1 Helping you discover RefWorks What is RefWorks? RefWorks is a bibliographic software package that enables you to: import references from resources such as databases, journals, catalogues, websites etc build up your own database of relevant references add correctly formatted citations to Word documents automatically generate reference lists/bibliographies How do I register? Go to: Select 'University of Roehampton' from the drop down menu Login in using your University username and password If you are here for the first time only a Refworks Create account box will pop up. Fill in your details as requested. Please use your University address Click on Create account You will receive an confirming your registration details The RefWorks webpage

2 How do I add references to my account? There are 5 ways to do this: 1. Direct Export from a database or journal website 2. Indirect Export from a database or journal website 3. RefGrab It to capture details of websites 4. Adding book references from the Library Catalogue 5. Adding manually 1 Direct export from database or journal website Some databases and resources allow you to export your references directly into RefWorks, including EBSCO databases, Web of Knowledge (Web of Science ), ScienceDirect and Google Scholar. Example exporting references from Academic Search Premier Do your search Click on Add to Folder for the records you wish to keep Go to Folder view Click on Select Select Export Save citations to a file formatted for Direct Export to Refworks (you will be prompted to log in to Refworks if it is not already open) View last imported folder to check the references are correct 2 Indirect export from a database or journal With some databases you cannot export directly and instead you must save the references to a text file and then import it into RefWorks in a two stage process. For this example we will use PubMed. Conduct your search and tick the boxes next to the references you wish to export Click on the Display Settings link and select Medline from the Format list, and then click the Apply button Your references will be displayed in a tagged format. Save the file in a text (.txt) format Log into your RefWorks account and from the References toolbar menu select Import (or select Import from Quick Access menu on right hand side) For Import Filter/Data Source select NLM PubMed For Database select PubMed Click Browse and locate your saved file Click on Import Your saved references will be imported into RefWorks (click on View Last Imported Folder to view)

3 For further information on how to export references from specific databases or journal suppliers please see information on the Refworks website: orks.htm 3 RefGrab It adding references from webpages RefGrab-It works with your browser to capture bibliographic information from web pages giving you the option to import that data into your RefWorks account. It is available in two versions -- a bookmarklet that works with either Internet Explorer or Firefox and downloadable plug-ins for Internet Explorer and Firefox. For instructions on how to install either bookmarklet or plug-in, select Refgrab-It from the Tools toolbar menu and follow instructions. Example of installing the RefGrab-It bookmarklet link on Internet Explorer Select RefGrab-It from the Tools toolbar menu In the RefGrab-It Bookmarklet grey box, right click on RefGrab-It link. A menu will appear. Select Add to Favourites. You may get a security challenge telling you that you may be adding something that is unsafe. Please select "yes". The Add a Favourite box opens and RefGrab-It should appear in the name box. For the Create in box, select Links from the drop-down menu and click on Add A RefGrab-It button will appear in the Links area of your toolbar. 4 Adding book references from the Library Catalogue Open the Library Catalogue Search for the book record Click on Save button From the Export option select Refworks (you will be prompted to log in to Refworks if it is not already open) Click on View last imported folder to see your reference(s) 5 Manually adding references Click on the New Reference button (or from the References toolbar menu select Add New) In the View Fields Used by box select your preferred style e.g. Roehampton University Specific Harvard Choose reference type e.g. Book, whole (you will see the available fields change) Author names must be correctly written e.g. Smith, J. N. and a semi-colon must separate additional author names Fill in all the fields as appropriate; additional fields are available by clicking on Additional Fields Click Save Reference

4 How do I organise and search for my references? One way of arranging the data in your database is to organize it into folders. You can also have a single reference in multiple folders -- no need to duplicate the reference. You can also have subfolders of references. To organise your references you use the Organise and Share Folder tools 1 Creating folders When you export references to RefWorks they go into the All References List To create a new folder: Click on the New Folder button Give it a name and click on Create To move references into folders, select by ticking the boxes to the left of the reference(s) Click on the Folders list icon and select folder 2 Searching for references You can search by author, descriptor, periodical or databases. You can add descriptors (keywords) to a reference to identify references and help you search for them later. Descriptors can be added to a selected reference when in edit mode or to all references in a page or folder using Global Edit. How do I create a reference list/bibliography? There are two ways to create a bibliography or list of references using RefWorks. You can use Write-N-Cite (a Refworks plug-in) to insert in text citations as you write your essay which are then used to create your reference list. You can select all the references cited in your essay and either add them to a temporary list, or put them into a folder. RefWorks can then generate a bibliography using this list. Installing the Write-N-Cite plug-in Write-N-Cite can be downloaded from RefWorks you ll find it under the Tools menu. All University student PCs have Write-N-Cite pre-loaded ready for you to use. Staff will need to ask ICT to install Write-N-Cite on their work machines. You can also install Write-N-Cite on your own PC/laptop. We recommend you install Write-N-Cite III (not version 2). Creating a reference list using Write-N-Cite Double click on the Write-N-Cite icon on the desktop click on Login via your institution and log in using your University username and password You will see the same information as in your main RefWorks database but in a different format (Cite view) Open a document in Microsoft Word

5 Place your cursor where you want to cite a reference within the document In the Write-N-Cite window click on Cite to the left of the reference you wish to insert In your Word document, you will now see that a link has been added to the reference : e.g. Peterson shows that the results previously submitted are invalid {{61 Peterson, S. 2005;}}. Do not make any changes to the citations these will appear in the correct format when you create the reference list (bibliography). To reformat the document and create the reference list, from Write-N-Cite: click on Bibliography Select your preferred Output Style e.g. Roehampton University Specific MLA 7 th Edition Click on Create Bibliography Your word document will now be formatted with the citations in the correct style. A reference list has also been created at the end of your document. You may continue adding citations and reformatting the document as necessary. Creating a bibliography from a list RefWorks can still generate a bibliography/reference list without using Write-N-Cite. Create a new folder containing all the references in your document, or add them to My List (see previous section on how to do this) Select Create from the Bibliography drop down menu Select your preferred Output Style e.g. Roehampton University Specific APA 6th Under the Format a Bibliography from a List of References option: Select file type as Word for Windows For References to include select My List or your folder name Click on Create Bibliography button A box (green banner) will appear to say the bibliography is complete; you now have the option of downloading the word document or sending it via How do I get help with Refworks?.
