Your role in this mission is described below. Main Purpose of role: 1. Ensure the bars are operationally ready for the programme planned.. 1 of To ensure all licensed venues are kept clean and in good repair with a positive culture on all relevant health and safety procedure/ or To ensure stock is well controlled and maintained. 1 of To ensure the correct numbers and quality of staff are recruited and trained throughout all Susu Bars/ or To ensure all promotional activity is in place Responsible to: Responsible for: Grade: Bars Manager Cellar worker (when responsible for stock) and all bar assistants and team leader B Main Duties of the Post Ensure the bars are operationally ready for the programme planned (staff rotas, stock deliveries, cleanliness, supervision) 1. To ensure that all of our bars and licensed spaces are ready for operation prior to any shift or special event.. To ensure the correct product and stock levels for all normal bars operations and entertainment events is in place in every bar for each session.. To maintain the bars, storerooms, cellars, kitchens and bar lounges in good clean order including stock management (ordering, deliveries, storing, recording, monitoring and merchandise of wet products, food items and cleaning products). 4. To give all our bars have a clear focus on customer services, providing full staff briefings on stock, promotional activity, key lines for sales and events taking place thus delivering the aims of the department. 5. To maintain accurate and up to date paper and electronic records in line with SUSU policy, relevant licensing legislation and HACCP food hygiene procedures. 6. To operationally manage the maintenance service schedule of all equipment ensuring excellent product care and to provide customers with consistently high quality products. 2 7. To prepare staff rotas, submit time sheets and undertake relevant administration ensuring all bars are correctly staffed at the right times and to the right levels. 8. To assist the bars manager in developing clear policies for the look and feel of the bars, especially ensuring these are delivered alongside ensuring overall expectations for our bars and events are delivered. 9. To assist in upholding all licensing requirements in the bars. 10. To attend personal development in health and safety, food hygiene, SIA and licensing to allow informative training and sharing good practice to take place. 11. To operate certain shifts in the role of Duty Manager (see Duty Manager Duties.) 1 of: i. To ensure all licensed venues are kept clean and in good repair with a positive culture on all relevant Health & Safety procedures 1. To ensure all staff deliver excellent standards of cleanliness both front and back of house, high quality product and service provision, high standards of health and safety, well maintained equipment, regular line cleans etc.. To review and improve Health and Safety procedures in all bar areas ensuring strong procedures and systems are in place and understood/implemented by all staff.. To review and monitor the bar operations and present improvements and developments to the bars manager for consideration. 4. Responsible for day to day operations of the bar till system including prompt reporting of any faults or programming errors to the bars manager or relevant person in their absence. ii. To ensure all stock is well controlled and maintained 1. To supervise the Cellar Worker.. To place orders for products up to limits outlined in the financial schedule, ensuring the right products are available in each outlet.. To ensure all deliveries (wet and dry) are checked for accuracy, damages, use by dates and best before dates reporting any discrepancies to the bars manager. 4. To ensure all stock (wet and dry) is stored correctly, well maintained, rotated and kept safe throughout the licensed spaces. 5. To ensure all food is checked using the HACCP systems throughout the storage, cooking and selling process as recommended by the food hygiene rules and regulations. 6. To ensure that cash handling procedures are followed correctly by bar staff with overall responsibility for floats, cashing up and investigating discrepancies. 7. To ensure all equipment is maintained to enable the correct storage of all food and wet stock at the right temperatures throughout all cellars within SUSU venues. 3 8. To work as instructed by the bars manager by keeping up to date with plans for events and activities in each bar, including assisting in assessing the likely stock. 9. To assist the bars manager in preparing all bars and paperwork for stock takes, taking remedial action required as a result of the stock reports under the direction of the bars manager. 1 of: To ensure the correct numbers and quality of staff are recruited and trained throughout SUSU s bar operations 1. To be responsible for the supervisory management of the staff working within the bars department, ensuring that staff work as an effective team and are focused on key service priorities within the bars. To work with the Bars Manager and personnel in the recruitment of staff and induction training throughout the year.. To deliver training in HACCP, bar stock control, manual handling and other appropriate health & safety programmes, till operation and customer service ensure the bar operations deliver the departmental plan. 4. To meet with staff on a regular basis ensuring standards of service are monitored and maintained to the identified levels. 5. To work as instructed by the bars manager by keeping up to date with plans for events and activities in each bar, including assisting in assessing the likely staffing levels. To ensure all promotional activity is in place 1. To work with the Bars Manager and Marketing Department to ensure promotional materials are up to date and displayed in accordance with marketing plans.. To work with suppliers and manufacturers to ensure point of sale is obtained and displayed correctly.. To ensure all marketing materials used within the licensed venues are kept in good condition and replaced when damaged or out of date. 4. To support the bars manager in promotional activity, specialist events and campaigns throughout the licensed venues. 5. To ensure that all price lists are up to date and displayed throughout all licensed venues. 6. To ensure all bar staff are aware of promotional activity and briefed on what part they have to play. This may involve up-selling, recommending products and bringing new lines to customer s attention. 7. To ensure all products are merchandised to maximum effect, including ensuring staff are skilled in up-selling, product presentation and knowledge. Contribute to the overall effectiveness of the Union by 1. Attending all meetings and training events as required.. Ensuring that statutory and legal obligations are met.. 4 4. Promoting SUSU s various policies within your work, in particular Health & Safety, Equality & Diversity and Ethical & Environmental 5. Contributing to the positive image of The University of Southampton Students Union with students, University and the local community. 6. Working with the team to ensure a full service is provided at all times, providing cover as necessary. 7. Ensuring personal knowledge and skills are updated to ensure effectiveness in meeting work objectives 8. Such other duties as may be reasonably prescribed by the Union, appropriate to the grade and responsibilities of this post Duties whilst on a Duty Manager Shift 1. To operationally direct overall events provision (food, drink and entertainment), including monitoring standards, delivering events and supervising staff.. To have responsibility for the co-ordination of the bars, entertainments, facilities and other staff working within SUSU at all our venues, ensuring that all staff work as an effective team.. To manage operational procedures effectively and monitor performance so as to achieve targets and objectives. 4. To ensure the building is kept safe and secure. 5. To lock down the building at the end of an event and ensure all codes and keys are kept safe and secure. 6. Ensure that floats, takings and paperwork are all correctly maintained and deposited during a duty manager shift. 7. To take charge in an evacuation 8. To handle customer complaints and incidents which occur during the shift 9. To complete the duty manager report at the end of a duty manager shift and ensure this is filed correctly. 10. To hold the duty managers phone at all times when on duty ensuring all calls are logged and handled correctly and to the highest of customer care standards expected from SUSU. 5 Person Specification We have described below the range of experience, qualifications, knowledge, skills and attributes we are looking for. We will use this to manage our selection process and also to identify training needs once in post. We aim to recruit individuals who largely satisfy these criteria. KEY SKILLS/QUALIFICATIONS/EXPERIENCE REQUIRED Experience in operational supervision and licensed trade operations with a sound workable knowledge of licensing regulations and their impact on licensable activity. Experience of supervision in promoting and running a variety of events, preferably including experience in the late night entertainment and youth sector. Proven experience of supervisory management in running a team of staff; the ability to motivate others to deliver high quality work in a busy, fast-moving environment. Ability to deal with heavy lifting work from time to time, including changing barrels, gas canisters and moving stock. Excellent communication and interpersonal skills. Excellent organisational, administrative and planning skills. Ability to contribute to the improvement in the profitability of our licensed activities. To have a working knowledge of food and hygiene regulations and demonstrable awareness of HACCP procedures. Confidence with the use and understanding of a range of IT skills are essential both for personal working and also to develop the Union s engagement with its members. To hold, or be able to achieve, SIA level award in Door Supervision To hold or be able to hold a full UK Driving licence To hold, or be able to hold a personal licence To hold, or be able to achieve a First Aider at Work certificate To hold, or be able to achieve a Food Hygiene certificate Able to work flexible hours including regular evenings and weekends and to visit satellite sites as necessary.
