1 Outlook Exchange Setup Step 1 This is to check if the client has a local or server-based archive, and if the archive destination is set to the default a_username.nsf (or b_username.nsf, etc.). If it is not default call or Open Notes Have user login Open their mail file Click actions Archive Settings Here you will see: where the archive is pointing (such as osu-ns05/okstate) what the name that is being used for the file such as a_username. If it is not set this way, please call or so that they will be able to find the archive for conversion. Step 2 Now you are ready to setup Outlook after making all the necessary preparations from Step 1 and Step 2 Go to Control panel Mail. Click the Accounts button to open. Click "Add a new account" Choose "Microsoft Exchange Server" in the next screen. Click "Next" In the next screen, set the server to "exe1" Enter client's OKEY username in User Name field Click Check Name button

2 A prompt to login should appear Have client login with their OKEY and password. Once done, this process should cause all information to update correctly The server and username fields with have underlined wording when Click Next and Finish Go back into the Control panel and double-click Mail again Select accounts Now choose View or change existing accounts Where it says "Deliver new to the following location" Make sure that Personal option is not selected. Using the dropdown menu (if necessary), select the item that says "Mailbox Last Name, First Name"

3 Step 3 Here you will login to the server to store client's Contacts information from Notes and retrieve converted archive for Outlook Go to Start- Run. Type in \\stwfile01.ad.okstate.edu\tmpnotesarchive Click OK In the dialog box that appears (since the client's computer is not on AD), login with your OKEY information (example osu\username password) Open departmental folder Department folder Open department migration date folder Department by date Open client's folder listed with Novell userid Client folder

4 With the client folder open, open Windows Explorer and locate the names.nsf file in the Lotus Notes folder (default c:\lotus\notes\data or check in Program Files) Copy the names.nsf file and paste it into the client's folder in the stwfile01 window. If client has a local archive (see Step 1), then create a folder called "Local Archive" and put the archive file there. Local Archive Folder created If client does not have any archives or Personal Address Book (PAB) to move, add a text file named "No Archive and-or PAB" to indicate this. No ARCHIVE No PAB text file created If the archive conversion has been completed, you will see a.pst file in the same folder. Copy the pst file (username.pst) pst file if conversion is complete Now, go to Start Run Type in "C:\Documents and Settings\username\Local Settings\Application Data\Microsoft\Outlook, where username is the client's username Click OK to access the folder Paste the.pst to this folder

5 Step 4 Setup is complete. The next task is to get all messages synced up with what was in Notes Open Outlook Have client login with their OKEY address and password. Let Outlook update all folders (A status will show at the bottom right) monitor this until it reports all folders are updated Step 5 Add archive, set client to automatic send and receive; put in BCC option; turn off Reading Pane Add archive In Outlook go to File Open Outlook Data File Select the.pst file that was copied over in Step 2. This will make their archive accessible directly below their active mailbox Set automatic send and receive Go to Tools Send/Receive Send/Receive Settings Define Send/Receive Groups Check the box "Schedule an automatic send/receive every " Type "60" in the empty box Click OK Add BCC option: Open a New message
