1 Introduction to FlexiF&B Basic FlexiF&B Basic is an entry level POS application designed to help retailers doing manual/cash register billing to migrate to POS software based environment at a very economical cost. This product is basically for the retailer to feel comfortable using the basic features and create confidence in migrating to higher version with more features and functionalities. Some of the salient features of the products are as follows: Create Menu Items with Department and Main Group Multiple services like Dine in/take Away/Delivery and Pickup Create modes of payment Create UOM, Tax and other essential masters Billing with full functionality Touch screen support Reporting related to sales Once the retailer is comfortable using these basic features and wants to increase the functionalities like Inventory, Loyalty and Promotions we have an easy migration path, where in customers by add on products at nominal cost and use the required functionalities.

2 SYSTEM REQUIREMENTS FlexiF&B Basic requires adequate processor speed and memory in order to run at peak efficiency. The minimum recommended hardware specification is mentioned below. (A better specification can increase the performance). Note: We recommend a separate machine to be configured as server incase of heavy transaction with multiple counters. Hardware (Basic recommended) Scenario: I Single POS running FlexiF&B Basic and working as server and POS: Modern Processor Dual-core recommended 2GB RAM Hard Disk 80GB (2 partitions min) 1024 X 760 screen resolution Scenario: II Single / Multiple POS running FlexiF&B Basic and with dedicated separate SQL Server SERVER System POS/PC(s) Modern Processor Dual-core processor 2-4GB RAM Hard Disk Min 80GB (2 partitions min) 1024 X 768 screen resolution Modern Processor Dual-core, 1GB RAM Hard Disk min 80GB (2 Partitions Min) 1024 X 768 screen resolution Software: Operating System: Windows Embedded POSReady 2009 or Windows-XP or Windows 7.0. Please ensure all current service packs should be installed. Currently only 32 bit are supported. Database: Microsoft SQL Express 2005(included with Installation). In case of heavy transaction and projected database size exceeds limit set by Microsoft customer needs to purchase Microsoft SQL 2005 enterprise license and Client license separately. Backup Solutions: FlexiF&B Basic does not have auto-backup facility, so you must set this up separately. Whatever you use must be able to backup the SQL database and FlexiF&B Basic folder. PLEASE ENSURE THE COMPUTER NAME HAS NO SPECIAL CHARACTERS LIKE AS PART OF THE COMPUTER NAME & Max Length of Name should be 12. Example:@#$%^ etc

3 Installing FlexiF&B Basic The FlexiF&B Basic setup will install both the FlexiF&B Basic application software and Microsoft s SQL server. FlexiF&B Basic is a simple installation process and would take between minutes to fully setup the product with minimum intervention from the user. The program and supporting files are installed into the FlexiF&B Basic folder, and links are created on the Window s Desktop. Installing on the Master System (Server) Click on the FlexiF&B Basic Setup icon form the setup CD or downloaded software. The following screen will be displayed please click on <Next> button to proceed further. Please click on <I agree> to proceed further Then the next screen will be displayed.

4 The FlexiF&B Basic is installed by default in the D:\FlexiF&B, in case you want to change the path you can do by clicking the <Browser> button and selecting the folder in which you want to install the software. By default the setup creates a group called FlexiSales incase you want to change the same you can do so and click on the <Next> Button. Please click on <Next> button to proceed with the setup. The setup process has started and the following screen will be displayed. The process will take time and please do not interrupt the process.

5 The next few screens are self explanatory. When the below screen is displayed please type in the SQL instance name which should not exceed a maximum of 5 characters. The system name automatically gets appended to this name. This name could be a short form of your brand name or company name etc. Once you key in the Instance Name click on the <Proceed> button. Please click on the <Ok> button The below screen is displayed to prepare the Master or Slave and also prepare the Database.

6 From the above screen you can select to install either the Master or Slave Master Installation Click on the Master button to get installed the Master and the following screen is displayed. Click on the drop down menu for Server Name and select the SQL Server which you have installed during the setup. The SQL Server UserID will be by default sa and cannot be changed. Please key in the SQL password (for sa user). Along with the application we have attached some sample database for the following: Bakery Bar & Restaurant Coffee shop Food court In case you wish to use the sample database for the purpose of demo/training please click on the Sample-Data from the following screen and select one of the database.. In case you want to create your own database click on [Blank Data]. On completion of your selection click on the <Proceed> button on the left side if the screen You will see certain processing happening and after a few minutes the Database creation will be completed and the following screen is displayed Now you are ready to login into the application and do the basic settings and login to the application. To do the same please follow the steps mentioned below

7 Please click on the FlexiF&B icon on the desktop or on the folder where the product has been the following screen is displayed Location Code : Create a unique Location ID, this could be a Number or a short form of you company or brand name, once created then cannot be changed. Location Name : Key In the Name of the Location where this store is located Address /Place : Key In the Address/Place of the store location City Code /Name : Key In unique City code which could be same as area code of your telephone & Name of the City. Region Code/Name : Key In your Region Code and Name. State Name /Zip : Key In your State Name and you Zip Code (Pincode) Country Code/Name : Key In the Country Code & Country Name. GST No /LST No : Key In the GST No (General Sales Tax No) & LST No (Local Tax No) of the store. (Optional) Phone No / ID : Key In the Phone number & ID Company Name : Key In the Company Name which will be printed on the bill and cannot be changed once the license is registered Company Logo : In case you want to attach the Logo of your company, you can do so by clicking on the folder icon and select the file path where the file is located. Then click on the file and save the path. (The file should be either a *.JPG or *.GIF file) Once you have completed the above settings, click on the <Save> button to move to the next screen.

8 SERVICE /PRINTER SETTINGS DINE IN DELIVERY Accept Waiter Code Accept Captain Code Accept Number of PAX : Enable this if you want to capture the waiter code in the Dine In Service while doing the KOT. : Enable this if you want to capture the Captain code in the Dine In Service while doing the KOT : Enable this if you want to capture the No.of PAX (Persons) in the Dine In Service while selecting the Table Enable Bill Print at Tender : Enable this if you want to print a bill on Tender in Dine In Service. A bill is already printed on Bill Check Out of the table, hence if you want to print the Bill after Tendering the bill then enable this option Minimum Order Value Maximum Delivery Time Delivery Charge Max order to Rider per Delivery : Define the Minimum Order Value at which you accept orders for delivery : Define the Maximum Delivery Time in terms of minutes. : Define the Delivery Charge. This will be reflected and printed on the bill. : Define the Maximum Order a rider can delivery in one delivery cycle

9 Print Settings Enable KOT Print : Enable this option if you want to print the KOT every time a order is keyed in Enable KOT Print in Take Away : Enable this option to print KOT for Take Away service. By default KOT is printed only for Dine in/delivery and Pick up Enable Dept Wise KOT Print Enable Kitchen Wise KOT Print Print Message on Bill Footer Messages (1,2,3) Configure General Printer Settings : Enable this if you want to print KOT Department wise. This is generally applicable for food courts where in the POS is at one location and items have to be collected in different counters. : Enable this if you want to print KOT Kitchen wise. This is generally applicable for food courts where in you have different Kitchens. : Enable this to print Footer Message on the bill : You have an option to enter 3 lines of message that can be printed in the footer of the bill. The message is automatically centered as you key in the message. Enable this option to configure the General Printer Settings. This should be enabled ONLY if you are not using OPOS Peripherals. The following setting needs to be done when you have enabled this option (as shown in below screen) Bold Font Start Code : To enable Bold Printing you need to enter the code of bold Printing which is provided by the hardware manufacturer. For example : (Epson code for this is ) Bold Font End Code : Here you need to enter the End Code. Example Printer Cutter Code Cash Drawer Open Code Enable 2 inch Printer : To enable Auto Paper Cutting you need to key in the code provided by the manufacturer. For example : (Epson code for this is ) : To enable Auto Cash Drawer Open, you need to key in the code provided by the manufacturer. For example (Epson code for this is ) : Enable this option, if you are using 2 inch printer. NOTE: When this option is selected the BOLD printing will be disabled and you need to key in the manufacturer code for compress mode printing

10 Configure OPOS Enable this option if you are using OPOS compatible POS Peripherals/ Hardware. You need to get the OPOS installed to use this option. You need to key in the LDN Names of the Peripherals that are connected. Please contact your dealer or the manufacturer for further details. Configure Network Printer Enable this option if you are using Network Printer. Network Printer Share Name : Please select a shared printer from the drop down list. (all the printers installed will be shown here) Test Print : You can test the connectivity with this button. Click on the <Save> button and then again click on the <Yes> button to confirm the settings and proceed further

11 Once you have completed the above settings, the application will get closed and the setting will be saved and updated in the application. Then once again open the application (FBStores) only (should not open the FBSales first). The following screen will be displayed. Here the system name will be captured at this point. When the above screen appears, just click on the <Update> button to login to the application. Please login by keying in the default User Id Admin and Password Admin. The first thing you should do is to create a New Access Level and the Users of the product.
