2 What is PowerDMS SYNC? The PowerDMS SYNC tool allows you to: create users in bulk within PowerDMS update users automatically with a scheduled sync How does PowerDMS SYNC work? PowerDMS SYNC works with Active Directory or a CSV (Microsoft Excel) file. You can also set up Single Sign-On (SSO) to work with Active Directory. Regardless of which method you choose, PowerDMS SYNC can be set up to run daily to update your PowerDMS users. Note: Please keep in mind that the unique identifier within PowerDMS is the username. If a username needs to be updated, it will need to done in PowerDMS manually prior to any scheduled user sync(s). How do I begin the user import process? Step 1: Download PowerDMS SYNC 1. To download the tool, click here. Note: If you receive an error message saying you do not have.net framework, you can download that by clicking here. 2. You will notice a.zip file loading on your computer: Figure 1: Downloaded PowerDMS SYNC.zip file 3. Once the.zip file has downloaded, click to open. A file folder will open with an item labeled PowerDMS Sync: Figure 2: Downloaded PowerDMS SYNC.zip file Page 2

3 4. Double-click the file. A pop up box will appear: Figure 3: PowerDMS SYNC pop-up box 5. Click Run, which will prompt a Setup Wizard to appear: Figure 4: PowerDMS SYNC Setup Wizard 6. Follow the prompts to complete the download. Page 3

4 Step 2: Decide whether you want to import users from Active Directory or a CSV (Microsoft Excel) file. 1. Active Directory: Click here for instructions (disregard the remainder of the information below). 2. CSV file: a. Follow the instructions in steps 3 and 4 below to learn how to create a CSV file with Microsoft Excel, or click here for a tutorial. b. Continue to Step 5 to learn how to use a CSV file with PowerDMS SYNC. Note: If you already have a CSV file created, skip straight to Step 5. Step 3: Create a Microsoft Excel spreadsheet Fill in all your users information using the format shown in Figure 5 and referring to the example in Figure 6. You only need to complete the required fields, but the optional fields are nice to have. 5 Step 4: Save the file as a.csv file type Click File > Save As. Under Save as type in the window that pops up, select CSV (Comma delimited): Figure 7: Saving a CSV file Click Save. A pop-up box will appear, notifying you of format changes: Figure 8: Verifying format changes Click Yes, then close the file. Another pop-up box will appear, asking you to save the file: Figure 9: Final save prompt Click either Don t Save or No, depending on your version of Excel. Page 5

6 Step 5: Set up the CSV-file sync 1. Open PowerDMS SYNC from your desktop by clicking the corresponding icon: Figure 10: PowerDMS SYNC desktop icon 2. Click New Csv Sync. 3. Browse for your CSV file by clicking the button to the right of File Location: Figure 11: Locating your CSV file for import 4. Enter your Site Key, which will be provided to you by your Customer Success Advisor. 5. Enter your Username (must be a Master Administrator login). 6. Enter your Password. Note: You ll know that your site key and username/password information are correct when you see two green plugs ( ) to the right of the password field. 7. Under the Field Mappings section, map the fields from your CSV file to the corresponding field in PowerDMS by selecting the correct values from the drop-down menus. 7 Step 5: Set up the CSV-file sync (continued) 8. Once you ve mapped all your fields, click Save at the bottom of the tool. Figure 13: Completed sample CSV-file sync 9.
