1 Qvidian Proposal Automation (QPA) 10 Advanced User Configuration Directions Configuring IE 8.0, 9.0, 10.0 (32 bit only) Configuring Microsoft Office Office 2007 (SP2), 2010 (32 & 64 bit), 2013 (32 bit) Configuring QPA This guide is intended for those users who will be using QPA s full Microsoft Office automation and integration features such as downloads, save to clipboard, edit, and export. These users (e.g., content administrators, content editors, document architects) are required to manually download the MS Office Add-Ins prior to performing functions relating to the management of Library content. 2 Advanced User Configuration Directions This chapter provides high level steps for those users who are experienced in working with the configuration and setup of functions in Microsoft Office and. For complete and detailed directions, refer to the corresponding sections in this guide to ensure that your PC is configured correctly to operate QPA. Configuring : high level steps 1, 2, and 3 Configuring Microsoft Office: high level step 4 Configuring QPA: high level step 5 Note: These high level directions concentrate on required configurations. It is highly recommended that you review all setup and configuration practices in these 3 chapters to make sure which are and which are not applicable to your PC. Client PC Setup and Configuration Steps Note to existing QPA Users: You will need to set up your client PC (workstation) for QPA 10 much the same way that you set up your current version of QPA 9.1. Note that you will need to manually download the MS Office Add-Ins found under the Options menu on the QPA Navigations Bar. Important Note ActiveX / Non-ActiveX: The ActiveX option enables full automation with MS Office integrations. The following describes a few of the differences between ActiveX and Non-ActiveX: QPA automatically opens Word/PowerPoint/Excel when editing/exporting/opening content of those Office formats. Without ActiveX, you will be prompted by IE to open/save. On login/connection, QPA automatically detects if its QPA MS Office Add-Ins are current and will initiate the download of new Add-Ins if appropriate. Without ActiveX, QPA does not detect the Add-Ins and, therefore, you would need to manually initiate the download of the Add-Ins from the Options menu in QPA. Save to clipboard operations will automatically place content on the clipboard. Without ActiveX, you are prompted to open/save the content and then copy into clipboard or copy/paste directly from the opened content. Clear Browser Cache Before logging in to a new or upgraded version of QPA, it is recommended that all users clear their browser cache to ensure that the application operates efficiently. IE 8, 9, and 10 Users 1 On the menu bar, click Tools to display its options, and then click Internet Options. The Internet Options screen displays. 2 On the Browsing history section, click the Delete button. The Delete Browsing History screen displays. 3 Make sure that the Preserve Favorites website data box is unchecked (disabled). 4 Make sure that the Temporary Internet Files box is checked (enabled). 5 Click the Delete button. When the files are deleted, click the OK button. 2

3 6 Press the F12 function key (or) on the menu bar, click Tools and then click Developers Tools. The Developers Tools screen displays. 7 On the menu bar, click Cache to display its options. 8 Click Clear Browser Cache. A confirmation screen displays asking: Are you sure you want to clear the browser cache? 9 Click the Yes button. The cache is cleared. Close the Developers Tools screen. 10 If you have disabled (unchecked) Preserve Favorites website data (see Step 3), you can now enable (check) the setting. Once completed, you can close the previous screens. QPA 10 Minimum IE Configuration Settings (Non-ActiveX) If you are using a Web content zone (e.g., Internet, Local Intranet) and NOT Trusted Sites, the following security settings are required: If using a Pop-up blocker, configure it to allow pop-ups from the QPA URL. Configure custom security level for the appropriate security zone with the following updates: Within the Downloads section, enable Automatic prompting for file downloads. Within the Miscellaneous section, enable Allow script-initiated windows without size or position constraints Within the Scripting section, enable Active scripting For Single Sign-On (SSO) configurations, within the User Authentication Logon section, enable Automatic logon with current user name and password Refer to following directions if you are using the Trusted Sites Web content zone (ActiveX). QPA 10 IE Configuration Settings for full Microsoft Office Automation and Integration (ActiveX) Follow these steps: 1 Add your URL to your Trusted Sites. 2 Make sure that Trusted Sites has the following permissions set: Enable Initialize and script ActiveX controls not marked as safe Enable Automatic prompting for file downloads Enable Allow script-initiated windows without size or position constraints Enable Allow websites to open windows without address or status bar Enable Include local directory path when uploading files to a server Enable Active Scripting Enable Allow Programmatic clipboard access For User Authentication Logon: Select Automatic logon with current user name and password if using a single sign-on tool, such as PING single sign environments. 3

4 If not using a single sign-on tool, select Anonymous logon. Configure Internet Options Advanced settings as follows: For SSL (HTTPS) configured QPA sites, within the Security section, disable Do not save encrypted pages to disk. 3 Make sure that your popup blocker is either turned off, or that your URL has been set up to allow popups. Also ensure that pop-ups are always displayed in a new window. 4 Make sure the IE Text Size is set to Medium. View Menu Text Size Menu Medium. 5 Make sure that your macro security levels are set to allow signed templates to run, or set to prompt. Make sure that all Microsoft Office products (Word, PowerPoint, Excel) are personalized. Make sure that these 2 Protected View settings for all Microsoft Office products are disabled (unchecked): Enable Protected View for files originating from the Internet and Enable Protected View for files located in potentially unsafe locations. 6 After logging in to QPA, download the MS Office Add-Ins by clicking Download MS Office Templates from the Options menu. Follow the directions to complete the process. Note: If there is not action when clicking the Setup button, you may need to temporarily set your macro security settings to Low. Important Note Upgrading : When upgrading to a newer version of, your configuration changes made in this section will not automatically be carried forward to the newer version. will reset the configuration to the default settings of the new version. The steps in this Chapter will need to be made after any upgrade. Important Note ActiveX / Non-ActiveX: The ActiveX option enables full automation with MS Office integrations. 6 QPA 10 Minimum IE Configuration Settings (Non-ActiveX) If you are using a Web content zone (e.g., Internet, Local Intranet) and NOT Trusted Sites, the following security settings are required: If using a Pop-up blocker, configure it to allow pop-ups from the QPA URL. QPA 10 IE Configuration Settings for full Microsoft Office Automation and Integration (ActiveX) Setting QPA as a Trusted Site QPA is designed to work in a variety of client browser security environments. The established standard for clients is to use QPA out of the box with the default security settings in and Microsoft Office. The underlying issue is to allow QPA to communicate with and control Microsoft Office (which is an ActiveX Control that is not marked safe for scripting). To change your IE security settings to enable QPA to script unsafe ActiveX controls, we suggest you make QPA a Trusted Site so that this security setting would not affect all web sites. This zone, according to Microsoft, is for Web sites that you trust not to damage your computer s data. The only interface accessible to from Word is an ActiveX interface. Microsoft has not marked this interface safe for scripting to prevent unwanted applications from using these programs. Follow these directions to configure your Web Browser: 1 Open. Note that in IE 8.0, 9.0, and 10.0 you will access the Tools menu from the Menu Bar option. Example 2 On the Menu Bar, click Tools to display its options. 6

9 Example 5 Click the Trusted sites icon and then click the Sites button. The following screen displays: Example 6 For the Add this Web site to the zone: field, click in field and then type in the URL of your Web Server. 9

10 7 Make sure that Require server verification ( for all sites in this zone matches your server configuration. Check to enable, uncheck to disable. 8 Click the OK button. The Internet Options screen re-displays. Example Setting Trusted Site Custom Security Levels To use QPA s full Microsoft Office automation and integration features (e.g., including automated Office template downloads, copy/save to clipboard, automated content editing/exporting, etc.), the following IE configuration settings are required: Follow these directions: 1 Make sure that Trusted sites is still selected. Click the Custom level button. The Security Settings screen displays. 2 Scroll down to Initialize and script ActiveX controls not marked as safe for scripting and then click the Enable radio button. 10

11 3 Scroll down to Downloads Automatic prompting for file downloads and then click the Enable radio button. 4 Scroll down to Miscellaneous Allow script-initiated windows without size or position constraints. Click the Enable radio button. 5 Scroll down to Miscellaneous Allow websites to open windows without address or status bars and then click the Enable radio button. 6 Scroll down to Miscellaneous Include local directory path when uploading files to a server and then click the Enable radio button. 7 Scroll down to Scripting Active Scripting and then click the Enable radio button. 11

12 8 Scroll down to Scripting Allow Programmatic clipboard access and then click the Enable radio button. 9 Scroll down to User Authentication Logon. If your company uses a single sign-on tool, such as ADSI, click the Automatic logon with current username and password radio button. If your company does not use a single sign-on tool, click the Anonymous logon radio button. 10 s Advanced Security setting Do not save encrypted pages to disk should be disabled (unchecked). 13 Example 11 Click the OK button. The Security Settings screen re-displays. Click the OK button to return to the main screen. 13

14 Configuring Pop-up Blockers QPA is an application which opens new windows and dialog boxes in the user interface. It is important that you allow pop-ups on the QPA site so the application can perform. Each Pop-up Blocker you have installed must either be turned off or have the QPA site added as an exception. Perform the following steps to ensure that, Google, and Yahoo Pop-up Blockers are configured correctly for QPA. Note: If the Pop-up Blocker(s) you have installed is not covered in this section, please refer to the instructions provided for those tools to turn the Pop-up Blocker off or to allow QPA pop-ups if Pop-up Blocker is turned on. Pop-up Blocker IE 8, 9, and 10 1 Open. Example 2 On the Menu Bar, click Tools to display its options. Example 3 Click Internet Options. The following screen displays: 14

15 Example 4 Click the Privacy tab. The following screen displays: 15

16 Example 5 Check to see if you have the Pop-up Blocker turned on or off. If you do not have a checkmark in the box for the Pop-up Blocker, then Pop-up blocking is turned off and no further action is necessary. You can skip steps 6 through 8. If you have a checkmark in the box for the Pop-up Blocker, then Pop-up blocking is turned on and you need to complete steps 6 through 8 to add the QPA site as an exception to the Pop-up blocker. 6 If the Pop-up Blocker is turned on, click Settings in the Pop-up Blocker area. The following screen displays: 16

17 Example 7 For the Address of the Web site to allow: field, click in field and then type in the URL of your Web Server and click the Add button. 8 Click the Close button. The Internet Options screen re-displays. Click the Close button to close it. 17

18 Google Toolbar Pop-up Blocker (only applicable if installed) The Google Toolbar does not allow sites to be manually added to their Pop-Up blocker exceptions list. If the Google Toolbar is installed with the Pop-up blocker turned on, the toolbar will alert you that the QPA site pop-up has been blocked. The following steps can be taken when that occurs to add the QPA site as an allowed site for pop-ups: 1 Open and launch QPA using your URL. 2 On the Google Toolbar Menu Bar, click the Google Options button to display the Google settings. 3 If the QPA site is currently blocked, click on the blocked option to toggle it to indicate Popups okay on this site. Yahoo! Toolbar Pop-up Blocker (only applicable if installed) The Yahoo! Toolbar does not allow sites to be manually added to their Pop-Up blocker exceptions list. If the Yahoo! Toolbar is installed with the Pop-up blocker turned on, the toolbar will alert you that the QPA site pop-up has been blocked. The following steps can be taken when that occurs to add the QPA site as an allowed site for pop-ups: 1 Open. Launch QPA. Once Yahoo! has blocked a pop-up on the QPA site, click the Pop-Up Blocker button on the Yahoo! tool bar. 18

19 2 Select Always Allow Pop-Ups From from the Pop-Up Blocker Menu. The following screen displays: 3 The blocked QPA site will be listed in the Sources of Recently Blocked Pop-Ups. Select the QPA site and click the Allow button. Yahoo! will pop up a dialog asking if you always want to allow pop-ups on the selected site, click OK. 4 This will add the QPA site to the Always Allow Pop-Ups From These Sources. Click the Close button. 19

20 Configuring Pop-up Options (IE 8,9, and 10) QPA is an application which opens new windows and dialog boxes in the user interface. It is important that pop-ups are always opened in a new window instead of a new tab. To ensure that pop-ups use a new window, configure as follows: 1 Open. 2 On the Menu Bar, click Tools to display its options. 3 Click Internet Options. The following screen displays: 20

21 4 For the Tabs section, click the Settings button. The following screen displays: 21

22 5 For When a pop-up is encountered: click the Always open pop-ups in a new window radio button. Click OK twice to save your changes. Setting IE Text Size Best Practice The Text Size Setting is applicable to IE versions 8, 9, and 10. As a best practice, we recommend you make sure the Text size is set to Medium (which is the default setting). If it is set higher or lower, it will cause user interface layout issues on specific QPA screens. To check or modify the Text Size setting, click the View Menu in IE, click the Text Size Menu, and then click the Medium option. See following screen example. 22

24 Configuring Microsoft Office If you would like assistance from QPA to setup up your PC for compatibility with QPA 10, please contact Qvidian Technical Support directly. Setting Macro Security Levels in Microsoft Office As previously documented, QPA needs to communicate with and control Microsoft Office. This is accomplished with macros. To allow QPA to run macros within Microsoft Office, it is necessary to modify your Macro Security Levels to the Medium setting. This enables QPA to run macros within Microsoft Office while still protecting your computer. Please note the following: You will need to set the Macro Security Level in Microsoft Word, Excel, and PowerPoint if you are using QPA. Microsoft Office 2007, 2010 and 2013 Follow these directions to set your Macro Security Level for each Microsoft Office product Word, PowerPoint, and Excel: Note that these directions use Microsoft Word as the primary example, follow the same steps for each product. 1 For 2007, click the Microsoft Office button (top left circular button) to display the Word (PowerPoint, Excel) Options panel. For 2010/2013 click the File tab to display the File panel. See following screen examples. Word 2007 Word 2010/

25 Word 2007 Word 2010/ For 2010 on the File panel, click Options to display the Word (PowerPoint, Excel) Options screen. The following directions apply to both Word 2007 and Word 2010/2013 (or PowerPoint, Excel). 25

26 3 Click Trust Center button to display its screen and then click the Trust Center Settings button to display the Trust Center screen. Word Example 4 Click the Macros Settings button to display its screen and then click the Disable all macros except digitally signed macros radio button. When completed, click the OK button to close each screen. Personalizing Microsoft Word 2007 (SP2), 2010 and 2013 Follow these steps to personalize your copy of Microsoft Word 2007: 1 For 2007, click the Microsoft Office button (top left circular button) to display the Word Options panel. For 2010/2103, click the File tab to display the File panel. See following screen examples. Word 2007 Word 2010/

27 Word 2007 Word 2010/ For 2007, click the Word Options button to display the Word Options screen. For 2010/2013 on the File panel, click Options to display the Word Options screen. 3 For Word 2007 on the Word Options screen, click on Popular. Under Personalize your copy of Microsoft Office, type in your User Name and Initials. For Word 2010 on the Word Options screen, click on General. Under Personalize your copy of Microsoft Office, type in your User Name and Initials. Then save and close screens. 27

Setting an Favorite for QPA Users often prefer to have a Favorite or link set up to quickly access QPA. When creating a Favorite in or an HTML link for QPA, it is necessary to use the correct URL in the form of: http(s)://web_server/virtual_directory Downloading the QPA MS Office Add-Ins QPA uses Add-Ins / Templates to provide toolbars and additional functionality within Microsoft Office products. It is required that you download the QPA MS Office Add-Ins so that the required QPA Toolbars are operational within Microsoft Word, PowerPoint, and Excel. From the QPA Options Menu Follow these steps to download the QPA MS Office Add-Ins: 1 Log in to QPA. 2 Click the drop down arrow on the Options menu (top right of the screen). 3 Click the Download MS Office Add-Ins option. The QPA Setup document displays with directions and a Setup button. 4 Click the Setup button. Then follow the onscreen directions to complete the operation. If Qvidian.dot is already in the Startup folder, you will be asked to delete it and then restart the download process. Microsoft Office Macro Security and Trusted Publishers Some activities in QPA require the QPA MS Office Add-Ins that will provide users with a QPA toolbar in the Office application. The first time a QPA MS Office Add-In is opened, the user will see a Microsoft Security Warning in the Office application. This warning will prompt the user to allow, disallow, or always trust the macros in the Add-In from QPA. If the user does not allow the macros, the QPA toolbar will be inoperable and the product will not function as required. To allow these macros to function as intended, we require the user to allow these macros. We recommend that a user specifies to always trust macros from QPA so that they will not be prompted each time an Add-In is opened. 28

29 Microsoft Office 2007 SP2 (or) Microsoft Office 2010/2013 Follow these directions when prompted by the Microsoft Office Security Warning: Word 2007 Example Word 2010/2013 Example 1 For 2007, click the Options button located on the Security Warning bar. For 2010/2013, click the Enable Editing button on the Protected View Warning bar. See following example screens. 29

30 2007 Example 2010/2103 Example 2 For 2007, click the Trust all documents from this publisher radio button. For 2010, click the Enable Editing button. 3 Click the OK button. 30

31 Microsoft Office Trust Center Protected View Settings The following Protected View Settings should be disabled to avoid issues between QPA and MS Office Interactions: Enable Protected View for files originating from the Internet Enable Protected View for files located in potentially unsafe locations Please disable these settings for Microsoft Word, PowerPoint, and Excel. Follow these steps to disable these settings: On the menu bar, click File. On the File panel, click Options. The Word Options, PowerPoint Options, or Excel Options screen displays. On the Options panel, click Trust Center. On this screen, click the Trust Center Settings button. On the next panel click Protect View. The following screen displays: Make sure that the Enable Protected View for files originating from the Internet box is disabled (unchecked). Make sure that the Enable Protected View for files located in potentially unsafe locations box is disabled (unchecked). Click OK and then click OK again on the Trust Center screen. 31
