1 Getting Started Facilitator Guide
2 Welcome! We re excited to have the opportunity to serve your school or homeschool through our BJU Press Christian Classroom Online/Distance Learning Online program. This blended learning program combines traditional education with an online platform to create an engaging, efficient means of instruction. A variety of learning activities, from textbook readings to video lessons to hands on projects, will challenge students of all learning styles to think about and then interpret and apply what they have learned. Most importantly, each course incorporates a biblical worldview and a strong character building emphasis. Our goal is to make the program as intuitive as possible, but this guide will provide you with step by step instructions for facilitating your student s online course or courses and should help you make the most of the program. You may find it helpful to read the Getting Started Student Guide first. A facilitator needs to understand the student experience in order to understand his own responsibilities. 3 Facilitator Role BJU Press Distance Learning courses are not do it yourself courses. Although each course has a teacher, each student needs an adult to act as a facilitator. Whether the facilitator is a parent in the homeschool or a teacher in a Christian school, he has a very important role. In fact, the facilitator is the key to a successful school year. Because a student will often imitate the facilitator s attitudes concerning education and learning, the facilitator s greatest assets are his attitude, maturity, and desire for excellence not necessarily his experience. In addition to providing a proper example, a facilitator should also: Provide necessary equipment, materials, and work space. Provide daily encouragement and supervision. Review daily work for completion and accuracy. Grade and record assignments as needed. Review quizzes and tests with the student. Give assistance with scheduling.
4 First Steps After you have purchased a course for your student, you will be sent a Welcome . The will include explanations and links for setting your username and password and signing the user agreement. Your student will get a similar and will need to set a username and password as well. Both facilitator and student have personal logins. The student needs one to do the work in the course, and the facilitator needs one to supervise the student s progress. TIP: Bookmark your login page and write down your username and password until you have them memorized. After you have entered this information, just click Save Account & Login, and you will be logged in for the first time.
5 Facilitator Dashboard When you log in, you will see your Homepage, which is known as the Dashboard. Your Dashboard gives you one click access to the tasks you need to do every day. Next, we will briefly tour a few of the Dashboard features. You may want to log in and follow along as you read this guide.
6 Click My Profile to add and update your photo, bio, and password. Your photo will also appear beside your Parents Voice community posts and comments, if you participate in this area. Click My Settings to set some preferences for your use of the program. Note: This area is under development. Some of the settings are not functional at this time. TIP: Consider setting Discussion Posts to Manually: When Checked. That will keep Parents Voice posts and comments on your Dashboard until you mark them as read, allowing you to read something right away and respond later without losing the post or comment.
7 Click Alerts History to view previously read alerts and course announcements. Click Search to search for key words in discussions in the Parents Voice community. Personal Alerts works with Mail and Contacts and tells you when you have a new message or a new friend request.
8 Calendar This Week shows you any events you have entered on your personal calendar. You can add events to your calendar by clicking on Calendar in the top menu. TIP: Want to have the same event on both your calendar and your student s calendar? Check Apply to all my students when adding an event. Clicking on Calendar in the top menu also gives you a full page view of your calendar. You can view your calendar in a yearly, monthly, weekly, or daily view. The top menu shows wherever you are in the program. Here are a few more top menu items. provides you with a one click return to your Dashboard. helps you build and manage a contact list. You can also search for other members and view profiles and access student blog activity. gives access to the student blog. You are welcome to view this area, but please reserve your own posts and comments for the Parents Voice community. gives access to the Parents Voice community. This is a great place to discuss issues with other facilitators and BJU Press staff. TIP: Recent Parents Voice activity will appear on your Dashboard in the Unread Posts & Comments section. Click an item to read the discussion and respond, if desired. If you would like to begin a discussion, do the following: Communities > Parents Voice > Discussion > Desired forum > New Post. You can also peruse many previous discussions in this area. Take advantage of this resource! gives access to the closed system program. Current settings do not allow with students; however, facilitators may other facilitators or BJU Press staff.
9 gives you access to various documents, tutorials, and the User Help Desk. Note: The Edvance360 User Manual and video tutorials are provided by Edvance360, the developer of the learning management system. The content in the manual and tutorials differs in many areas from our customized use of the program. The most important item in Help is the User Help Desk. Click on this link to submit a Help Ticket and then return here to see your answer. You will be notified via the address that you have on file when your ticket has been answered. Q: How do I know whether to use Parents Voice or the User Help Desk? A: Parents Voice is best for questions and comments that would be of interest to many people. The User Help Desk is best for personal issues, for specific academic questions, for tech help, for minor error reports, etc.
10 The main purpose of the facilitator s dashboard is to help you oversee your student s progress. Therefore, the student section is of primary importance. Selecting your student from the drop down menu provides you with a variety of helpful settings and functions to help you oversee and customize your student s online course experience. Profile allows you to see what your student has written and included in his profile.
11 Grading Scale allows you to set a custom grading scale for your student. The default scale shown is the same scale used by the Academy of Home Education. To change the scale, insert new minimum values (a percent grade) and enter the desired corresponding letter or other indicator in the Display column. If you have more than one student that you are facilitating, clicking Apply Settings to All Students will apply this scale to your other students as well. Click here for more explanation and sample Grading Scales.
12 Grading Periods is an optional setting that works together with the online gradebooks to allow you to view grades and generate grade reports by a particular grading period. Note: This area is under development. More information will be provided when this work is completed.
13 The Settings section includes some important settings for your student s online experience. Mailbox and Contacts settings: The Mailbox and Contacts tools are currently disabled for students in spite of the settings here. Calculator: Allows you to turn on a basic calculator for your student, if desired. Not recommended until students have mastered basic arithmetic. Unread Posts and Comments: This section is needed only for students with high school math and science courses. This section shows activity from the Discussion forums that are used for academic support in these courses. Blogs: Gives access to an optional student blog. Many students enjoy this social feature. The Blog icon will show on the student login only if permission is given to use this feature. Blogs Time Limit (in minutes): Enter a time in minutes to control time spent on the blog. eportfolio: The feature is currently under development and is not completely functional. We recommend that the setting be turned off until further notice. Allow student to review test only after test is reviewed by facilitator: This is a helpful setting for facilitators who want to review an online assessment before or with their student. Test Password: We recommend using a password to protect academic credibility and to reduce temptation. The facilitator enters the password when the student is ready to take an online assessment and can change it whenever desired.
14 The Activity Report provides you with an overview of your student s daily progress. Date Range: Set any date range desired. A daily or weekly view is usually the most helpful. Usage Per Application: This graph indicates the number of visits to each section of the program. It does not indicate time spent in each area. Items Marked Complete: This section indicates any lesson items on which the Mark Complete box has been checked and the time when the box was checked. The most recent item is listed at the top, and the time indicated is EST. Video Usage: This section indicates any lesson videos the student viewed and how much of each video was viewed. Time Taken on Tests: This section indicates any online assessments that have been taken, when they were taken, and how much time was spent on each one.
15 The Test Waiting Review is very helpful. It provides facilitators with a link for completed online assessments. The link will disappear after the assessment has been reviewed, or you may click Clear if you do not need to review it. Clicking the link will take you to a completed online assessment where you can view your student s answers, the correct answers, and the answer choices. If necessary, you can adjust points earned for individual questions.
16 Of key importance on your Dashboard is Courses. This section give you a quick view of your student s progress and one click access to each course s homepage, current lesson, and online gradebook. Click a course name to go to the course homepage. Click the Next Lesson Item button to go directly to the next uncompleted lesson for your student. As soon as there is an entry in your student s course gradebook, a letter grade and percent will show here. Click this area to go directly to the course gradebook. Next, let s take a look at the key areas mentioned here: the course homepage, the lesson, and the online gradebook.
17 Course Homepage The course homepage displays important course information and provides access to the course ebook, lessons, course gradebook, and additional resources. Course ebook: Course ebooks are provided for most student texts. Worktexts are not available as ebooks and need to be purchased to complete the assignments. Course ebooks are provided at no extra charge for both students and facilitators. Description: View information about the instructor and the course. Course Schedule: View and print a course schedule called a Video Lesson Guide. This information is already included in the facilitator and/or student portion of the lessons as needed, so it is not necessary to use this form. However, some users find it helpful, especially for planning purposes.
18 Click Lessons in the navigation bar of the course homepage to access lessons arranged by chapter (or unit). Click on the chapter title for the first lesson item of the chapter. Click on the Next Lesson Item button for the next uncompleted lesson item. This page is bypassed if you use the Next Lesson Item button on the Dashboard.
19 Lesson Area The lesson area provides you with all the information needed for a student to complete a course and for the supervisor to oversee the course. Lessons may include the following items: 1. Mark Complete boxes: A student should check the Mark Complete box as he completes each lesson item. The Mark Complete box helps to track the student s progress through the course. TIP: The Mark Complete boxes are accessible from both the facilitator and student logins, so if your student forgets to check the box, you can do it for him. Clicking the Mark Complete box will update the Next Lesson Item button on the Dashboard, allowing both the facilitator and student to go to the new lesson the next day with just one click.
20 2. Pacing guide: The built in pacing guide shows how much work a student needs to do each day in order to complete a course in a typical one semester (90 days) or two semester (180 days) time frame. Some students may need a faster or slower pace to experience optimal learning.
21 3. Handouts: Some lessons have handouts. Those indicated with are interactive. A student can type his answers on these and does not need to print them. Others need to be downloaded and printed. A printed Student Handouts packet is also included at no extra charge for all orders.
22 4. Video lessons: All courses have video lessons. In some courses, the video lesson is divided into sections with activities to complete between sections. Courses with multiple videos in one lesson may have a slide that says something like Refer to Student Guide B. The Student Guide provides instructions for the lesson. These are the instructions contained in the white boxes. The student should just continue to the next lesson box and follow any instructions given.
23 Video lessons are viewable from either the facilitator or student login. Some facilitators find it helpful to preview parts of lessons before their student views them. When you click on a link to a video lesson, a separate viewer will open like the one below: The lesson viewer contains the typical video controls: play, pause, stop, expand to full screen, and adjust volume. The lesson viewer has two helpful tools: the Notepad and Bookmarks. The student can type notes while watching lessons (as shown above) by clicking the Notepad icon.
24 Bookmarks are another useful feature. The student can bookmark sections of the video lesson so he can return to these specific sections as needed.
25 5. Assignments: Most courses have daily assignments. These assignments, when carefully completed, will help to prepare the student for the chapter/unit tests. Some assignments are optional and are provided for review, extra practice, or enrichment. The facilitator has additional instructions and answer keys that correspond to the assignments. Notice the difference between the student and facilitator view of the same assignment. Student view: This student assignment includes a textbook reading, a workbook activity, and an optional article.
26 Facilitator view: The facilitator view of this same assignment has some important differences. First, there is an additional green box section with instructions and attachments for the facilitator. Second, there are instructions that correspond to the assignment or perhaps to an activity that was completed during the lesson. For example, the student is to Complete Chapter 3 Activity 1. The facilitator instruction is to Grade and record this part of the assignment. Grade and record means to compare the work to the attached answer key, count the number of correct questions, and record the grade on a Record of Grades form (provided in each course in the Facilitator Information lesson) or, if using the Online Gradebook, enter the points earned in the entry box in the upper right corner of the assignment box. Of course, you can ultimately decide whether to take a grade or not; however, these are items which should be appropriate for grading. Often, as in the case of the Let s Go Exploring questions, the facilitator instruction is to check work that has been completed. Check means to compare the work to the answer key and give any necessary feedback to the student. No grade needs to be taken.
27 6. Assessments: Assessments are various types of quizzes and tests. Some assessments are oral and are given in the video lesson. Notice the corresponding green facilitator instructions and the points entry box in the upper right hand corner of the lesson item.
28 Some assessments are printed and need to be provided from the test packet or downloaded and printed from the facilitator side of the program. As with oral quizzes, appropriate instructions, key, and points entry box are provided.
29 Many assessments in grades 5 to 12 are online. Some online assessments have an additional section such as an essay or map that the facilitator will need to give to the student. These additional sections plus any needed answer keys are attached in a green box that is provided for the facilitator for this lesson. The facilitator will also need to grade this portion of the test. If you are using the Online Gradebook, then you will also need to enter the points earned for this additional section in the upper right corner of the test lesson box.
30 Essay questions are included in some of the online tests. Essay questions are not auto graded, nor are they graded by anyone at BJU Press. It is essential that the facilitator use the key that is attached to the green box of the corresponding test lesson to grade the essay questions.
