1 An Introduction to Xythos Drive This document provides instructions for downloading, installing, and using Xythos Drive. Xythos Drive is an add-on for edocs, UIS document management system. It allows users to more easily and efficiently work with their files. Brief Overview of Xythos Drive Xythos Drive allows us to map edocs to a drive and thus work with our files on edocs in the same way we would work with files on our computers or a flash drive. File synchronization can be challenging - having confidence that your edits are being saved back to edocs and will be there when you re-open the file. Xythos Drive answers that challenge, allowing users to work with their files in the environment with which they are already familiar. There is no need to learn the edocs interface; with Xythos Drive, users can stay in the application (Word, Excel, PowerPoint, etc) and work with their edocs files as they normally would. Downloading and Installing Xythos Drive Xythos Drive is available for faculty, staff, and students at the University of Illinois Springfield at no charge through the WebStore. To download your free version of Xythos Drive, 1. Go to the WebStore at 2. At the top of the screen next to SHOP, select Unit Purchase. 3. In the PRODUCT SEARCH box, type Xythos and GO. 4. After Xythos Drive License & Download appears on your screen, make sure the Quantity is listed as 1 and click ADD TO CART. 5. Log in with your NetID and Password. Be sure to to your NetID. 2 6. There are 2 versions of Xythos available to download. If you are running Windows XP, you will need to download the 32 bit version. If you are running Windows 7, you can check to see which version you will need to download by clicking the Start button, rightclicking Computer, and then clicking Properties. If "64-bit Operating System" is listed next to System type, you re running the 64-bit version of Windows Vista or Windows 7. If "32-bit Operating System" is listed next to System type, you re running the 32-bit version of Windows Vista or Windows Click the Download button corresponding to the version you wish to download. 8. Select Save File and click OK. 9. Double click the XythosDrive zip folder when the Downloads box appears. 10. Double click the XythosDrive setup icon and click Run. 3 11. Click Run again, select a language, and follow the Xythos Drive Setup Wizard. 12. When it asks you to Choose Setup Type, select Typical, which is recommended for most users, then click Install. 13. After Xythos Drive is successfully installed, click Finish and Restart your computer. Using Xythos Drive Mapping to a Personal Account To map to a personal account, such as edocs with Xythos Drive with the 32 bit version, 1. Open Xythos and click Service and select New. 4 2. Fill out the Service Properties of your personal account. For Service name, enter the name which you associate the files with. For Server URL, enter the exact URL path of the account you are wishing to map to. If you wish to map to your personal edocs account, enter Enter your NetID in Username, then check the Save password box. You will then be able to enter your Password. Click OK. 3. Select a Drive to map your personal account to; you are able to freely select any drive that is shown unused. 4. Click Work Online, and you will then be connected to the server. 5. Your folders and documents on edocs will now appear in the drive you selected, open on your desktop. Information Technology Services, UIS 4

5 Mapping to a Department Account To map to a Department account with Xythos Drive, 1. Open Xythos and click Service and select New. 2. Fill out the Service Properties of your personal account. For Service name, enter the department name with which you associate the files with. For Server URL, enter the exact URL path of the department account you are wishing to map to (be sure to include correct capitalization). Enter your NetID in Username, then check the Save password box. You will then be able to enter your Password. Click OK. 3. Select a Drive to map your personal account to; you are able to freely select any drive that is shown unused. Information Technology Services, UIS 5

6 4. Click Work Online, and you will then be connected to the server. 5. Your folders and documents in your department folder will now appear in the drive you selected, open on your desktop. After you map to your personal or department accounts, under the Start Menu, select My Computer, and under Network Drives, the accounts you just mapped will appear. To map to an account if using the 64 bit version, 1. Open Xythos Drive and click the + icon in the bottom left corner. Information Technology Services, UIS 6

7 2. Enter the volume name, URL and username (NetID) and password. Click the arrow next to Advanced Options to select more options or choose a Drive. Click OK when finished. 3. Your new account will appear under volumes, and the status will be Disconnected. To connect, click Connect at the bottom right screen. 4. Verify your NetID and Password and click OK. 5. 8 Setting Permissions and Sharing Files To edit Sharing permissions of a file, 1. Open your account from your Network Drives and select the folder that contains the document you wish to edit the permissions for. 2. Right Click the document you wish to edit the permissions for, and click Sharing. 3. You are now able to add or remove Owners, Authenticated Users, or the Public and specify their permissions. Select Apply after you have made your changes. Select the Permissions you wish to assign to the selected user. Users also have the option of Locking a file, where owners have access to the file but other users do not. You can lock a file for a specified period of time. 1. Right click on the document you wish to lock, and select Lock File. 2. Enter the Lock Period, and select OK. Information Technology Services, UIS 8
