1 CLARIFYING & REVIEWING WORK PLANS Supervise Work

Clarify and review work plan with workers and/or team/workgroup Discuss and clarify implications, expectations and potential issues arising from work plan from perspective of the worker, the organisation and where appropriate, clients Consult with individual worker and associated workgroup where appropriate and clarify how work plan is to be implemented to address identified objectives in accordance with organisation values, standards and guidelines and specific work role requirements Review work plan regularly in discussion with worker and workgroup, where appropriate Discuss work role, functions and issues and adjust work plan if necessary 2

3 2.1 Clarifying implications, expectations and issues o Implications of the work plan -explain how the employees work plan fits into the overall organisational structure and in turn into the strategic plan. By following their work plan and achieving their objectives they are helping the organisation achieve its goals. -aged care environment requires teamwork, good communication and ability to manage designated tasks. By following the work plan they are contributing to the cohesion and wellbeing of their team. -show the new staff how the work they do links in with every other staff member. -discuss the importance of meeting time lines and goals in relation to clients. If jobs are not done then clients may suffer. 3

4 2.1 continued. o Expectations of the work plan -clients expect quality service, so if a team member does not understand what they have to do then the clients may not receive the care they are entitled to. -if working in a residential setting, you and your team should meet at the start of the shift and discuss the plans for that day. It is a good idea to discuss individual team members daily tasks and any possibly difficulties and contingency plans. 4

5 As a team leader / supervisor you may provide a vital communication link between the team and other levels of management. Communication is not just about passing a message on it may include workplace strategies, goals, praise, poor performance,competitor information, budgets.. 5

6 As the team leader/ supervisor it may be your role to break key information down into smaller components, link new knowledge with old, use examples for a better understanding, when giving figures explain what it means to the workplace Have you heard of the WIIFTT Principle- what s in it for the team You may be a news breaker good or bad Principles for breaking news: Good-be specific and do it quickly Bad- tackle the issue, straight to the point, prepare and active listening 6

9 2.2 Clarifying how to implement the work plan o o o o o o o o Meeting standards Residential and community care standards Duty of care Workplace values and standards be punctual, follow a high standard of work, respect the older people you work for Following a person-centred approach Work safely Ensure your words and actions are anti-discriminatory Understand grievance procedures 9

10 An important part of the work plan is feedback, all work activities should be monitored for progress, meeting workplace objectives. Allows for problem detection and resolution, plan adjustment when and where needed. Recall how we can give and receive feedback 10

11 Goal setting for the team should comply with the smart principle. S pecific M easurable A chievable R ealistic T imeframe Goal setting will help determine what is important and give direction When setting goals they should be realistic and achievable 11

12 Within your teams you may not all carry out the same tasks this will depend on goals, outcomes, complexity of the task, number within the team, time frame and the decision made by the team leader / supervisor. Within our teams our day to day tasks may vary therefore our work plans require regular review and remember planning may be the key to goal achievement. 12

13 2.3 Regularly reviewing the work plan Check with the clients and others to determine if their needs are being met, the questions to ask include: o Are the tasks being carried out efficiently and according to the standards? o Are objectives being met? o Are tasks being completed on time? o Are the resources adequate to allow the tasks to be completed? o In training needed in any area? o Does the worker need assistance in deciding priorities? o Does the worker report any difficulties promptly? 13

14 Part of identifying task effectiveness your own skill audit is a valuable tool. As well as competency. From a skills audit you can identify skills that may need development. As a supervisor you can support staff in skill development and meeting competency. In the working environment it is important to discuss work roles with staff and address area s of need 14

15 As we as health care know from experience many tasks are time orientated and have time frames. Therefore work plans may need to be adjusted. Consultation with workers Sharing information Making the best use of knowledge and human resources 15

18 Activity Think about your attitude to your current job? Do you enjoy what you do? Is it challenging, rewarding, satisfying? Does your attitude impact on your job? What makes you motivated? Do you get on with your team members? Whether you have reviewed your work ethics and attitudes previously it is important to do so as they will impact on your behaviour. 18

19 2.4 Discussing and adjusting the work plan o Sometimes work plans need to be adjusted in the workplace for reasons that were not anticipated at the time the tasks were allocated. By maintaining good communication with the team you can adjust their work plan when necessary. o One of the most common areas of concern, especially for a new worker, is to understand how to prioritise, 19

21 Clarifying how to Implement the Work Plan There are a number of STANDARDS all workers must meet Some of these are mandated by legislation, others relate to values & behaviours the organisation feels are important for staff to adhere to.

22 Standards Residential & Community Care Standards Aged care centres & services must follow standards & guidelines set out in The Residential Care Manual developed by The Department of Health & Ageing. For community care, a document: Getting it right: guidelines for the home & community care program national service standards. Privacy Act, 1988 Freedom of Information Act 1982 The Australian Human Rights Commission Act 1986

23 Standards Duty of Care The obligations employers and employees have to each other and those they are caring for

24 Standards Workplace Values & Standards - Being punctual - Aged care workers to follow high standards of personal grooming, hand washing, safe footwear, wearing uniform or acceptable jewellery only - No smoking policy whilst at work - Respecting older people you work for - Workers need to display positive attitude

25 Standards Following a Person-centred Approach - Care workers must involve the client in their care. - Allow for client s input in their care - Ensuring client aware of what is to happen in regards to procedures - Encourage independence

26 Holistic Care Remember person centred care also means looking at holistic health. Social Emotional Physical Sexual Spiritual Cultural Religious and Include anyone important in the clients life in their care.
