In this checklist we have compiled the most important items that pertain to most students. It is designed to help you see what you have already taken care of and what you may still need to do before you begin your studies. As you will notice, the items are listed in no particular order. Everyone who takes part in the orientation week receives a folder containing more detailed information on each of the items listed below. The tutors at the Infocenter as well as the staff of the Information Room for International Students in the Akademisches Auslandsamt are there to answer any further questions you may have or to advise you with whom you should speak to have your questions answered. 1. Accomodation All students who have received a room in a dormitory affiliated with the Studentenwerk or who are searching for private quarters can find help at the InfoCafé International (ICI). 2. Medical Insurance and Liability Insurance (Haftpflichtversicherung) In order to enroll you must provide proof of medical insurance. A Haftpflichtversicherung is also highly recommended. Haftpflichtversicherung is an insurance that covers any unintentional damage you may cause. 3. Enrollment You are an official student at Heidelberg University once you have enrolled and paid the tuition fees as well the enrollment and administration fees. 4. Orientation Days for International Students The orientation days take place in the week from 7 th March until 9 th March. It is an excellent opportunity to learn more about studying at the university and about Heidelberg in general - and, of course, to meet other students. 5. Residence Reistration After your arrival, you must notify the authorities at the Einwohnermeldeamt (residence registration office) of your place of residence. The residence registration is independent of the enrollment process. 6. Residence Permit (Visa) All foreign students need a Residence Permit for their studies at Heidelberg University. This Residence Permit has to be shown upon enrolling in the students office of the Akademisches Auslandsamt and usually has to be renewed after three months. 7. Semesterticket With the Semesterticket, you have unlimited free access to the public transportation in Heidelberg as well as limited free access in the surrounding area for one semester. You can purchase a Semesterticket after your enrollment. 8. CampusCard The CampusCard is a multiple usage chip card with your Uni-ID printed upon it. It can be used as identity card for the University Library, as access to the computers at Heidelberg University and as a chip card for cash-free payment. 9. Bank account All students should open a bank account in Germany. 1
2 InfoCafé International ICI 1. Accomodation As you may have already heard, the market for rooms and apartments in Heidelberg is very tight. Of the approximately 36,000 students at the University and the College of Education in Heidelberg only 14% can live in dormitories affiliated with the Studentenwerk or in dormitories of other institutions. The majority of students must find living quarters in the private sector. For those students who have been denied a room in a dormitory or who prefer private accommodations, the InfoCafé International (ICI) provides an accommodation service. Where? The accommodation service is located at the InfoCenter in the Triplex cafeteria at University Square (Universitätsplatz) in the Old City of Heidelberg, and in the InfoCafé International (ICI) in the central cafeteria (Zentralmensa) Im Neuenheimer Feld 304. Office Hours: InfoCenter in the Triplex mensa: Monday Thursday: a.m. 5 p.m. Friday: a.m. 2 p.m. At the beginning of each semester, the InfoCenter is also open on Saturdays (11.00 a.m p.m.). Newspapers In the following newspapers you can search the classifieds for offers or you can place your own ad: Rhein-Neckar-Zeitung ( => on Wednesdays and Saturdays with a big real estate section Sperrmüll ( => on Tuesdays and Fridays with many shared-flat offers Badische Anzeigen Zeitung ( => Wednesday Wochenkurier ( => Monday Mannheimer Morgen ( => on Wednesdays and Fridays with a big real estate section Online Room and Board Services (by students for students, no registration necessary and ad-free) (lets furnished rooms for a short time) Bulletin Boards There are numerous bulletin boards located in the cafeterias, the university departments, in the Akademisches Auslandsamt, and in copy shops located around the university. These boards are filled with offers of all sorts, including room and board. Finding a place to stay for a few days Because the search for a room can take a few days, it is recommended that if you do not already have a room, you reserve a place in a youth hostel or a boarding house for your first few days in Heidelberg or in a Notquartier ( emergency shelter ) of the Studentenwerk. Rooms in the Old City are rarely offered and are usually much more expensive than rooms located in other parts of the city or in the surrounding areas. The urban districts of Bergheim, Handschuhsheim, Neuenheim, Rohrbach, Weststadt, Südstadt as well as the neighboring towns of Dossenheim, Leimen, Schlierbach, Wieblingen, Wiesloch, Ziegelhausen, etc. are connected to Heidelberg by public transportation. Mannheim is also a possibility. It is approximately 20 kilometers from Heidelberg and the rent rates are usually less expensive. Medical Insurance and Liability Insurance (Haftpflichtversicherung) No Medical Insurance? We strongly advise against not having medical insurance! Sample of costs for: Dental treatment: 1,280 Ambulatory operation: 752 Pregnancy and delivery: 5,675 In-patient treatment: 2,020 In contrast: Insurance contribution per month: approx. 66 Medical Insurance - Statutory Provider In Germany all students must be covered by a statutory medical insurance until they reach their 15 th semester or their 30 th birthday. At the time of enrollment, it is necessary to provide proof of sufficient medical insurance coverage. The cost of statutory medical insurance for students is the same by all providers (AOK, BEK, DAK, KKH, TK, etc.): currently (Summer Semester 2010) approx. 388 per semester/ 65 per month. The coverage begins on the day of enrollment. The time between the student s arrival and the beginning of the semester, is not covered. Therefore, we recommend that an extra insurance be acquired for this time. Medical Insurance - Private Provider There are a few fundamental differences between medical insurance from private providers and that from statutory providers. The private ones do not have agencies in all German cities. The monthly coverage fee by private providers is based on age, gender and the physical wellness of a person as well as the service plan chosen. The provider reserves the right to choose their patients. They are not required to accept everyone who applies for coverage. Persons who have a long or complicated medical history are less likely to be accepted by a private provider. Doctors bills and dentists bills usually have to be paid by the patient, who is then reimbursed upon sending the receipt to his insurance provider. Important criteria for choosing a private provider can include services for regular physicals and routine check-ups, dental prosthesis, seeing aids, pregnancy as well as administrative aspects such as period of notice for terminating services, method of payment, availability in case of illness and customer service benefits. 4
5 Enrollment and health insurance For the enrollment (registration) all students have to bring either a coverage confirmation of a German statutory health insurance ( Mitgliedsbescheinigung einer deutschen gesetzlichen Krankenkasse ) a document certifying exemption from statutory health insurance ( Bescheid zur Befreiung von der Krankenversicherungspflicht ). Students from the European Union and/ or of the ERASMUS/ SOKRATES program Students from member states of the European Union do not require medical insurance in Germany if they can proof that they are insured in another E.U. country. This can be done by requesting an EHIC (European Health Insurance Card) or the form E 128 (or as the case may be E106, E 109, E 111) or TA 11 from the insurance provider in your home country and presenting it to a German statutory insurance provider. The German provider will then issue an exemption letter ( Bescheid zur Befreiung von der Krankenversicherungspflicht ). This letter must be presented to the Akademisches Auslandsamt at the time of enrollment. The medical coverage from most other E.U. providers also covers the period of time between arrival and enrollment. Hence an extra insurance for this time is not necessary. See Enrollment, See Statuatory medical insurance providers in Heidelberg Students who do not wish to get a health insurance in Germany Students who do not wish to get health insurance in Germany can be exempted from statutory insurance within 3 months after beginning their studies. In order to do this, go to a German statutory health insurance and show your private health insurance documents. The above-mentioned document certifying exemption from statutory health insurance can then be issued. Usually this does not take very long. Please note that this exemption will be valid for the whole duration of your studies and cannot be revoked. See Medical insurance - Private Provider, See Medical coverage for travelers, See Enrollment Students covered by Family Insurance in Germany Students whose parents or spouse are insured with a German statutory health insurance are covered by this family insurance until the age of 25 and thus can be exempted from contributions. In this case, a coverage confirmation is required for enrollment. See Enrollment Students at the College for Foreign Students (Studienkolleg) or at the College for German Language and Culture (German Course Max Weber Haus) Statutory medical insurance providers are not obligated to provide students attending the College for Foreign Students or the College for German Language and Culture with coverage due to their status of preparatory studies. Once students begin their full-time studies, a request for statutory coverage can be made. For further information please contact Mrs. Monzel at Akademisches Auslandsamt (see below). 5
6 See Enrollment, See Medical Insurance - Private Provider Students older than 30 years After your 30 th birthday, or after your 14 th semester in Germany (whichever comes first), your obligation to take out insurance ends. If you have already been insured with a German statutory health insurance, you can maintain your membership there. If this is not the case or if you do not wish to do that, you can choose to purchase a private health insurance. See Medical Insurance - Private Provider, See Enrollment PhD Students Students enrolling as a PhD student at the university unfortunately do not qualify for the students tariff as stipulated by the state regulations because they have already obtained their first degree and are qualified to work. If you were formerly insured with a German statutory health insurance and wish to continue this insurance, it is still possible, but you will no longer be offered the student s tariff. If, however, you do not wish to do so, there is still the option of getting insurance from a private provider. See Medical Insurance - Private Provider, See Enrollment, See Medical coverage for travellers Medical coverage for travelers Medical coverage for travelers abroad is usually limited to specific services. Services such as dental treatment or precautionary screenings are not offered. Such medical coverage is unsuitable for longer stays. Liability Insurance (Haftpflichtversicherung) A Liability Insurance (Haftpflichtversicherung) is highly recommended. This insurance covers any unintentional damage you may cause (e.g. causing an accident as a bicyclist, etc.). If you have a similar form of insurance coverage already in your home country, it may be valid in Germany as well. For information on coverage in other countries please contact your provider. Enrollment (Immatrikulation/Einschreibung) is necessary in order to have the status of a student at Heidelberg University. When you enroll, you will receive a student identification card as well as a student booklet. Your enrollment is effective once you have paid the Studentenwerksbeitrag (a fee for the student union ) as well as the administration fees of 40. (The administration fees do not usually pertain to students studying on scholarships.) In addition, universities in Baden-Württemberg charge 500 for tuition fees (per semester), which have to be paid during the enrollment. Exchange students, Erasmus students and PhD students are exempted from these tuition fees. When? The deadline for your enrollment can be found on your letter of admission (Zulassungsbescheid), which you should receive in the mail. If no specific date for your enrollment is given, then you should check the general deadline for enrollment. Where? Your letter of admission will give the address to where you should report for enrollment. The enrollment generally takes place at the International Office Akademisches Auslandsamt at Seminarstraße 2, Heidelberg, Rooms How? You will need the following documents for enrollment: Letter of Admission 2 Passport Photos Proof of Medical Insurance Coverage by statutory provider or document certifying that you are exempt from a statutory medical insurance provider Passport (with residence permit if necessary) Further Documents listed in your letter of admission It is also necessary to complete an enrollment form which can be found in the Infozimmer for international students (Room 36) at the Akademisches Auslandsamt. The staff there can assist you. The Infozimmer is open: Monday Thursday: 10 a.m. 12 p.m. and 1 p.m. to 4 p.m. Friday: 10 a.m p.m. After you have completed all the preparations for enrollment, you can be enrolled in rooms (see your letter of admission). 9 Akademisches Auslandsamt 4. Orientation Days What? The International Office - Akademisches Auslandsamt organizes Orientation Days for all new international students. The events taking place during this week give freshmen the chance to become acquainted with the structure of studies, with Heidelberg University (the various academic faculties and departments, facilities such as the library and computer center, and many aspects of student life), with the city of Heidelberg, and of course with other international and German students. We strongly recommend that all new international students participate in this event! When? The Akademisches Auslandsamt organizes the Orientation Days twice a year - in the week before classes begin each semester. Further information as well as the program is available online shortly before the beginning of the semester at: Who? All new international students at Heidelberg University. You will find a registration form in your letter of admission as well as in the Infozimmer for international students (Room 36) at the Akademisches Auslandsamt. Where? An overview of the different venues (rooms & buildings of Heidelberg University) can be found in the program. If you have any further questions concerning the Orientation Days, please do not hesitate to contact the service team of the Akademisches Auslandsamt. After your arrival in Germany, you must notify the authorities at the Einwohnermeldeamt of your place of residence in Germany. This policy also applies to international students who are studying in Germany for only a limited time as well as to those who are living in a dormitory. Every change of address must be reported to these authorities, including a change of address within Heidelberg. When? You must notify the Einwohnermeldeamt within 8 days of your moving into the new residence in Heidelberg (or the city where you live). The residence registration is independent of the enrollment process. You can register without being enrolled. Important! All students who have a visa for studying purposes must already have reported to the Bürgeramt/ Einwohnermeldeamt, before they will be able to have their 3-month visa extended. Should you not have a permanent address at that point of time, simply provide the address of your temporary place of stay (youth hostel, etc). Where? The city of Heidelberg has many Bürgerämter/ Einwohnermeldeämter. The addresses are on the back of this page. If you have residence within the Heidelberg city limits, you can register at any of these addresses. Alternatively, you can register during the office hours of the Ausländerbehörde (immigration office) in the Akademisches Auslandsamt in room 32 on Thursdays, 1-3 p.m. If you live outside of Heidelberg, you will have to register with the local authorities in your city. Caution: Leimen is an independent city and is not a part of Heidelberg! At the beginning of each term, you can find representatives of the Bürgeramt Heidelberg in the Triplex-Mensa at University Square. How? In order to register your residence in Germany/ Heidelberg, you have to fill in a form and hand it in at the Bürgeramt. If you have lived abroad or in a German town other than Heidelberg, please fill in the form ANMELDUNG bei Ortswechsel. If you are moving within Heidelberg, you will need the form ANMELDUNG bei Umzug innerhalb Heidelbergs. 12 Akademisches Auslandsamt 6. Residence Permit What? In order to study at Heidelberg University, all international students must obtain a residence permit. This permit must be presented at the time of enrollment. Who? When? a) Citizens of E.U. states, the EFTA member countries (Iceland, Liechtenstein, Norway, Switzerland), Andorra, Australia, Brazil, Israel, Honduras, Japan, Canada, Monaco, New Zealand, San Marino, South Korea and the United States do not require a visa prior to their arrival in Germany. If the student is planning on staying longer than three months, then he or she will have to apply for a residence permit at the local Foreigners Residence Office (Ausländerbehörde). Please note that enrollment is possible before renewing the visa for a longer stay. b) Students coming from all other countries must attain a visa (visa for study purposes) before departing for Germany. The request for a visa can be made at the representative German Embassy/ Consulate in the student s home country. (Visas for travel purposes, business purposes, for work as an au pair, etc. are not valid!) Important! After enrolling, you must report your address to the Bürgeramt/ Einwohermeldeamt in your city of residence. Only after doing this is it possible to receive a time extension of your visa. Where? Various questions pertaining to entry and residency in Germany are handled by the Foreigners Residence Office (Ausländerbehörde) at the city hall. In Heidelberg there are two offices. Your current address at the time of your residence registration will determine to which office you are to go. If you do not have a permanent address yet, please report to the office that is responsible for the address at which you are temporarily staying. The addresses and office hours of the Foreigners Residence Offices in and around Heidelberg are listed on the back of this page. At the beginning of each term, you can find representatives of the Ausländerbehörde Heidelberg in the Triplex-Mensa at University Square. If any difficulties arise, please contact the students counselor at the Department for International Affairs - Akademisches Auslandsamt, Mrs. Monzel, Seminarstr. 2, Room 29, Office hours: Tuesday- Friday 10 a.m.-12 p.m., Monday AND Thursday p.m. How? You must bring the following items at the time of requesting a residence permit: Application form for a residence permit (to be obtained at the Foreigners Residence Office) Letter of Admission/ Enrollment from Heidelberg University or your student identification card (please bring the original and a copy) Proof of medical insurance (please bring the original and a copy) 1 biometric photo Passport or personal identification card (please bring the original and a copy) Proof of the applicant s ability to fund their living expenses and studies while staying in Germany (e.g. notarized copies of bank statements for the last three months prior to applying, notarized letter stating financial support from parents/legal guardians, etc.) In certain cases, it may be necessary to bring other documents not listed here. Area of application The Semesterticket is a personal, non-transferable season-ticket. It enables the student to use public transportation in the entire Rhein-Neckar region transport system (VRN) see map below (also DB trains, but regional trains only; no IC, EC or ICE). Valid time One semester respectively Price 127 for one semester (Summer Semester 2010) Where can I get the Semesterticket? At the Studentenwerk s InfoCenter (Triplex-Mensa at University Square and at the Zentralmensa Neuenheimer Feld) and at all VRN sale booths in Heidelberg (e.g. at the Central Station) Important: The Semesterticket is valid only in combination with your student ID!!! It is useable as identity card for the University Library, as access to the computers at Heidelberg University and as a chip card for cash-free payment. Who gets this card? 16 9. Bank account What? In Germany monthly payments such as rent, bills and health insurance fees are usually paid cashless, via bank transfer. Hence we recommend you open a bank account at a German bank (Bank or Sparkasse). Most banks offer special students accounts. Since the conditions vary from bank to bank, please compare several offers and choose the one which suits your demands best. How? In order to open a bank account, you will need the following documents: - valid passport - valid residence title - certificate of residency - study certificate (students ID). Why?
