Controlled temperatures. Eight lanes with non-turbulent lane lines. Colorado timing system. Large Scoreboard. Large spectator area, swimmers rest area. Adjacent lap pool available for continuous warm-up and cool down. The pool depth at the starting blocks is The pool depth at the turn end is 7 4". The course has been certified in accordance with USA Swimming rule C. A copy of this certification is on file with USA Swimming. This meet is open to all registered USA Swimming athletes. Age as of the first day of the meet, June 26th, 2015 will determine eligibility for an age group. Registration in USA- Swimming/Oklahoma Swimming will be allowed at this meet. Registration forms will be available at the Clerk of Course Desk. (USA-S Rule B) Checks for USA Swimming registrations must be made out to Oklahoma Swimming and submitted with the appropriate registration form. The Meet Director will initiate a registration recon report to the OKS Registration Chair within 5-6 days prior to the event. The report will list all registration errors for athletes entered in the meet. The Meet Director will notify the attending clubs or unattached athletes of these errors. The notification of error must be corrected or reconciled before the start of the first session in which the athlete(s) are listed to swim or the athlete(s) will not be allowed to swim. The Meet Referee and the Meet Director will work with the cooperation of the Registration Chair to enforce and follow up on the swimmers noted in the registration report. American Energy Swim Club welcomes athletes with disabilities. Please alert the Meet Director to any accommodations that may be required at the entry deadline.

2 MEET FORMAT: The meet will consist of 4 sessions. 1 session scheduled for Friday afternoon, 2 sessions on Saturday and 1 session on Sunday. All events listed for each session are SENIOR EVENTS, open to all swimmers. Age on the first day of the meet, June 26, 2015 will determine the eligibility requirement. ALL events are timed finals events. All individual events will be seeded together by gender but separated for scoring by the specified age groups: 8-U, 9, 10, 11, 12, 13-14, 15-16,17 & over. There will be no relays. Team scoring will be provided. The team with the highest total points excluding the host club will be awarded the Visiting Team Trophy at the conclusion of the meet. The 400 Free, the 400 IM, 800 Free and 1500 Free will be swum fastest to slowest, alternating women and men. On Sunday the 800/1500 Free will be swum as follows: the fastest heat of women's 800 Free followed by the fastest heat of men's 800 Free. Then the fastest heat of the women's 1500 Free followed by the fastest heat of the men's 1500 Free and so forth. A POSITIVE CHECK IN IS REQUIRED for the 400 Free, 400 IM, 800 Free and 1500 Free FAILURE TO SHOW AFTER COMPLETING A POSITIVE CHECK IN WILL RESULT IN THE LOSS OF THE NEXT INDIVIDUAL EVENT. Positive Check In will close 30 minutes prior to the start of each session that the event is scheduled to be swum. After the closing of the Positive Check In period each event will be deck seeded. All of the sprint events 50 meters by stroke will be started from the deep end of the pool and swum toward the turn (scoreboard) end of the pool. The Oklahoma Scratch Rule is in effect for this meet. Athletes must provide their own timers, and if necessary counter, for time trials. Time trials will close 1 hour prior to the end of each session and the closing time will be posted with the Clerk of Course. WARM-UP PROCEDURES: Oklahoma Swimming warm-up procedures will be enforced. Only swimmers entered individual events in each session may participate in that session s warm up period. Warm-up \lane assignment will be posted on the host team s website

3 [ by no later than 12 noon CST Thursday, June 25th, American Energy Swim Club will also distribute the warm-up assignments to each club s entry contact [provided at the time of entry submission]. All swimmers must be under the direct supervision of a USA Swimming registered coach. Any swimmer entered in the meet, unaccompanied by a USA Swimming member coach, must be certified by a USA Swimming member coach as being proficient in performing a racing start or must start each race from within the water. It is the responsibility of the swimmer or swimmer s legal guardian to ensure compliance with this requirement. Any swimmer in attendance without a coach present: USA Swimming athlete members must be under the direct supervision of a USA Swimming member coach during warm up, competition and warm down. The Meet Director or The Meet Referee shall assist the athlete in making arrangements for such supervision. POSITIVE CHECK IN: DECK ENTRIES: DECK ENTRY CLOSING SCHEDULE: ENTRY LIMITS: ENTRY FEES: Positive check in for Friday s 400 Free closes at 4:00 PM. CDT Positive check in for Saturday s 400 IM closes at 8:30 AM. CDT Positive check in for the Sunday 800 Free and 1500 Free will close at 8:30 AM. CDT Deck entries will be accepted and swimmers will be inserted in the first available lane, in order of deck entries received. No additional heats will be added. Deck entries for the positive check in events will be accepted until the deck entry deadline. Friday PM Session: Deck entries close at 3:45 PM CDT Saturday AM session: Deck entries close at 8:20 AM CDT Saturday PM session: Deck entries close at 4:50 PM CDT Sunday AM session: Deck entries close at 8:20 AM CDT Individual Events: Five (5) total individual events per day including time trials and deck entries. The maximum number of individual events for the meet will be limited to 14. Time trials count against the maximum number of daily & meet individual events. Entries will be limited to the first 600 athletes. $5.00 for individual events ($2.00 to OKS Aquatic Fund). $18.00 surcharge per swimmer. $10.00 Deck entry fee ($2.00 to OKS Aquatic Fund ) $10.00 Time Trial entry fee ($2.00 to OKS Aquatic Fund) All athletes must be entered in the meet (surcharge fee is required) to swim any individual events including Deck Entries or Time Trial events. Appropriate event fees are required. Entry fees MUST be received prior to the start of the meet. Make checks payable to: AMERICAN ENERGY SWIM CLUB or AESC. ENTRY FORMS: All entries should be submitted via electronic format. Files compatible with Hy-Tek Meet Manager [e.g. CL2, sd3,hyv format] is the preferred procedure. An entry file will be sent to all teams prior to the entry deadline. Each team shall send to the MEET DIRECTOR a HYTEK entry file with complete team entries by the entry deadline. All entry files must include the entry chair s name, phone number, and e- mail contact information. The entry file should include the contact information for

4 whom to send meet information updates and warm-up assignments. Entries delivered to anyone other than the Meet Director will not be accepted. Any handwritten or printed entries must indicate the swimmer s name, sex, age, USAS#, event #, and time for each event. Only Long Course Meter entry times will be accepted. Entries with no time will be accepted. Each entry file will be followed up with an entry report with any exceptions from the American Energy Swim Club Meet Director no later than June 19, This report is for your review and confirmation of the entries received for the meet. If within 48 hours there has been no response, the entry report as furnished by AESC will be automatically incorporated into the meet format as correct. The Meet Director shall insure that a coach certification ending verification report has been instituted by no later than 12:00 pm CST Monday June 22nd, The Meet Director will notify each club no later than 2 days prior to the start of the competition of any certification errors. Coach access to the competition deck area will not be permitted until all certification requirements required by USA-S are current. See USA Swimming Rule Coaches who are verified as not certified will not be allowed on deck for the meet. The Meet Director has the responsibility for verifying certification of all coaches in attendance at the meet; the Meet Referee is to provide back up support to the Meet Director to ensure that the certification of all coaches is verified. The Meet Referee is the final authority for disputes arising from enforcement of this policy at any OKS sanctioned meet. The Meet Referee s decision to deny deck access to a coach who does not either present proper credentials or properly complete the Coach Credential Attestation Form is final and may not be protested. The use of this form is to allow an OKS coach to attest that he/she has current credential and is a USA registered coach member. Copies of the Attestation Form will be available at the Clerk of Course desk at this meet. Upon receipt of the properly completed form (with photo identification) the Meet Director may admit the coach as if he/she has presented their credentials. Further follow up in submitting this form is outlined in the complete attestation document. Each Club, by submitting entries is certifying that all swimmers entered in the entry documents are members of USA-Swimming or have applied for membership by sending the appropriate application to the club s registration Chair or the LSC Registration Chair before the entry deadline. Failure to follow the above information will result in the entire team being scratched from the meet. If a team's total entries cause the meet total to exceed 600 entries, that team's entries will be rejected. Any team that causes the meet total entries to exceed the athlete limit will not be split, all entries from that team will be accepted. Entries will be considered according to the order of the electronic postmark. Teams whose entries are not accepted because the limit is exceeded will be notified by , and the fees will be returned. 5 Oklahoma City, OK ENTRY DEADLINE: Entries must be received no later than 6:00 pm Wednesday June 17th, No late entries will be accepted. American Energy Swim Club will not be responsible for the acceptance into the meet of any entries delivered to someone other than the Meet Director. SEEDING/ SCRATCHES: AWARDS: SCORING: RESULTS: CONCESSIONS: HOSPITALITY: HANDICAPPED SEATING: This will be a pre seeded meet for all events except the positive check-in events which are: the 400 Free, 400 IM, 800 Free and 1500 Free. All "positive check in to swim events will be deck seeded after the close of the check in period. Failure to show for a positive check-in to swim event will result in the forfeiture of the next individual event. It will be the swimmer's responsibility to report to their assigned heat and lane. Swimmers (or their coach) are the onl;y ones who may scratch a swimmer from an event. All requests for scratches must be completed as proscribed on the scratch form. Please note that a medical scratch approved by the Meet Referee, counts as an event and is regarded as a DQ with no penalty imposed. The meet program is not the final determinant of seeding. Late entries, corrections, deck entries or scratches may impact the actual heat and lane assignment. Seeding will be posted as soon as possible after the scratch and or positive check in period closes. Ribbons will be given in the following age groups: 8-Under, 9, 10, 11, and 12. All teams must make arrangements to collect their awards prior to leaving the building on Sunday morning. AESC is not responsible for the delivery of any ribbons left at the meet. The team with the highest total points excluding the host club will be awarded the Visiting Team Trophy at the conclusion of the meet. For the purposes of team scoring, individual events will be scored as follows: 1st-9 pts, 2nd-7 pts, 3rd-6 pts, 4th-5 pts, 5th-4 pts, 6th-3 pts, 7th-2 pts, 8th-1 pt. Points will be awarded in the following age groups: 8-U, 9, 10, 11, 12, 13-14, 15-16, 17 & over. Results of each session shall be posted on the American Energy Club website [ In accordance with OKS guidelines, complete final results will be posted on the OKS website ( Complete Team Manager Results and PDF files can be downloaded at the American Energy Swim Club website ( Complete Meet event results will be sent electronically to each team s representative within 24 hours after the conclusion of the meet via . ATM Result to SWIMS file will be sent electronically to the OKS SWIMS Chair within 24 hours. Complete Meet events results will be sent electronically to each team s entry contact [as outline in entry file for that club] and unattached athlete s parent or guardian. Results files will include a results file for Team Manager, a complete results file [including relays and time trials] in publication format and pdf format. A concessions area will be available to swimmers and spectators. There will be a hospitality area available for officials and coaches working the meet. There is limited handicapped seating available on the pool deck. Handicapped seating is limited to the handicapped person and one additional companion.

6 HEAT SHEETS: MERCHANDISE: SAFETY: A list of all entrants with their times by event, heat and lane assignment for each day will be on sale for $6.00 each. No new publication of deck seeded events will be provided for sale. A copy of the deck seeded heats will be posted for spectators. A swim shop of swim merchandise will be on site for this event. Activities in the competition area which may result in injury are prohibited. Marshals will be appointed to monitor the activities of swimmers and spectators during warmups and the meet. They are empowered by the safety rules of Oklahoma Swimming to enforce the safety procedures governing this meet. Repeated violations or activities that are considered to be sufficiently dangerous may result in ejection from the meet. ONLY ATHLETES, COACHES, AND VOLUNTEERS WORKING THE MEET WILL BE ALLOWED ON THE POOL DECK. Rules Regarding use of cell phones or cameras at OKS Sanctioned Meets: The use of equipment capable of taking pictures (e.g. cameras, cellular phones, PDA's etc) will be banned behind the starting blocks during all meets sanctioned by OKS. Use of these devices will not be permitted behind the blocks during warm up or competition. In accordance with USA-S rules E, the use of audio or visual recording devices, including a cell phone, is not permitted in changing areas, rest rooms or locker rooms. DECK CHANGING: Except where the venue facilities require otherwise, changing into or out of swimsuits other than in locker rooms or other designated areas is not appropriate and is prohibited. DECK ACCESS: Access to the pool / deck area will be limited to athletes, coaches, officials, timers, and OKS representatives working the meet. Coaches and officials must wear their current USA Swimming registration cards in order to receive deck privileges. Parents and other non-swimmers not involved in the running of this meet are requested to remain in designated spectator areas. Non Athlete Registration cards do NOT grant parents access to the pool deck at any time. See USA-S Rule for further conditions regarding access to the pool deck. The Meet Director and Meet Referee reserve the right to limit deck access in the event of overcrowding, inappropriate behavior or for any reason concerning the safety or the efficient operation of the meet. USA- S Rules of Conduct will be strictly enforced. GENERAL RULES: Repeated violations or activities that are considered to be sufficiently dangerous may result in the swimmer s ejection from the meet by the Meet Referee. USA-S rule E states that no recording devices, including cell phones, can be used in the locker rooms, changing areas, or rest rooms. OKS prohibits the use of all devices capable of taking photographs (e.g. cameras, cell phones, PDA s etc.) from behind the starting blocks during all meets sanctioned by Oklahoma Swimming. Use of these devices will not be permitted during warm-up or competition. Marshals will monitor the locker rooms. It is possible that swimmers will be photographed at the meet. Any individual requiring deck access for photographic purposes must notify the Meet Director before gaining access to the deck. Children not participating in the meet must be supervised at all times by an adult and are not allowed on the pool deck for any reason.

7 CODE OF: CONDUCT LIABILITY: Any individual who exhibits behavior of a threatening, abusive or derogatory manner toward an official or member of the meet operations committee is subject to immediate removal and further expulsion from the meet. Coaches will be notified of the actions of their respective team s parents. Anyone found to be misrepresenting themselves as a certified coach will be removed from the deck. The Code of Conduct for USA Swimming as outlined in Article and will be enforced at the meet. In granting this sanction, it is understood and agreed that USA Swimming Inc., Oklahoma Swimming Inc., all officials, the American Energy Swim Club and Mitch Park YMCA/Edmond Public Schools Aquatic Center shall be free from any and all liabilities or claims for damages arising by reason of injuries to anyone during the conduct of the meet. Damage to the facility, when proven, will cause the offending swimmer or swimmers, if unattached, or the offending swimmer s club, if attached, to be accountable for repairs.
