4 Basic Opratin Instructions Basic Opratin Instructions Entry Voic Mail EVM is an ffctiv voic mail solution for your HiPath systm. You can oprat all of th availabl functions via th kys on your optipoint tlphon or on any othr tlphon with ton diallin (DTMF). Your Entry Voic Mail supports opration with contxt-snsitiv prompts. Your Entry Voic Mail is confiurd/activatd by th assind oprator via a PC administration proram. Ovrviw of Functions Each Entry Voic Mail tlphon faturs th followin functions: 24 standard mailboxs up to 4 of which ar attndant mailboxs (automatic call accptanc, rtin with attndant option, day/niht srvic, spd dial). Automatic confiuration of mailboxs Usr-controlld mailbox confiuration Announcmnt/music-on-hold bfor answrin Up to two diffrnt rtins Grtins can b slctd manually or accordin to th tim of day for day/niht srvic. 5 Mailboxs Mailboxs Your Entry Voic Mail provids up to 24 mailboxs. You can confiur up to 4 of ths as attndant mailboxs. Th rst can b usd as prsonal standard mailboxs. You can find out which mailbox is confiurd for you from your assind oprator. If th assind oprator has not yt confiurd a mailbox for you, a mailbox will b automatically assind to you th first tim you dial th voic mail systm. You can only accss th mailboxs by ntrin a cod numbr. Pa 7 An assind oprator confiurs th attndant mailboxs for you Pa 14 basd on your tlphony rquirmnts. Th prsonal standard mailbox accpts your calls, rts th callr with your prsonalisd announcmnt and offrs th callr th option of lavin a mssa. For xampl: "This is th voic mailbox of Max Mustrmann. I am not at my dsk at th momnt. Plas lav a mssa aftr th ton. I will call you back as soon as possibl." In addition to th standard mailbox functions, th attndant mailbox offrs callrs th option of contactin you or a collau dirctly. Your assind oprator can confiur th followin typs of attndant mailboxs: Automatic call accptanc without attndant option Th callr only hars a rtin. Grtin with attndant option Th callr hars an announcmnt/music-on-hold and is thn connctd to th attndant, for xampl. Exampl: "Thank you for callin. Unfortunatly thr is no on availabl to tak your call at prsnt. Plas hold whil w try to connct you." Aftr th rtin, th callr can contact an intrnal subscribr by diallin an intrnal call numbr. Exampl: "Hllo, th prson you ar callin is not availabl at th momnt. Aftr th ton, dial 23 to contact a collau". Aftr th rtin, th callr can contact an intrnal or xtrnal subscribr by diallin a spd dial numbr 0-9. Manual rtin is activatd Pa 12. With automatic rtin ("Automatic day/niht proram"), diffrnt subscribrs can b contactd irrspctiv of whthr day or niht mod is st. Exampl: "Hllo. If you hav qustions rardin our products, plas prss "1". 6 Mailboxs Activatin Your Mailbox To dirct calls to your mailbox, you must forward incomin calls for your tlphon to your mailbox (via call forwardin or call forwardin on busy/no answr). For instructions on how to activat/dactivat call forwardin, rfr to th usr manual for your tlphon. As th forwardin dstination, spcify th Entry Voic Mail call numbr (you can obtain this numbr from th assind oprator). Sinallin If mssa waitin indication is st up on your tlphon, th mailbox LED illuminats automatically if nw mssas ar rcivd. Th txt "Display Mssas?" appars on optipoint tlphons that fatur a display. You also har a spcial dial ton indicatin th rcipt of a nw mssa whn you pick up th handst. Sinallin is activatd as soon as a nw mssa is rcivd and is automatically dactivatd onc th mssa has bn rtrivd. 6

Accssin Your Standard Mailbox If confiurd, you can also accss your standard mailbox xtrnally usin any ton dial tlphon. To do this, you simply nd to dial th call numbr of your HiPath bforhand. o o If rq. o Dial th Entry Voic Mail call numbr. Or if xistin/confiurd, prss th "Mailbox" ky or follow th optipoint usr prompts. S also th usr manual for your tlphon. Entr th cod numbr for your prsonal mailbox. Dfault = "1234" (modify Pa 13) If th assind oprator has not yt confiurd a mailbox for you, a mailbox will b automatically assind to you by dfault th first tim you dial th voic mail systm. If thr ar no mor mailboxs availabl, plas contact your assind oprator. Entr your prsonal mailbox numbr. This is only ncssary if you want to rtriv your mailbox mssas from anothr tlphon. You can now naviat in th fiv availabl status announcmnts/functions: You can rtriv mssas, slct/rcord announcmnts or mak sttins if rquird. Mssas Your mailbox dos not contain any nw or prviously rtrivd mssas. (Th numbr of availabl mssas is statd. Th most rcnt mssa is playd first. Each mssa has a tim and dat stamp.)
