5 About About IP Centrex App for Android Tablet IP Centrex Tablet App provides the following communication features: Voice Calling via Data Connection (outbound only) Click-to-Dial for desk handset or remote office Call Settings Recent Call History Note: Review the following notes about IP Centrex App for Android tablet: Inbound calls are not currently available, but are on the development roadmap. Only outbound and click-to-dial calling are available. Emergency calls, such as 911, are not supported. IP Centrex App for Android Tablet User Guide 1

7 Get Started Get Started This section contains instructions to help you download the IP Centrex App for Android tablet. First, make sure that your device meets the following technical specifications. Technical Specifications IP Centrex App for Android tablet release supports devices with Android 4 OS or later. For best user experience, the following is recommended: Dual-core CPU (or higher) 1 GB RAM (or higher) ARMv7 instruction set supported by the CPU (for media capabilities) Minimum screen resolution The client has been validated on the following reference devices: Galaxy Tab Galaxy Note Galaxy Tab S Asus Nexus 7 (2nd Gen) 4.3 Installation For Android Tablets, search the Google Play app store for IP Centrex for Tablet to locate and download the app. Press the Install button to begin. (Note: Upon initial launch of the app, you must agree to the end user license agreement to continue. See Figure 2.) Figure 1. 8 Get Started Figure 2. End User License Agreement 1. Read the End User License Agreement (EULA), and then press the I agree box in the lower right. 2. Tap the Agree and continue button to advance to the next page. Sign In When you first launch the app, you are prompted to sign in. Figure 3. Sign In screen Use the following steps to sign in to the app. 1. Enter your Cox Business MyAccount username and password. 2. Select whether you would like IP Centrex App to Remember [your] Password upon subsequent launches of the app. 4 IP Centrex App for Android Tablet User Guide

9 3. Select whether you would like IP Centrex App to Sign [you] in automatically on subsequent launches (requires Remember Password to be enabled). 4. Tap Sign In. Get Started Note: By enabling automatic sign in, each time the app is launched you are automatically signed in and taken to the Contacts. Otherwise, you are presented with the Sign In screen. Automatic Sign In You can choose to sign in automatically to IP Centrex Mobile App with a default account when you open the app. Together with the you to remember to sign in and be available for communication. Note: If you choose automatic sign in, you will see the Contacts list when you log in again. Otherwise, you are presented with the Sign In screen. After logging in, an E911 Disclosure dialog box appears stating that Emergency calls are not supported. Please use another phone. Figure 4. E911 Disclosure dialog box 1. Press the OK button. 10 Get Started Home Screen After you log in to the IP Centrex Tablet App the first time, a blank Contacts list appears. You can build your contacts by importing them from your company director or manually. This section instructs you on how to do both. Enter the name of an existing contact in the Search field to quickly locate the person or press the (+) icon and follow the prompts to manually Add Contact. Figure 5. IP Centrex App for Android tablet - Main View The main view (Figure 5) contains icons that display information about the contacts and communications options available. They are: Icon Description Contacts View your contact list and search local contacts on the device or search the company directory. Dial Pad Press to dial a number. Instant Message View recent chats. 11 Contacts Contacts There are four groups of Contacts: (All) IP Centrex Contacts displays people/entities in your IP Centrex extension directory. (Online) IP Centrex Contacts displays the presence of each IP Centrex contact to which you have subscribed. Similarly, your contacts can see your presence on their contact list. Presence means that your friends are able to see whether you are available to communicate; for example, I m busy or I m available. (Contact Directories) Local Address Book displays the list of people/entities from your device s phone book. (Contact Directories) Directory displays the IP Centrex directory. Figure 6. IP Centrex and Local/Directory Contacts menu Use the following steps to search for contacts and view contacts presence icons. 1. From the Contacts screen press the arrow icon to the right of IP Centrex. (See Figure 5.) Result: The types of contacts appear in a drop-down menu. 2. Press any of the types of contacts you wish to view; All, Online, Local Address Book, or Directory. Press All to view presence-enabled and non-presence-enabled contacts. Press Online to view only the presence-enabled contacts that are currently online. Press Local Address Book to view the contacts from your local phone book. Press Directory to view everyone in your company s directory. (Note: This option requires a search.) IP Centrex App for Android Tablet User Guide 7

12 Contacts Add Contacts When you sign in the first time, there are no contacts on your Contacts list so you will need to add them. Figure 7. Add a new Contact Use the following steps to add a contact. 1. Tap the plus (+) at the bottom of the IP Centrex main window. See Figure 7. Result: The menu of contact types appears. 2. 13 Contacts 3. When you tap a field, a keyboard or dial pad appears and you can proceed to populate the fields as necessary. 4. Press the OK button. Result: The new contact appears in the main window. See Figure 9. Figure 9. New Contact listing in Main Window Add a Conference A Conference contact is a special identifier used for multi-party bridges to avoid having to remember a PIN code and the conference number for recurring meetings. 14 Contacts Add Local Contact By adding other IP Centrex users to your list, their information will appear in your contacts list. This will also enable you to request to view their presence/status so you will know when they are available, busy, away, or offline. Figure 11. Types of IP Centrex Contacts 1. Click the Contacts drop down Result: The list of directories will be displayed. 2. Click Directory under Contact Directories to display your IP Centrex company directory Result: The list of contacts will be empty, awaiting your search criteria 3. Click the Search icon (Magnifying glass) in the bottom right corner Result: A search box will appear. 4. In the search box, enter the first and/or last name of the contact you want to add. Result: Contacts matching your search criteria will be displayed. (Note: If you enter an asterisk * in the Search field, the complete list of the IP Centrex company directory will appear in alphabetical order. 5. Tap on the contact you wish to add. Result: The directory information for that contact will be displayed in the right pane. 6. From the directory information, click Add to contacts. Result: The contact will be added to your IP Centrex Contacts list. (Note: Your contact list will appear the same across all IP Centrex Unified Communication apps.) 10 IP Centrex App for Android Tablet User Guide

16 Contacts Figure 14. Add Contact completion message Add Group A contact Group allows you to categorize multiple contacts so that you can communicate to many people simultaneously. Figure 15. Add Group Use the following steps to add a Group. 1. Tap the plus (+) at the bottom of the IP Centrex main window. See Figure 7. Result: The menu of contact types appears. 2. Press the Add Group option. Result: The Add Group information screen appears. See Figure Tap the Group name field. Result: The keyboard appears. 4. Enter the name of the group; Central Sales Team. 5. 17 Contacts Subscribe to Presence Information Once a contact from the IP Centrex Directory has been added to your IP Centrex Contacts, you can Subscribe to them to view their presence information (which also enables them to see yours). Note: This can only be done for contacts added from the IP Centrex company directory. 1. Click the Contacts drop down Result: The list of directories will be displayed 2. Under IP Centrex Contacts, tap All. Result: Your list of IP Centrex Contacts added from the IP Centrex company directory will be displayed 3. Tap on the contact for which you want to view presence information Result: The directory information for that contact will be displayed in the right pane. 4. Tap the menu button in the top right corner (the icon with three vertical dots) Result: A menu of options will be displayed 5. Tap Subscribe from the menu of options Result: A request is sent to the contact asking for their confirmation to share presence information. Note: If they accept, you will be added to their contact list (if they had not previously added you) and you will both be subscribed to view each other s presence information. If they decline, then you will not be able to see each other s presence information. 6. To stop viewing another s presence information, repeat steps 3 through 5, but select Unsubscribe instead Result: Both of you will stop seeing each other s presence information Note: If you remove a contact from your IP Centrex Contact list, you will in turn be removed from their list and automatically be unsubscribed from seeing each other s presence information. 18 Contacts Edit / Delete Contacts from the IP Centrex Contacts Press a contact entry from the Contacts list to open a contact card. Figure 17. Edit Option Edit opens the Contact Information dialog box where you can add, edit, or remove information. Remove contact removes the contact from your Contacts list. Note: If you remove a contact from your IP Centrex Contact list, you will be removed from their list and automatically be unsubscribed from seeing each other s presence information. This does not remove the contact from the IP Centrex Directory. 14 IP Centrex App for Android Tablet User Guide

19 Contacts Figure 18. Edit Contact Use the following steps to edit an existing contact. 1. From the Contacts directory, locate and press the name of the contact you want to modify. Result: The Edit contact dialog appears. 2. Press the icon. 3. Make the necessary changes and press Save. Note: These edits will only be apply in your list of IP Centrex Contacts and will not be saved in the IP Centrex company directory. IP Centrex App for Android Tablet User Guide 15

20 Contacts Add a Manual Contact Adding a contact manually will create an entry in your contact list that you can populate manually. (As an alternative to adding a contact manually, you can use Local Address Book to view the contacts list of your Android tablet.) Figure 19. Add Contact Figure 20. Add Contact Information Use the following steps to add a contact manually. 1. Press the plus (+) icon in the navigation bar to add a contact. Result: A menu appears and you can select the type of contact you want to add. 2. Press the Add Contact option. Result: The Add Contact dialog box appears. (See Figure 7.) 3. Enter a description of the contact in the Display Name field. 4. Enter the contact s Personal Phone number in the corresponding field. 5. Press OK to save the contact s information. 16 IP Centrex App for Android Tablet User Guide

21 Contacts Result: the contact entry is viewable in your IP Centrex Contacts list. Add Conference Contact The Add Conference Contact is a quick and easy way to capture information about frequent conference calls that require a conference ID and Security PIN to be entered. Use the following steps to add a conference contact. 1. Press the plus (+) icon in the navigation bar to add a contact. Result: A menu appears and you can select the type of contact you want to add. (See Figure 6.) 2. Press the Add Conference option. Result: The Add Conference dialog box appears. (See Figure 8.) 3. Enter a description of the conference in the Display Name field. 4. Enter a Dial in Number for the conference call to prevent looking it up each time the conference is to occur. 5. Enter the Conference ID for recurring conference calls to prevent looking it up each time the conference is to occur. 6. Enter the Security PIN code for recurring conference calls to prevent looking it up each time the conference is to occur. 7. Press OK to save the information. Figure 21. 22 Contacts Add Local Contact The Add Local Contact option allows you to manage the Contacts list of the Android tablet without leaving the IP Centrex for Tablet app. A common alternative is to manage these contacts form the Android Contacts app directly. Use the following steps to add a local contact to the Contacts list of the Android tablet. 1. Press the plus (+) icon in the navigation bar to add a contact. Result: A menu appears and you can select the type of contact you want to add. (See Figure 6.) 2. Press the Add Local Contact option. Result: The Select contact dialog box appears. (See Figure 9.) 3. Press the plus (+) icon in the navigation bar. Result: The Create contact dialog box appears. (See Figure 10.) 4. Enter the Name of the contact in the corresponding field. (Optional: Press the down arrow to expand the field and enter detailed name information.) 5. Press the Phone number field. Result: A dial pad appears. Enter the contact s phone number. (Optional: Press the default type of phone number; e.g., Mobile to enter additional numbers.) 6. Press the address field. Result: A keyboard appears. Enter the contact s address. Press the default type of ; e.g., Work to enter additional addresses. 7. Press the Groups section. Result: The Create group dialog box appears. 8. Press any of the group types to which you want to assign the local contact. Use the following steps to edit an existing contact in the Contacts list of the Android tablet. 1. Press the plus (+) icon in the navigation bar to add a contact. Result: A menu appears and you can select the type of contact you want to add. (See Figure 6.) 2. Press the Add Local Contact option. Result: The Select contact dialog box appears. (See Figure 9.) 3. Tap on the contact you wish to add from the Android tablet contacts directory Result: You 4. Press Save. 5. Create Contact The Delete Local Contact option allows you to delete contacts from the Contacts list of the Android tablet without leaving the IP Centrex for Tablet app. A common alternative is to manage these contacts form the Android Contacts app directly. 24 Contacts Use the following steps to delete an existing contact. 1. Press the plus (+) icon in the navigation bar to add a contact. Result: A menu appears and you can select the type of contact you want to add. (See Figure 6.) 2. Press the Add Local Contact option. Result: The Select contact dialog box appears. (See Figure 9.) 3. Press outside the dialog box. Result: The Contact details window appears. 4. Press the trash can icon in the toolbar. Result: The contact is removed. Figure 24. 25 Outbound Calls Outbound Calls Dial Pad Use the Dial Pad to enter a phone number and make calls. There are two icons below the dial pad: Call and Call Pull and Call Retrieve. The top text field also has a delete icon that, when pressed, removes one digit at a time. When you have voic , a badge notification appears on the Dial Pad icon. If you hold down 1, you are connected to the voice mailbox. (Note: If you do not have any voice mail, the notification badge does not display.) Figure 25. Dial Pad Use the following steps to place an outgoing call on the Dial pad. 1. Press the keypad icon to open the Dial pad. 2. Enter the number you want to call and press the receiver icon. Result: The call is placed. (Note: The Hold icon becomes enabled when a call is active. Press this icon to dial another number.) IP Centrex App for Android Tablet User Guide 21

26 Outbound Calls Outbound Calls Use any of the following steps to make an audio call. Option 1: Choose a contact from contact list to open the contact card and press the headset icon for an audio call. OR Option 2: From search results, open a contact card and press the headset icon call. OR Option 3: Open the dial pad, enter a phone number, and press the Call button. OR Option 4: On the Call History list, press a call entry. OR for an audio Incoming Calls Important: Incoming calls are not supported currently. In Call Actions You can perform multiple actions from the In Call screen. They are listed in the table below. Add more participants (on conference call only) Mute the microphone Start a conference call Transfer a call to a circuit-switched call Adjust the volume Open the dial pad Swap two separate calls View participants on a conference/n-way call End a call Place a call on hold Transfer a call Attended Merge two separate calls Missed Calls and New Messages Place a new call Transfer a call Unattended Notifications, such as missed calls or new messages, are shown as badges on the icons. 22 IP Centrex App for Android Tablet User Guide

27 Outbound Calls Message Waiting Indicator and Voice Mail Access If you have pending voice mail (VM) messages, a badge displays on the Call icon to inform you of the number of pending messages. You can access voice mail when you press and hold the number 1 on the keypad. This is similar to how it is done on a regular mobile keyboard. N-Way Calling (Conference) IP Centrex Tablet App supports multi-party calls with up to 15 additional participants. Use the following steps to establish a conference call. 1. While on a call, press the Hold icon. Result: The Conference Mode on the device is enabled. 2. Search for the person you want to conference with and press their name. Result: Press the Conference link and the contacts are joined. The participants appear on the device s screen. 3. Repeat steps 1 and 2 to add up to 15 call participants. OR 1. While on a call, press the Hold icon. 2. Search for the person you want to conference with and press their name. 3. Press Merge. New Call You can start a new call while on an active call. To establish a call, choose one of the options in the Outbound Calls section. After the new call is established, press Pause to put the call on hold. You can then swap the two calls or merge them into a conference. IP Centrex App for Android Tablet User Guide 23

28 Outbound Calls Call Transfer The app supports transferring a current call to another party. Two modes of transfer are supported: Attended and Unattended. Attended transfers allow you to speak with the intended recipient before the transfer. Unattended transfers will send the call to the intended recipient without introducing the call first. Use the following steps to conduct an Attended Transfer. 1. Place a phone call. 2. Tap Transfer Result: A page of transfer destination options will be presented, including IP Centrex Contacts, manually added Contacts, the Dial Pad, and recent Call History. 3. Select a contact then choose a number or use the Dial Pad to specify a phone number or extension. 4. Tap the call button Result: You will be prompted to either call the number to announce the transfer before completing the transfer (Attended Transfer) or to immediately transfer to the number dialed (Unattended Transfer). 5. Select the call first option to conduct an Attended Transfer. (Note: If the call is successfully established, you can talk with the third party privately before completing the transfer by pressing Complete.) 6. 31 Settings Call History Call History presents the list of recent incoming, outgoing, or missed calls for the IP Centrex seat. This means that calls from or to any of the devices on your phone number/extension will show in Call History. To return the call, press the missed call entry in the list. Icons appear next to each call in the list to indicate the type of call: a green arrow means incoming, a blue arrow means outgoing, and a red arrow means missed. Simply click on any call in the list to call them from the IP Cetnrex for Tablet app. The list also shows: the name the number Unavailable status for the caller (appears if Caller ID is not available) the number, if available Other data that displays below the number is: the date of the call the time the call was placed Call History makes it easy to return a missed call or when you want to dial a contact with whom you have recently spoken. 33 Settings Settings The Settings view on an Android contains the following functions that you can configure: Call settings (manage the features of your app and IP Centrex Seat) Preferences About Version Help Sign out Figure 30. Settings The Call Settings option opens a new view with different features that you can configure. The About screen displays details about the app. The Version screen shows the current app version number. Sign out exits and closes the app. Language Support The app is available in English. Automatic Sign In You can choose to sign in automatically with IP Centrex Tablet App with a default account when the app is started. The functionality to start IP Centrex Tablet App automatically at startup makes it easier for you to remember your sign in and be available for communication. Note: Go to the bottom of the Settings icon to sign out. IP Centrex App for Android Tablet User Guide 29

34 Settings Call Settings The app supports the configuration of the following IP Centrex features (if they are assigned to an IP Centrex user), which allows supplementary services to be turned on or off in the native app Preferences window. Call Settings Feature Do Not Disturb Call Forwarding options Remote Office Hide Number Outgoing Calls Simultaneous Ring Call Waiting Description Blocks all calls and sends to your voice mail Specify how you want calls to be treated when you want to send all incoming calls to another number (Always), when you are unable to answer a call (No Answer), when you are on an active call (Busy), and when your device is Not Reachable. Use any phone as an office phone from a charging and numbering perspective. You enable Remote Office and specify a phone number to be used as the Remote Office number. Hide or display your number when calling or communicating with other parties or contacts. To hide your number, check the Enable box and click the OK button. To show your number, deselect the box and click the OK button. Choose the manner in which you want outgoing calls to be placed: either through a data connection or a call-back service. If you want to be prompted to make a selection before you place a call, press the Always ask option (on the Android tablet). Choose whether or not you want other pre-configured phone numbers to ring if you are on a call. Allow another call to be placed on hold when you are on another line. 30 IP Centrex App for Android Tablet User Guide

35 Do Not Disturb When you activate this service, all calls are typically blocked by the server and sent to voice mail. Figure 32. Do Not Disturb screen Settings Use the following steps to activate the Do Not Disturb feature. 1. Tap the menu icon ( ) to the left of your presence flag in the upper left corner of your screen. Result: The Preferences menu options appear. 2. Tap the Call Settings link. 3. Tap the Do not disturb link. 4. Tap the Enable checkbox and tap the Ring Splash checkbox if you want your device to alert you that the feature is activated during an incoming call. IP Centrex App for Android Tablet User Guide 31

36 Settings Call Forwarding When you tap on a different Call Forward option, you can enter a number to forward your calls as follows: Call Forward Always, Busy, or When Unreachable. Call Forward Always The Call Forward Always feature redirects all of your incoming calls to another number that you define. Figure 33. Call Forward Always screen Use the following steps to activate the Call Forward Always feature. 1. Tap the menu icon ( ) to the left of your presence flag in the upper left corner of your screen. Result: The Preferences menu options appear. 2. Tap the Call Settings link. 3. Tap the Call Forward Always link. 4. Tap the Enable checkbox and tap the Ring Splash checkbox if you want your device to alert you have the feature is activated during an incoming call. 32 IP Centrex App for Android Tablet User Guide

37 Settings Call Forward No Answer The Call Forward No Answer feature redirects all of your incoming calls to another number that you define when you are unable to answer the phone within a predetermined number of rings. Figure 34. Call Forward No Answer Use the following steps to activate the Call Forward No Answer feature. 1. Tap the menu icon ( ) to the left of your presence flag in the upper left corner of your screen. Result: The Preferences menu options appear. 2. Tap the Call Settings link. 3. Tap the Call Forward No Answer link. 4. Enter the number to which you want your calls forwarded if you are unable to answer. 5. Tap the Enable checkbox followed by the OK button. 38 Settings Call Forward Busy The Call Forward Busy feature redirects all of your incoming calls to another number that you define when you are on an active call. Figure 35. Call Forward Busy Use the following steps to activate the Call Forward Busy feature. 1. Tap the menu icon ( ) to the left of your presence flag in the upper left corner of your screen. Result: The Preferences menu options appear. 2. Tap the Call Settings link. 3. Tap the Call Forward Busy link. 4. Enter the number to which you want your calls forwarded if you are on another call. 5. Tap the Enable checkbox followed by the OK button. 34 IP Centrex App for Android Tablet User Guide

39 Settings Call Forward Not Reachable The Call Forward Not Reachable feature redirects all of your incoming calls to another number that you define when the phone system is not operational; e.g., due to a power outage, cable cut, or device connection issue. Tap the menu icon ( ) to the left of your presence flag in the upper left corner of your screen. Result: The Preferences menu options appear. 2. Tap the Call Settings link. 3. Tap the Call Forward Not Reachable link. 4. Enter the number to which you want your calls forwarded when the phone system is not operational. 5. Tap the Enable checkbox followed by the OK button. 40 Settings Remote Office This service allows the use of any phone as the office phone from a charging and numbering perspective. For instance, a hotel room phone can be used as the office phone. 42 Settings Outgoing Calls Outgoing Calls can be configured to ask upon every outbound call attempt, or configured to always use Data Connection, Call Back, or Call-Through. Simultaneous Ring Personal Choose other telephone numbers that will simultaneously ring when receiving incoming calls on your IP Centrex Seat. Figure 39. 45 Search Search IP Centrex Tablet App supports searches of people in your contacts list in the Contacts (Buddies), section on your device, as wells as in the IP Centrex Directory and Local contacts you have on your tablet. Depending on the selection in the segmented control Directory or Local the search results are as follows: Search of Directory Contacts Press the Directory field to open the search view. Enter the name of the contact in the company directory that you wish to locate. The search results for Directory contacts display. 47 Troubleshooting Troubleshooting In the unlikely event that you have trouble with the app, use the troubleshooting function. It collects and sends diagnostic information to an address that you will receive from the Cox support team(s). This helps the team identify the issues. You can access the Troubleshooting function from two places in the app: Press the Settings icon on the Sign In screen: Press Help to open the Resources screen that contains the help and troubleshooting-related entries. This can be used before you sign in, which is most often for cases in which you have issues with sign in or connectivity. From the Settings screen: Help is available at the bottom of the Settings menu. It is accessible while you are logged in. Figure 44.
