3 VOIC ON YOUR CISCO 7942 PHONE Indicator Light Call Forward soft key Messages Button HOW TO ACCESS YOUR VOIC WHEN IN THE OFFICE 1. Press the Messages button 2. Enter your Voic PIN (this is separate to your telephone PIN) and then press the # key LOGGING IN FOR THE FIRST TIME The first time you log into your Voic account you will be asked to record a message and set a PIN. Log in with the default PIN of (which spells LANCS1 on the alpha-numeric keypad). Simply follow the spoken instructions on the phone. Page 2 of 7
4 VOIC MAIN MENU Once you have logged into Voic and heard the message summary, the following options are available: 1 To hear new messages 2 To send a message 3 To review old messages 4 Set up options 5 To find a message 6 To list meetings 7 To play external messages * Exit HOW TO SET UP A VOIC GREETING If you want to change the Voic greeting that you have already recorded you can: 1. Log into your Voic account 2. Select Option 4 (Set up options) from the Main Menu 3. Select Option 1 (Greetings) 4. Follow the spoken steps FORGOTTEN YOUR VOIC PIN? If you have forgotten your Voic PIN please log onto: and complete the form. ISS will process your request and will send you a new Voic PIN via . HOW TO CHANGE YOUR PIN If you want to change your PIN after the initial set up process you can: 1. Log into your Voic account 2. Select Option 4 (Set up options) from the Main Menu 3. Select Option 3 (Preferences) 4. Select Option 1 (To change your PIN) 5. Follow the spoken steps When creating a new PIN, please remember the following: The PIN must be at least 4 digits long The PIN will not expire The PIN can only be changed once in a 24 hour period Page 3 of 7
5 HOW TO SET UP AN ALTERNATIVE GREETING FOR WHEN YOU ARE OUT OF THE OFFICE To set an alternate voic greeting, for example when you are on holiday or away from the office, you can: 1. Log into your Voic account 2. Select Option 4 (Set up options) from the Main Menu 3. Select Option 1 (Change greeting) 4. Select Option 2 (Turn on alternate greeting) 5. Select how long you would like the alternate greeting to be active for 6. Select Option 1 (To re-record this greeting) to set your alternate greeting HOW TO ACCESS YOUR VOIC WHEN YOU ARE OFF CAMPUS To access your Voic account from off campus you can dial into the system from any telephone, e.g. your home telephone or mobile. To do this: 1. Dial Enter your extension number 3. Press # 4. Enter your Voic PIN 5. Press # HOW TO FORWARD CALLS TO VOIC To set up a forward rule on your phone to divert all calls to your Voic account, you can: 1. Press the CFwdALL soft key on your phone 2. Press the Messages button NOTE: To turn off the forward rule, press the CFwdALL soft key again. Page 4 of 7
6 BREAKDOWN OF VOIC MENU OPTIONS OPTION 1: TO HEAR NEW MESSAGES 1 Repeat 2 Save 3 Delete 4 Reply 5 Forward 6 Mark new 7 Skip back 9 Message properties * Cancel playing messages OPTION 2: TO SEND A MESSAGE This allows you to record a message to send to another phone without ringing the person. The message will be delivered directly to the recipient s Voic account. The options you will be presented with are: # To send message 1 To mark as urgent 2 Return receipt 3 To mark as private 4 For future delivery 5 To review recording 6 To re-record the message 7 To add to the message 91 Add a name to the message 92 To hear all names and delete names 95 To copy yourself into the message * Cancel Page 5 of 7
7 OPTION 3: TO REVIEW OLD MESSAGES Old messages are messages that you have previously saved or deleted. 1 Saved messages 2 Deleted messages OPTION 4: SET UP OPTIONS Use this menu to control the settings associated with your Voic account, such as personalising your greetings and changing your Voic PIN. 1 Change greeting 2 Message settings 3 Preferences 4 Transfer setting * Exit OPTION 5: TO FIND A MESSAGE This allows you to search for messages. 1 Find messages from another voic user 2 Find messages from all outside callers 3 Find messages from a specific outside callers * Cancel OPTION 6: TO LIST MEETINGS This allows you to listen to the meetings that you have in your Exchange 2010 calendar. The options you will be presented with are: 1 Hear remaining calendar events scheduled for today 2 Hear calendar for tomorrow 3 Hear calendar for a selected date * Exit NOTE: To list meetings, your account must be enabled for Unified Messaging.
