1 Cub Scout Day Camp Walking Leaders Guide 2015 Council Day Camp! Day Camp gives Scouts the chance for a great outdoor experience for five days. Cubs and Webelos will be having fun doing and learning different activities such as archery, BB guns, making crafts, learning about nature, and playing games. This guidebook provides the information you will need to make day camp a great experience for your boys. Please read through the guidebook: well in advance of camp to give you and your Pack plenty of time to prepare take a look at it again right before camp to make sure you have all the last minute details taken care of. we also suggest you bring the guidebook with you to camp. If you have any questions about the guidebook or about day camp please give one of the people listed below a call. Willie Rochester Council Day Camp Advisor
2 Walking Leaders Orientation: At that time, we will go over important information you need to know about camp and answer questions. One leader for each pack going to camp must attend this meeting. As a leader, you play a key role in making day camp a fun and exciting experience for your boys. While the camp staff provides the camp program, it is you as walking leaders, who help each boy make the most of day camp. Your enthusiasm and positive attitude will determine what lasting impression day camp will have on the boys. At day camp your duties as a leader include: Provide transportation to and from camp (pack coordinator arranges this) Check-in boys, leaders and visitors each day Go over the schedule and be on time Enforce the buddy system Escort the group from place to place Be concerned with camper safety Maintain control over the boys Deal with behavior problems of your boys Follow the procedures for first aid and emergencies Follow the directions and help the camp staff Practice good Scout behavior FOOD: All boys, leaders and visitors need to bring a sack lunch and drink, marked with name and pack number and placed in a zip lock bag, to camp each day. The Pack will be required to bring a cooler(s) with ice to keep the lunches cold. We suggest you encourage your boys to limit what they bring for lunch to non-perishable foods. Do not leave any food at camp. Ice will be available for purchase at the Trading Post. Den Chiefs: If your pack utilizes Den Chiefs, they are encouraged to attend day camp with their pack. Den Chiefs who attend day camp will assist the boys in their pack and will stay with the pack in all their activities. Den Chiefs can not be counted as a walking leader. It is expected that all Den Chiefs will demonstrate appropriate Scout behavior at all times. They will need to purchase a Jr. staff shirt for identification as Den Chiefs and not as a Day Camper. Campsites: Each Pack will be assigned a campsite. Some site may have more than one Pack in it. We want all the campsites to be under the limited shaded area at Camp Russell therefore please be supportive of each other if you are placed in a shared site. These campsites are your homes for five days and need to be kept clean and in an orderly fashion. Remember Camp Russell is home to raccoons and you do not want them inspecting your camp at night. The sites will be inspected daily and given a clean sweep award for cleanliness. The award can be hung on your campsite flag. Awards will be given for: storage of boy s equipment and supplies, cooler and food storage, hand washing and sanitation, overall clean campsite with no liter present and everything put away. Packs sharing a campsite will need to coordinate decorating.
3 PRECAMP INFORMATION: Adult Leadership: Each pack is required to provide two (2) adult leaders for every 10 Scouts to attend camp each day in order to fulfill the BSA "2-Deep Leadership" guideline. Remember this requirement will apply to both Wolf/Bear and Webelos Day Campers, as there will be two camps operating in one. If possible, at least one of the adults should be a trained, registered scout leader. Transportation: The pack is responsible for transportation to and from the camp. Your pack should meet at a designated location each morning and carpool to camp as parking space is limited. Packs should arrive and depart as a group. While traveling to and from camp please remember to be safe. Every passenger must wear a seat belt. The beds of pickups will not be used to transport anyone to camp. Permission slips must be obtained for each Scout being transported (see Pack Day Camp Coordinator s Guide). Do not forget each pack needs to send in a local tour permit application to the Scout office. This permit is for the protection of all drivers and Scouts. Orientation and Set-up Saturday: The Pack Coordinator for each pack needs to attend orientation on the Saturday prior to camp; 10am at camp. At the conclusion of orientation you may start to set up your camps. During this meeting we will go over camp rules, assign campsites and hand out t-shirts and cups. It is encourage for the boys to bring their pickle buckets at that time and leave them at camp until Friday. This is a good time to distribute these supplies so on Monday, the boys will be ready for camp. As a Pack you will need to provide everything for that week. PLEASE DO NOT LET THE BOYS TEAR THE YELLOW CAUTION TAPE WHICH OUTLINES YOUR CAMPSITE AREA. Remember there is no trash service at Camp Russell so it must be taken home DAILY. CAMP INFORMATION What to Bring: Each day of camp every boy and leader should bring the following items: 1. Sack Lunch and drink in a labeled zip lock bag. 2. Drinking Cup for walking leaders, Scouts will receive one with their camp fee. 3. Sunscreen and bug spray applied before arriving to camp. There is poison ivy at camp. BSA does arrange for the main part of camp to be cut before camp but they do not spray herbicides/pesticides so be prepared. 4. Hat for walking leader/scouts. Protects against sun and bugs. Boy s need one for the week, which will be left in their pickle buckets daily at close of camp. 5. Camera as there are many photo ops for leaders to take great pictures of all the FUN! 6. Mist Bottle - Due to high temps, it is recommended that an ADULT carry a mister to cool off the boys at each station. Boys will not be allowed to have Mist Bottles or Water Guns at Day Camp unless authorized by Camp Director. What to Wear Boys and leaders are encouraged to wear a camp tee shirt (for identification and security) and either shorts or jeans with belt loops. Camp tee shirts for the boys are included in the camp registration fee. Leaders are encouraged to order a camp tee shirt ($7.00) upon their registration. This allows us to quickly assess that we have no unaccounted for visitors. Leaders not purchasing a T-shirt will need to wear and display an armband provided by camp directors. Have everyone wear comfortable tennis shoes and socks. These are a must to take part in the camp's physical activities. If necessary, label all personal items brought into your campsite. Sandals and open-toed shoes are not permitted.
4 WHEN YOU ARRIVE: Check-In/Out: It is extremely important that the camp staff know exactly who is in camp at all times. To make sure that all scouts, leaders, and visitors are accounted for we will be using the following check-in and checkout procedures. Please help us by following the procedures each day of camp. Check-In: Pick up your bucket each morning as it will contain your roster and any notes we have for you. Each morning you and your boys should arrive at camp together or meet at a designated area before entering camp. Check-in will be done by pack. If only a portion of a pack arrives it will not be allowed to check in until the entire pack has arrived. Late arrivals must be checked-in by a parent or guardian at the camp headquarters. Please allow yourself ample time for checking in to arrive at opening ceremonies on time. Each pack that returns their roster by Opening Ceremony will receive an Early Bird Worm for their pack flag. Return your buckets at the end of each day to the main pavilion CheckOut: One leader per pack will checkout those leaving camp at the end of the day. The leader should not leave camp until everyone from your group has been properly checked-out. Boys are not to be left at camp waiting for a ride home. Anyone leaving camp early must be signed-out at registration by the proper adult listed on his registration form. Please let everyone know that boys will not be released early without the permission of the Camp Director and receipt of a written authorization by guardian. (Phone calls will not be acceptable authorization.) Medications: Boys who need to have medication administered will have to have medicines turned in on the first day of camp to the Nurse. Written instructions must accompany the medicine, the medicine must be in the original bottle. Please put medication in a plastic bag. With magic marker write name of scout, instructions for medication, type of medication, doctor and phone number, and pack number. (A ballpoint pen also works well on a baggie.) All medication must follow this format whether they be routine/scheduled, as needed, prescription, or over the counter medications. SEND ONLY ENOUGH MEDICATION FOR THE WEEK. Your pharmacy should be able to provide you with an extra bottle and label for this purpose. WHILE AT CAMP... Camp Staff The camp is staffed by volunteer adult leaders and Boy Scouts who have been specially selected and trained to work at day camp. The camp staff is here to maintain the camp, provide the camp program and to support the packs. If you need help or have any questions at anytime, please feel free to ask any of the staff members. Our job is to help you and your boys have a great camp. All of our staff is donating their time to provide your boys a top quality day camp. Many of the adults and all of the youth staff are using their vacations to work at the camp. We ask that your boys appreciate and treat each staff member with respect. Should you have any problems with a staff member please contact the Camp Directors. Trading Post A trading post will be open from 8:30-4:00 each day of camp. You may visit the trading post before camp, during lunch and free-time and after camp. If you utilize free-time please go as a group. Lunch times should be done on the buddy system with the leader checking the boys in and out of your campsite.
5 Schedule We ask your help in making the schedule work. Please follow your schedule. Packs should not go to a program area except during their scheduled time. Try to have your group at the scheduled activities on time. Packs arriving late cause us to lose valuable time planned for program activities. Also please be aware that at times we may need to change the schedule for a variety of reasons. Please be patient and cooperative and enthusiastic. Heat During the camp the weather will most likely be sunny and hot. Please come prepared. Wear light loose fitting clothes. Make sure everyone, including adults, drinks plenty of water frequently to prevent heat related health problems. Water to drink will be available at the activity areas so please bring your drinking cup! Rain Should it rain during camp, the camp will continue to operate. Severe Weather Should severe weather occur the camp staff will advise you of what actions to take. During camp, there will be a person monitoring the weather and informing the Directors of incoming severe weather. Each Pack Coordinator is responsible for having an at home contact person. The person monitoring the weather, the 5:1 walking leader/scout ration, and the at home contact person are all very important aspects of the camp severe weather policy. Advancement There will be many opportunities for your boys to work on advancement at camp. To assist you, the camp will provide a list of advancements. The leader will be responsible for identifying what advancement requirements have been done and keep track of them. We recommend that you bring a pencil/pen on a clipboard to note if a boy was not present for a particular advancement activity. Free Time Activities There will be a variety of free time activities available for your campsite to use if you choice to do so. Those activities will be available for check out at the covered pavilion. Conduct Cub Scouts and their leaders are expected to conduct themselves in accordance with the Cub Scout Promise and the Law of the Pack. The conduct and discipline of the boys in your pack is your responsibility. You are also responsible for the conduct of others in your group. If members of your group become disruptive or behave inappropriately you will be asked by a camp staff member to handle the situation. The camp staff will not discipline your boys unless it is a matter of immediate danger to the boys, others or camp property. Telephone There is not a telephone at the camp for incoming calls. Should anyone need to contact a leader or boy with an emergency message they should call the Scout Service Center at Remember this is only for extreme emergencies.
6 First Aid The camp has arranged for health care in case of accidents and health problems. Should any member of your group, adult or boy, have any accident or health problem, no matter how small, they must go to the camp headquarters. In case of minor problems please use the following procedures: 1. Notify the nearest adult camp staff member 2. Arrange to have another adult watch your group 3. Bring the person to the camp headquarters immediately. If you need help or feel the person cannot walk, contact the nearest adult camp staff member. If a serious accident or health problem occurs, use the emergency procedures portion of the guidebook. CAMP RULES: In order to provide you with a safe, enjoyable camp it is important that everyone, including boys, leaders and visitors, follow the rules listed below. Please review them with your boys, leaders and any visitor that may attend camp with you each day. 1. Buddv System: The buddy system will be in effect at all times. Buddies will be chosen on the first day of camp. 2. Leaving the Group: No boy is to leave his group without the permission of the leader and without his buddy. This includes restroom breaks and trading post trips. 3. Leaving Camp: No boy will leave camp during the day without the permission of the Camp Director. Boys will only be released to the person(s) designated in writing by the parent or guardian. A phone call from a parent or guardian will not be sufficient to release a boy to another person. 4. Knives: Boys will not be allowed to have or use knives except in certain activity areas and only under the supervision of an adult. Knives brought to camp will be collected at the start of the day and not returned until the end of the day. It will be expressed that they not bring the knife the following days. 5. Matches: Boys will not have or use matches unless under direct supervision of an adult in the course of the activity. 6. Throwing objects: The throwing of any objects is strictly prohibited unless it is part of a planned activity. 7. Language: Swearing, obscene or profane language or gestures is prohibited at all times. 8. Shoes: Shoes will be worn at all times. 9. Leaders: Leaders are to remain with their groups at all times. If it becomes necessary to leave, have another adult leader watch the group while you are gone. It may be necessary to plan your restroom trips. 10. Items Prohibited: Firearms, alcoholic beverages, or any item determined by the Camp Director to be hazardous are prohibited ff Limit Areas: During day camp, portions of the camp may be off limits. Please keep your boys out of these areas. It is for their safety. 12. Smoking: Smoking is prohibited in campsite areas.
7 DAY CAMP EMERGENCY PROCEDURES Emergency Procedures for LOST PERSON: If it is discovered that a child or adult is lot, the following procedures will be followed: 1. Immediately notify the nearest adult camp staff member 2. Cease all activities 3. Assemble your group and take a roll call 4. Quickly take your group to the assembly area (flagpole) 5. Report the results of your roll call to the Program Director 6. Keep your group together, calm and orderly 7. Follow the directions of the Camp Director Emergency Procedures for FIRE: In the event of file the following procedures will be followed: 1. Follow the directions of a camp staff member who will take you to the designated safe area 2. Immediately upon arrival at the safe area, assemble your group and take a role call 3. Report any missing person to the Camp Director immediately 4. Keep your group together, calm and orderly 5. Follow the directions of the Camp Director Emergency Procedures for SERIOUS ACCIDENT OR HEALTH PROBLEM: Should a serious accident or health problem occur the following procedures will be used. 1. Immediately notify the nearest adult camp staff member 2. Remain with your group; keep them together, calm and orderly 3. Continue with camp activities unless directed to do otherwise by the camp staff or camp Directors.
