1 Microsoft Powerpoint The Basics To start PowerPoint and create a New Presentation (slide show): Double click on PowerPoint icon in the Microsoft Office folder In the Project Gallery, click select from either Blank Documents or My Template. Everything under My Template is a pre-designed format for your presentation. To view an example click on Presentation under category, choose Designs and select a background slide in the right window. In the New Slide window, click the layout you want for the first slide. To start PowerPoint and open an Existing Presentation (slide show): Double click on PowerPoint icon in the Microsoft Office folder. In the Project Gallery window, click the Open button. Select where the presentation is stored. Click the name of the slide show to be opened. Click the OPEN button. To save a slide show: From the File menu, select Save or Save As. Name the slide show. Click Save. To display toolbars: Page 1 of 10
2 From the View menu, select Toolbars. Click on the name of the toolbar you need. To add a new slide: Click on the New Slide button on the Common Tasks toolbar or select New Slide from the Insert menu. Choose a layout. To play a slide show: Click the Slide Show button to the left of the horizontal scroll bar. To advance slides in a slide show: To display the next slide, click the mouse button or press the Right or Down Arrow key or press Return. To display the previous slide, press the Left or Up Arrow key. To display the first slide, press the fn key & Home key. To display the last slide, press the fn key & End key. To stop a slide show: Press Esc. Page 2 of 10
3 To switch views: To switch to the Slide Sorter View, click the Slide Sorter View button to the left of the horizontal scroll bar. To switch to the Notes Page View, click the Notes Page View button to the left of the horizontal scroll bar. To switch to the Outline View, click the Outline View button to the left of the horizontal scroll bar. To switch to the Slide View, click the Slide View button to the left of the horizontal scroll bar. To switch to the Black and White View, switch to Slide View and then click the Black and White View button in the Standard Toolbar. Page 3 of 10
4 To move from Slide to Slide in Slide View or Notes Page View: To move to the next slide, click the Down Slide Button at the bottom of vertical scroll bar. To move to the previous slide, click the Up Slide Button at the bottom of vertical scroll bar. To move to the first slide, press the fn key & Home key. To move to the last slide, press the fn key & End key. To move from Slide to Slide in Outline View: Click on any line of the slide. To move from Slide to Slide in Slide Sorter View: Click the slide. To print a slide: Move to the slide to be printed. From the File menu, select Print. Click Print or OK. Creating Slides To enter a title: Choose a layout with a Title placeholder. Click in the Title placeholder and type. To enter bulleted text: Choose a layout with a body placeholder for Bulleted Lists or Text. Click in the body placeholder and type, pressing Return when you are ready to enter your next bulleted item. Page 4 of 10
5 To create a table: Choose the layout containing a Table placeholder. Double click the placeholder for the Table. In the Insert Word Table window, enter the number of columns. Press Tab and enter the number of rows. Type data in each cell of the table, pressing Tab to move from one cell to the next. Click anywhere outside of the Table to return to the slide. To use the organization chart: Choose the layout containing the Organization Chart placeholder. Double click the placeholder for the Organization Chart. In the Microsoft Organization Chart window, click in each block of the chart and type data for this block. To add more blocks to the chart, click the appropriate button in the button bar (under menu bar in Microsoft Chart window) and then click in the block on the chart to which the new block is to be attached. Close the Microsoft Organization Chart window. Click Yes when asked whether you want to update your presentation before proceeding. To create a chart: Choose a layout that contains the Chart placeholder. Double click the placeholder for the Chart. When the Presentation Datasheet appears, replace the data and titles with your own by clicking in the cell containing the sample data typing new data, and pressing Return or Tab. Choose the type chart you want by clicking on the Chart pop-up arrow in the Standard Toolbar. Close the presentation Datasheet window. Click anywhere outside of the chart area. Page 5 of 10
6 To add clipart: Choose a layout containing a ClipArt placeholder. Double click the placeholder for the ClipArt. From the Microsoft Clip Gallery, click on the picture that you want. Click Insert. To add shapes: Click the AutoShapes button on the Drawing Toolbar and choose the shape you want. On the side, click and drag to draw the shape. Release the mouse button when the shape is the approximate size you want. To add lines: Click on the Line Tool on the Drawing Toolbar. Hold down the Shift key while you click and drag to draw the line on the slide. To add text boxes: Click the Text Box button on the Drawing Toolbar. Click and drag to draw a box on the slide. Type the text. Page 6 of 10
7 To add WordArt: Click the WordArt button on the Drawing Toolbar. In the WordArt Gallery window, choose the WordArt design that you want. In the Edit WordArt Text window, type your text and choose the Font and Font Size that you want. Click and drag the WordArt to the desired location on the slide. To change the background design: Click the Apply Design button in the Common Tasks Toolbar. Choose the design. Click Apply. To change the Slide Layout: Move to the slide to be changed. Click the Slide Layout button on the Common Tasks Toolbar. Click the layout you want. Click Apply. To change bullets: Click the Body Object containing the Bulleted List to select it. Right click on the border of the Body Object to display the shortcut menu. Click Bullet. In the Bullet Dialog box, click the symbol to be used as the bullet. Page 7 of 10
8 For additional choices, click the Bullets from drop-down arrow to specify the font in which to display bullets. To change the text attributes in the title object or body object: Select the text. From the Format menu select Font. Select the Font, Font Size, Color and other attributes wanted. To change the data in a table, organization chart, or chart: Double click the Table, Organization Chart, or Chart. Click in the cell or block to be changed. Select the text to be changed in a table. Type the new data. Close the window and/or click outside the Table/Chart area to return to the slide. To change clipart: Click the ClipArt picture to select it. Press the Delete key. Double click the ClipArt placeholder and choose a new picture. Click Insert. To change the color of shapes: Click the Shape to select it. Click the Fill Color pop-up arrow in the Drawing Toolbar. Click the color wanted. Page 8 of 10
9 To change the color of lines: Click the Line to select it. Click the Line Color pop-up arrow in the Drawing Toolbar. Click the color wanted. To change the style of lines: Click on the Line to select it. Click one of the Line Style buttons in the Drawing Toolbar. Click the style wanted. To delete objects: Click on the Object to select it. Press the Delete key. Press the Delete key again if necessary to delete the Object Placeholder. To use the spell checker: Click the Spelling button in the Standard Toolbar. Modifying Your Presentation To change the order of slides: Switch to Slide Sorter View. Click and drag a slide until the vertical line appears before the slide that you want the slide you are dragging to precede. Page 9 of 10
10 To delete slides: Move to the slide to be deleted. From the Edit menu select Delete Slide. To add transition effects: Switch to Slide Sorter View. Click the slide to which a Transition Effect is to be added. Click the Slide Transition button on the Slide Sorter Toolbar. In the slide Transition window, click the Effect pop-up arrow and select the Transition Effect wanted. To add the autoadvance feature: Switch to Slide Sorter View. Click the slide to which the AutoAdvance feature is to be applied. Click the Slide Transition button on the Slide Sorter Toolbar. In the Slide Transition window, click Automatically in the Advance section. Enter number of seconds you want the slide to be viewed in the slide show before the next slide is displayed. Click Apply. To loop continuously: From the Slide Show menu, select Set Up Show. Click Loop continuously until Esc in the show type section. Click Use timings, if present in the Advance Slides section. Press Esc to stop the Slide Show. Page 10 of 10
