4 INTRODUCTION 1 Farmers WIFE External Access Module Farmers WIFE features an External Access (http) module which offers trusted clients, contacts and system users the ability to view the current status of projects, including the option to preview in progress clips and access any associated files or documents. Rather than using the Farmers WIFE client software, access is gained using any standard web browser. There are three tiers of External Access: User Access This enables Farmers WIFE users to perform the following operations: Create, move and manage personal tasks Create, delete and manage personal To Do s Administer the contact registry Accessing project information including access to video clips and files Accessing the media library (Optional module) Use the integrated FTP server Client Access Client access is limited to: Accessing project information including access to video clips and files Accessing the media library (Optional module) Create media orders (Optional module) Using the integrated FTP server Contact Access Contact access is limited to: Accessing project information including access to video clips and files Accessing the media library (Optional module) Using the integrated FTP server Farmers WIFE External Access manual >>> 004

5 CONFIGURATIONS 2 2. Configurations To use the Farmers WIFE External Access, certain steps must be taken, firstly to configure the server to allow http connection, and secondly to define client privileges where applicable.these are covered in details under Server Set Up (see Farmers WIFE Core Manual, section General Set Up, page 13) but are summarised as follows Farmers WIFE Server configuration 1) Start Farmers WIFE Server. 2) Navigate to the General Server Set Up. 3) Define the URL to server including the correct Port number ( 4) Hit OK and return to the Server Set Up. 5) Hit OK and return to the server console window Farmers WIFE configuration for User Access For a user to log into Farmers WIFE using the External Access, they need simply to exist as a user in Farmers WIFE. To add a user to Farmers WIFE: 1) Enter the Server Set Up. 2) Hit the Users button. 3) To edit a current Users details, select the user from the existing list or hit the Create New icon to create a new user. 4) Specify the Users details, noting in particular the nickname and password. 5) Hit OK to close the Modify/New User window. 6) Hit OK to return to the server console window. 6 CONFIGURATIONS Farmers WIFE configuration for Client Access To allow a client to use the Farmers WIFE External Access, certain configuration steps must be taken. These are as follows: 1) Login to the Farmers WIFE as an administrator. 2) Go to Contacts in the navigator. 3) Select to view the Client list from the selector at the base of the navigator, or hit the New Contact icon to create a new client contact. 4) Select the client from the list for whom you will enable client access. 5) In the New/Edit Contact window, make sure that the Type selector is set to Client and that the checkbox is checked. When you hit the checkbox you should be presented with the Edit Client dialog window in which you can define whether you want to allow client access, set client login details and set any discounts if applicable. 6) To enable client access, make sure Client Access is set to Yes. 7) Specify login and password details as required. 8) Hit OK to return to the New/Edit Contact window. 9) Hit OK and return to the navigator window. 7 CONFIGURATIONS Farmers WIFE configuration for Contact Access. To allow a contact to use the Farmers WIFE External Access, certain configuration steps must be taken. These are as follows: 1) Login to the Farmers WIFE as an administrator. 2) Go to Contacts in the navigator. 3) Either define a new contact or edit and open an existing contacts details. 4) Click the External Access icon to display the external access window. The following parameters must be defined to enable contact external access: http: Select Yes to permit the contact access via http. ftp: Select Yes to permit the contact access via ftp. Login: Define a login name which will be used by the contact for external access. Password: Define a password which will be used by the contact for external access. Matching Customs: The available custom fields are listed. Click the checkbox to enable the custom field to appear to the contact when they use the external access. The available custom fields listed enable the contact to have access to projects and medias by matching criteria. For example, if you check on the Production Company filed, as shown above, Prod. Co., every project or media that has a production company name that matches this contact will automatically be accessible to the contact through the external access. Manual Added Projects: This lists all the available projects without matching criteria, which are visible to the contact and that, are added manually. Manual Added Medias: This lists all the available medias without matching criteria, which are visible to the contact and that, are added manually. Farmers WIFE External Access manual >>> 007

8 CONFIGURATIONS 2 5) Manually add a project or a media for a contact to access via the external access module. Simply find the relevant project or media from the navigator. Select the project or media from the navigator list and keeping the left hand mouse button depressed, drag the project/media onto the Contact icon in the navigator. The contact navigator window will appear allowing you to drop the media or project onto the desired contact. When you have successfully associated a project or media with a contact external access window will appear. The project or media will appear under the list of Manual Added Projects/media as follows. 9 LOG IN DETAILS 3 3. Logging in with Farmers WIFE External Access Logging into Farmers WIFE using the External Access is a simple process. 1) Launch the web browser of your choice. 2) In the address bar, specify the URL to the Farmers WIFE Web Server, which you specified when configuring the server (e.g. IMPORTANT: You must also specify the http protocol prefix and the correct Port number. You should then be presented with the Farmers WIFE Web homepage. From the homepage you can log in either as a User, a Client or a Contact. 3) For User access, enter your nickname in the User Name box. For Client access enter your login name. 4) You should be prompted with a dialog box in which you should submit either your login password. If you managed to log in successfully you will be presented with a navigator window, which displays a number of options. These will vary accordingly depending on whether you logged in as a User, a Client or a Contact. Farmers WIFE External Access manual >>> 009

User Options When you have successfully logged on with user privileges, the following options are available from the navigation bar Bookings Using the Farmers WIFE External Access module, users can view their tasks and bookings and create new tasks. To view bookings, simply click on the Bookings icon. The current weekly schedule of bookings should be displayed as below. The week number and current year are shown along with the previous, home and next navigation icons. The current day is highlighted in yellow. To view next or previous weeks bookings, simply select the Next and Previous arrows. To view or amend booking details, click on the required booking from the list and amend the details as required. To create a new booking, click on the yellow star icon on the required day. The new booking window will appear. Fill in the details for your booking and hit OK to submit them to the Farmers WIFE database. The new booking should now appear in your schedule. You can move bookings to a new day by simply clicking on the black arrow icons associated with a booking. If conflicts occur, you will be warned with a pop-up dialog, There were conflicts, so the booking was set to preliminary. Any conflicting bookings will be set as preliminary and marked with the preliminary checkbox. In addition, they will appear in the bookings overview marked with a preliminary pencil icon. 11 USER OPTIONS To Do s To manage personal To Do s, click on the Todo icon in the navigator. A list of your To Do s will appear as below. To edit a To Do, select it from the list and amend the details as required. To create a new To Do, click on the Create New icon. Add the details as required. To move items up or down the Todo list, hit the the black move up/down arrows next to the required item. To mark an item as completed from the list, click on the checkbox associated with the item you want to delete. The item should appear with a strikethrough. To remove completed items from the list, hit the Delete Done button Contacts It is possible to view the users contact registry as well as create new personal contacts using the Farmers WIFE web interface. To view the contact list, click the Contacts icon from the navigator. You should then be presented with a search field on the left hand side of the browser window. To search for a particular contact; 1) Enter the name of the contact you wish to search on, or enter * to perform a wildcard search. 2) The contact list will be displayed beneath the search field. 3) Click on the particular content of interest to display their contact details. 12 USER OPTIONS Projects Users are able to view the status of projects using the Farmers WIFE web interface. To view the list of accessible projects; 1) Click the Projects icon from the navigator. A search box will be displayed, allowing you to search on the name of a particular project. 2) Enter the name of the project into the search box or enter * to perform a wildcard search which will return all the accessible current projects. Click the Include Closed checkbox if you wish to include closed projects in your search. 3) Select the relevant project from the list to view the project details by clicking on the item in the list. To send an to the project creator, click on either the User icon or User Name. The project details should appear in the main browser window, including details of any related clips and files. 13 USER OPTIONS Viewing project clips Any clips associated with a project should appear in the Clips window (top right of browser). To view a clip: 1) Select the required proxy frame from the clip window. 2) The desired clip should appear in a new browser window as showed to the right Accessing project files Any files associated with a project should appear in the Files window (bottom right of browser). To access these files: 1) Click on the file icon or details to open the file in a new browser or right click to Save Target As. 2) Click on the folder icon to view the contents of that folder. 3) To go back up one level, click the up arrow icon. 14 USER OPTIONS Media Library (Optional Module) Access to the media library is also possible from the Farmers WIFE External Access module. To access the media library, select the Media Library icon from the navigator. You will be presented with a search field, which will let you search the library for a selected media or entry. To view the details of a particular media: 1) Simply select the relevant media from the list. 2) The details of the media should appear in the main window as below. The General Information is shown along with a summary of any entries on the media. To view available clips: 1) Simply click on the thumbnail and a pop-up window will appear. 15 USER OPTIONS FTP Server Integrated into Farmers WIFE is an FTP server which allows users to transfer files directly to the Farmers WIFE server using the File Transfer Protocol (FTP). Please note that using certain web browsers on Mac as FTP client has reported not to work. To access the FTP server: 1) Select the Use FTP icon from the navigator. 2) An FTP window should be displayed giving you the ability to put and get files from the server. 16 CLIENT OPTIONS 5 5. Client options A slightly more limited suite of options are available to clients who use the Farmers WIFE External Access. Clients can have access to projects, the media library and the FTP server. The functionality offered in all options is the same as that available to users. However, the number of available projects and medias, which are accessible to the client is shown as a figure in brackets next to the appropriate function in the navigator Media Orders (Optional Module) Media Orders are available to certain clients allowing them to submit online orders of media types. Click in the Media Orders icon to see the list of your media orders in the left of the browser window. You can search for media orders by entering your search criteria in the search field. You can also choose to view orders, which are either Pending, Done, or Invoiced by selecting the relevant radio button. To edit an existing media order, simply select it from the list. 17 CLIENT OPTIONS Creating a new Media Order New Media Orders can be created by selecting entries in the media library. Hit the Media Library icon and select a media from the available list. The media details will appear: To add either the whole media or an individual entry, to your Media Order, click the Add to Basket icon. Your media or entry will appear in the basket. Click the back icon, at the top of the basket to go back and add additionalentries. The order of entries in your basket can be shifted by using the up/down arrows. Entries can be deleted by clicking on the delete (trashcan) icon. To clear the entire basket, click on the Clear Basket icon. Farmers WIFE External Access manual >>> 017

18 CLIENT OPTIONS 5 The list of available media orders (which you defined at Server Set Up) are listed as showed to the right. To define the details of your media order, select the desired Media Order from the available list and edit the details as required (see below). When you have modified your order, hit the Confirm Order to confirm your order. When your order is added you should see a pop-up dialog stating: Your order was added. The order you have now defined will appear in your media order list. 6. Contact Options A slightly more limited suite of options are available to contacts using the Farmers WIFE External Access module. Accessing project information including access to video clips and files (refer to Section 4.4. Projects, page 12) Accessing the Media Library Optional Module (refer to Section 4.5. Media Library, page 14) Using the integrated FTP server (refer to Section 4.6. FTP Server, page 15). 7.
