3 Technology Procedural Schematic (New Purchases) Instructional or Support Clearly identify new technology and the role it will play within the district. This usually begins with instructional practice, but may also include support use. If Software Identify software to be purchased. This may be new software to be used on current technology or new software associated with new technology. All pilot software must go through the same procedures. Any software involved with instruction will need to go through curriculum and technology. Support software will only go through technology. (See Software Request Form) If Software & Hardware Note the above under software, but now also identify hardware associated with software. After software is cleared, then hardware will need to be considered, within the confines of standardization and plant capacity to support the hardware. (See Hardware Installation Form) 3
4 Solely Hardware If a purchase is solely hardware, it must fit with in the scope of good instruction or the scope of support services. (See Hardware Installation Form) Financial Considerations Prior to purchasing, all purchases must fit appropriately within a budgetary funding source. Staff must have approval from building principals or appropriate supervisors. (See Both Hardware & Software Forms) 4

It must also meet the school district standard for purchased hardware. (See Hardware Installation Form) Final Considerations Staff must have final approval from building principals or appropriate supervisors before delivery. (See Both Hardware & Software Forms) 6
7 Technology Use by Students The Longview School District has provided technology for student use. This technology is of great value and must be used wisely. Labs, as well as other school computers see heavy use during the school day. Simple rules: No food or drink, no games, no outside software and no inappropriate browsing or downloading from the net. Computers and other equipment may only be used for school educational purposes. To use school computers, a student must have a personal username, with a password assigned by the school district. Again, any inappropriate use or misuse of computer systems will result in loss of use. For further information regarding policy, see School District Policy #2314 7

12 Longview School District January 24, 2005 TO: FROM: SUBJECT: District Administrators Gary Goreth, Executive Director Finance and Technology TECHNOLOGY ADMINISTRATIVE PROCEDURES References: Longview School District Policy 3360 and Policy 5700 Goal: 1. To provide Longview School District teachers and administrators access to technology capable of assisting in the accomplishment of presentation of curriculum and fulfilling administrative tasks. 2. To enhance learning opportunities through the use of technology. These administrative procedures have been established by the District Technology Committee that represents the Districts technology end users. Computers Use: District computers will only be used for Longview School District official business. District Lap Top computers may be removed from Longview School District buildings and used for purposes of conducting official business. Control and accountability of computers will be a district/building responsibility. District computers will not be relocated to another District building without prior coordination with the Technology Department. This will facilitate inventory control and computer identity for and network location address. Personal computers will not be connected to or used on the Longview School District network in the conduct of official business during normal work hours. Personal computers may connect and use the Longview School District network from the employee s place of residence. Standards: Administrative computers to access the Longview School District network will be Citrix appliances or compatible PC. Curriculum computers will be the computer platform that best serves and accommodates the curriculum to be presented to enhance student learning. 12
13 Electronic Equipment Personal electronic equipment (hubs, routers, peripheral hardware, etc.) will not be used in the conduct of Longview School District official business. Electronic equipment (VHS/CD projectors, Camcorders, Digital Cameras, etc.) will be used for Longview School District official business. Electronic Equipment may be removed from Longview School District buildings and used for purposes of conducting official business. Control and accountability of electronic equipment will be a District/building responsibility. Software Software to be used on District computers will be properly licensed. Software will be reviewed for compatibility with District computers by the Technology Department. The Instructional Materials Committee will review and approve all curriculum software to ensure compatibility with District curriculum adoption and student learning needs. Software not approved by the District will not be copied or downloaded from the Internet. Personal software including games will not be loaded on District computers. Internet The Internet will only be used for Longview School District official business. use in the Longview School District will be through Microsoft Outlook. Purchase of Technology Equipment/Software Technology purchasing standards have been established to provide the following: Meet educational program requirements Provide quality and reliability Minimize costs of procurement Training of staff in equipment use Maintenance costs Availability of supplies Standardized Equipment items are: Televisions Overhead projectors Computers Computers printers Telephones/Related Equipment 13
14 Copy Machines Scanners Fax Machines Personal Data Appliances/Digital Cameras interface to computers Standards for Administrative Software Microsoft Office Suite (Word, Excel, Access, Power Point) Web Browser-Explorer Operating System-Windows Microsoft Outlook Purchase of computers, electronic equipment and software will be by the use of purchase order. The District/building will account, tag and inventory all computers and electronic equipment based upon this category of equipment being considered small and attractive items by the Washington State Auditor. 14
