3 Starwood Careers System User Guide Type of Users: Introduction Property Talent Development Leader (TDC/HR) Direct Manager Mentor Candidate Introduction Talent management and people development are one of the core focuses of Starwood. As such, Starwood is committed to developing programs that allow associates to tap into their potential to achieve greater success in their professional career with Starwood. The STARWOOD CAREERs Program is a series of fast track developmental program for both internal and external talents at different phases of their professional career with Starwood. Talents going through any of our STARWOOD CAREERs Program Tracks will go through world-class training, development and career progress. Under the umbrella of Starwood Careers Program is the Starwood Careers Platform, which is a user-friendly system that will help talents facilitate their training and development. Objectives of Starwood Career System: Allows candidate to take ownership of their Training progress Assigns a Direct Manager to every Candidate to guide Candidate s training development Creates a feedback/interaction channel for Candidate, Mentor, Direct Manager and Property TDC/HR to interact Generate reports for training development analysis in the property and for the Candidate You can access the system by using your Starwood Career account assigned to you. 4 Introduction to Toolbar General Guide (Non-role Specific): When using the Starwood Career Platform, the toolbar will be located at the top of the screen at all times. You can use the links on the toolbar to help you navigate the site with ease. 1 \ Main Menu: Click Main Menu to return back to the main menu page at any point of time. 2. User: This displays the name of the person logging into the platform. 3. Current Role: You may have more than 1 role (i.e. Mentor and Candidate) as such Current Role tells you which role you are currently accessing. 4. Help: Click Help for the online guide or FAQs. 5. Announcement: Upon logging in, the Announcement board will be displayed on the right of the Starwood Careers System Main Menu page. This Announcement board will provide updates to users on the latest system changes, additions and amendments. 6. Logout: If you wish to log out of the Starwood Careers platform, click Logout to sign out of your account. 7. Announcement board: Announcement of Updates to the system. 6 Role: TDC/HR Logging into Starwood Careers Platform STEP 1: Logging in as a Property Talent Development Leader (TDC/HR) Enter Username (StarwoodONE ID) and Password into the blanks provided and click Login button. NOTE: USERNAME will be your Starwood ONE ID 1) Enter Username (StarwoodONE ID) and Password. 2) Click Login to enter Starwood Careers Platform. If you forgot your password, click the Forget Password link to have your password sent to your account. 7 Role: TDC/HR Upon Logging in, you will be prompted with the question What is your role today? Click on the role in which you are logging into Starwood Careers as. NOTE: This screen shot displays the Property Talent Development Leader (TDC/HR) role, if you are logging in as a Direct Manager, Mentor or Candidate, the system will display your role accordingly Click on Property Talent Development Leader (TDC/HR) to access your role The system will then prompt you by asking What would you like to do now? Click on your desired task to carry out that function. NOTE: Once again, this screen shot only displays the actions available for the Property Talent Development Leader (TDC/HR) role, when logging in as a Direct Manager, Mentor or Candidate, the system will display your role s functions accordingly Click on the desired task to carry out that function User can click the Main Menu link anytime to return to the Starwood Careers homepage. 8 Role: TDC/HR Property Talent Development Leader (TDC/HR) Creating a New Class and Managing Candidates A Property Talent Development Leader (TDC/HR) will be required to create new classes for the Mid-Management Track Training. Property TDC/HR will also be able to assess candidates throughout their training program. STEP 2: Creating a New Class 1. Select the Property Talent Development Leader (TDC/HR) role from the Starwood Careers Platform page. 2. To create a new class, click the Create Class link that will appear in the list. 3. The system will then direct to the Class set-up page. Fill in and select the relevant details such as the class name, track and start date. Click Create Class to set up class (See Screen Shot). NOTE: There are 3 possible track durations at the moment, namely, Mid Management Track 12 months, Mid Management Track 9 months and Entry Level 12 months to select from the Track list 4. A typical STARWOOD CAREERS Track should be appended and communicated as (STARWOOD CAREERS) (Name of track by target position, function, and Date if required) i.e. Starwood Careers Assistant Manager Track (F&B ) NOTE: For the actual name of track, we will leave out the cluster names such as Executive Track, Mid Mgt track or Entry Level so as to make it clearer for the candidates and direct managers. 9 Role: TDC/HR 5. After creating a track, please proceed to add candidates into the class by clicking on the Manage Candidate link. Click on the Manage Candidate link In the new screen, under newly create class, click on Add Candidate button Click on the Add Candidate button to create a new candidate for the class. 10 Role: TDC/HR 6. Upon clicking the Add Candidate button, please fill in the candidate s details. Click Create Candidate to add candidate into the class (See Screen Shot). Candidate s StarwoodONE ID will be used as Username during Candidate s login. NOTE: If an account has been created before, TDC/HR can simply type in the address and the rest of the details will be automatically generated. This applies to all types of users. 11 Role: TDC/HR 7. Once the candidate is created, TDC/HR can either: - Proceed to Add another Candidate into the same class, or - Get back to Manage Candidate screen NOTE: 1. Candidates can view their job profile only when the Class starts. Prior planning of final candidates and actual start date is required. 2. TDC is only able to add in Candidates within 5 days from start of track date. Beyond the 5 days, no addition will be allowed after. 3. To add in Candidates after, TDC will need to adjust start date. 12 Role: TDC/HR Creating a Finance Class Creating a Finance class will differ slightly from creating a class for any other department. While other departments only have 1 position for each level, Finance department has 2 positions for all levels: Finance Credit Management and Finance Cost Control. And hence, when creating a Finance Class, User needs to specify which track that the Candidates will follow through at the current level: Credit Management or Cost Control. Repeat the steps for creating a class, select either Finance Credit Management Track or Finance Cost Control Track. 1) Key in Class name and other relevant details. 2) Select a track for the class. 2. Once a class is created, Click on Manage Candidate to add a candidate into the class. 3. When keying in candidate details, ensure that the Track, Current Position, Targeted Position are appropriately selected. Because there are 2 tracks under Finance department, one track will be the Complementary Functional Skills (Same Department) of the other one, as illustrated below. 14 Role: TDC/HR STEP 3: Modify Class Start Date 1. TDC/HR User can modify Class Start Date by clicking the Modify Class Dates link located in the Main Menu. Click on Modify Class Start Date link 2. Click on the calendar to select the new start date and click Update Class to save the changes made. 1) Select desired class start date 2) Click Update Class to save changes made 4. Once the class date has been modified, TDC/HR can either Create Another Class or Manage Candidate 1) Click to Create another class 2) Click to Manage Candidate NOTE: 1. Once class in updated, the Assessment period will change as well. 2. Candidates will only be able to see their job profile when the class starts. 16 Role: TDC/HR STEP 4: Modify Class Name 1. TDC/HR User can modify class name by clicking the Modify Class Name link located in the Main Menu. 2. 18 Role: TDC/HR STEP 5: Transfer of Candidate During the course of training, if a candidate in transferred to another property, the current Property TDC/HR may use Transfer Candidate function to transfer this particular candidate and his/her records to the next property. 1. Click on Manage Candidate located in the Main Menu 1) Click on Property TDC/HR to access your role 2) Click on Manage Candidate 2. In the same line of the candidate needed to be transferred, click on Transfer Candidate Click on Transfer Candidate Copyright 2011 Starwood Asia Pacific Hotels and Resorts 18 of 116

19 Role: TDC/HR 3. Select the right property that the candidate will be transferred to. After that, click on Proceed button. 1) Click on the dropdown box and select the receiving property 2) Click on Proceed button to confirm the transfer If this Candidate has no other role in the system, the transfer process has completed for origin property. Please proceed to item 6 to see the process of destination property. If this Candidate is a Direct Manager to other candidates, please proceed to item 4 and If Candidate is a Direct Manager to other candidates, system will prompt for appropriate action. 1) Click on the drop-down list to select another DM for the candidate. 2) Choose Leave It, which means no change in the DM for the candidate. 3) After appropriate action has been decided, click Proceed to continue with the transfer. 20 Role: TDC/HR 5. The system will then direct back to Manage Candidate screen. We can observe the changes here. Note: DM for this candidate remains unchanged according to decision made. Note: DM for this candidate has been changed accordingly. Only 1 Candidate (Amanda Wang) is left in this Class now. Richard Zhang has been transferred to another Property (Le Meridien Chongqing Nan an). 6. If your hotel is the one receiving the Candidate, there will be a notification for you regarding this transfer of Candidate. Please Edit Candidate s Profile to complete the transfer. 1) TDC (Nigel Zhao) will see a message after he selects the role Property Talent Development Leader. 2) The message tells him that Candidate (Richard Zhang) has been transferred to him. 3) Please Edit Candidate s Profile to complete the transfer by clicking on this link. 21 Role: TDC/HR 7. Please create/choose a TDC/HR, a Direct Manager, and a Mentor (if applicable) for this Candidate by filling in the details. This step is similar to Create Candidate. After which, click Update Candidate button to confirm the details. 1) Candidate s details are displayed but cannot be edited here. Candidate s address can be updated in Edit User Profile screen later. 2) Details of TDC, DM and Mentor need to be entered where applicable. 3) After entering the relevant details, click on Update Candidate to proceed. 8. The system will then direct back to Manage Candidate screen. We can observe the changes here. Candidate (Richard Zhao) has been transferred with his original Class from the previous Property. 22 Role: TDC/HR 9. If Candidate s address is changed after transferring to new property, the receiving hotel s TDC/HR need to update his/her new address in the system. Under Property TDC/HR Main Menu, select Edit User Profile. 1) Click on Property Talent Development Leader (TDC/HR). 2) Click on Edit User Profile. Click Select to update the address of transferred candidate. Click Select to update the address of transferred candidate. Fill in the updated details for this Candidate, and click Update button to confirm the change. 1) Enter the new address of candidate. 2) Click on Update to proceed. 23 Role: TDC/HR STEP 6: Transfer of other Users who are NOT candidates of any tracks (Function under revamp from 1 st November till later notice) NOTE: If User is a candidate, he/she can be transferred using Transfer Candidate function (STEP 5, page 19-23). During the course of training, if a user is transferred to another property, the Property TDC/HR may use Edit User Profile to transfer the user and his/her records to the relevant property. 1. To do so, simply click on the Edit User Profile located in the Main Menu. Click to access the transfer User function. 2. Select the Candidate you would like to transfer. 24 Role: TDC/HR 3. Select the appropriate property from the drop list and click Update. 1) Select the relevant Property from the drop list 2) Click Proceed to continue 1. The system will run a check on the user and prompt a list of actions should the user have existing participation as a Candidate, Direct Manager or TDC. 2. You will be allowed to either leave the user in his/her current role or change the role to other personnel within the Starwood Careers System. Should you select Leave it, the User will still be able to access the role as either a TDC, DM or Candidate even when he/she transfers to another property. 3) Select the Leave it option or a new TDC to replace the User s current position NOTE: Once a User has been transferred to another property, the user profile will no longer be visible in your property s list of Users. A Property TDC/HR can only manage Users under his/her charge. This move is also not reversible; any movement back would require the next Property TDC/HR to repeat the same steps. 25 Role: TDC/HR STEP 7: Deleting a Class with a Candidate 1. A Property TDC/HR may delete an existing class or delete a candidate. Click on the Manage Candidate link located in the Main Menu to access the delete class function. NOTE: Deletion of a class is a permanent move and cannot be restored. Click to access the Delete Class function 2. Click on the Delete Class link to delete a particular class and all its candidates. 26 Role: TDC/HR Deleting a Candidate Deleting a Candidate is permanent. This function should be used when there has been a mistake with the data of the Candidates. 1. 27 Role: TDC/HR 2. Click on the Delete Candidate link to delete a Candidate from the class. Deleting is a permanent move that will remove the Candidate s record from the Starwood Careers Database NOTE: If there has been a mistake in the data of Candidates, the Delete Candidate function may be used to remove the Candidate s records. 28 Role: TDC/HR Exiting a Candidate Exiting a Candidate is a temporary function and can be used when a Candidate leaves the program or resigns. The Candidate profile will removed but its record will still remain in the Starwood Careers Database for tracking purposes. 3. Under Manage Candidate function, click on Edit Candidate s Profile link. Click on Edit Candidate s Profile link 4. Click on the Exit Candidate link to exit a Candidate from the class. 29 Role: TDC/HR 5. Upon clicking Exit Candidate, a window will pop up to ask for reason of exiting this particular Candidate. 6. The inputted reason will be displayed in the Manage Candidate section. 30 Role: TDC/HR STEP 8: Tracking a Candidate s Progress NOTE: In order to access the Assess candidate function when managing a candidate, the Direct Manager first needs to finalize the skill setting for the candidate (See Direct Manager Role STEP 3 and4, Page 58-63) 1. Once the Direct Manager has finalized the track setting, TDC/HR, Direct Manager and Mentor will be able to track the candidate s progress. Click on the Assess Candidate link to view the candidate s progress. Click Assess Candidate to evaluate candidate 2. The system will direct to the Assess Candidate page, click Proceed to continue to the candidate s Skills Assessment Template. 3. The Skill Template Page is divided into 7 sections (A - G). Property Talent Development Leader (TDC/HR) can track and observe the candidate s progress. Copyright 2011 Starwood Asia Pacific Hotels and Resorts 30 of 116

31 Role: TDC/HR 4. Section A (Skills Template): TDC/HR can use this template to monitor Candidate s training progress. A checked box on the skills template signifies that the Candidate has acquired the skills or completed the tasks. Skills highlighted in Grey color are considered not relevant to Candidate s development (mutually agreed by Direct Manager and Candidate). Ticked skills signify that Candidate thinks that skills/ tasks have been completed. Direct Manager is able to validate this self assessment by marking Complete and Incomplete. Skills highlighted in Green color are skills considered completed by both Candidate and Direct Manager. Skills highlighted in Red color indicate that Direct Manager does not approve this completion. 32 Role: TDC/HR 5. Project Details: Click the Project Details link to view the details of the Stretch project the candidate has completed. Click the Project Details link to view candidate s Stretch Project details 6. The Project Details page will show you details of the Stretch Project your candidate accomplished. You can input comments in the comments text box given. 33 Role: TDC/HR 7. Section B (Additional Skills): Section B consists of additional skills, which are not found in the list of required skills in Section A. Additional Skills are added by the Direct Manager. A ticked checkbox signifies that the Candidate has completed the task or acquired the skill. A ticked Check Box means the Candidate considers himself acquired the additional skill(s) or completed the task(s). Direct Manager will then validate this self-assessment, by marking it Complete or Incomplete. Skills marked Complete will be highlighted in green. Skills marked Incomplete will be highlighted in red. Candidate can untick this skill to cancel this colour marking, and work on the skills again. 8. Section C (Comments Dialogue Box): TDC/HR may type in any comments in the comments text box and click Add for the comment to be uploaded. Each Skill Category has its own comment box. Percentage of Skills Completion: As Candidate progresses during the track, Property TDC/HR and Direct Manager are able to track the overall development by taking note of Percentage of Skills Completion for each category of skills and trainings. Direct Manager can track Candidate s overall progress of each category. 10. Section D (Skills Rating): Section D pertains to skills rating and evaluation. Property Talent Development Leader (TDC/HR) can observe the assessment rating of your candidate s performance at every assessment junction of the training. There are three assessment junctions before the readiness assessment. (See Screen Shot). Click on the Drop list to select rating NOTE: 1. It is mandatory for Candidate and Direct Manager to rate during the assessment period. 2. Candidate needs to complete his/her self-ratings before Direct Manager can rate. 3. TDC/HR is not required to rate, but will help to track rating completion and take note of irregularities (e.g. Candidate has made no improvement) Copyright 2011 Starwood Asia Pacific Hotels and Resorts 34 of 116

Section E (Readiness Rating): At the end of the training program, the Property Talent Development Leader (TDC/HR) and panel is supposed to rate the readiness of the candidate (i.e. readiness to move on to targeted position). To rate, click on the Readiness Assessment Drop list located in Section E and select the appropriate band. If the candidate s readiness cannot be expressed with the given range, select Others and input comments or reasons. You can also add additional comments in the text box given to give suggestions/feedback for the candidate on the next move (See Screen Shot). TDC/HR will be tasked to key in final assessment results and comments. NOTE: Refer to the Rating Guide to assist you in making the candidate assessment. Candidates are not supposed to view their Readiness Assessment. Results will be communicated by the Direct Manage/Panel in the post completion process verbally. No hardcopies will be given to the Candidate. Select appropriate Band. If Others is selected, type in comments/ reasons in the space provided Input comments and click Add to save comments 12. Section F (Candidate Activity Planner): The Candidate Activity Planner. This planner allows you to monitor and keep track of the candidate s development activities. The candidate can plan for new events or tasks and tick the check box of the relevant month once the event or task has been completed. Section G (Additional Comments to Candidate Activity Calendar): You may input comments into the Candidate s Activity Calendar to provide suggestions or feedback on the activities completed by typing into the comments dialogue box and click Add Type in comments and click Add Copyright 2011 Starwood Asia Pacific Hotels and Resorts 37 of 116

38 Role: TDC/HR STEP 9: View Job Profile View Job Profile is a function that allows Property TDC/HR to view and print out skill lists and training programs required for each level of each department, one at a time. This will facilitate better preparation and expectation setting should a new Candidate join the program. 1. If you want to know what skills can be developed for Candidate in a department at a certain level, you may do so via View Job Profile. 2. Read through the Electric Agreement, tick on I agree to the statement stated in this page., and then click on Proceed button. 39 Role: TDC/HR 3. Click on the Track level that you want to view job profile. Click on the Track level that you want to view job profile 4. Make use of the Dropdown boxes to select a combination of Department and Job title/position of the profile you want to view. 40 Role: TDC/HR 5. If you want to print out a particular Job Profile, please use Print Preview function of your Internet Browser (Home Print Preview). In this function, click on Page Setup, select Landscape, Shrink to Fit Page Width, Print Background (colors & image). After that, you may proceed to printing. 41 Role: TDC/HR Property Talent Development Leader (TDC/HR): Generating Reports STEP 10: Generating Reports As a Property TDC, there currently 11 types of reports, which you can generate; they are grouped into categories and can be filtered systematically to derive a report tailored to your needs. You can use these reports to help you keep track of the training progress of your Property. 57 Role: Direct Manager Direct Manager/Sponsor Managing a Candidate As a Direct Manager, you can keep track of and evaluate your candidate s training progress by using the selfassessment checklist. STEP 2: Managing Candidate for a class 1. Select the Direct Manager role from the Welcome to Starwood Careers Platform Page. 2. Click on the Manage Candidate link that will appear. 3. This will bring you to the Candidate List page where you can create a Training Track for your candidate. STEP 3: Creating a Skill Set for a Candidate 1. To create a Skill Set for a candidate, click the Create Skills link located in the Action column (See Screen Shot). Click on Create Skills to create skill set for 2. Upon clicking on Create Skills link, the system will direct you to the default skills template for this particular Candidate, based on the combination of Department skills, and Complementary Functional Skills. All skills and trainings are sorted into 7 categories: Core Functional Skills, Leadership Skills, Project Leadership, Complementary Functional Skills (Same department), Complementary Functional Skills (Different department), Mandatory Training Program, Supplementary Training Program. Selection of Skills: Direct Manager first needs to discuss with Candidate using current level skills what are the skills gap for current level to add on as additional skills to achieve in next level as well. From the default skill list, Direct Manager may untick skills that are not relevant to Candidate s development. Unticked skills will be highlighted in grey colour and do not require Candidate to focus on. 1) Direct Manager can untick a skill if it is not relevant to Candidate s development. 2) Always remember to click Save Skill Selection to record your tick/untick of skills 6. Direct Manager may add additional skills that are essential to Candidate s development. NOTE: You may type in more than one additional skill to any Competency Skill category. Click on the Assess Candidate link to begin assessment/evaluation. Click on Assess Candidate to access function. 2. Upon clicking the Assess Candidate link, the system will direct you to the Starwood Careers Platform page, click Proceed to continue to the assessment page. 64 Role: Direct Manager 3. The Skill Template Page is divided into 7 sections (A G). 4. Section A (Skills Template): You may review the list of skills/training programs in this section. Once a candidate has acquired a particular skill or completed a particular training, he/she will tick the check box to signify the accomplishment (See Screen Shot). Direct Manager will then be able to validate this self-evaluation by clicking on Complete or Incomplete. On Candidate s screen, this validation will be reflected in green and red highlighted areas respectively. Date of validation is also recorded and shown. A Ticked Check Box means candidate has completed the task or acquired the skill. For skills/trainings that Candidate has ticked, Direct Manager can validate by clicking on Complete or Incomplete. Percentage of Skills Completion As Candidate progresses during the track, Property TDC/HR and Direct Manager are able to track the overall development by taking note of Percentage of Skills Completion for each category of skills and trainings. Direct Manager can track Candidate s overall progress of each category. 8. Section D (Skills Rating): Section D pertains to skills rating and evaluation. As a Direct Manager, you will be required to assess and rate your candidate s performance at every assessment period of the training. The assessment period is only open to Direct Manager after Candidate has completed self assessment. There are three assessment junctions before the readiness assessment. To rate the candidate, select the appropriate rating using the drop list function found in the Direct Manager assessment row. (See Screen Shot) 1) Direct Manager can view Candidate s self assessment ratings. 2) After Candidate has completed all ratings for a particular assessment period, Direct Manager will be able to input ratings for assessment. Section E (Readiness Rating): At the end of the training program, the Direct Manager and Panel is supposed to rate the readiness of the candidate (i.e. readiness to move on to targeted position). To rate, click on the Readiness Assessment Drop list located in Section E and select the appropriate band. If the candidate s readiness cannot be expressed with the given range, select Others and input comments or reasons. You can also add additional comments in the text box given to give suggestions/feedback for the candidate on the next move (See Screen Shot). TDC/HR will be tasked to key in final assessment results and comments. NOTE: Refer to the Rating Guide to assist you in making the candidate assessment. Candidates are not supposed to view their Readiness Assessment. Results will be communicated by the Direct Manage/Panel in the post completion process verbally. No hardcopies will be given to the Candidate. Select appropriate Band. If Others is selected, type in comments/ reasons in the space provided Input comments and click Add to save comments 10. Section F (Candidate Activity Planner): The Candidate Activity Planner. This planner allows you to monitor and keep track of your candidate s development activities. Your candidate can plan for new events or tasks and tick the check box of the relevant month once the event or task has been completed. Check Box will be ticked if the event or task is complete 11. Section G (Additional Comments to Candidate Activity Calendar): You can comment on a candidate s activity planner. To add a remark, type it into the text box and click Add. Percentage of Skills Completion As Candidate progresses during the track, Property TDC/HR, Direct Manager and Mentor/Sponsor are able to track the overall development by taking note of Percentage of Skills Completion for each category of skills and trainings. Track Candidate s overall progress of each category. 9. Section D (Skills Rating): Section D pertains to skills rating and evaluation. As a Mentor, you are encouraged to assess and rate your candidate s performance at every assessment junction of the training. Such assessment window is only open to Direct Manager after Candidate has completed self assessment. There are three assessment junctions before the readiness assessment. To rate the candidate, select the appropriate rating using the drop list function found in the Direct Manager assessment row. Section E (Readiness Rating): At the end of the training program, the Mentor and panel is supposed to rate the readiness of the candidate (i.e. readiness to move on to targeted position). To rate, click on the Readiness Assessment Drop list located in Section E and select the appropriate band. If the candidate s readiness cannot be expressed with the given range, select Others and input comments or reasons. You can also add comments in the text box given (See Screen Shot). TDC/HR will be tasked to key in final assessment results and comments. NOTE: Refer to the Rating Guide to assist you in making the candidate assessment. Candidates are not supposed to view their Readiness Assessment. Results will be communicated by the Direct Manage/Panel in the post completion process verbally. No hardcopies will be given to the Candidate. Select appropriate Band. This planner allows you to monitor and keep track of your candidate s development activities. Your candidate can plan for new events or tasks and tick the check box of the relevant month once the event or task has been completed. 1) Check Box will be ticked if the event or task is complete 2) To add an additional activity to the Activity Planner, type the activity into the text box and click Add 12. Skills highlighted in grey color will not be required for Candidate to complete in the job profile. When Candidate has completed a task or skill, Direct Manager will validate it and indicate complete or incomplete as shown below. 1) Skills marked Complete will be highlighted in green. 2) Skills marked Incomplete will be highlighted in red. Type in the project details under the relevant columns and click Add to have the project information inputted. Section C (Comments Dialogue Box): If Candidate have questions or comments regarding any of the skill areas, he/she can post them in this section according to the different categories.
