5 School IT Systems Support Introduction The SIMS Autumn Release 2013 (7.154) includes completely new functionality to import and maintain Pupil Premium information. The DfE will make two files available to schools in CSV (Comma Separated Value) format which are downloadable from the Key to Success website. Separate files will be available for Deprivation Pupil Premium (DPP) and Service Children Premium (SCP). Schools may also receive Looked After Premium (LAP), but the DfE will not be providing a file for this premium as schools will receive this information directly from the LA. DPP Pupils recorded on the January 2013 School Census who are known to have been eligible for Free School Meals (FSM) in the previous six years, known as Ever 6. SCP Pupils recorded on the January 2013 School Census who were recorded as Service Children. LAP Allocated by the Local Authority. The premium information refers to allocation for the DfE financial year, i.e. 1 st April to 31 st March, rather than the DfE academic year. Downloading the File The File can be downloaded from the Key to Success website at the link below: bit.ly/hflktos After opening the above link you will be taken to the Login Page. The username and password will be the same as for the School 2 School (S2S) website where you normally download CTF s from. Doc Ref S of 4

6 School IT Systems Support 1. Once logged into the site select the Pupil Premium option from the list of downloads on the right hand side of the screen. 2. The download containing details of Deprivation Pupil Premium will be available in CSV (Comma Separated Value). If there is Service Child data this will also be shown as a separate CSV file. In the example below the school has no service child data to download. 3. Right Click on the CSV file and Save Target As and Save to a location of your choice. Repeat for Service Child Pupil Premium if available. 2 of 4 Doc Ref S1436

7 School IT Systems Support Importing the file into SIMS 1. In SIMS select Tools > Pupil Premium > Import to open the import Pupil Premium dialog box. 2. Browse to the CSV file you have just saved. You will receive a message stating this file contains Deprivation Pupil Premium Records and is dated xx/xx/xxxx, do you wish to import? Click Yes. 3. The Import button is now visible. Click Import to bring in the data from the file. 4. A grid will be displayed showing the pupils contained in the file. Click Save to save the data. 5. If you have Service Children Data to import, repeat the process from step 1. Doc Ref S of 4

8 School IT Systems Support Once the files have been imported you can check what has been brought in for individual students. 1. Select Pupil Details > Additional Information. 2. The Pupil Premium Indicator tick box has been populated. If you click on the browse button you will see that ticks have been placed in years 2012/13 and 2013/ The file will also contain information on pupils who have left the school since Spring Census 2013 and will update the leaver records accordingly.
