3 Introduction The purpose of this document is to provide guidance to Ophthalmic Contractors receiving their Monthly Ophthalmic statements via . Currently, the statements are sent out once a month via post. This new process will not only save paper, but also means that statements will be available to view significantly sooner. Essex Contractor Services working for Anglian Community Enterprise (ACE) Community Interest Company currently supply Ophthalmic Payment Services across Essex on behalf of NHS England. Statements via are available to contractors who use both NHS.net accounts and normal accounts i.e. Hotmail, Sky etc. Since NHS.net s are fully encrypted, any statements sent to an NHS.net account will not be encrypted and will be available to view directly from the by double clicking the attachment. For those using a standard address, the file will be automatically encrypted with a password which will be available by contacting your local payments team at ACE. The same password will be used each month. The following document will show you how to download the decryption software required to view the statement (if sent to a non NHS Mail account) and how to decrypt the statements once you have received them. Pre-requisites Users must have: Computer running Microsoft XP or later. A valid UK address or access to an NHS mail account. Java Run Time Environment version 1.5 or greater. You can check your version by going to Press the Test the version of Java your browser is using button and follow the on-screen instructions. Adobe Acrobat PDF Reader Version 8 or greater. 4 Downloading the Decryption Software Note - This software is only required if your statements are being ed to a Non NHS.net account. Also, you will only have to do this in the first instance. Once you have completed downloading the software, for future statements you can skip to decrypting ed statements on page Click on the following link. You will be taken to ACE s Website and a file download box will automatically be displayed. Click Save 2. A Save As dialog box will be displayed and you will be asked where you would like to save the file. Click on desktop Page 4 of 11

5 3. Before Saving, the Save As dialog box should look like this: Desktop has been selected Once you are happy, click on save and the file will be saved as an icon to your desktop. It should look similar to this: Page 5 of 11

6 5. Now to check if the download was successful, double click on the Ophthalmic Encryption Utility icon above that has been saved to your desktop. The following Dialog box will open: If after double clicking the icon you can see the above the software has been installed correctly and is ready to use. Page 6 of 11

7 Decrypting ed Statements 1. If your statement has been sent to a Non NHS.net account, you will receive an containing the following information and attachment. 2. If you were to try and open the attached statement directly from the , it will look like this: This is the encrypted version of your statement. In order to view this as a.pdf, you must run it through the decryption software. Page 7 of 11

8 3. When you receive your statement, double click on the attachment and the following box will appear: 4. Click on save, the following window will be displayed. 5. Save the file to your PC desktop by clicking on desktop and then click on save. This will save the attachment to your desktop and will look like this: Page 8 of 11

9 6. Double click on shortcut for NHS Ophthalmic Encryption Utility 1.5.jar. The following will be displayed: 7. Ensure that the Decrypt tab is selected and then click on this folder icon. Once you have clicked on the folder, the following Open Window will pop up: This dialog box is asking you where you have saved your encrypted file. We saved it earlier to your desktop (page 8). Select desktop from the left hand side then single click on the encrypted file and click on open. Page 9 of 11

10 8. Once you have clicked on open, you will be returned to the Ophthalmic Encryption Software. It will now display your encrypted filename in the Encrypted file box: 9. Underneath the Encrypted file box, there is a box for Output Location. This will be the location that your file will be saved to once it has been decrypted. The location of where it will be saved will default to your desktop but can be changed by pressing the folder button. Select the location where you would like it saved if different to desktop (I will be using the desktop in this example) Page 10 of 11

11 10. When you are happy with where the file is going to be saved, type in the password for the encrypted file. This password is available by contacting your Payments team on The password will be kept the same each month If you would like the file to open as soon as it has be decrypted, make sure you tick this box. Once the password has been entered, click on Decrypt and your statement will be decrypted and will open in.pdf. If required, you can then save this.pdf file elsewhere should you need to. Once you have saved the file as a.pdf, you will not need to run it through the decryption software should you need to view it at a later date. Page 11 of 11
