On November 30, Nuance introduced a completely new version of the software, which is the first major new version in over two years. Here is the press release. The ecopy document capture solution is comprised of two complementary software applications that can be purchased together or separately: ecopy ShareScan 5 and ecopy PDF Pro Office 5. ecopy ShareScan is an intuitively simple yet powerful solution for automating paper document workflows. Accessed through an interactive touch screen interface on the MFP, it empowers Canon, Konica Minolta, Ricoh and Xerox MFP users to process and manage paper documents faster and more efficiently. It gives users access to powerful optical character recognition-driven capabilities to CAPTURE, PROCESS, CONNECT & AUTOMATE information trapped in paper documents into the business systems used to produce, share, collaborate, manage, store and process information and documents.
2 ecopy ShareScan is available in three editions; ShareScan Elements, ShareScan Office and ShareScan Suite. n ShareScan Elements is for businesses that need a solution that simplifies the management of CAPTURE & SEND workflows distributed across a fleet of MFPs. It is typically used in enterprise deployments of 25 or more MFPs. n ShareScan Office is for organizations that need to CAPTURE, PROCESS & CONNECT scanned documents from MFPs into word processing, spreadsheet, collaboration and document management workflows. It provides all the capabilities of Elements plus enhanced ability to connect documents to key business applications directly from the MFP. n ShareScan Suite, the version you are testing, is for organizations that need to CAPTURE, PROCESS, CONNECT & AUTOMATE unstructured or structured documents such as forms into document management and data processing workflows. It provides all the capabilities of Elements and Office plus additional capabilities for enhanced automation of document workflows. ecopy PDF Pro Office is an economical desktop PDF companion to ecopy ShareScan that equips business professionals with the tools needed to edit PDFs. Fewer than 10% of business PCs are empowered to edit PDFs due to the high cost and complexity of most PDF software. For many the ability to edit PDF documents is a critically important capability they need to incorporate scanned documents into document publishing workflows. Benefits of ecopy According to research from InfoTrends, average overall document expenditures equal 6% of revenue. In some organizations that figure can be as high as 15%. ecopy enables organizations to slash these costs. This is a new capability one of the results of the Nuance acquisition of ecopy in ecopy user experience ensures the highest adoption rate, minimizes training requirement, slashes the burden on help desk and maximizes return on investment. The new ecopy ShareScan version further improves the user experience with new personalized scanning capabilities. Reduce the cost of document storage costs by converting paper into electronic documents that can be stored in online ecopy connects the MFP user to the target application or process empowering the user to put any document and the 2
3 information it contains into the correct location or process. ecopy has the largest portfolio of application Connectors in the industry. ecopy also is highly extensible with a number of SDKs that third-party and corporate developers can use to create custom integration with any business application. ecopy offers a very capable desktop PDF solution which ensures organizations are able to maximize their use of captured documents. It includes desktop connectivity to content management applications and unique document conversion capabilities. ecopy is built upon an MFP platform-independent architecture that delivers a consistent user, administration and integration experience across a mixed-brand MFP fleet, which is very important to organizations that lease MFPs typically for three to five years, and often change brands with a new lease. This feature will be increasingly important as enterprises adopt Managed Print Services, where mixed-brand deployments of MFPs are the norm. Key Functionality Below are five important functional capabilities of Nuance ecopy ShareScan 5 that you can examine as part of your review. 1. Personalize your workflow options at the MFP ecopy ShareScan 5 provides users with the capability to select which workflows they see when they log into the software. The new Personalized Scanning capability presents only workflows that are specific to an individual or department, removing menu clutter, simplifying use of the system and making scan processes easier, faster and more relevant. In this way, they can personalize their workflow options at the MFP. Here s an example: At the ShareScan User Interface, login with your user name and password. This provides security and a complete audit trail of transactions that take place at the device. It also allows you to personalize what you see at the device. Click on the My Config button. 3
4 1. Personalize your workflow options at the MFP (cont.) Use the left arrow to remove the Scan to Word from the My Configuration list. Click on OK. Select exactly which workflows or, as we call them, Connectors, you want to see when you login to ShareScan. You can choose to see only the Connectors that pertain to you own job function. Now you see only the Connectors specific to you. This reduces clutter and makes ShareScan easier to use. Click on the Logout button to return to the login screen. 4

Scan to The ecopy system was the first software product to provide scan to at the MFP and, although almost all other MFP document capture software provides this function, ecopy provides capabilities that the competitors can t match. For example, the native integration with Microsoft Exchange and Lotus Notes offers capabilities similar to those users enjoy with their desktop clients. Once you have authenticated, press the Scan & Mail button. The system presents a preview of the scanned document so you can ensure that it has been scanned correctly. You can rotate or delete pages that were scanned incorrectly. Preview provides you with a quality assurance step to make sure the scan is correct. Now you are essentially working within your system and using your account, in this case, Microsoft Exchange. The procedure is the same as it would be at the desktop, so no training is required. Because you have authenticated to the network when you begin to enter recipients, it will automatically search the global address and personal address lists. Type ahead allows you to select recipients efficiently. 5
6 2. Scan to (cont.) Select the options that you normally would at your desktop client. Click on send from the screen and ShareScan s the document as an attachment. You are presented with a confirmation screen that confirms that the document has been sent. You now have three options: sign out, scan a new document and start a new workflow or use the existing document in a new workflow. With ecopy integration to Microsoft Exchange, you have many of the same options that you would at your desktop client. Since you are using your own account, the comes from your address and provides a complete audit trail with the in your sent mail folder just as if it was sent from your desktop. The confirmation screen gives you the assurance that you have successfully completed the workflow and the was sent. ShareScan is able to do this because of the dynamic integration to the back end application. 3. Scan document, convert to Microsoft Word and store in home directory Nuance ecopy users very frequently have the need to scan a document and edit it in Microsoft Word as part of a business process. This workflow shows how this task is completed in ecopy ShareScan 5. Once you have authenticated, press the Convert to Microsoft Word button. 6

As with the Microsoft Outlook workflow, the system presents a preview of the scanned document so you can ensure that it has been scanned correctly. Preview provides you with a quality assurance step to make sure the scan is correct. Type in the name of the document that will become an editable Microsoft Word file. Click on send from the file naming screen and ShareScan stores the document as a Microsoft Word document in your home directory. You can now open it in Word and edit the document as you would any other Word file. The average office worker types at 40 words per minute. On average, it takes 15 minutes per page to retype a paper document into Word. 7
8 4. Scan to PDF to desktop in box Office workers frequently have a need to scan a document to a PDF file and then, in some way, modify that PDF. They may need to sign the document electronically, highlight certain sections, redact or black out certain words or change it to a searchable PDF where text string search can be used to more easily find the document based on certain content within the text. This workflow shows how this task is completed in ecopy ShareScan 5. Click on the Scan to Desktop as Searchable PDF Connector. Click on Next. Since you are logged into the network, ShareScan automatically sends the document to your home directory into the folder designated as a ShareScan inbox. Click on Done. The user receives a confirmation message to notify them that the document has been scanned and sent successfully. It is now in the users home directory as a searchable PDF file ready for additional manipulation using ecopy PDF Pro Office. 8

You can configure the software so that you receive a notice in your Systray on your desktop PC that you have a new scanned image available in your Scan Inbox. Go to Start > All Programs > ecopy Applications > ecopy PDF Pro Office to open ecopy PDF Pro Office application On your desktop PC, you can now open ecopy PDF Pro Office to retrieve your scanned image to manipulate the document. For example, you can highlight or redact text or combine the scanned document with existing PDF files or Microsoft Word documents. 5. Scan to Network Folder using Forms Processing ecopy ShareScan lets you use zonal OCR to automatically add information in a paper document to a business application making it as easy making a photocopy. This powerful capability allows you to scan the form and capture information in certain zones within the form and leverage this information to route a document, index a document within a business system or to perform validation and retrieval of related information. This allows users to quickly extract information previously trapped on paper and make it accessible in a business process. This is an example of a basic workflow that uses zonal OCR to process a form. Click on the Process Purchase Orders Connector. The image and labels of the workflow can easily be configured to tailor what the user is shown. 9
10 5. Scan to Network Folder using Forms Processing (cont.) As in other workflows, ShareScan presents a preview of the document. ShareScan uses zonal OCR to capture data from the scanned document to be applied to the document workflow. This screen shot shows that the Total was outside of the confidence parameter notifying the user to confirm the value. The data extracted from the documents can be used to: route the document index the document within a business system perform database lookups to apply related information. By selecting the Preview button the user can validate the information captured and make corrections if needed. When the document owner is the person scanning the document at the MFP, he / she is also the best person to ensure that the data entered into the business system is correct and that the document is processed correctly. As with other workflows, ecopy ShareScan lets the user know that the workflow has been completed successfully. This workflow has been configured to automatically extract the information from the PO, route the document based on the vendor number and generate an XML file with the related values for the PO. 10
