3 3 4 Package Administration Administration Section The Package Administration page gives you access to all features and programs in your package. The 1&1 Control Panel Secure Online Management! With your account number and password you can access your personal secure customer area the 1&1 Control Panel at It is a simple, user-friendly interface which makes web hosting easy. With your Control Panel you can set up domains, addresses, and more all within a few mouse clicks. In the top section, you can log out of the Control Panel, by clicking on the Logout button. You are here. This is the path you took to get to the page you are on. Click on any of the pages before to return to them. Use the left navigation bar to access your domain or management, to set up your Exchange account or your Share- Point. Also access your applications, billing information, the order section, or downloads here. The bar at the top of the Control Panel includes a quickbar with coloured icons for the most popular applications, and an Order button where you can order additional services. Once you have chosen a menu item in the left navigation bar, use the overview tables to manage your Exchange or SharePoint Hosting package or choose your topic directly from the menu page. Getting Started The 1&1 Control Panel The 1&1 Control Panel provides you with a simple, user-friendly interface to configure and manage all the settings and options in your web hosting plan. You don t need extensive technical knowledge, just have fun. Step 1. Open your web browser and you can access the Control Panel through 1&1 s homepage by typing and clicking on Customer Login > 1&1 Control Panel. Alternatively, launch the Control Panel directly under Step 2. Enter your account number and the password you chose when ordering your package. Once you have added on a domain to your web hosting plan or if one is included in your package, you may also use the domain name and your password to log on to the Control Panel.

8 GETTING STARTED THE 1&1 CONTROL PANEL 9 9 Step 3. Each package is listed with the contract number and its status in separate sections on the My Account page. Click on the package you would like to work on, to bring you to the Package Administration page. Please note: By default, one free subdomain (e.g. s websitehome.co.uk) is included in each package. Step 4. On the Package Administration page, you can choose between the different menu items ( Domains, Exchange Hosting, Order, etc.) you would like to work on. We recommend you start by selecting Domains. Navigation Tip All menu items can be reached in two ways: Via the left navigation bar, or via the page menu items.

9 10 10 DOMAINS 2. Domains If you would like to set up your website on the Internet, with both individual content and appearance, then you will need a memorable web address. Add-On-a-Domain Process Order or transfer a domain with 1&1. Or point your domain to 1&1 name servers for domains with any top level domains (TLDs). Order a Domain Step 1. Click on Domains. In the overview table s toolbar, click on New. This will bring you to the Add-On-a- Domain process. Navigation Tip 1&1 offers a functional toolbar on the Domain Overview page. Click on its menu items as needed. If your browser is Javascript-enabled, you can choose each action directly by selecting the domain in question and clicking on the arrow beside the menu item. Step 2. To check if the domain name you want is still available, type it into the field labelled Domain name. A domain name contains both the name of your choice plus a top level domain (TLD) such as.co.uk,.com,.org,.net, or.info. For example, domain-of- your-choice.co.uk is valid while domain-of-your-choice is not. Click on Next.

10 DOMAINS Step 3. If the domain is not yet registered, you will be told it is available. Once you have read and accepted the Terms and Conditions, click on Next to continue the Add-On-a-Domain process. Step 4. Determine the registrant data for the new domain, thus choosing who shall appear in the WHOIS records as registrant and administrative contact. Use your own name with your 1&1 user details or that of any other person of your choice. This data can be updated at any time. Click on Next to continue. Step 5. Confirm the final details and click on Submit to complete your order. You can check the status of your domain under Domains.

11 12 12 DOMAINS Transfer a Domain You Already Have Step 1. Click on Domains. In the overview table s toolbar click on New. This will bring you to the Add-On-a- Domain process. Enter your domain name into the field labelled Domain name. Click on Next. The system recognises that the domain name is already registered and displays the current owner. Step 2. Choose the Transfer of Registrar to 1&1 option. Once you have read and accepted the Terms and Conditions, click on Next to continue the Add-Ona-Domain process. Step 3. Determine the new registrant data for the transferred domain, thus choosing who shall appear in the WHOIS records as registrant and administrative contact. Use your own name with your 1&1 user details or that of any other person of your choice. This data can be updated at any time. Click on Next to continue.

12 DOMAINS Step 4. Confirm the final details and click on Submit to complete your order. You will then receive an informing you of the next steps to take. Check the status of your domain transfer under Domains. At the bottom of the Domain Overview table refer to the section "Domain Transfer Status". Point Your Domain Name Server (DNS) to 1&1 Please note: By pointing your domain name server, your domain remains registered with your current registrar i.e., your current registrar will continue to charge you. Step 1. Click on Domains. In the overview table s toolbar, click on New. This will bring you to the Add-On-a- Domain process. Enter the domain name including the top level domain (TLD) and click on Next. The system will recognise that the domain is already registered and will provide you with the viable transfer options.

13 12 14 DOMAINS Step 2. Select the option "Point your domain to 1&1 name servers and keep your current registrar ". This way, the domain name will be recorded in our systems and you can use our mail system and web space for this domain. Click on Next to continue. Step 3. On the next page choose your mail servers. Double check the settings of your DNS pointing. If everything is correct, click on Submit. Then tell your current registrar to change the DNS entries accordingly so that your domain name points to 1&1 s domain name servers. IMPORTANT NOTE To make your pointed domain name fully operable with 1&1 services, ask your registrar to set up ONLY and EXACTLY the two 1&1 name servers specified in the Add-On-a- Domain process. If you have any other name servers set up or fail to use both name servers, the situation could result in misdirection of requests for your domain.

14 DOMAINS Basic Information on Pointing DNS to 1&1 Basic Information on Domain Contact Details (Reg-C, Admin-C, and Tech-C) After your current registrar has changed the name servers, it will take the information between 24 and 48 hours to propagate in the domain name system. In the meantime, we recommend uploading your website onto our web servers to avoid downtime. During the DNS pointing setup phase, we help you avoid the risk of losing s by checking the current settings ("mail server records") of your domain. You have the choice of switching directly to 1&1 mail servers or keeping your old mail servers until the new name servers have been distributed in the DNS. Once this has happened, we notify you per . To activate your newly set up addresses for the external domain name in the Control Panel, click on Domains and select the respective domain by ticking the box beside it. In the overview table s toolbar click on the DNS arrow to open the drop-down menu. Choose Edit DNS Settings. The DNS will need up to 48 hours to propagate the new mail servers. During this short interim period, you should check the accounts with both your old provider and 1&1. Finally, you can cancel your settings with the old provider and fully use your domain name with 1&1 Internet Ltd. without any loss of information! We also offer you the possibility of pointing your 1&1 domain to another provider if your web hoster supports this option. You can choose a different contact person for different aspects concerning a registered domain. In the registrant (reg-c, owner of the domain) section insert the contact information you are registering the domain for. In the administrative contact (admin-c) section insert the name of the person responsible for administrative (nontechnical) questions such as rights, changes of ownership, etc. Admin-c may be the same as or a representative of reg-c (see above). The tech-c is the technical contact person for all technical questions that deal with the registered domain. By default this is 1&1 as your provider, but you can change this information to any other person you like. To change one or more contacts for your domain name in the Control Panel, click on Domains and select the respective domain by ticking the box beside it. In the overview table s toolbar click on the Contact arrow to open the drop-down menu. Choose the contact detail to be changed. Advanced Domain Administration If you are an advanced user, you may want to fine tune your 1&1 package precisely to your needs. 1&1 offers you the possibility to point your DNS, your mail exchange (MX) records, or your IP address (A records) to an external web hoster, if the provider of your choice supports this option.

15 14 16 DOMAINS Domain Destination: Domain Name Forward (Exchange Hosting Package Only) Do you already have an established website, but would like to use your 1&1 domain name for it? Instead of creating a whole new website, simply forward your 1&1 domain name to the existing website! Step 1. Click on Domains. Tick the box beside the domain you would like to work on. In the overview table s toolbar click on the Destination arrow. From the drop-down menu which opens, select Edit Destination. Step 2. After selecting to forward your domain name, fill in the web address you would like visitors of your 1&1 domain name forwarded to, and a title which will be displayed in the browser s title bar. You may also enter Meta information in both the Meta description and the Meta keywords fields if you would like search engines to index your page. Click on Save.

16 DOMAINS GETTING STARTED Subdomains (Exchange Hosting Package Only) If you would like to clearly organise your domain for different parts of your business, different sections of your website, or various user groups, you can set up subdomains for your existing domain. Step 1. To create a new subdomain, click on Domains and select the respective domain by ticking the box beside it. In the overview table s toolbar click on the New arrow to open the drop-down menu. Choose Create a Subdomain. On the next page that shows, you will find a combined text field and a drop-down menu containing all domains included in your package. Step 2. In the text field enter any terms or names to suit your needs and choose an existing domain from the drop-down menu. Then click on Create. On the same page you will also find a list with all existing subdomains. If you would like to delete a subdomain, click on the Delete button beside it.

17 (SHAREPOINT TM ONLY) 3. (SharePoint TM Only) Under the menu item you will find your active addresses and the option to set up new addresses. To set up personalised, memorable addresses, add on a domain name to your package first (see 2. Domains). Step 1. Once you have a domain name set up, click on . In the overview table s toolbar click on New. Navigation Tip 1&1 offers a functional toolbar on the Overview page. Click on its menu items as needed. If your browser is Javascript-enabled, you can choose each action directly by selecting the address in question and clicking on the arrow beside the menu item. Step 2. Enter any names or terms to suit your needs in the text field in front of of your new address (e.g. your.name ). Next, choose the domain part from the drop-down menu. Select whether to create a mailbox or forward s sent to this address to another account. Click on Next. Catch-All Account: You can create an account which catches all s sent to your address s domain part. Place an asterisk in the local part, e.g. *@domain-ofyour-choice.co.uk to receive s sent to info@domain-of- your-choice.co.uk and name@domain-of-your-choice.co.uk, etc.

18 (SHAREPOINT TM ONLY) Step 3. Define up to three delivery targets to complete the setup of your address. Choose either to set up a mailbox or an forward as delivery target. Then, if needed, repeat the process to create up to three delivery targets. Setting Up a Mailbox After selecting Mailbox and clicking on Next, you will see a mailbox name and a field to type in your password. Repeat the password. Take a moment to write your password down on the form provided at the beginning of the Easy Setup Guide you will need it when configuring your mail program (see Set up Outlook Express with 1&1 Mailbox). 1&1 keeps your s in a mailbox until you collect them through your program. You may also choose to enable Virus Protection for your account. 1&1 and Symantec Corp. work together to bring you a comprehensive Virus Protection to enable it, choose the radio button On. To order additional Virus Protection modules, click on the Order button in the top right-hand corner of the Control Panel. If needed, proceed to define a second and a third target.

19 (SHAREPOINT TM ONLY) Setting Up an Forward After selecting Forward, you need to define a forwarding destination for it, so that an incoming will immediately be passed on to an existing address. Fill in the address you would like your s forwarded to. If needed, proceed to define a second and a third target destination. Step 4. Review the settings for your new account and then click on Save. The address will be activated in a few minutes. Please note: retrieval via WebMail or local mail programs will only work once the account has been activated. Step 5. For further settings, like the auto-responder, click on and select the respective address by ticking the box beside it. In the overview table s toolbar click on the Settings arrow to open the drop-down menu. Choose Auto-responder to make the required changes. The auto-responder automatically responds to s sent to the address. For example, use it for sending out-of-office message replies when you are on holiday.

20 (SHAREPOINT TM ONLY) Set up Outlook Express with a 1&1 Mailbox To retrieve your s from your 1&1 mailbox and to send s from your account, use a local program like Outlook Express. Step 1. Open Outlook Express. From the menu bar of the program, choose Tools > Accounts. Click on Add and select Mail from the list that opens. In the panel that now appears, enter your name or the name you would like to appear in the From field. Then click on Next and enter the exact address you have just created (e.g. your.name@domain-of-your-choice.co.uk). Click on Next. Step 2. From the next window, choose the option POP3 to set up a POP3 mailbox account: Enter the following data: Incoming mail server: pop.1and1.co.uk Outgoing mail server: auth.smtp.1and1.co.uk Click on Next. In the following window, use the password and mailbox name you wrote down when setting up the account in the 1&1 Control Panel. Click on Next and then on Finish.

21 (SHAREPOINT TM ONLY) Step 3. Configure your account for the SMTP-Auth feature, to ensure that all s sent from your SharePoint Hosting account will be accepted. Go back into the Tool menu item. Click on Accounts > Mails > Properties > Servers and select Server requires authentication. Under Settings select the option Use same settings as my incoming mail server in the Log on Information panel. Finally, click on Apply. 1&1 WebMail Use 1&1 WebMail to read and send s using any web browser. 1&1 WebMail provides the functionality of a full program at all times. Step 1. Begin by opening a web browser, for example Internet Explorer, and enter in the address bar. Or reach 1&1 WebMail under in the left navigation bar in the Control Panel. Go to and in the Overview table in the column Targets click on the Mailbox of the address you like to access.

22 (SHAREPOINT TM ONLY) Step 2. If you log in using a domain name and your 1&1 password, you will see an overview of all your mailboxes. To access only one account, log in with that address and its password. In the selected account, you can change your password, create or change your signature, and have full access to your WebMail address book. 1&1 WebMail communication is protected by SSL-encryption. Please note: Only mailbox account addresses can be accessed through WebMail, while forwarded addresses cannot.

23 &1 EXCHANGE HOSTING (OUTLOOK 2003, OWA) 4. 1&1 Exchange Hosting (Outlook 2003, OWA) Your Exchange Hosting package comprises Exchange account storage space and Outlook Plus, you can access your using the web-mail component Outlook Web Access (OWA). Enjoy efficient groupware functionality at its best! Configuring Your Exchange Account in the 1&1 Control Panel Step 1. Log in to the Control Panel with the account number and password you received from 1&1. On the "My Account" page click on your Exchange Hosting package to bring you to the Package Administration. Next, choose MS Exchange Account. Step 2. In the MS Exchange Account Overview, click on the Set Up button beside the user name entry e<nine digit number>. Please note: Once you have set up your Exchange account, you can edit its settings at any time. On the Exchange Account Overview page, beside the respective Exchange account, click on Edit and make your changes.

24 1&1 EXCHANGE HOSTING (OUTLOOK 2003, OWA) Step 3. On the next page, choose whether to create a new or to use an existing sender address with your Exchange account user name. Please note: The sender address will appear in the From field of all your s. If you do not specify your sender address, recipients will see e<8 digit number>@exchange.1and1.co.uk as sender address of your messages. Creating a New Sender Address For a new sender address, enter any names or terms to suit your needs in the text field in front of the "@" labelled "Local part". Next, choose the domain from the drop-down menu. Finally, determine a password for your address. The password should be 6-8 characters long. Please note: You can only create one address per Exchange account. To have additional accounts, go to Order in the left navigation bar and order additional Exchange Hosting packages. By default, you can create an address with the subdomain included in your Exchange Hosting package. If you would like to create a personalised address, please add a domain to your package first (see 2. Domains).

25 6 26 1&1 EXCHANGE HOSTING (OUTLOOK 2003, OWA) Using an Existing Sender Address To use an existing sender address (e.g. registered with a web mail service), enter your address in the text field " address". In the field "Exchange account password" enter any password of your choice. It should be 6-8 characters long. Next, check the address s mailbox you have entered for a 1&1 activation . In this you will be provided with an activation code. Make a note of it. Return to the MS Exchange Account Overview in the 1&1 Control Panel. Click on the Activate button beside the address you have set up and insert the activation code. Please note: It is possible to send and receive s via your address using the Exchange account. To do this, please make sure to redirect your address to your Exchange account. Use your provider s forward option and enter your Exchange account as target (e.g. e<8 digit number>@exchange.1and1.co.uk) to forward your current address to your new 1&1 Exchange account.

26 1&1 EXCHANGE HOSTING (OUTLOOK 2003, OWA) 7 27 Step 4. (Optional) After you are finished setting up your Exchange account, you can order the Microsoft Outlook 2003 Software CD. The full-version software is part of your Exchange Hosting package (you pay only for shipping and handling). You can use Outlook 2003 as local program to access your Exchange Hosting account. Step 5. (Optional) From the Exchange Account Overview you can click on Outlook Web Access to log on to your Exchange account via your browser. Alternatively go to and log in to Outlook Web Access (OWA).

27 6 28 1&1 EXCHANGE HOSTING (OUTLOOK 2003, OWA) Setting Up Your Exchange Account with Outlook 2003 When setting up your Exchange account, as part of your package, you can request a copy of the client Outlook 2003 on CD. Install Outlook and set up your Exchange account with it to enjoy full Exchange functionality. Please note: The following setup procedure applies for Windows XP with Service Pack 1 and Outlook 2003 only. With Service Pack 2 you will not need to install the hotfix. If you use a different operating system and/or an older version of Outlook, please consult our FAQs or contact support. Step 1. Open your Internet browser (e.g. Internet Explorer) and go to Log in using your Exchange account s user name and password to bring you to your Exchange Account s Profile Setup page. You will find this access data in the 1&1 Control Panel under Exchange Account. Click on Details. Step 2. Follow the link supplied on your Exchange Account s Profile Setup page to download the current hotfix. Download the hotfix to your local computer. Install it by double-clicking on it and following the instructions.

28 1&1 EXCHANGE HOSTING (OUTLOOK 2003, OWA) 7 29 Step 3. Once the hotfix has been installed, make sure that your Outlook client is closed. Return to your account s Profile Setup page and download your personal "Outlook profile" (PRF file), which is a configuration file for Outlook Open the downloaded PRF file by double-clicking on it. In the dialog window that pops up, click on Yes to import the information for your new Outlook account. In the Connect dialog box which appears, enter your Exchange account s user name and password. The user name must be preceded by "EXCHANGE\". This will open your Outlook client with your Exchange account. After you have successfully logged in for the first time, the Exchange server synchronises with your Outlook application. Subsequent logins will be considerably faster since only new data is synchronised. Please note: If you would like to set up multiple profiles, simply repeat Step 3 for each profile. Alternatives for Users with Different Systems Of course you can connect to the Exchange server in other ways as well if needed. Remember, though, that full featured Exchange account functionality is only possible with the combination of Windows XP, Outlook 2003, and the hotfix supplied. IMAP Server: imap.exchange.1and1.co.uk POP Server: pop.exchange.1and1.co.uk SMTP Server: smtp.exchange.1and1.co.uk (requires authentication) With any of these servers it is possible to use Secure Socket Layer (SSL) to connect. 29 6 30 1&1 EXCHANGE HOSTING (OUTLOOK 2003, OWA) Using Outlook Web Access (OWA) Outlook Web Access (OWA) is a convenient Exchange web-mail component for you to access your Exchange account from anywhere that you have Internet access. OWA has a similar look and feel as Outlook, so you will find it easy to use (see next section for more information on using Outlook ). OWA informs you at a glance whether you have received any new s or have new appointments, tasks or meetings. A folder view is available, enabling you to copy s into subfolders, which you may then access via your wireless device. In addition, or parallel to using OWA, you can use the Outlook 2003 client on your local computer to enjoy full Exchange Server functionality via MAPI over HTTP. For more information on the system requirements see the section above. Alternatively, you can download your messages from your Exchange account using POP3 (pop.exchange.1and1.co.uk) and SMTP (smtp.exchange.1and1.co.uk) with any application. IMAP users can use IMAP (imap.exchange.1and1.co.uk and smtp.exchange.1and1.co.uk for SMTP), since these are full-fledged Exchange accounts. Using Microsoft Exchange Group Functions To use the full range of group functions which Exchange Hosting offers, such as shared access to contacts, allowing other users to access your s and calendar entries, etc., you need to have several Microsoft Exchange accounts. You may order additional Microsoft Exchange Hosting packages through your 1&1 Control Panel at any time. When ordering multiple Exchange accounts for the same 1&1 package (all under one Contract number), each account can be networked, allowing your team full collaboration.

30 1&1 EXCHANGE HOSTING (OUTLOOK 2003, OWA) GETTING STARTED 7 31 Using Your Outlook Client or Outlook Web Access To enjoy the full range of functionality included in your Exchange Hosting package, you can use both Outlook and Outlook Web Access (OWA). Both are included in your package and work similarly. Creating Messages Step 1. In the left Navigation Pane, click on Mail. On the top navigation bar, click on the New button. Step 2. In the empty message window that opens, enter recipient names in the To:, Cc:, or Bcc: fields. Separate multiple names with a semicolon. To select recipient names from a list in the Address Book, click on the To or Cc button. Fill in all the text fields you need. In the Subject: field, type in the subject of the message, and in the message body field, type in your message.

Click on Options in the top navigation bar to define the importance level, deadline, delivery delay, etc. Click on Send to send out the message. Please note: If your profile contains more than one account, mail is sent using your default mail account. To specify which account to use, click on Accounts, and then click on the account name. Outlook Calendar: Scheduling Appointments or Meetings The Outlook Calendar schedule component is fully integrated with , contacts, and other features. View a day, week, or month and enter appointments or meetings as needed. Step 1. In the left Navigation Pane click on Calendar. Choose the optimal view (daily, weekly, monthly) from the top navigation bar. Click on the day that you want to create an appointment on, and write your note directly in the calendar.

32 1&1 EXCHANGE HOSTING (OUTLOOK 2003, OWA) 7 33 Step 2. For a detailed appointment, double click on the required time slot. An Appointment dialog window opens. Enter the details of the appointment to be scheduled. In the Subject field, type the subject of the appointment. You have the options to determine a Location, Label the appointment, define a Start and End time, and set a Reminder. Use the subsequent text field for additional information. Choose the Contacts of your address book involved in the appointment. Finally, if needed select a Category for the appointment. Step 3. (Optional) In order to schedule a Meeting request or change the appointment to a Meeting request, go to File > New > Meeting Request. This will open or change the current dialog window to a Meeting dialog window. Click on To to open your address book and select contacts to be invited. Notices will be sent to all invitees by .

33 34 6 1&1 EXCHANGE HOSTING (OUTLOOK 2003, OWA) Step 4. When finished, click on Save and Close in the top navigation bar. If you scheduled a meeting, click on Send instead. Open your Calendar in the left Navigation Pane: you will see that the appointment has been added. Please note: If you have access to a Windows SharePoint Services site, you can view the event lists from that site in your Outlook Calendar. These items will be kept up-to-date and can be viewed side-by-side with other personal or shared calendars. Outlook Contacts The Contacts folder is your address book as well as your personal or business contact information storage. Use the Contacts folder to generate meeting requests, messages, or task requests. Creating Contacts Step 1. In the left Navigation Pane click on Contacts.On the top navigation bar, click on the New button.

If you would like to enter additional information (e.g. title), click on the button Full Name to open a detailed dialog window. Step 3. Fill in the contact information in the text fields provided. To enter for example multiple mailing or addresses in a field, click the down arrow next to the field. When entering multiple addresses, establish which address is used during mail merge: select it using the Mailing address check box. Click on Save and Close to save the new contact.

35 36 6 1&1 EXCHANGE HOSTING (OUTLOOK 2003, OWA) Create a Contact in a Public Folder Click on Go > Folder List. Next click Public Folders in the left Navigation Pane and select the folder you would like to use. From the top menu bar select the File menu item, and choose New > Contact. Then follow the Steps 2-4 above to enter your contact. Create a Contact from an Message Open or preview the message that contains the name you want to add to your contact list. Right click on the name of the sender to add to your contacts, and choose "Add to Contacts" from the menu which opens. Create a Task Step 1. In the left Navigation Pane click on Tasks and choose the optimal view (Simple List, Detailed List, Active Tasks, etc.). Click in the empty text field displayed in the task list and write your note directly in it.

For a more detailed task definition, double click on the table row (or on the respective part of the view) in which you want to enter a new task. This will open an Task dialog window. Step 3. Enter the general information and details of the task to be scheduled. In the Subject field, type in the subject of the task. Determine both start and due dates, the status, the priority, and the owner of the task. Use the text field underneath for additional comments or notes. Fill in any other text fields on the Task and Details tabs for the information you want to record for the task. Step 4. (Optional) To define the task as recurring, in the top navigation bar, click on Recurrence. Choose the frequency (Daily, Weekly, Monthly, Yearly) and the range in which you want the task to recur (setting start and end dates).

37 38 6 1&1 EXCHANGE HOSTING (OUTLOOK 2003, OWA) Step 5. When finished, click on Save and Close in the top navigation bar. Open your tasks list by clicking on Tasks in the left Navigation Pane: you will see that the new task has been added. Public Folders Public folders are a feature of Microsoft Exchange Server that provides an effective way to collect, organise, and share information with others in your organisation. Public folders can contain any type of Outlook folder item such as messages, appointments, contacts, tasks, journal entries, notes, forms, files, and postings. Typically, public folders are used by project teams or user groups to share information on a common area of interest. When you are connected to your Exchange server, folders labelled "Public Folders" appear in the Microsoft Outlook Folder List. Please note: If the Folder List is not visible on the top navigation bar click on the Go menu item, and choose Folder List from the menu. The Folder List will then be displayed in the left Navigation Pane. Things you can do with public folders include: Post information on an electronic bulletin board Share Outlook items in a calendar, contact list, or task list Share files Determine folder access through permissions

38 1&1 EXCHANGE HOSTING (OUTLOOK 2003, OWA) 7 39 Data Synchronisation with ActiveSync The program ActiveSync enables you to synchronise your data between your Exchange account via your local Outlook client and your wireless service a useful application for travellers and mobile workers. System Requirements Pocket PC 2002 (or Pocket PC Phone Edition) or Smart Phone 2002 (or a more recent version). Usually, a copy of ActiveSync is delivered on CD together with your wireless device. ActiveSync is also integrated in the Exchange Server We recommend that you also install ActiveSync on your local computer to facilitate server synchronisation configuration. You can find out more or download ActiveSync at Setting Up ActiveSync Step 1. Connect your wireless device to the computer with ActiveSync installed. ActiveSync starts automatically when the two devices are connected. After a brief wait, the "New Partnership" dialog window appears. Choose which kind of partnership you would like to set up, and click on Next.

39 40 1&1 EXCHANGE HOSTING (OUTLOOK 2003, OWA) Step 2. As synchronization type, choose "Synchronise with Microsoft Exchange Server and/or this desktop computer", and click on Next. Step 3. This will bring you to the "Enable synchronization with a server" page. Enter the server name "exchange.1and1.co.uk", your user name and password and the domain "EXCHANGE". If you do not like having to reenter the password each time you would like to sync your data with the Exchange Server, tick the "Save Password" box. Click on Next to continue the setup process.

40 1&1 EXCHANGE HOSTING (OUTLOOK 2003, OWA) 41 Step 4. On the following page, choose the information you want to synchronise directly with the server (calendar, contacts, ). If you have chosen to sync your Inbox, click on Inbox in the list to select it. Next click on Settings to determine the inbox settings according to your needs. Set the maximum size of s that can be transferred. We recommend that you restrict the maximum size allowed per . You can still choose which s you would like to have transferred fully, after the synchronisation has been completed. Click on Select Folders to define which folders to use when synchronising with the server. When finished with your settings, click on OK. Step 5. Return to the selection list, and click on Next.

41 42 6 1&1 EXCHANGE HOSTING (OUTLOOK 2003, OWA) Step 6. Connect your wireless device to the Internet, for example via a wireless connection such as GPRS. Click on the Sync button to initiate the synchronisation process. ActiveSync synchronises the information you have chosen. Once the synchronisation is finished, you may disconnect your wireless device from the local computer. Step 7. Now start the ActiveSync application on your wireless device. Step 8. Click on the Sync button to initiate the synchronisation process. You can now look at the data which has been synced in your inbox, calendar or contacts. Please note: For direct synchronisation of your s, you can also sync from the inbox using the Send/Receive menu item.

42 1&1 SHAREPOINT WEBHOSTING &1 SharePoint TM Web Hosting New or external domains you add to your package will automatically point to your SharePoint web. You can also transfer domains to a different registrar or point domains to a different name server. Please note: Domains added to the package are automatically pointed to your SharePoint web. To use a domain for another purpose, order a separate package with the features needed. Accessing Your SharePoint Web through the 1&1 Control Panel When logged on to the 1&1 Control Panel, click on SharePoint in the left navigation bar or in the Package Administration menu. This will bring you to the "SharePoint Login Details" page. This page provides you with a link to your SharePoint web and all the necessary login information. Please note: As the master user of your Share- Point web, you will find your password in the Control Panel. Do not give this password to anyone! Once you have used it to log in to SharePoint, you can create users there with their own unique passwords (see this Chapter below). To change your master password, click on Change Password. Your master user name cannot be changed.

43 &1 SHAREPOINT WEBHOSTING SharePoint TM Reset You may want to reset your SharePoint web, for example if you used it for a temporary project which has been finished and you would like to reuse SharePoint for a new project. Step 1. When logged on to the 1&1 Control Panel, go to Package Administration > SharePoint. Step 2. In the section "SharePoint Reset" click on Next. On the next page you will be asked to confirm the action by clicking on Reset. If you are sure you would like to do this, choose Reset. WARNING: RESET WILL DELETE THE ENTIRE CUR- RENT SHAREPOINT WEB. ALL DATA WILL BE ERASED. MAKE SURE TO HAVE BACKUPS OF THE CONTENT YOU WISH TO KEEP BEFORE DOING A RESET.

44 1&1 SHAREPOINT WEBHOSTING Using SharePoint TM SharePoint 2.0 provides an easy-to-use alternative to a full-fledged Intranet. Your team can communicate, share documents, and work together on a project via Internet independent of time, place and work space. Documents and Lists The members of your team can use SharePoint to add information, such as events, names and phone numbers of your team s contacts, and to-do items. As documents, lists, discussions, and surveys (decision-making) are added, edited or deleted, SharePoint automatically updates all links to the content. Libraries Document, picture, and form libraries are shared file collections. A library appears on a page that lists each file and its properties, as well as providing a hyperlink to the file. The default document library is "Shared Documents".

45 &1 SHAREPOINT WEB HOSTING Lists SharePoint offers a range of predefined built-in lists (e.g. Announcements, Contacts, Events, Links, and Tasks) which can be customised, as well as the possibility to design new custom lists. Announcements List: Post information for the team. Contacts List: Store address information of people who work with your team. Events List: Post important dates. Links List: Display hyperlinks to websites of interest to team members. Tasks List: List the tasks for team members. Please note: If you have a SharePoint compatible spreadsheet program, such as Excel 2002, and Internet Explorer 5 or later installed, you can create lists that are based on spreadsheets. Creating New Lists (Example: Custom List) To create a new custom list, go to Create and in the section "Custom Lists" click on Custom List. This will bring you to the "New List" page, where you can determine a list name and description. When finished, click on OK. The new custom list will be created.

46 1&1 SHAREPOINT WEBHOSTING Entering New Contacts On the top link bar, click on Documents and Lists. In the Lists section, click on Contacts. Alternatively, on your home page click on Contacts on the left quick bar. At the top of the list, click on New Item. In the "Last Name" and "First Name" text fields, type the name of the contact. The field for last name is mandatory. Type information in the remaining text fields as desired. Click on Save and Close to return to the Contacts page. Please note: To customise your contact fields, in the left navigation bar click on Modify settings and columns and make the necessary changes.

47 &1 SHAREPOINT WEB HOSTING Discussion Boards Use Discussion boards to communicate about relevant project issues within the team. Team members can post and reply to comments instead of ing. The default discussion board is "General Discussion". Surveys To propel the decision-making process throughout your team, you can create surveys on important topics concerning the project(s) you work on. Share- Point does not include a default survey, but if needed, you can easily create your own.

48 1&1 SHAREPOINT WEBHOSTING Create Set up and include additional document, picture or form libraries, lists, custom lists, discussion boards or surveys according to your needs. You can find a collection of templates and pre-defined lists in Share- Point s top bar under the menu item Create. Please note: To be able to use the full functionality of pre-defined lists, you require the respective Microsoft Office application. Site Settings Administration To manage users and user rights, configure sites, or create work spaces, go to Site Settings. In the section Administration you can determine the optimal settings for working with your team in the SharePoint web. As package owner, you are the master user and can add new users, determine their rights and invite them to your SharePoint web by . Under Site Settings in the section Administration choose Manage Users.

49 &1 SHAREPOINT WEB HOSTING Customisation Customise the SharePoint content according to your needs. Restrict the information on the SharePoint to display only what is relevant for you and hide the rest. Sort the information listed according to importance. Finally, you can create a customised view so all team members can focus on the relevant information quickly. If needed, the SharePoint site can be edited in a Windows SharePoint compatible website editor (e.g. Microsoft FrontPage 2003) and the content, format, and layout can be customised. Customising Your Homepage Go to Site Settings. In the section Customization choose Customise home page. The blue column on the right side lists all the components currently displayed in your homepage. Click on any components to be changed and drag and drop them to the desired place. Once the changes are saved, your homepage s layout is adapted. Manage My Information To view or update the stored information about you, or to manage the list of documents or other items in this site for which you receive alerts, go to Site Settings. In the section "Manage My Information" choose whether to update your information, your alerts, or to view information about site users.
