4 Requirements SUA Respnsibilities t AA Daily infrmatin frm each AAA invlved, establishing disaster impact n the elderly and indicating, where apprpriate, actins t be initiated, and mnitr cmpliance. Keep thers infrmed, particularly f decisins pending and as made, alerting AAAs and ther resurces as they becme available, and cnducting and reprting n institutinal advcacy effrts at the state level. Cnduct regular cnferences, persnally r by phne, with AAAs and key n-site elements f the Aging Netwrk. Plan patterns f cmmunicatin prcedures fr AAAs and ther elements f the Aging netwrk, disseminate thse prcedures befre a disaster, and require training and practice in the use f thse prcedures. 5 Requirements SUA Respnsibilities t AA Under the leadership f the Disaster Aging Officer, the SUA must review the State Emergency Preparedness Plan and the Aging Disaster Respnse Plan, determine the planning and preparatin task which remain t be dne and which entity shall d them. The SUA must assume a leadership rle in disseminating infrmatin cncerning the Aging Disaster Respnse Plan, making sure ther units f state gvernment, the AAAs, and the Administratin n Aging understand what the State Unit is planning. Investigate available disaster relief and assistance prgrams and identify gaps. Secure inclusin in state disaster assistance planning. If nne exists, initiate. Page 5 f 19

6 Requirements SUA Respnsibilities t AA Be sure that agencies invlved in disaster assistance understand what services and infrmatin the SUA can prvide, and be sure the SUA and AAAs understand what services and infrmatin ther agencies can prvide. Beginning frm the inventry f cmmunity resurces accumulate by Infrmatin and Referral activities, assemble a list f resurces fr the elderly fr inclusin in the State Disaster systems, and ensure that each AAA had dne the same. Establish a wrking relatinship, and where apprpriate, written agreements r memranda f understanding, with ther rganizatins. This shuld include a persnal meeting with each rganizatins crdinatin persn, and a listing f them in the directry. This requires mnitring and updating. Page 6 f 19

7 Requirements SUA Respnsibilities t AA Be sure everyne understands the data needs f the Aging netwrk, and that the SUA understands the data needs f ther agencies. Fr instance, many agencies d nt recrd the age f the victim, merely the need, and althugh many Aging Netwrk prgrams recrd age, they may nt recrd ccupatin even thrugh fr example, farmer might generate additinal surces f relief dllars. Crdinatin prcess t make ther agencies aware f the needs f the elderly and f the SUA and the Aging Netwrk. SUAs and AAAs must initiate an educatinal prcess which makes emergency rganizatins aware f special needs f lder persns. Page 7 f 19

8 Requirements It is the jb b f the State Disaster Aging Officer t make sure that each AAA has a plan, understands it, and has dealt with all pssible cntingencies. Area Agencies n Aging Respnsibilities 40 TAC AAA Administrative Respnsibilities (r) Cntingency plan. A AAA must have a written plan ensuring cntinuity f services t a prgram participant in the event a service prvider is unable t prvide a service. (x) Emergency management. (1) When a disaster ccurs, a AAA must ntify DADS f its need t prvide fr emergency management activities, prvide infrmatin t DADS regarding the impact f the disaster n the lder ppulatin in its service area, prvide emergency management services in accrdance with current Administratin n Aging disaster relief guidelines, and cllect pertinent data necessary t submit reimbursement requests fr disaster services. 9 Requirements (2) A AAA must cnsult with the apprpriate agencies that have an interest r rle in meeting the needs f persns 60 years f age r lder t plan fr the ccurrence and aftermath f natural, civil defense, r manmade disasters. T accmplish this, a AAA must: (A) Develp an emergency disaster plan in accrdance with DADS requirements; (B) Require by cntract r vendr agreement that a service prvider develp plans fr emergency management; and (C) Prvide technical assistance as necessary t service prvider staff persns regarding emergency management activities. Currently, 17 U.S. Gvernment agencies, which spnsr mre than 50 frms f disaster assistance, cntribute t the website. Yu can apply fr many frms f assistance with a single, nline applicatin. Yur applicatin infrmatin is shared nly with thse agencies that yu identify and is prtected by the highest levels f security. Ultimately, DisasterAssistance.gv will speed the applicatin prcess and allw yu t check the prgress f yur applicatin nline. Page 17 f 19
