2 St Michael's Collegiate School ICT and Notebook Policy Handbook. Collegiate has for many years been a leader in ICT integration within the curriculum to empower our students to achieve the very best academic success. In line with our commitment to be the leading technology school in Tasmania we have in place a notebook program that is deeply integrated with our curriculum. This year we have chosen the Lenovo ThinkPad Tablet 2 as the School Approved Notebook. This Windows 8 device introduces the Active Digitizer Pen technology, something we feel will build on the touch feature sets and encourage new ways for students to utilise technology to achieve their educational best. Further information on the Lenovo ThinkPad Tablet 2 is included in this handbook. I would also like to take the opportunity to remind parents that it is compulsory for all students between Years 5 and 8 to have a notebook of approved specifications that is used both at school and home. Students between Years 9 and 12 have at school access to notebooks supplied by the Federal Government. Should students wish to have use of their own device at home and at school, we strongly recommend the School Approved Notebook. Further clarification on the approved specifications and implications for not choosing the School Approved Notebook are detailed in the Policies later in this handbook. 5 St Michael s Collegiate ICT Policy Purpose: The purpose of this policy is to detail the ownership, acceptable use and maintenance of ICT within the School. Scope: This policy is applicable to all Staff and Students within the School. Background: This policy has been established to provide the School community with information about the School s ICT resources. Policy: In recognising the unique contribution ICT makes to achieving the School s goals in teaching and learning the School will provide ICT infrastructure and allow access to its network. The School has in place structures and processes to allow all students access to computer hardware. 1. All Staff, Students and Community Members who utilise the School s ICT infrastructure will agree to abide by the School s Acceptable Usage Policy. 2. The School has a 1:1 notebook purchase policy for all students in Years 5 to 8. It is a requirement of enrolment that students in these years purchase a suitable notebook. The School strongly recommends that students acquire the approved notebook and those students not wishing to purchase the recommended notebook are advised of the non-approved notebook policy. 3. Students in Years 9 to 12 currently have 1:1 access to school owned machines for use during school hours. It is recommended that the School Approved Notebook is purchased for out of school hour s use. 4. In recognition that students utilise a number of smart devices to supplement the use of notebook or workstation computers such as Smart Phones, Apple Macintosh s and personal tablet devices (such as an ipad s) a Smart Device Policy is in place to provide guidance of appropriate use of these devices within the school environment. 5. The School has a closely monitored network environment to provide benefits for all the School community. Should it become evident that groups or individuals attempt sabotage, tamper or damage to this environment serious disciplinary action will be taken. 6. The School implements a number of measures to protect the interests of the School and the personal safety of all users of the School s network. Should any member of the Collegiate community take any action to circumvent these security measures severe disciplinary action will result. 4 P a g e I T H a n d b o o k

6 7. The School provides varying levels of support within the environment: Limited, Basic, Out of Warranty and Full. i. Limited Support is provided to all Smart Devices as detailed in the Smart Device Policy. The School will assist a user in connecting the device to the internet and provide settings for mail configuration but give no further support on these devices. ii. Basic Support is afforded to Non-Approved Notebook users who have paid the non-approved notebook levy. This support will include basic hardware troubleshooting and fault diagnosis and basic software configuration. The repair of fault is the responsibility of the user, and fault diagnosis is limited to the point where a rebuild/restore of the machine is required. iii. Out of Warranty support is assigned to School approved notebooks that are past their original warranty period. This support will include hardware troubleshooting and fault diagnosis and advanced software configuration, troubleshooting, fault diagnosis and repair (inclusive of rebuild/reimage). Repair of fault is responsibility of User. iv. Full Support is assigned to School approved notebooks that are currently within the warranty period including any School owned asset. This support includes all troubleshooting, fault diagnosis and organisation of repair. Accidental damage and other insurance related claims are excluded but a diagnosis will be made and it is the responsibility of the user to pursue insurance repair. 8. Should a machine pose a threat to the security of the environment (such as a virus incident) the School reserves the right to take the action it deems necessary to protect the environment against this threat. 9. The School provides technical support from the ICT team by accessing the Service Desk in the first instance. Jobs are processed in order of priority, priority is assigned dependant on the impact of the event and the level of support that is applicable. 10. No ICT or AV equipment is to leave the grounds of the School without the expressed consent of the Director of ICT, Deputy Principal or Principal. 11. The School will continually review the implementation of this ICT policy to ensure delivery of the best environment to enable our students and staff to achieve optimal academic outcomes. 5 P a g e I T H a n d b o o k

7 Non-Approved Notebook Policy Purpose: The purpose of this policy is to provide students who do not select the School Approved Notebook another option for making use of the School s network resources. Scope: This policy applies to all students in Years 5 to 8 who choose to not purchase the school approved laptop and students in Years 9 to 12 who do not wish to be restricted to the Smart Device policy when utilising a non-approved notebook within the school. Background: This policy has been established to provide a clear option to students who choose to not purchase the School Approved Notebook, yet still require access to all the School s network resources. While the School provides an option for students and parents to elect not to use the School Approved Notebook, we strongly advise against this option. The School can guarantee the quality of educational interaction experience with the School Approved Notebook, however we cannot make such a guarantee for a non-approved notebook. There is a risk that by choosing a non-approved notebook, students may not receive the same educational experience as a student using the School Approved Notebook. Policy: The School allows students to use non-approved notebooks within the School. Students who opt into this arrangement will be fully informed of the terms and conditions to which this arrangement is subject. 1. Students may select a notebook within the defined parameters established in advance each year. The notebook s settings and functional controls will be programmed in accordance with the School s protocols. Should a student or parent not be willing to allow the proposed changes, the machine will not be added to the network. 2. The payment of a once off Levy will entitle the owner of the notebook to use of the School s network resources on their device for a 4 year period. This amount covers Intranet access, file share access, document management access, various software vendor Client Access Licences fees, basic Helpdesk Support (see definition below), and DR protected data storage access. There will be no refunds once the Levy. 3. Basic Helpdesk Support covers the ability to log incidents either in person or via the Service Desk, troubleshooting analysis and diagnosis of hardware issues will be performed by the Service Desk (Repairs and actioning of diagnosis remains the responsibility of the Student/Parent), limited level of software troubleshooting/repair (limited to the point where a rebuild/restore of the system is required, this is the responsibility of the Student/Parent) 4. The student will abide by all sections of the Acceptable Usage Policy. 5. Should a Non-Approved Notebook, on which the Levy has been applied, become unusable the machine may be removed from the domain and a new replacement (which conforms with the specifications set down at that time) may be added to the network for the existing duration of the original 4 year term. 6 P a g e I T H a n d b o o k

8 Non-Approved Notebook Policy Terms and Conditions Background: These terms and conditions apply to students who choose not to purchase the School Approved Notebook and require access to all the School s network resources. While the School provides an option for students and parents to elect not to use the School Approved Notebook, we strongly advise against this option. The school can guarantee the quality of educational interaction experience with the School Approved Notebook, however we cannot make such a guarantee for a non-approved notebook. There is a risk that by choosing a non-approved notebook, students may not receive the same educational experience as a student using the School Approved Notebook. Each year the School undertakes significant research when choosing the approved notebook for use within the School. Many factors such as value for money, ergonomics, reliability, warranty coverage and suitability for the school environment are all considered when this decision is made. There are instances however where students or parents feel the approved notebook is, for some reason, not suitable, and in these circumstances we offer the following solution. Background: This policy has been established to provide a clear option to students who choose not to purchase the School Approved Notebook, yet still require access to all the School s network resources. 1. Students may select a notebook within the parameters set out below. Once the machine is confirmed to contain these requirements a one off fee will be payable. Once payment receipt is presented to the Tech Office, the notebook will be re-imaged to the current School Operating System level, connected to the school domain network, the School Anti-Virus software will be installed on the notebook (and all other anti-virus applications will be removed), Microsoft Office installed and the notebook s functional settings will be changed to be in line with school policy. Should a student or parent not be willing to allow the proposed changes, the machine will not be added to the network. 2. The fee for 2014 will be $ The requirements of Non-Approved notebooks that may be connected to the St Michael s Collegiate School Domain Network are as follows: a. The base operating system of the machine must be either Windows 7 or Windows 8. We will not proceed if the installation is not genuine. b. The Notebook hardware MUST have a minimum of 2GB RAM (4GB recommended and enforced if the operating system is being emulated on non-standard hardware), c. The Notebook must have a minimum 10 inch screen. 7 P a g e I T H a n d b o o k

9 d. The Notebook must have a minimum 4hr advertised battery life. e. While not compulsory we strongly recommend that the notebook have a 3 year next business day warranty and a suitable accidental damage/loss/theft insurance policy. 4. The payment of the Levy will entitle the owner of the notebook to use of the School s network resources on their device for a 4 year period. The student is obliged to abide by all sections of the Acceptable Usage Policy. 10 Smart Device Policy Purpose: The purpose of this policy is to define the parameters for use by the Collegiate Community of Smart Devices within the School environment. Scope: This policy is applicable to all staff, students and selected Collegiate community members within the School. Background: This policy has been established to provide the School community with the information about how Smart Devices can utilise the School s network resources. A Smart Device is any form of PDA/Tablet/Notebook/Netbook that is A/G/N capable. Examples of technology that fit this description are iphones, ipads, Notebooks (including Apple Macintosh s) etc. Policy: The School will allow appropriate use of various smart devices with the School environment. 1. The Smart Device will be permitted to be connected to the School wireless infrastructure, however it will only have filtered access to the internet. 2. Collegiate s technology staff will provide information on connecting the device to the network but will not troubleshoot any connection issues or investigate how to connect a specific device to the network. A device may have the capacity to be connected to the Collegiate mail and calendar system and information will be supplied on connection details, however no assistance will be provided in configuring these setting on an individual device. 3. Students will be permitted to use their device during recess, lunch and after school and will only be permitted to utilise the device within the classroom with the expressed permission of the supervising teacher. Students who utilise their device at times where they are not permitted to do so may have their device confiscated for a period of time. 4. Smart device users who choose to utilise this service will be bound by the Acceptable Usage Policy. 5. The School will not be responsible for any damage, deterioration of service, loss of functionality or undesired change sustained to a user s device while being, or as a result of being, connected to our network infrastructure. 9 P a g e I T H a n d b o o k

11 Frequently Asked Questions Question: Is my daughter s device insured for damage or loss whilst at School? Answer: No. For this reason we highly recommend taking out personal insurance for your daughter s device. This insurance should cover accidental damage, loss and theft. If you cover your device under your home and contents insurance, it is strongly recommended that you ensure the cover for the insurance extends to incidents that occur outside of the home. Question: How does my daughter obtain technical assistance for a computer issue? Answer: The School has recently introduced a new web based ServiceDesk, which is accessible from within the School. Your daughter will have a favourite published in Internet Explorer where she can access the ServiceDesk and report her issue. Should the issue cause the machine to malfunction, we would encourage her to visit either the Senior School or Middle School Tech Office. Question: Can my daughter leave her device at school overnight? Answer: Yes, as long as it is stored securely. It is important to note that while the School will take measures to ensure it is as secure as it can be (assuming your daughter has left it in a designated secure area) it cannot be held liable for any loss. Question: What about computer viruses? Answer: As part of purchasing the School Approved Notebook, or by paying the Non-Approved Notebook Levy, the subscription to the School s Anti-Virus program is included and will therefore be installed on the notebook. For devices that fall under the Smart Device Policy, we highly recommend obtaining and maintaining your own Anti-Virus and patch management programs. 10 P a g e I T H a n d b o o k

12 Question: Can we load other programs onto my daughter s device? Answer: This is a matter of personal choice, you are certainly entitled to load software or information onto your daughter s device however be aware that should a software issue arise with the device (and the device is covered by technical support) then it may become necessary to re-image the device. This process will result in all software and data, except that which was initially on the machine, being wiped. It will not be the responsibility of the Tech Office to install any software that is not approved by the School. Question: When and where can my daughter charge her computer? Answer: The new School-approved notebooks have an expected 10 hour battery life, which should be more than sufficient to sustain use throughout the school day. As such we require that all notebooks be fully charged at home overnight. Should it become necessary to charge the device at school there are powered lockers in the Middle School and some power points in classrooms and the library. Question: Is there another School-approved notebook model? Answer: No. This notebook has been selected due to its characteristics ideally fitting the School environment. 11 P a g e I T H a n d b o o k

13 Notebook Ordering Steps 1. Complete the St Michael s Collegiate Notebook Order Form (available with this handbook or online at 2. Forward the completed form and payment method to Collegiate Business Services, Attn: Kate Nichols, or submit to Senior School Main Reception. 3. Ensure order form and payment is submitted by 4:00pm Friday 22 November 2013 for pre-christmas delivery. Orders can continue to be made after this date, however pre-christmas delivery cannot be assured. 4. The Parent/Guardian listed on the order form will be notified when the notebook is ready for collection. This parent (or an authorised representative over the age of 18) must pick-up and sign for the notebook. 12 P a g e I T H a n d b o o k
