2 For the Trip Leader and Bursar How to confirm your booking Thank you for your provisional booking with The Bushcraft Company. The details of your booking, including dates, provisional numbers, location and costings, will only be held for a total of 14 days for you. In order to secure your booking, there just a couple of simple steps you need to take: 2. Authorise and pass the deposit invoice on to the finance team for payment. This has been sent to you within your confirmation and can be accessed online at anytime. You can also keep up to date as to whether payments have been made by looking at the invoice status online. Your payment plan If we have discussed a bespoke payment plan with you, this will be noted on your first deposit invoice. Otherwise the below summarises our standard payment plans for courses booked within a year of the start date, and those booked further in advance. All invoices are due within 7 days and we like to work with you for a prompt payment, so if you would like to discuss your payment plan or anticipate a delay in payment, please contact your Account Manager immediately. Most schools are able to reclaim VAT on purchases or services and your finance team should have more information about this if required. What happens after confirmation? Upon payment of the deposit, you will receive further details about the programme, a kit list and our Risk Assessment documentation. We call this your Information Pack and will keep you up to date with any changes. This will be sent by with other resources to help you plan and launch your trip. Making changes to your booking We completely understand that sometimes things need to be changed. Please keep your Account Manager up to date by phoning or ing them as soon as you know of any changes to the numbers, dates or timings, so that they can help and provide the best advice for you. 3 Planning your trip Your launch and planning checklist Your dedicated Account Manager will always be available for you, which is great to know when little questions pop up here and there. To help you plan your time, below are the most important steps during the build up to your trip with key milestones to work to. WHEN WE WILL YOU SHOULD On booking After first payment 190 days before Send you confirmation of dates, numbers, location and costings, along with the deposit invoice to secure your dates. Confirm the details of your booking. Send further information including your Information Pack and our Risk Assessments to help launch this trip. Check that all the details we have are up to date and correct, ahead of your next invoice being sent. Ask a few questions to ensure you get the most out of your trip i.e. aims and objectives. Check the details are correct. Pass the deposit on for payment within 14 days of receipt. Continue the launch process with students and parents. Please do let us know if you would like guidance or support with this. Check the details are correct and let your Account Manager aware of any changes. Tell us about your group i.e. what your aims and objectives are. 70 days before Double check all details we have are up to date and correct, ahead of sending out your final balance. We will let you know about the group information we require such as student and staff names, dietary and medical requirements, and the tribe and tent groups. 40 days before Send you your directions pack to your drop off and pick up point. Send you a copy of your finalised itinerary. 21 days before Start to think about next year and would like to include you in ours plans 10 days before Send you a printable copy of the finalised Group Planner for checking. Print and distribute all of the relevant details for our field team, ahead of your arrival. 2 days before Send you the details of your Bushcraft team, as well as a final check list including the weather forecast. Check the details are correct and let your Account Manager aware of any changes. Complete the Group Planner and it back to your Account Manager no later than 21 days before your trip. Pass the directions onto your transport provider. Check the itinerary is as expected. GROUP INFORMATION DEADLINE Check and Confirm that the finalised Group Planner is correct. Let us know of any last minute changes to be made, as we will not be able to make any changes in the last 7 days. Make sure you have all relevant information with you i.e. emergency contact details. On camp After camp Work hard behind the scenes to make sure you have a great experience and the very best team. Read, discuss and act on your feedback. We would also like to talk about next year with you if this has not already been finalised. Relax, enjoy and complete our feedback form. Look forward to next year 2 of 5

4 Packing for your trip What to bring Below you can find our kit list for students and staff. We stress that it is not necessary to go out and buy all new and expensive kit as you may be able to borrow items from friends or family. THE ESSENTIALS TO PACK: Large rucksack or hold-all Small rucksack to carry the essentials Warm sleeping bag (season 3) Roll mat Tracksuit or hard-wearing trousers T-shirts Jumper or fleece Waterproof jacket and trousers Socks and underwear 2 pairs footwear e.g. walking boots and old trainers OPTIONAL ITEMS TO PACK (items marked by (R) are recommended but not essential): Whistle (R) Insect repellant (R) Plastic bags for dirty/wet clothing and footwear (R) WEATHER DEPENDENT ITEMS TO CONSIDER: Wellington boots Warm hat and scarf Gloves Wash bag including toothbrush, toothpaste, soap and face wipes Towels Medications (labelled with clear instructions on the application/use and dosage required) Swimwear (if planned for you) Suitable footwear for water sports (if planned for you) Water bottles or hydration system i.e. Alcohol hand gel Torch (with fresh batteries) - a head torch is idea.l Sleeping bag liner Pillow and pillowcase Rucksack liner Thermal layer Sun cream Sun hat The above is the standard kit list covering the basics of all our adventures. You will not require specialist equipment for a The Woods or The Coast, however you will require the following for The Mountains: Fit for purpose walking boots (worn in and with good sole and ankle support) A 75 litre rucksack and litre rucksack, to replace the rucksacks detailed above Suitable, quick drying clothing that is comfortable to walk in for long distances Please note a kit list for you adventure will be included with the information pack counting your itinerary. What not to bring We discourage students from bringing electrical equipment or technology on to camp to avoid the risk of expensive items being lost or damaged. We do understand that staff may need to be contactable, so will provide you with the facilities to charge your electronic devices at certain points during the trip. if required. As with all rural locations, mobile signal may vary and the field team can advise where the strongest signal is for your network provider whilst with us. We would also kindly ask you and the students to refrain from bringing sweets/snacks onto camp to minimise the risk of cross-contamination with the range of allergies your group may have. 3 of 5

5 What life on camp is like How a camp works On site we work in camps and generally we work to 60 students per camp. Your camp is solely for the your use and will not be shared with another school group unless advised otherwise. Larger groups will be accommodated on multiple sites that may or may not be next to each other and we will advise you of the set up for your group. On camp we work in tribes (activity groups) of approximately 15 students, and tent groups for night of approximately students. Your account manager will be in touch though to guide you through this. Our staff and their qualifications There are no formal qualifications required to teach Bushcraft, so we train all our staff in-house with the skills they need to to be proficient at Bushcraft while delivering activities with the professionalism and attitude we expect. We select people who have a passion for both the outdoors, and working with young people, and we train them about the importance of each individual they have in their care. We are immensely proud of our staff and their performance, and know you will be too. The accommodation Students will sleep in our single-sex safari style bell tents with students to a tent. Staff will also sleep in our safari style bell tents with 2-3 adults to a tent. Staff will be provided with a camp bed, roll mat and blanket, but would still recommend that you follow the kit list above to be fully prepared.and comfortable. Your staff tents will also have a storage area for clothing or personal belongings, as well as an outside storage box for wet and muddy items The food All food is provided by our dedicated field cooks who use fresh and exciting ingredients to make delicious food. The menu will vary depending on the season and the length of the course and we pride ourselves on being able to cater for all dietary requirements, regardless of allergy, religion or preference. The itinerary sent at 40 days will show your menu but you could expect whole panassed salmon, spaghetti bolognese, clay oven cooked pizza, lamb kebabs and venison. You will be given snacks throughout the day and will also provide all the tea and coffee you can drink Getting in touch with camp We advise against mail being delivered to the woods, as there is no guarantee that it will reach you in time. The best way for parents to keep in touch is to contact the office on During the day our dedicated team will be more than happy to answer questions or pass on messages to camp as required. Calls outside of office hours, will be greeted by our voic where a message can be left, or our 24 hour emergency number taken should it be required. 4 of 5

6 For your staff - working together The Bushcraft Company encourages everyone to embrace the sustainable facilities that we provide on our safari style camps. You will have a designated staff area solely for your use with tents, toilet and lounge area; made up of a canopy, table, chairs, and your own fire The Bushcraft toilets are similar to a port-a-loo that you may see at an outdoor event and you will have access to our showers when requested. How many staff to bring We require at least one member of staff present on camp at all times and our camps generally accommodate 60 students. The students will be working in tribes for their activities of approximately 15 students. We feel that having a member of staff to each tribe works really well, and allows you to work with the children in a different environment to that at school. With this in mind, planning on a ratio of 1:15 for your staffing will work well and please do let us know how many staff will be attending. Your role and responsibilities as a teacher or supervisory adult From the moment you arrive with us to the moment you depart, The Bushcraft Company will take full pastoral care of your group. The structure of our itinerary, and the way we deliver the programme, means that your staff can be as involved with the activities as you like. We will be more than happy to teach you similar skills to the students, or leave you to your own devices to read a book and rest. It is always best to discuss this with the Camp Leader on arrival. Our code of conduct Throughout your time with The Bushcraft Company, all participants are expected to listen and adhere to the guidance and regulations set out by our instructors. While The Bushcraft Company staff are in charge of the party, they will take all reasonable care of the attendees and unless negligent, they cannot be held responsible for any loss, damage or injury suffered to any attendee or property arising from an activity. It is the parents/guardians/teachers responsibility to ensure that The Bushcraft Company are kept up to date of any important changes to the attendees health, medication or dietary needs prior to the planned trip. It is also agreed that any emergency medical treatment, including general and local anaesthetic, as deemed necessary by any medical professional present, will be administered should the need arise, unless otherwise stated prior to the trip by the parents/ guardians/teachers. All medicines, including spare inhalers must be handed over to the designated member of school staff on the day of arrival and must be labelled with full instructions for use.
