1 BYOD Program 2015 BYOD Student Agreement/Acceptable Use Policy/Online Services Policy The student and parent/guardian must carefully read the above contract before signing it. Any questions should be addressed to the school and clarification obtained before the Agreement is signed. In signing below I acknowledge that: I accept all policies and guidelines as per the BYOD Student Agreement/Policy and relevant School Policies The device meets the minimum technical specification as stated by the School If the IT Office cannot re image the laptop/tablet due to hardware/software incompatibilities, you will need to provide another laptop/tablet or purchase a school laptop/tablet via the EduNet Parent portal package The Vendor Specific Tablet must meet the minimum technical specification stated above I understand my responsibilities regarding the use of the Vendor Specific Tablet and the internet (both at home and school) I understand my responsibilities regarding the use of the laptop and the internet (both at home and school) I understand and accept all of the conditions detailed in the BYOD Student Agreement I understand school and technology policies may be updated or modified from time to time and that it is my responsibility to ensure I am aware of any changes; and I understand that any failure to comply with the BYOD Student Agreement, my BYOD device will be permanently removed from the program Maintenance and cost of repairs under warranty is solely the parent/guardian s responsibility The college is not liable in any case if the device is damaged or stolen whilst at school Backing up of data/school work off the laptop is the sole responsibility of the student. The school provides a private storage folder for students to back up work whilst at school

2 Imaging of BYOD Laptop: Before your child s laptop can be connected to the School ICT Network, the BYOD laptop will need to be re imaged to Department of Education Microsoft Windows 7 DEECD edustar or Microsoft Windows 8 DEECD edustar image (laptop must be compatible with Windows 7, 8.0) PLEASE NOTE: The re imaging process wipes/deletes all the old programs from the laptop and nothing will be backed up. Backing up before this process is the sole responsibility of the parent/guardian. BYO Tablet: Before your child s tablet can be connected to the School ICT Network, the BYOD tablet will need to meet the school s specifications. The tablet will then be assessed to see if it can join the School s BYO Wireless Network. Once connected, the tablet will have an MDM (Mobile Device Management Client) installed on the device so the school can see what the device is and also give access to certain network resources such as the internet, Compass and s. Please Note: Lowanna College is in no way responsible for the back up or restoration of data. Parent/Guardians are responsible for their own restoration of the original operating system I give consent to my child to access the Lowanna College ICT Network I give consent to the following being made available on our Online Services Agreement: Authorise permission for your child and parent/guardian to access the Compass School manager and Google Apps for Education. Allow personal information to be uploaded to these services as specified in this agreement, including the data being stored outside of Victoria. 3 Online Services Agreement 2015 In 2015, Lowanna College will be using two applications that will be hosted online; Compass School Manager and Google Apps for Education. To comply with the Department of Education and Early Childhood Development (DEECD) Online Services policies and legal requirements, we must disclose all details of where, how, what and why the data will be stored on these applications. Compass School Manager Google Apps for Education Privacy Policy Link What does the online service provide? Who is the Service Provider? What personal information of individuals will the school use and disclose to the service provider? This is the Online Learning Management System used by Lowanna College. This system provides Attendance, Wellbeing, Room Resource Booking and Parent Portal access. JDLF International Pty Ltd Students: Full name Contact information including: address, phone and . Wellbeing data Medical information Attendance information Report information Network user account information Central online storage and collaboration service for staff and students of the college. accounts also using Google Apps for Education. Google Students (Only): Full name Year level address Learning data Curriculum data Parents: Full name Contact information including address, phone and . Parent Portal username and password information. How will the school use the personal information of individuals? Students: All data listed below will only be accessed by relevant staff members; Full name and contact information: Made available so staff are able to contact relevant parties for various issues. Wellbeing data: Tracking student wellbeing information to follow up on this effectively. Medical information: Alerts staff to issues who are then able to take necessary actions in regards to medical incidents. Attendance information: Staff will mark student data and ensure that students are meeting college attendance requirements. Students (Only): Personal data: Students personal drives will be hosted on the Google Docs Drive (similar to a Dropbox setup). Student work: Any student work completed in Google Apps will be hosted on Google Apps. Curriculum data: Any curriculum and assessment tasks might be hosted on Google Apps Assessment data: Staff from time totime will complete spreadsheets with student results on them. These will be secured down so only staff have access.

4 Report information: Reports will be uploaded to the site for parent/guardian access. Network User information: Allows students to access the Compass School Manager. Parents: All data listed below will only be accessed by relevant staff members; Full name and contact information: Made available so staff are able to contact relevant parties for various issues. Parent Portal username and password information: Used to access the Parent Portal on Compass School Manager. Where will the service provider store the personal information disclosed to it? Various locations around Metropolitan Melbourne, Australia. This is also hosted within the DEECD Vicsmart Network. Storage locations for Google Apps for Education are: United States Australia Sydney What school policies apply to the use of these online services? As per this policy and the school policies for: Computer use/internet use; and Using mobile technologies Will the school be able to access and retrieve all content including messages or other communications from the online services? How will the service provider use personal information of individuals that is collected from the school? Who will be able to see the content and work? Whilst students own copyright in the work they produce, who will have rights to reproduce and/or use the works? Both applications will have tools installed and service teams which will allow the college to adequately track usage on these services. Compass School Manager does not share any information unless they have strict consent from Lowanna College. The college will not share any data without the strict written consent of the parent and guardians of the concerned children. Data is not mined for educational purposes and the ownership remains the property of Lowanna College. Users will be need to be registered users of the Lowanna College ICT Network. Access to technical materials will be required at times by both vendors. These vendors require strict permission before viewing any of the data. User permissions will be determined by the college ICT Manager and College Leadership team. Both services state that the data remains the property of Lowanna College, meaning the college solely reserves to the right to decide this. Written consent from a parent or guardian will be required before allowing any data to go outside the college.

5 BYOD Specifications If you decide to choose the BYOD option, please consider the following; The device needs to meet the minimum technical specifications Minimum Hardware Specifications Form Factor Type: Laptop Physical Screen Dimensions Minimum screen size: 11.6 The laptop will be reimaged (formatted) to the Department of Education Microsoft Windows 8 DEECD edustar image (laptop must be compatible with Operating System Windows 8.0) (Apple Mac and Chromebooks not accepted) CPU Processor Minimum: Celeron/Dual Core 1.5 Ghz Memory 4GB Ram 1000 T/Gigabit Ethernet Network/Wireless Compatibility Wireless Integrated Card abgn, agn, ac or Gigabit Wireless Battery Life Advertised battery life of at least six hours Essentials Webcam * If you choose this option, the Lowanna College IT Team will have to approve the laptop before it can be used at school. Software: The school will wipe your laptop and install the DEECD edustar image on the laptop. The laptop will be managed and controlled by Lowanna College. The Parent/Student will not be administrators of their laptops (this is so we can have a managed Standard Operating Environment (SOE). Form Factor Type: Vendor Based Tablet Apple ipad/air ios 7 and above Samsung Galaxy Tablet Tablet Android 4.2 or latest update (Non jailbroken) Physical Screen Dimensions Minimum screen size: 9.7 to 10.5 Operating System Network/Wireless Compatibility Battery Life Essentials This needs to be the proprietary Apple ios or Samsung Android operating system Wireless Integrated Card abgn, agn, ac or Gigabit Wireless Advertised battery life of at least six hours Webcam Warranty You will need to think about what warranty your laptop/tablet will have. Lowanna College is in no way responsible for the warranties. Repairs What would the repair time be under the warranty? Who will fix the laptop/tablet and do you have to send it away to be fixed? Lowanna College is in no way responsible for the repairs. Insurance/Accidental damage cover What insurance cover do you have? Is your insurance able to be used at the school? Lowanna College is in no way responsible for any insurances. The school does not own the device, support the device or warranty the device. The school cannot licence your BYOD laptop/tablet with the School Purchased Software. If you are concerned the device is going to be broken, lost or stolen, you may wish to consider specific accidental loss and breakage insurance for the device. You can specifically list the item on your home contents insurance, or you can purchase an Accidental Damage Protection plan for your device. If you are purchasing a new laptop, please take this page in to the store to show the minimum technical specifications required.

6 Acceptable Use Policy 1. Cost of Participation The Device will be owned by the Parent/Student. Guidelines for Participation Parents will need to sign the BYOD Program Agreement Form agreeing to the terms and conditions of the program if they wish to participate in the BYOD program Each laptop will be imaged with the Department of Education s school image (the laptop will be wiped/formatted) Each device will have to be checked by the Lowanna College IT Department to make sure it meets the technical specifications required Students will be given a further induction to ensure that they are familiar with their roles/responsibilities by Lowanna s IT Team The laptop/tablet must be available for use at school each day The laptop/tablet must be fully charged every night ready or the next school day 2. Insurance and Warranty (Lowanna College is not responsible) Maintenance and cost of repairs under warranty is solely the parent/guardian s responsibility The College is not liable in any case if the laptop/tablet is damaged or stolen whilst at school The College will provide technical support and an online helpdesk facility where technical problems (that do not include home internet access) can be logged. The ICT Centre and is staffed before school, at recess and lunch breaks, and after school until 4pm to assist students with technical issues Students will have access to use a laptop or desktop in the college library between the hours of pm Monday to Friday 3. Standards for laptop/tablet care The student is responsible for: Taking care of their BYOD laptop/tablet in accordance with school guidelines Adhering to the Acceptable Use policy Backing up data securely to the private folder (which is provided by the school) or cloud drive (videos and music should not be stored on the private folder) Laptops/tablets must be maintained in a clean and hygienic manner. This will ensure its good working order. 4. Acceptable computer and internet use The students will adhere to the guidelines outlined in this Acceptable Use Policy on: Acceptable use Cyber bullying E crime

Access and security Students will: Not disable settings for virus protection, spam and filtering Ensure that online communication through the internet is related to learning Keep passwords confidential and change them promptly when known by another person Use passwords that are not obvious or easily guessed Never allow others to use their account Not share their computer Tell their supervising teacher if they suspect they have received a virus, spam or if they receive a message that is inappropriate or makes them feel uncomfortable Seek advice if another user seeks excessive personal information, asks to be telephoned, offers gifts or wants to meet the student Never knowingly initiate or forward a message sent in confidence, a virus, a hoax or spam 6. Networks and Network Security Personal Hotspot Networks & Cellular Data Networks The school is not responsible for students using their Smartphone/WiFi hotspot Cellular Data Networks to connect their laptops via their mobile phones and internet hotspot devices which incurs charges to the student on their mobile phone plan. The College cannot police this, as it is a student phone or hotspot. Ad hoc networks Ad hoc networks (the creation of a standalone wireless network between two or more laptops) are strictly forbidden while at school. The school s network security system will scan for, remove and report on any ad hoc networks detected. Wired networks Students are forbidden to plug any device into the school s wired network. Any student caught with a device plugged into the school s wired network will receive an immediate suspension. The school s network security system will scan for and report on any non school devices plugged into the school s wired network. Hacking Hacking is a criminal offence under the Cyber Crime Act (2001). Any hacking attempts will be forwarded to the police. Packet sniffing Any type of software or hardware device designed to capture or view network data/packets is forbidden. Any student detected capturing network traffic will be suspended. The school s network security system will scan for and report on any device capturing packets. 7. Intellectual property, copyright and software Each BYOD Laptop will be loaded with the Department of Education s edustar approved school image and configured for use on the schools wireless network. The image will contain operating system software, anti virus software, and standard Microsoft software. Software installed by the school is copyright and must not be distributed or deleted without written permission from the school. Students cannot install software on their laptops as the security will not allow them. If your child needs to use a program that the school has purchased you will need to purchase that software at your expense (ie: Adobe Suite). Music, Videos and Photos Lowanna College does not object to what music and videos files are on the laptops/tablets provided that the files: Never send or publish unacceptable or unlawful material or remarks including offensive, abusive, or discriminatory remarks Never threaten, bully or harass another person Are appropriately licensed (i.e. they do not breach copyright and intellectual property laws this includes video and music downloads)

8 8. Misuse and breaches of the Acceptable Use policy Students should be aware that: They are held responsible for their actions while using internet and online communication services They are held responsible for any breaches caused by them allowing any other person to use their account The misuse of internet and online communication services may result in disciplinary action which includes, but is not limited to, the withdrawal of access to services 9. Internet usage Students can access the Internet through the school s wireless network while on site. Access to the Internet through the school s wireless network will be monitored and subject to Department of Education strict filtering. Students may also use the Internet for their personal use at home after setting up the device to access it through their home Internet Service Provider (consult your ISP for processes to do this, the Lowanna IT Team cannot assist students with the setup of this). Students can use an alternative Web Browser. For example: Google Chrome or Firefox to use the internet at home. However, students are reminded that inappropriate downloads can be detected when the device is connected to the school s network. Students will receive an induction on safe internet usage and topics such as; Personal information security Cyber bullying Copyright and online referencing Internet Cost Using the Internet and downloading data is paid for with the school fees every year. If the student reaches the allocated download limit in a month, they can pay $5 to get it reset. 10. Virus Protection on BYOD Laptops Anti virus software Microsoft Systems Endpoint Protection and monitoring software will be loaded onto the device through the initial imaging process. Updates of this software may be scheduled at various times. Microsoft Systems Endpoint Protection will run real time protection and will attempt to clean any spyware/viruses. Any system that cannot be cleaned should be brought to the IT Office to be manually removed. Students should ensure that anti virus software is kept up to date on their devices and regularly check for viruses. This can be done at no cost at the school. Where there is a breach of this policy, consequences will include re imaging the device which will result in the loss of data if back ups have not been carried out effectively. Other punishments may be imposed as appropriate and determined in consultation with the Principal Class team.
