3 Page 3 of 7 Implementation The first step to implementing the computer network at Grayson Lakes is to purchase all needed equipment. All needed hardware, software and services are listed in the budget at the end of this document. The library must identify a dedicated IT person (project manager) to manage this project. This person will review the equipment list and any necessary changes will be made. The equipment will be sent to the library and stored in a secure location until everything has arrived. Under the supervision of the project manager, Bridged Communications will come in to the library and do an initial inspection and quote for the CAT 5E wiring installation. A diagram of the network layout will need to be drawn up before this inspection. A quote for cable installation will then be provided. The library will need to be closed to the public at the time of the cable installation, which should not take more than one day. At this time data on all existing hardware will need to be backed up. The back ups will be used to transfer data to the new server and staff computers. The old equipment should not be discarded until all applications are running successfully on the new system. The back ups will be permanently archived. The network hardware will then need to be set up and configured. In order to complete this task without having to close the library for several days, it is proposed that a network consultant is hired. Control Freaks Inc. estimates 24 hours of labor for this portion of the project. These 24 hours will be completed by 3 people so that the job can be done in one day. The modem, router, switch and server will be connected using CAT 5E patch cables. Then each client computer and printer will be connected to the switch. The server will then be turned on and software will be used to configure the router s firewall settings.

4 Page 4 of 7 Next the Microsoft Server 2003 OS will be configured. This will set up a DNS server and each connected device will be given an IP address. The DHCP will then be used to name each connected device. An Internet connection will then be established through the DSL modem. Staff members can be set up for file and printer sharing using the Microsoft Server 2003 software. The library catalog, ILL, circulation and any other critical job applications will need to be loaded on to the staff computers from the back up drives. The Microsoft Server 2003 software will also be used to set the access levels on staff computers. Critical personnel and budget files will have restricted use. will need to be set up on the staff computers. The Dell Optipleax 740 computers will need to be secured to office furniture using the Kensington Desktop Microsaver cables. Software will need to be installed on the server and public access computers. Fortres Grand s Complete Control (for server) and Fortres 101 (public access computers) will be used to lockdown the settings and software on the public access computers. Patrons will not be able to make changes to system files and application use will be limited to shared programs. Fortres Grand s Clean Slate will also be added so that patron files and settings will be erased with each patron log-in. EnvisionWare s LPT:One will be installed on the public access computers and the printer sharing will be set up. Printing charges will appear on a patrons account and they will not be able to login to another computer or check out books until charges are paid. EnvisionWare s PCReservation will be installed. This program will manage the time session on each public access computers. It will also allow staff to reserve computers for patrons. There will be one public access workstation dedicated for access to the library s catalog. The only web pages users will be able to navigate to are the catalog and other relevant library web pages. There will not be a time limit on this computer.

5 Page 5 of 7 There will be one public access computer dedicated for use by children. This computer will need to be reserved ahead of use by a patron with a library card. A staff member will then need to login to the computer. This computer will have filtered Internet and extra applications appropriate for use by children. A Network Administrator will need to be identified. This should be a full time staff person that has the skills to maintain the network from day to day and work with IT staff in times of crisis. This Network Administrator would also be responsible for setting up new computers and changing permission levels as needed. Also, this person will train other staff on network maintenance and network computer use. A computer use policy should be established and made public. This policy would explain appropriate use of the computers to patrons and staff to protect the library in any legal cases that may arise from the used of networked computers. Budget The total budget needed for this project is $17,400. Because contract labor is being used this amount may fluctuate based on the estimate of these vendors. The budget for this project will be allocated from Friends of the Library donation for 2008 ($10,000) and a LSTA Technology Planning Grant of $12,600. Excess grant amounts will be utilized for ongoing staff training throughout the year. Please refer to the end of this document for complete budget details. Timeline Total time needed for implementation of the computer network is as follows. 5 hours will be needed to install the network cables. This must be done on a day when the library is closed to the public. Another hours will be needed to set up network hardware and configure the network, client computer and software settings. It is recommended that this be

6 Page 6 of 7 done on another day when the library is closed to the public to minimize the disruption of computer access to patrons. Existing computer hardware will be permanently removed at this time. Staff training will occur between the cable installation and hardware set up. The retraining will continue throughout the year and as needed for new employees.
