4 Welcome to the maintenance, custodial & grounds user guide for the online work request site Please refer to Web Work Module 8.3 Installation Guide for details about the installation of the Web Work Module software. The user can access the web work application by the web address (URL) similar to The login page authenticates the user credentials and leads the valid application user to a menu of options. The standard application provides the users with menu selections to Submit new work request Look up existing work requests Look up existing work orders. Page 1

5 Running Mainsaver Web Work Application If the Web Work Software installation is configured to require user authentication using the login ID and password set in Mainsaver user profiles, the Login page is the first screen presented to the user. 8 Work Request Module Submit New Work Request Figure 3 - Submit Work Request page Web Work Request Information Origination Date Requested By Work request origination date Name of the person creating the work request Calendar lookup icon is available to assist with date selection. When a web work request is submitted, the application saves work request data into the Work Request table (wkwr). It also saves the contact information into the Work Request Originator table Page 5

9 (wkwrorg). After the contact info is saved, in subsequent requests, the originator can just type in his/her name then click on the icon to retrieve previously saved data. In addition, the lookup icon provides the capability to locate an originator record in the Personnel table (em). This feature and the validation of the originator name against the Personnel table are configurable. Please refer to the Installation Guide for more details. Phone Contact phone number Department Department name This field was intended for web work request users who are not Mainsaver personnel, such as university students or city citizens. It identifies the group that the originator belongs to. address This address is used for notification when the work request is approved. Location Work Requested Requested Due Date Work Group Asset Description Location related to the requested work Problem reported or Work description Work request due date Facilities department that performs the requested work Asset short description The user can enter any descriptive information If the data is specified in column due_date_dft of the Priority table stptwop, then the Due Date = Origination Date + due_date_dft. Construction, Custodial, Grounds Landscape and Mechanical. Do not submit work to FACILITIES. If the asset number is not known and not required, the user can enter descriptive information about the asset for which work is requested. Page 6

10 Date Lookup Calendar Figure 4 - Date calendar pop-up window When the user selects on the calendar icon next to the origination date or due date data fields, the calendar pop-up screen is displayed to facilitate the user in selecting a date. Page 7

11 Asset Lookup Figure 5 - Asset Lookup screen Asset Lookup After the user selects the Asset lookup icon positioned on the right-hand side of the Asset Number field, the Asset Number Look-up screen is displayed. In order to filter the returned data, the user can enter the value for any or a combination of the following data columns: asset number, asset description, asset location and work area. After the user selects the Ok button, the application searches for asset records that match the filter condition and displays returned data as seen in the following screen. Page 8

12 Figure 6 - Returned data from asset lookup From this screen, the user locates the correct asset record then clicks on the asset number hyperlink to select it. The selected asset number is displayed in the Selected value box above the data list for confirmation. Selecting the Ok button returns the asset number and asset description to the Submit New Work Request page; asset number, work area, and charge cost center to the Submit New Work Order page. Page 9

14 Work Request Query Summary Report Figure 8 - Work Request search result in summary format From the data list, the user can select a work request number to view its details. When the user clicks on the work request number, the application presents additional information in the same screen area but in different view, as seen in the next screen capture. On this summary screen, the work request approval or reject date is displayed under the column heading Review Date. If the work request is not approved, the reject date is displayed in red color. In the case that it is approved, the work order is displayed in the format of a hyperlink, which allows the user to select. When selected, the Details view displays the selected work order detail data instead of work request. Page 11

16 Figure 10 Details from the work order of the approved request From this screen, the user can select - Lookup tab to perform another search for work request data - Menu option to return to the main menu - New WR to submit a new work request - Logout to terminate the current session and return to the Login screen. 20 Error Messages Your session has timed out. Please log in again. The web application has the default timeout for each session set to 20 minutes. When the session is timed out, the user is redirected to the Login screen with the message listed above. The system administrator can adjust this timeout value. Refer to the Installation Guide for more information. Page 17
