1 Page 1 Queen's Drive Web Access - To access your networked files (Q: Drive) off-campus Most staff members are still on the Novell system for central file storage and should use Netstorage for remote access (Netstorage is the utility available from the My Files link in Queen s Online). Students use a Microsoft based central file storage system (files are stored on your Q: Drive/Queen s Drive). This document contains instructions for using Queens Drive Web Access to access files from off-campus, i.e. over the Internet. The system works on the principle that you create and work on a file locally on your own PC and then choose to upload the file to your Queens Drive (or you download a file from your Queens Drive, work on this copy locally then upload the amended version to your Queens Drive). Queen's Drive Web Access displays the QUB network files and folders that you are entitled to access. You can create new folders or copy, delete, rename, move, or download existing files or folders. Although Queen's Drive Web Access can be used on-campus, the objective is to provide off-campus access to your file storage. Logging In On the Queen s Online Home page click - this displays the login screen The username is your staff/student number and the password is Queen's Online password (ADS\ is not required).
2 Page 2 Your Queen s Drive is displayed showing your files and folders: Above the list of files and folders is the Main Toolbar. The buttons are for browsing Home to the top level of your folders, for creating new folders and for uploading files to your Queen's Drive. Upload a file or files Click in the Main Toolbar. This displays the Upload Files dialogue box: 1. Click Browse this will prompt your computer to present the dialogue box for locating your file(s). Locate the file and click OK or Open in the operating system dialogue box. To begin uploading the file click Upload. Be patient at this point as the time taken to upload the file will be determined by the size of the file and the upload speed provided by your ISP (Internet Service Provider).
3 Page 3 There is a limit on the size of file you can upload via Queen's Drive Web Access. The limit is 32 Megabytes. 2. When uploading a file to your Queen's Drive by default you will overwrite existing files with the same name. You will not be warned or prompted. The existing files with the same name cannot be recovered. You can avoid this by amending the file on your local PC before uploading the file. Individual Files and Folder actions To the right of the date and time associated with each file or folder are Action icons that allow you to download items, rename items, delete items and to move items to another folder. Hover the mouse over each of the icons to view their function. [The folder download icon will allow you to download a zipped version of the folder contents.] These actions are described below. Download a file by either clicking or clicking the file name. You will be presented with the normal Download dialogue for your operating system, It is important that you choose a location you normally use (e.g. My Documents) on your computer to save the file. Any changes made to files on your computer will NOT be automatically saved to your Queen's Drive. If you make changes and save your file you should upload it again to your Queen's Drive (taking care not to overwrite any existing versions). Rename a File/Folder by clicking to the right of the file date and time - this displays the Rename dialogue box. Type the new name for the file and click OK. Note: be careful not to inadvertently remove the filename extension (e.g..docx). If you rename the file and remove the file extension the file may become unusable until you add the extension again. Delete a File/Folder by clicking to the right of the file date and time. You will be asked to confirm that you want to permanently remove the file. The file will be permanently deleted and will not be recoverable.
4 Page 4 Move a File/Folder - locate the file you wish to move and click to the right of the file date and time. This displays confirmation that the file is copied ready to be moved. [You may wish to cancel this action: click Cancel in the notification box). Navigate to the folder where you would like to move the file to. Click Paste on the Queen's Drive Web Access toolbar (see below). Your file will be moved to the new folder. Advanced Options Click Advanced View at the top of the screen. This extends the toolbar to offer two new options, New Text File and Jotter. Click New Text File to create a plain text file. This displays a dialogue box prompting for name for the file and another box for typing your text. Click Save to save the text file to your Queen's Drive. Click Jotter to load a WYSIWYG editor allowing you to create formatted text. When back on-campus you can paste these notes into another application if necessary. The notes you make in the Jotter will be saved on your Queen's Drive in a file named jotter.html. When you are on-campus the jotter.html file can be viewed in a web browser. To amend your Jotter use Queen's Drive Web Access. When Advanced View is switched on, two extra icons are displayed beside each file: for anti-virus checking and below). for Sending Files to Queens Addresses (both described is for rudimentary anti-malware protection which you can use to scan suspicious files. The results of each virus scan will appear briefly in a notification bubble. If the scan returns 'OK' then no malware was found. If the virus scan returns a longer message describing the virus you should delete the file immediately.
5 Page 5 is for Sending Files to Queens Addresses: this action displays a dialogue box: Enter the Full Name of the recipient, the recipient's address and a description of the file you are sending. Clicking Send sends the file to the QUB Dropbox service (a Queen s service for sending large files). An will also be sent to the recipient providing instructions on how to download the file. Please note - If you need to send a file to a recipient outside of Queen s then download the file from your Queen's Drive to your computer. Access the QUB Dropbox service [ and log in to send the file. Only logged in users can send files to non-queen s recipients.
