A Connector provides direct integration between an ecopy-enabled multi-functional peripheral (MFP) or scanner to a multitude of back-end applications. Using a Connector for ecopy ShareScan, hardcopy documents are quickly converted into digital files to be stored or distributed into networked software applications or services like , document management systems, fax servers, and other enterprise software applications. Connectors for ecopy Desktop extend ecopy Desktop s functionality by providing users native integration between backend business applications and ecopy Desktop. Within ecopy Desktop, users can manage and modify PDF documents then store them directly into a specific backend application; conversely, they can pull documents from a backend application directly into ecopy Desktop. Connectors for ecopy Desktop can be designed in such a way to allow direct access to image data for manipulation (e.g., PDF, Annotation, Searchable Text, Add/Split Pages). 6
7 Connectors for ShareScan How does it work? A client application resides at the MFP or scanner, allowing paper documents to be scanned and distributed into selected document management systems and other enterprise applications. Furthermore, API level integration lets the Connector communicate directly to a server in its language and receive information back instantaneously. What is the user s experience at the scanning device? Highly flexible, each Connector can be configured to give the user as much or as little flexibility when scanning and delivering or storing documents. This flexibility allows each button or configuration to be tailored to the type of document being stored and the appropriate level of user interaction. Connectors for ecopy Desktop extend ecopy Desktop s functionality by providing users native integration between backend business applications and ecopy Desktop. Within ecopy Desktop, users can manage and modify PDF documents then store them directly into a specific backend application; conversely, they can pull documents from a backend application directly into ecopy Desktop. Connectors for ecopy Desktop can be designed in such a way to allow direct access to image data for manipulation (e.g., PDF, Annotation, Searchable Text, Add/Split Pages). Benefits: Makes tighter integration available into document management systems, storage, OCR, and fax applications not currently supported in the standard ecopy Desktop offering Provides the ability to gain access to ecopy Desktop viewing and document manipulation capabilities Enhances ecopy Desktop s role as a universal client for scanned documents, ultimately increasing workflow efficiencies for an organization and improving the user s experience 8

A Service is a process that is applied to a scanned image, and is used in conjunction with ecopy ShareScan and Connectors for ecopy ShareScan. A Service modifies, enhances or classifies a document (image) without regard for end destination. Services can provide functionality such as encryption, searchable text, a variety of File Formats (TIF, PDF, ecopy, PDF/A), file naming, blank page removal, and document tracking. Available Services include: Types of Services Available Bates Numbering Service: The ecopy Bates Numbering Service enables organizations with a simple way to refer to and track individual pages of documents by number rather than name. With the ecopy Bates Numbering Service, hard copy documents are quickly converted into digital files with a unique Bates Number. Scanned documents can then be ed or stored in the company s existing document management system. Bates Numbering Benefit Summary: An efficient procedure for identifying documents Easily add unique stamps to document during scanning Choose from predefined formats for consistent stamp format and standard placement on the page Create customized stamps -- Modify the prefix, page number, and suffix -- Change fonts and justification -- Add texts to stamps using the text message field -- Specify the font, style and justification Automatically add continuous page numbering to a set of related documents with Check Points -- Configure a Check Point and any scanned documents will be numbered sequentially 9

Cost Recovery Service The ecopy Cost Recovery Service enables organizations to track, manage, and assign costs to documents scanned at the digital copier or scanner for client billing at a later time. The SDK allows software vendors, systems integrators, value-added resellers, IT departments, and others to develop their own integration with enterprise applications or a custom application. A high-level programming function which is used to assist one program to communicate with another. A document management system vendor will provide an API to help programmers integrate that system with other applications and use other applications to control the document management system. Audit Trail A record of the activity that has occurred to a certain file/document that may be kept for legal reasons. A log of who changed what and when for accountability purposes. Authentication A method for confirming a user s identity. Techniques are usually broken down into three categories: (1) something the user knows, such as a password or PIN; (2) something the user has, such as a smart card or ATM card; and (3) something that s part of the user, such as a fingerprint or iris. The strongest authentication involves a combination of all three. Category How documents, Web pages and other content are organized into logical groupings, based on their content. Collaboration Tools (collaborative authorizing, video conferencing, shared whiteboards etc.) that allow multiple users to work on the same content in a common environment.
