1 Logging On 1. Switch your laptop on. 2. Enter your MIT user number and password. 3. Press Enter. Enter your MIT user name Enter your MIT password When logging on the first time, it will take a while to load your profile. Please be patient.
2 Initialisation of Internet Explorer 1. When logging on the first time, Internet Explorer (IE) will take a few minutes to initialise. 2. Please be patient.
3 Activate Password Reset Questions 1. When logging on the first time, the Activate password reset question screen will open automatically. 2. Answer the questions (minimum of three). 3. Click Next. Click the Next button. Enter the answers to your security questions.
4 Activate Password Reset Questions Continued 4. Enter the reason for making change. 5. Click Submit. 6. You will be notified that the request was submitted. Click the Submit button. Notification of submitted request will be displayed. Enter the reason you are making the change. Activate will be covered in a separate training session.
5 Your Local Windows 7 Desktop and Applications 1. You will be issued with a HP Ultrabook laptop. 2. This laptop will have Windows 7 as its operating system. 3. This laptop will have a normal desktop and hard drive (C: drive). 4. The following applications will be installed locally on your computer: Office Microsoft Lync Normal Windows features i.e. Paint, Snipping Tool etc.
6 Your Local Windows 7 File Management System 1. In order to access your folders and shared drives on your local desktop, open Windows Explorer. 2. The following drives will be available: C: Local disk. H: Home drive. J: Share drive (specialist) L: MedTech (specialist). S: Shared drive. V: Video. Y: Staff shared drive.
7 Storage Drives C: Drive H: Drive S: Drive Purpose: Hard drive installed on all HP laptops. Used for personal use and storage. Access: Only PC user has access to this drive. PC user may share hard drive if necessary. Control of Structure and Permissions: Structure determined by PC user. Capacity and Duration: Limited capacity see size of hard disc space available on computer. PC user will have access to this drive as long as he/she owns PC. ICTS will not be responsible for backing data on C: drives up or recovering data if hard drive is damaged. Content: Personal information and Windows default settings. Purpose: A store for personal documents, work in progress and research. Access: Individual staff members have access only to their own folders. No student access. Control of Structure and Permissions: Access provided to individual staff members only. Staff control their own folder structure. Capacity and Duration: Capacity limited for each individual user. Backed up daily. Content: Personal, confidential and incomplete work. Programme and course work and resources can be moved to the Y drive once completed. Purpose: For shared information and documents between faculty staff and students. Access: Staff initially have access only to their own folder. Students and other staff can request and be given access. Control of Structure and Permissions: Permissions and structure controlled by individual staff owner. Capacity and Duration: Capacity not limited for individual staff owners. Backed up daily. Contents archived after 18 months. Content: Documents, assessments, information that is shared. Can handle file sizes that cannot be shared on emit.
8 Storage Drives Continued V: Drive X: Drive Y: Drive Purpose: This is a temporary space allocated to teaching staff allowing them to record their teaching presentations onto. Access: Staff only. Control of Structure and Permissions: Structure and permissions controlled by the faculty. Capacity and Duration: This is a temporary location only (maximum of two days). Minimal space. Not backed up. Content: Allows for the temporary storage of recorded training sessions. Purpose: Exam drive. A secure computing environment without access to the MIT network or internet unless required. Access: Staff create a batch of accounts. Each account has a separate user ID and password to enable individual student access. Control of Structure and Permissions: Staff create student accounts (via automated batch process) and place files on the drive for student access. Capacity and Duration: Temporary access for duration of each event. Content: Tests, exams and assessments. Purpose: Long term store for documents required for institutional, faculty, programme and legislative purposes. Access: Staff belong to various groups dependent on their roles within the faculty. Group membership determines access to folders. No student access. Control of Structure and Permissions: Structure and permissions controlled by the faculty. Capacity and Duration: Capacity not limited. Backed up daily. Content: Includes all documents relating to the programme and course development and delivery, including course outlines, course descriptors, teaching materials, assessments and moderation.
9 Utilising the Citrix Receiver 1. In order to access any hosted application or a hosted desktop, you will need to open the application or desktop from the Citrix Receiver. 2. The Citrix Receiver will be pre-installed on your computer. 3. In order to open the Citrix Receiver, click on the Citrix Receiver icon on the Task bar or Start Bar. 4. Once clicked, the Citrix Receiver window will open. To search for a specific app, enter the app s name in here. To add favourite apps to your homepage, click the + to add the appropriate apps. This is your Citrix Favourite App homepage. All your favourite apps will be displayed here for easy access in future.
10 Add a Favourite App to the Citrix Receiver Home Page 1. To add a favourite app to the Citrix Receiver home page, click on the + icon on the home page. 2. The most commonly used apps will be displayed on the left hand side of the screen. 3. To find a different app, click the All Applications and scroll through the list until you find your desired app. 4. If you hover your cursor over the app, a short description will be displayed. 5. Click on the app once. It will be moved to the home page automatically.
11 Add a Favourite App to the Citrix Receiver Home Page Continued 1. To search for a specific app, enter the app s name in the search bar. 2. A list of potential apps will be displayed. 3. If you hover your cursor over the app, a short description will be displayed. 4. Click on the app once. It will be moved to the home page automatically.
12 Opening a Hosted Application 1. To open a hosted application, open the Citrix Receiver. 2. Click on the app you require. 3. The app will open as it would on your local desktop. 4. Continue to work in the app as required. 5. Save the file on the appropriate drive. 6. To close the app (and disconnect the Citrix session), click the Close button on the app. To close the app and session, click the Close button. The hosted app will appear on your Taskbar as a local app would.
13 Add a Virtual Desktop to the Citrix Receiver Home Page There are four hosted MTC desktops in the Citrix Receiver Storefront: MTC Desktop XA desktop with Office x. MTC Desktop VDI Win 7 special applications. MTC Desktop 2013 XA desktop with special applications and MS Office x. MTC Desktop HCC Win 7 with virtual disc for Health. It is important to note that users will only see those desktops appropriate to their role. 1. To add a desktop to your Citrix Receiver s homepage, enter the desktop s name in the search bar. 2. A list of potential options will be displayed. 3. If you hover your cursor over the desktop, a short description will be displayed. 4. Click on the desktop once. It will be moved to the home page automatically. The green tick indicates that the app/desktop has already been added to the home page.
14 Opening a Hosted Desktop 1. To open a hosted desktop, open the Citrix Receiver. 2. Click on the desktop you require. 3. The desktop view window will open and the appropriate desktop will connect. Desktop to be opened
15 Opening a Hosted Desktop Continued 1. The appropriate desktop will open in a NEW window. 2. All hosted apps for this specific desktop will be available on the desktop or in All Programmes list. 3. You can access all apps (loaded on this desktop) and functions as you would on your local desktop. The Xen Desktop Toolbar indicates you are working on a virtual desktop.
16 Xen App Desktop Toolbar This button will take you back to your local desktop. This button allows you to lock your virtual desktop. This button maximises/restores your virtual desktop screen. This button indicates that you are working on your virtual desktop (note the highlight). This button allows you to set your personal preferences with regards to the display, file access and the mic/webcam. This button disconnects your session. NOTE: it does not END the session entirely. NB When you want to end the virtual desktop session, you need to click on the Windows Start button and press Log off. If you do not follow this process, the Citrix server will keep your session active and open it each time you open another hosted application or desktop.
17 File Management on a Virtual Desktop 1. In order to access your folders and shared drives on a virtual desktop, follow the same procedure as you would on your local desktop. 2. It is however very important to note the following: While logged onto the network: The folder Documents points to your H:Drive. In order to save documents on your computer so that you can work with them off-line, save them as follows: Local Disk (C:) > Users > Name > My Documents OR right click on the file/folder and select Always available offline. This will synchronise this file/folder to your local Documents folder.
18 Printing at MIT Manukau To print a document at MIT Manukau: 1. Within the application, select File > Print. 2. Select the colour you desire black & white or colour. 3. Set the printer settings i.e. duplicate pages, staples etc. 4. Click Print. 5. Through the concept of follow me printing you can go to any Ricoh multi-function printer (MFP) and collect your printing. 6. When you get to the MFP, swipe your security card, enter your user name and password. 7. Select your desired job. 8. The document will print automatically. NOTE: You will only need to enter your user name and password the first time you print. Once your card is registered, your user name and card will be synchronised permanently.
19 Staff BYOD All staff s personal devices will be regarded as non-trusted BYOD devices. In order to make use of the VDI environment on such a device, follow the steps outlined below: Downloading the Citrix Receiver: 1. Connect to MIT Wireless. 2. Open the applicable device app store i.e. Apple Appstore or Playstore for Android. 3. Search for Citrix Receiver. 4. Download Citrix Receiver. 5. You will be prompted to create an account and requested to enter a URL. Enter 6. Log onto the Citrix Receiver using your MIT user name and password. When prompted to add the domain, enter manukauad Opening the MyApps URL: 1. Connect to MIT Wireless. 2. Open your desired browser. 3. Enter the following URL: 4. Follow the prompts and enter your MIT user name and password. 5. When the receiver comes up, you will notice two views one for applications and one for desktop. 6. Ensure you select the correct option. Please note: There may be some variances with the different devices if you require assistance, contact ICTS.
