4 Introduction Staffing System is an employee management system used to match students with shifts at various events held by the Sports and Entertainment Park. Everyone can access this application through the apps.kennesaw.edu gateway; however, only students processed by the system administrator can use the application. In addition to applying for future positions, students can also view their current and past shifts through the Sports and Entertainment Park. Learning Objectives After completing the instructions in this booklet, you will be able to: Access & Login to the Staffing System Apply for Employment Opportunities (Shifts) Confirm your Shift View Shift History Respond to being pushed Edit Profile Log out Revised 8/19/2015 Page 4 of 18

5 Accessing the Staffing System The following explains how to access the Staffing System. 1. Navigate to the URL: 2. Login using your KSU NetID and Password (See Figure 1). 3. Click Login. (See Figure 1). Figure 1 - Application Gateway Login Screen Note: If you are not a first-time user, you may skip to step Click Next on the Welcome Message. 5. Read the On-Boarding: Expectations, then click Next. 6. Read the On-Boarding: Understanding Directions, then click Next. 7. Read the Terms and Conditions, then click Agree. 8. The My Profile Screen will appear. Fill in your Preferred address and Preferred Cell Phone number (See Figure 2). 9. Click Save (See Figure 2). Page 5 of 18

7 Searching & Applying for Job Postings The following explains how to search and apply for available shifts within the Staffing System. 1. Click Job Posting from the Main Menu (See Figure 4). Figure 4 - Job Posting Button 2. The Job Posting screen will appear (See Figure 5). It will show you a list of shifts. This list will indicate the: a. Shift Title b. Job Title c. Event Title d. Shift Start/Date/Time e. Shift End Date/Time f. Spots Remain/Req g. Wait List Remain/Req 3. You also have the option to search for shifts by Job Title, Shift Start Date, and Shift End Date (See Figure 5). Figure 5 - Job Posting Screen Page 7 of 18

8 4. Type the Job Title of the shift in which you would like to search for (See Figure 6). 5. Click Search (See Figure 6). Figure 6 - Searching for Job Posting 6. A list of shifts will appear. (See Figure 7). Figure 7 List of Jobs Page 8 of 18

9 Applying for the Shift 1. Click View next to the shift you wish to apply for. (See Figure 8). Figure 8 - Viewing & Applying for Your Job 2. It will take you to the Viewing Shift ID screen for the shift you chose to view (See Figure 9). Figure 9 - Viewing Shift ID Screen Page 9 of 18

10 3. Read over the Job Information and the Event Information for more details about the position. Once you are ready to apply, click Apply (See Figure 10). The Application screen will appear asking you to review the information once more, and list any comments or concerns that you have (See Figure 11). 5. Click Submit when you are ready to submit the application (See Figure 11). Figure 11 - Submitting Your Application Page 10 of 18

11 6. Another window will appear telling you Thank you for applying, and to check your for a confirmation which will be sent to your account. Click OK (See Figure 12). 12 8. If you happen to apply for another position that is during the same shift that you just applied for, you will receive the following message: You currently have shifts applied in this time slot. (See Figure 14 - Same Shift MessageFigure 14). Figure 14 - Same Shift Message 9. Once chosen for the position, you will receive an from nightowlcrewcalls@kennesaw.edu with the subject: You have been selected (See Figure 15). Figure 15 - Selection Page 12 of 18

13 Confirming Your Shift To confirm your shift, do the following: 1. From the Main Menu, click My Current Shifts (See Figure 16). Figure 16 - My Current Shifts 2. From the My Current Shifts menu, click Confirm, located next to the shift that you want (See Figure 17). Figure 17 - Confirming Your Shift Note: You will only have 48 hours to confirm this shift. If you do not confirm your shift within 48 hours, it will get pushed back into the system. Page 13 of 18

14 3. You will then get prompted to confirm your shift again. Click OK (See Figure 18). Figure 18 - Shift Confirmation Pop-Up Message 4. Another message will appear telling you that you are now added to the roster. Click OK. (See Figure 19). Figure 19 - Roster Confirmation Pop-Up Message 5. Under the My Current Shifts screen, the Application Status should now show CONFIRMED (See Figure 20). Figure 20 - Confirmed Application Status Page 14 of 18

15 Viewing Shift History The following section will show you how to view your shift history. 1. From the Main Menu, click My Shift History (See Figure 21). Figure 21 - My Shift History 2. 16 Responding to being Pushed The following section will show you how to respond to being pushed from a shift within the Staffing System application. 1. If you are not chosen for a shift, you will receive an from nightowlcrewcalls@kennesaw.edu with the subject Please apply for a different shift. (See Figure 24). Figure 24 - Pushed 2. 17 Editing Your Profile The following section will show you how to edit your profile in the Staffing System application. 1. Click My Profile from the Main Menu (See Figure 26). 18 Logging Out The following will show you how to log out of the Staffing System Application. 1. Click Log out located in the top right of the screen (See Figure 29).
