mac Citrix Receiver download is available for OS X 10.6 or higher only. STEP 3: Click Receiver for Mac. American Water 3

4 Prerequisite Computer Prep for Safari STEP 4: The Citrix Receiver installation file will download. When it s complete, navigate to the Downloads folder and click citrixmac.dmg. STEP 5: A pop-up box will appear. Double-click on the Install Citrix Receiver icon. STEP 6: Follow the steps, clicking Continue, to install the Citrix Receiver onto your Mac. Agree to the license. Allow the installation by entering your computer login password. Then click Install Software. American Water 4

5 Prerequisite Computer Prep for Safari STEP 7: Upon completion of the installation, a pop-up may appear. Click Cancel. Logging on to American Water Systems From Personal Computer via Safari Browser STEP 1: Open Safari and type: into the address field. Then press Return. STEP 2: From the American Water Secure Auth site, click the First time visitors, click here button. STEP 3: Type your Network ID into the User ID field. Then click the Submit button. 6 Logging on to American Water Systems From Personal Computer via Safari Browser STEP 4: Verify the radio button for private computer is selected. Then click the Submit button. NOTE: Due to the personal identity information available, it is NOT recommended to use a public computer to access services. STEP 5: Type your American Water ID into the Employee Number field. NOTE: American Water ID numbers are located below the bar code on the back of your ID badge.. STEP 6: Type your AWW Network Password into the Password field. Then click the Submit button. 7 Logging on to American Water Systems From Personal Computer via Safari Browser STEP 7a: The American Water Citrix Access dialog box appears. The Keychain Access Dialog box also appears. (See 7b step below.) Close your browser. STEP 7b: This certificate Keychain Access box is confirmation that a certificate is saved for accessing American Close this window. STEP 8: Once again, open Safari and type into the address field and press Return. Click the Returning visitors, click here button. American Water 7

STEP 10: A pop-up box will appear. Click Always Allow to use your export key to access the systems. STEP 11: Click OK. American Water 8

9 Logging on to American Water Systems From Personal Computer via Safari Browser STEP 12: Click on the icon to select the American Water intranet (mysource), Employee Self-Service, inotes, or the Training Materials. inotes STEP 13: Click on the shortcut to access the programs available Access. Follow the logon directions next to each shortcut. American Water Intranet (mysource) Please log on with your standard AWW Network windows logon and AWW Network password. Employee Self-Service You will be able to enter with no additional sign-on required. inotes inotes You will now be able to gain access to your company through inotes. Training Materials (mybt Support) - Type your AWW Network logon with a z as the first letter. Type the password password1 into the field below the logon. (If you have changed your z password, use the password that you created.) American Water 9

10 Creating a Favorite Access in Safari NOTE: To simplify the process for your next logon, bookmark as a favorite. 1 2 CREATING A BOOKMARK IN SAFARI 1. Click Bookmarks from the menu bar at the top of the screen. 2. Click Add Bookmark. 3. Click the Add button. 4. This page will appear in your personal bookmarks.
