1 Attendance in ADP We are able to track hourly employee s attendance through the ADP system. The tracking works based on the schedule built into ADP for the employee. Please refer to the guide on schedules to build schedules for your employees. Attendance Tracking Process Wireless Lifestyle follows an occurrence based attendance tracking plan, which is based on a rolling 6- month cycle and point system. On the event of each occurrence, attendance records are checked for the previous 6 months from the date of the occurrence. Each occurrence of absence, tardiness or early leaves rolls off after 6 months duration. ADP checks the schedule against the employee s timecard punches. If the employee clocks in late or clocks out early compared to the schedule, ADP assigns an attendance occurrence. If an employee is scheduled for a day and does not clock in or out for the entire day, ADP assigns an attendance occurrence. Occurrence of Absence Any incident of not reporting to work as scheduled is considered one occurrence. Each occurrence equals one (1) point against the employee s attendance record. Tardy/Leave Early Occurrences Employees are considered tardy when they report to work after the scheduled start time. They are considered to leave early when they leave work before the scheduled shift end time (unless mandated by management). Any instance of tardiness up to one half of the scheduled shift or leaving early (unless requested by management) with less than half of the scheduled shift remaining, counts as ½ an occurrence; equaling ½ point against the employee s attendance record. Tardiness or leaving early resulting in missing more than half of the scheduled shift counts as one full absence occurrence; equaling one (1) full point against the employee s attendance record. Attendance Corrective Action Process Wireless Lifestyle expects employees to be present at work and on time. Excessive absenteeism or a pattern of absenteeism is subject to disciplinary action. Accrued points-based disciplinary action plan: (number of attendance points from accrued occurrences in a rolling 6-month time period) 3 Points: Verbal Warning (or next level of disciplinary action) 4 Points: First Written Warning (or next level of disciplinary action) 5 Points: Final Written Warning (or next level of disciplinary action) 6 Points: Termination of Employment 1

2 Reviewing Employee Attendance Records To view the attendancee record for your employees in ADP goo to the Time & Attendancee tab and select My Employees. This brings up a new screen. On the new screen, search for the employee you wish to review by typing their name in the search field and clicking the Find button or click the forward and back arrows until you find the employee you want to review. Once the employee is selected, select the Attendance tab to open a new screen. 2

3 On the new screen, select the Attendance Exceptions on the left side of the screen. The new screen shows the Tracking Code or reason the employee has received attendance points (Late In or Early Out) as well as the number of points for each reasonn and a total number of points the employee has for the last 6 months. Corrective action for attendance is based on the total number of points in the last 6 months. Click on the Points link to display additional information. This opens a new screen. 3

4 The new screen displays the date of the occurrence, how latee or early the employee was, and how many points were added to the employee s attendance record. Clicking on the Excused box removes the points for that occurrence. The system updates once a day so you may not see the points removed immediately. The points are assigned based on the schedule in ADP and the times the employee clocks in and out. If the point should not have been assigned to the employee, (management asked the employee to come in late or leave early, the employee s schedule was changed with management approval, the change was known to management and approved prior, etc.) you can clickk the Excused box for thatt day/time and then click the Submit button. Alternately, the schedule for thee employee can be adjusted to reflect the expectations of the company. Please enter notes for any Excused absence made. Click on the post-it note icon to open up the notes field in a new screen. 4

5 Once notes are entered, click the Done button. The note icon turn green once a note has been entered. Note: You cannot excuse attendance points or change an employee s schedule to remove points from the employee s attendancee unless the change was for business needs. Adjusting Schedules If there is a business need to change an employee s schedule,, go to the Time & Attendance tab and select Schedules. This opens a new screen. 5

6 In the new screen select the date in question thatt needs to be adjusted. Att the top of the screen select the time that needs to be adjusted. For example, the employee was scheduled until 6PM but due to business needs, (business was slow, employeee was coming in early tomorrow to help cover a shift, etc.) the schedule is changed to 5:30PM. Make the adjustments to the time and click the Apply button and then Submit. The employee s schedule is now changed and if the employee clocks out at 5:30PM they will not receive an attendance occurrence. Reviewing Attendance Issues You can also review your employee s attendancee violations by going to Time & Attendance and selecting Home. 6

7 On the Home screen click the View By Type link to open a new window. Select the attendance issue you wish to review and click on the link, for example Clocked Out Early.. 7

8 The new screen shows all employees who clocked out early and received an attendance occurrence because of the early out. Click on the Time link to view the employee s time for the day. From heree you can go to the employee s schedule to make adjustments to the schedulee as well. Click on the Schedule link. Click on the day in question to bring up a new screen. 8

9 Click on the Schedule that needs to be adjusted. Adjust the time as necessary and click Submit. You will receive notification that the time has been changed. 9

10 It takes the system a occurrence. moment to update the change and run calculations to remove the attendance Reports You can run reports at any time to see the statuss of all of your employee s attendance record. Go to the Reports tab and select Time &Attendance Reports. This openss a new screen. Click the pencil icon for the Attendance Report to bring up additional information. 10

11 On the new screen, select the timeframe in question. Typically, you wantt to review the employee s total attendance record for the last 6 months. Select Define at Runtime from the Time Frame drop down options and then click the Preview button. This opens a new screen. One the new screen enter the date range you wish to view, for example; today s date in the To Date field and 6 months prior in the From Date field. Click the Submit button. A new window will open in your browser displaying the report. 11

12 The report lists the employee, the date they were early or late, the number of attendance points accrued for each violation, and how much the employee clocked in late or out early for the date. Review the total attendance points for the employee. As a reminder, at 3 points, the employee received a verbal warning on attendance. At 4 points a first written warning, at 5 points a final warning and at 6 points the employee is terminated. A report is sent each Monday to the manager for any employee in violation and in need of disciplinary action due to attendance. Below is a conversion chart for the time. 12
