1 THE TRACK TWO REGIONAL WORKSHOP ON INTERSECTION OF CULTURE IN THE INDIAN OCEAN REGION JAKARTA, INDONESIA OCTOBER 2016 ADMINISTRATIVE ARRANGEMENTS VENUE AND DATES The workshop will be held on October 2016 at: Hotel Aryaduta Jakarta Jl. Prapatan Jakarta Jakarta, Indonesia Tel: Website: REGISTRATION All delegates from Member States shall register and send their confirmation to the organizing committee by 30 September 2016 through Form of registration is attached (ANNEX I). PAPER SUBMISSION Nominated participants are expected to write a paper on several specified topics under the theme of the workshop including, but not limited to, the following: - Maritime Community - Networks and Diaspora - History of Maritime Culture - Norms-building in the Region - Culture and Religion - Culture and Politics - Multiculturalism - Maritime Economic Culture - Culture and Woman Empowerment - Culture and Gender Equality Participants shall submit paper final draft by 30 September 2016 through iorag.indonesia@gmail.com. HOSPITALITY Local hospitality will be extended for one participant from Member States. Hospitality will cover accommodation, airport transfer, and selected meals during the program. ACCOMMODATION Courtesy accommodation is provided at Hotel Aryaduta, Jakarta for one participant from Member States for 3 (three) nights (check-in 9 October 2016, check-out 12 October 2016). Any other expenses will be on personal account and should be settled with the hotel upon check-out. Other participants will be responsible for their own accommodation arrangements. 2 MEALS The Committee will provide selected meals during the meeting for all participants. Participants are kindly required to submit their dietary requirements on the registration form as attached (ANNEX I). TRANSPORT ARRANGEMENTS The Committee will provide airport transfer for all participants. Participants are kindly required to submit flight schedule on the registration from as attached (ANNEX I). For participants who will attend the 22 nd Meeting of the Indian Ocean Rim Academic Group (IORAG), a shuttle bus from Hotel Aryaduta to meeting venue will be arranged by the Organizing Committee. ENTRY VISA PROCEDURES All participants must hold a valid passport with expiration date of at least 6 (six) months prior to the date of entry into the territory of Indonesia, with a valid visa (for countries with visa requirement) to enter Indonesia. 4 ANNEX II VISA REQUIREMENTS All visitors to Indonesia are required to possess a valid passport, with expiration date of at least 6 (six) months prior to the date of entry into the territory of Indonesia. In accordance to the Indonesian Regulation, there are 169 countries and regions exempted from visa requirement for short visit, and 68 countries are given the Visa on Arrival facility (VoA). For participants from countries with visa requirement, it is recommended that they obtain a valid visa before arrival. It is advisable to submit their visa application as early as possible, to the Embassies or the Consulates of the Republic of Indonesia. A letter from government agency/institution will be required for applying Indonesia visa. This letter should state the purpose of the visit and should include the letter of invitation to the meeting Application form must be completed with recent coloured photographs (passport size) and copy of flight itineraries or tickets and signed by the applicant. The application form can be obtained at the Indonesian Embassies or Consulates. Visa to Indonesia must be used within 90 (ninety) days from the date of issuance. Should the participants wish to apply for Conditional Visa on Arrival, Nominating Government must submit an official note to the Organizing Committee, with complete information of the participant s full name, nationality, passport type and number, passport s date of validity, and address, in order to be eligible for this conditional arrangement. A Letter of Guarantee (LOG) will subsequently be provided confirming this conditional Visa on Arrival arrangement. For this conditional arrangement, Nominating Government are advised to submit an Official Note to request for Conditional VoA as early as possible at least 3 (three) weeks prior to the intended date of entry. Please note that all Visa on Arrival/Conditional Visa on Arrival is subject to US$ 35 fee, payable by cash on arrival. Any inquiries regarding visa can be directed to the organizing committee.
