1 BYOD ACCEPTABLE USE AGREEMENT 1 Purpose St Mary Star of the Sea College is committed to providing a quality education for all students. The use of personal computing devices is a valuable component of contemporary and powerful learning. We also acknowledge that there are risks involved with the use of such devices, and we want you to be aware and prepared so that you can take responsibility for the device that you purchased. 2 Scope and Definitions 2.1 Parties This agreement is between St Mary Star of the Sea College, a student currently attending or who will be attending St Mary Star of the Sea College, and her parent or caregiver. 2.2 Student and Students Reference in this agreement to Student or Students means a student currently attending or who will be attending St Mary Star of the Sea College and binds her parent or caregiver. 2.3 Bring Your Own Device Acceptable Use Agreement This agreement may be referred to as the Bring Your Own Device Acceptable Use Agreement or BYOD Acceptable Use Agreement. 2.4 Device Reference in this agreement to Device means an electronic device brought by a student to St Mary Star of the Sea College pursuant to the College s Bring Your Own Device program and this BYOD Acceptable Use Agreement. 3 Equipment 3.1 Custodianship The device brought to school pursuant to this policy must be able to be brought to school by the student on every school day and be solely for the student s educational use throughout the school day. 3.2 Choice of equipment The device must meet all the requirements of the Device Specification. This includes meeting any required physical device characteristics and having any required software installed.

2 3.3 Use of alternate equipment Equipment which is not in accordance with clause (3.2) is not permitted for use in the Bring Your Own Device program without written agreement between the parties for the use of such equipment. 3.4 Damage or loss of equipment Students bring their own device for use at St Mary Star of the Sea College at their own risk Expressly, St Mary Star of the Sea College will not be responsible for any loss, theft or damage to: (a) the device (b) data stored on the device while the device is at school and/or during a school-related activity Parents and students should consider whether their device requires insurance and whether specific accidental loss and breakage insurance is appropriate for the device In circumstances where a device is damaged by abuse or malicious act of another student, reimbursement may be required. The Principal will, having regard to all the circumstances of the matter, determine whether the other student is responsible for the damage to the device and whether costs incurred in the repair of the device should be borne by the other student The above clause (3.4.4) does not bind students to the determination of the Principal In accordance with clause (6.4) below, students should not bring peripheral equipment, including power charges and cables to school with their device. Liability for damage or loss of peripheral equipment will, in all circumstances, be borne by the student. 4 Standards for equipment care Students are responsible for: (a) Taking due care of the device in accordance with school guidelines. (b) Backing up all data securely. All electronic data and resources used for school coursework must be stored on another device or electronic medium accessible on demand. Students must not rely on the continued integrity of data on their device. 5 Misuse of equipment and communication systems 5.1 Standard school discipline procedures apply for misuse of the device contrary to this BYOD Acceptable Use Agreement or other College rules. 5.2 Examples of action the College may take in cases of misuse include: (a) (b) (c) (d) the device is taken away by a teacher for the remainder of the lesson; the device is taken away by a House Coordinator or Deputy Principal for the remainder of the school day and/or until a parent or caregiver picks up the device; permission for the student to bring their device to school pursuant to the Bring Your Own Device policy being revoked conventional discipline procedures, including detention or suspension where deemed appropriate, pursuant to the school s discipline procedures. xxxxxx St Mary Star of the Sea College BYOD Acceptable Use Agreement: V1 November 2014 xxxxxxx2 2

3 6 Acceptable equipment and communication system use 6.1 Use of the device during the school day is at the discretion of teachers and staff. Students must use their device as directed by their teacher. 6.2 The primary purpose of the device at school is educational. 6.3 Students must bring their device to school fully charged. 6.4 Students should avoid bringing peripheral device equipment to school with the device. Peripheral equipment includes: (a) chargers (b) charging cables (c) docking cradles, with the exception of a docking cradle that includes a keyboard integrated into the peripheral. 6.5 While at school, all material on the device is subject to review by school staff. 6.6 Students are to connect their device to the designated wireless network only. Students are not to connect their device to other wired, wireless or cellular networks whilst at school. 6.7 Students are not to create, participate in, or circulate content that attempts to undermine, hack into and/or bypass the hardware and software security mechanisms that are in place. This applies to use of the device and web based use on the device: (a) at school (b) to access school-hosted systems (c) in connection with a school-related activity or school-related program, including coursework. 6.8 Access and Security Students will: ensure that communication through internet and online communication services is related to learning. keep passwords confidential, and change them when prompted, or when known by another user. use passwords that are not obvious or easily guessed. never allow others to use their personal e-learning accounts. promptly tell their supervising teacher if they suspect they have received a computer virus or spam (i.e. unsolicited ) or if they receive a message that is inappropriate or makes them feel uncomfortable. seek advice if another user seeks excessive personal information, asks to be telephoned, offers gifts by or wants to meet a student. never knowingly initiate or forward s or other messages containing: - a message that was sent to them in confidence; - a computer virus or attachment that is capable of damaging recipients computers; - chain letters and hoax s; - spam, eg unsolicited advertising material. xxxxxx St Mary Star of the Sea College BYOD Acceptable Use Agreement: V1 November 2014 xxxxxxx3 3

4 never send or publish unacceptable or unlawful material or remarks, including: - offensive, abusive or discriminatory comments; - threatening, bullying or harassing another person or making excessive or unreasonable demands upon another person; - sexually explicit or sexually suggestive material or correspondence; - false or defamatory information about a person or organisation. ensure that personal use is kept to a minimum and internet and online communication services is generally used for genuine curriculum and educational activities. Use of unauthorised programs and intentionally downloading unauthorised software, video, graphics or music that is not associated with learning, is not permitted. never damage or disable computers, computer systems or networks that are the property of the College. ensure that services are not used for unauthorised commercial activities, political lobbying, online gambling or any unlawful purpose. be aware that all use of internet and online communication services can be audited and traced to the accounts of specific users. 7 Privacy and Confidentiality 7.1 Students will: never publish or disclose the address of a staff member or student without that person's explicit permission. not reveal personal information including names, addresses, photographs, credit card details and telephone numbers of themselves or others. ensure privacy and confidentiality is maintained by not disclosing or using any information in a way that is contrary to any individual s interests. 8 Intellectual Property and Copyright 8.1 Students will: never plagiarise information and will observe appropriate copyright clearance, including acknowledging the author or source of any information used. ensure that permission is gained before electronically publishing users works or drawings. Always acknowledge the creator or author of any material published. ensure any material published on the internet or intranet has the approval of the Principal or their delegate and has appropriate copyright clearance. 9 Misuse and Breaches of Acceptable Usage 9.1 Students will be aware that: they are held responsible for their actions while using internet and online communication services. they are held responsible for any action such as s, inappropriate use or postings from their account. they are held responsible for any breaches caused by them allowing any other person to use their account to access internet and online communication services. the misuse of internet and online communication services may result in disciplinary action which includes, but is not limited to, the withdrawal of access to services. xxxxxx St Mary Star of the Sea College BYOD Acceptable Use Agreement: V1 November 2014 xxxxxxx4 4

6 BYOD ACCEPTABLE USE AGREEMENT Embedding the use of technology into curriculum enhances student learning experiences. The College s philosophy on the use of technology devices and content access is based on students having the freedom to maximise the use of their tools within a framework that encourages sophisticated but safe and legally acceptable use both at school and at home. The school does so with the expectation that they will make good decisions with regard to their personal use of technology. The following pages stipulate that this Bring Your Own Device User Agreement must be agreed to and signed before students are permitted to bring their device to school and connect it to school facilities. STUDENTS AND PARENTS/CARERS MUST CAREFULLY READ THIS AGREEMENT PRIOR TO SIGNING IT AND RETURN THIS PAGE TO THE COLLEGE. 7 BYOD Program Policy Rationale St Mary Star of the Sea College has been at the forefront of embedding technology into the secondary learning experience since the introduction of the Laptop Learning Program in The College values the rich learning experiences that tightly integrate interactions with technology brings. The promotion and advancement of this integration is core to the school's educational philosophies. The centrally driven and supported model for the supply of technology resources in education is no longer a model which can meet the demands of teachers and students. By facilitating Bring Your Own Device (BYOD), St Marys will empower its students and give them direct involvement in the way they use technology in their learning. At the same time, BYOD enables teachers to build on their experiences in the previous centrally-delivered model and adapt to this new heterogeneous BYOD environment without losing the core technological capabilities on which they have been able to rely. Objectives 1. To facilitate and promote the bringing of a computing device to school by all students for use in their education. 2. To provide a safe environment for students. 3. To ensure a minimum standard of device compatibility. 4. To enable students to use technology to further their learning, independently and in structured lessons. 5. To provide a basis on which teaching staff can continue to tailor lesson delivery so that students can use their devices in class toward specific learning outcomes. Actions (A) Students and Parents/Carers 1. All students are expected to bring a computing device to school each day. 2. Families of students entering the school in Year 7 will receive specific information to support the transition to high school. 3. This device must be a personal device of student's own choosing and ownership which meets the Device Specification.

8 4. The personal device must be brought to school on each and every school day and be solely the student s to use throughout the school day. 5. Students and parents are responsible for ensuring the device brought to school meets all the requirements of the Device Specification. A device which does not meet the Specification will not be permitted access to school networks and services. 6. Students requiring the use of an alternate device, for medical or therapeutic reasons, which does not meet the Device Specification must apply for and receive an exemption from the Specification before bringing such a device. The application should state the reason for the request for exemption. 7. Prior to bringing a personal device for the first time, students and their parents must read and sign the BYOD Acceptable Use Agreement which sets out the responsibilities and expectations for use of the personal device at St Mary Star of the Sea College. 8. Students must use their device in accordance with the school's Cyber Safety Policy. 9. Students must follow teachers' directions as to appropriate use of their devices in class. 10. Each student is absolutely and solely responsible for the care and conduct of his own personal device whilst: - at school or at other school activities - travelling to and from school or to and from other school activities 11. Students must connect their device to the designated wireless data network operated by the College using their own, individual user account credentials only. Students must not connect to any other network, wired, wireless or cellular. Students must not bridge the St Marys designated network to any other network. (B) Teachers 1. Teachers should encourage and facilitate the use of students' devices in their classes where they deem appropriate. Use of students' own devices in class is, however, at the sole discretion of the teacher. 2. Teachers should follow standard discipline procedures in case a student fails to bring their device, in the same manner as if a student fails to bring any other required material to class. (C) St Mary Star of the Sea College St Marys will: 1. Maintain a BYOD Equity Policy to ensure all students, regardless of their family s financial means, have access to the computing resources, inside and outside of class time, that are required by their coursework. 2. Provide a BYOD Acceptable User Agreement to list the responsibilities and expectations of each student and their families in the BYOD program. 3. 9 4. Publish a Device Specification that describes the requirements for devices brought to school pursuant to the BYOD program. This Device Specification may include requirements for device specifications that go to: - Size or form factor - Network connectivity - Operating system and standard software - Input method - Security measures - Battery runtime - Other device feature or software requirements determined by the school. 5. Provide a wireless network with filtered Internet connection to which students may connect their BYOD program device. 6. Provide support to assist students with first bringing their device to school and establishing network connectivity with the BYOD program device. 7. Accept no responsibility for loss or damage to, or for maintenance or repair required on a student s own device through any act or omission resulting from the negligence or otherwise of the school, a member of the school staff or of another student. 8. Should a student s device fail to meet a requirement of the Device Specification, the school will not facilitate the student s access to any network or school service. 10 BYOD EQUITY POLICY Rationale St Mary Star of the Sea College Bring Your Own Device (BYOD) program, like all BYOD programs in an education setting, inherently imposes a financial cost on students and their families in supplying a device. At the same time, the St Mary Star of the Sea College BYOD program can only function if all students have access to appropriate technological resources in all their classes. St Mary Star of the Sea College takes seriously the role of public education in ensuring all students have access to the same learning outcomes. The purpose of the BYOD Equity Policy is to establish the framework for the BYOD program to provide this for all students, irrespective of their families financial means. Objectives 1. To achieve objective (1) of the BYOD Program Policy, being able to facilitate and promote the bringing of a computing device to school by all students for use in their education. 2. To ensure equity in the BYOD program and its implementation. 3. To ensure all students have access to appropriate technological resources in their classes. 4. To provide a framework through which family requests for assistance can be managed consistently. Actions (A) St Mary Star of the Sea College St Marys will: 1. Endeavour to provide personal access to appropriate technology resources to all students operating under the College s Bring Your Own Device program in keeping with the objectives of that policy and with respect to its role as a secondary education institution. 2. Ensure the BYOD Program s Device Specification is designed so that a range of devices in capability and cost are suitable and meet the Specification. 3. Assess applications for assistance in meeting the requirements of the BYOD program on a caseby-case basis. Due consideration will be given to all the facts of the matter, including: The level of assistance requested. Existing disbursements from the Student Assistance Scheme. The student s current year level

11 The subjects the student undertakes. The technology already available to the student at school and at home. 4. Consult with the parent/caregiver in making determinations as to what form any assistance will take. 5. Consider a range of alternatives for providing device access for students, including: Loan of a laptop or other device for a particular period or class. Loan of a laptop or other device for a particular day. Recurrent daily loan of a laptop or other device. 6. Make a written agreement between the College, student and parent/caregiver that specifies the arrangements agreed upon or determined for facilitating access to technological resources. 7. Provide a protocol for ensuring priority or reserved access to desktop computers where this access is considered appropriate. 8. Provide a protocol for signing out and signing back in a laptop or other device from the ICT Department and follow up any cases where the loaned device is not returned in accordance with the agreement. (B) Students and Parents/Caregivers: 1. Consider your options for the purchase or lease of equipment that meets the Device Specification. The College will endeavour to make a broad selection of devices in a range of price points match the Device Specification. 2. If you believe you are unable to provide a device that meets the specification: a. Make an application in writing to the Principal, or make an appointment to speak with the Principal and indicate you require assistance in addressing the College s Bring Your Own Device program. b. The College will liaise with you, your daughter and her teachers to identify the most appropriate way to address the issue and ensure she has appropriate access to the technological resources of her peers. c. You will be asked to make an agreement with the College that confirms the alternative arrangements made for your daughter s access to technological resources. 3. The College will not purchase a device to assign to your daughter nor will the College make a device available for permanent or semi-permanent loan. In substitution of a personal device the school will consider options including: Priority or reserved access to desktop computers in computer during class time, free periods, before or after school or during breaks. Loan of a laptop or other device for a particular period or class. Loan of a laptop or other device for a particular day. Note: Devices marketed as bgn probably do not support the required standard. Please take special note of the Wireless Compatibility requirements. This is the most difficult requirement to verify yourself for Windows laptops. If you are unsure, consider purchasing a recommended device. Battery Life Advertised battery life of at least six hours

14 MARY S Frequently Asked Questions BYOD at St Mary Star of the Sea College In 2015 students in Years 10 and 11 are requested to acquire and bring their own computing device to school every day. This program will be phased in across the entire student population over the ensuing two years following increasing demand from students and families for more flexibility around the technology device necessary to meet the needs of digital learning experiences. gram in 2015: Selecting and Purchasing What is BYOD? Bring Your Own Device is a trend in educational environments and in the corporate world that empowers users to achieve their desired requirements utilising digital tools most suited to their individual needs. BYOD recognises that technology options are becoming more diverse and choices about technology are very much personal. BYOD at St Mary s is designed to offer some flexibility in the technology choices that suit users not just in the school learning environment but also in the home environment with differing technological needs and capabilities. BYOD acknowledges technology in education means more than meeting specific curriculum requirements. How does the program work? Access to a computing device is now almost essential in most home environments however the operating platform that these devices use (be it Microsoft Windows, Apple ios & OSX) and the peripheral devices (printers, modems and entertainment equipment) can limit the choice of devices that are compatible with each family s infrastructure. The diversity of digital content available via web based services also influences this choice as having access to the widest possible range of content means investing in applications that are not restricted to individual operating platforms. Families will be able to select the most suitable device for their daughters with individual consideration of educational and home based use. The College can then dedicate resources towards the compatibility of any device on our internal networks, ensure seamless connectivity to web based content and peripheral hardware and high speed data transfer to and from the

15 interconnected community. There are areas in the technology sphere that require increasing investment and constant renewal. This style of technology program conforms with similar programs at other independent and public schools and is seen as the most sustainable strategy for meeting the digital learning needs of millenials. What type of device can we bring? The College has built the infrastructure to facilitate the use of virtually any computing device, however it is important that certain functionality is considered in the decision. The two obvious styles of device that are commonplace in an educational environment are the laptop and tablet. However there are some minimum technical specifications set out in BYOD Device Specifications. Personal choices such as keyboard and mouse navigation, screen size and weight as well as suitability for certain subject choices may also play a role in the decision. To assist in the selection of a device, the College recommends the devices that can be purchased through our Device Portal. I'm concerned about the costs The purchase of a device is a major decision and a considerable expense in a family s budget. A good quality device may last four years and viewed over this term the expense is considerably less. The College is mindful that the financial circumstances for each family is quite different and options for making this substantial investment need to meet each family s needs. Through the supplier, the College is able to offer the ability to purchase outright or enter into an installment plan with a third party financier. In certain circumstances, families can contact the College to discuss alternate arrangements for financial assistance. We are committed to our obligations as an educational institution to deliver the same learning outcomes to all our students no matter their families' financial means. We have developed an Equity Policy to operate alongside our BYOD Policy. The Equity Policy outlines a number of strategies the College may take, in consultation with you, to augment access to information and communication technologies. I m concerned if things don t work The College s ICT helpdesk staffare available to students before school 8:30am-8:45am, recess, lunch and after school 3:15pm-3:30pm. The BYOD devices will be provided face-to-face support, advice and guidance on how to resolve any issues unique to the various devices. I'm concerned about device security As the College does not own the BYO device, repair of the device and warranty for the device is the responsibility of the owner. Experience from the previous Commonwealth-funded Digital Education Revolution scheme and the school s own Laptop Learning program indicates that students who took good care of their device and considered themselves the device's owner rarely had device security issues. If you are concerned the device is going to be broken, lost or stolen, there are a number of options available. 16 associated with malfunction as well as optional Accidental Damage Protection specifically for damage and breakages attributed to users. It may also be possible to list the device on one s home contents insurance to cover the risk of theft. This would need to be discussed with your insurer. You may also consider using a device locator service. These services include the "Find my ipad" service built into Apple ios devices, "Prey" for Windows or "LoJack for Laptops". Internet access through the device at school will be filtered through the numerous security applications which will minimise, but not eliminate the risk of exposure to software related security threats. Similar anti-virus and spyware monitoring applications are strongly recommended over home networks.
