4 1.0 Log In & Settings This section covers logging in to CSUF VoIP and modifying the Settings, including selecting a headset and modifying the voic access number. Logging In When you open up CSUF VoIP, the login screen should already be populated with your login information and password. Click Login. You can place a check mark next to Log in automatically to have CSUF VoIP automatically log you in as soon as the application starts. 5 Settings The Settings menu allows you to select a microphone and/or headset as well as set up voic access. Selecting a Headset Before you begin, ensure that your headset is connected to your computer. Step 1: From the File menu, select Settings. Step 2: Select the Audio menu. 6 Step 3: In the Device select section, use the drop-down menus to select your headset in both the Select output device and Select input device fields. Step 4: Once you have selected your headset, click Save & Close. Last Revised: 05/07/12 Page 6 of 29

7 Setting a Voic Access Number If your voic button () is not connecting to the campus voic system properly, check that the voic access number has been set. Step 1: From the File menu, select Settings. Step 2: On the Application menu, ensure that that Voic access number is set to Last Revised: 05/07/12 Page 7 of 29

9 2.0 Dialer Tab The Dialer tab allows you to make and receive calls. Making a Call On the Dialer tab, enter the phone number you wish to call. You may either type the phone number using your computer s keyboard or click on the numbers on the dialpad. To dial the number: Press the Enter key on your computer s keyboard. OR Click the Enter button next to the phone number. OR Click Audio Call. To reach an off-campus number, dial 9 first. Last Revised: 05/07/12 Page 9 of 29

11 Answering a Call A new incoming call will appear in a new tab. Click Answer to answer the call. Click End Call to send the call to your voic . Call Options Viewing the Dialpad Once you are on a call, your dialpad disappears in order to give you other options. Click the DTMF button to switch to viewing the dialpad. 13 Place a Call on Hold To place a call on hold, click on the Hold button. To retrieve a call on hold, click the Unhold button. Last Revised: 05/07/12 Page 13 of 29

14 Transferring a Call Step 1: To transfer a call, click the Transfer button. Step 2: Enter the extension that you wish to transfer the call to. Then click the Transfer button. To cancel the transfer, click the Back button. Last Revised: 05/07/12 Page 14 of 29

17 Step 3: Enter the phone number of the second call. To dial the number: Press the Enter key on your computer s keyboard. OR Click the Enter button next to the phone number. OR Click Audio Call. Last Revised: 05/07/12 Page 17 of 29

18 Step 4: Both calls will appear in tabs at the bottom of the screen. Click the Conference button to create a conference call. Step 5: Click the plus icon ( ) next to each call in order to add it to the conference call. Last Revised: 05/07/12 Page 18 of 29

19 Step 6: You are now connected. Click Split to split the two calls into separate calls. Click Hold to place the conference call on hold. Click End to end the conference call and hang up on both calls. Additional Options You can click on Start Video to start a video call if you and your caller both have video capabilities such as a webcam. While on a call you can click on Record to record the call. If you choose to record a conversation, please note that California law dictates that you must obtain the consent of the caller before recording. Last Revised: 05/07/12 Page 19 of 29

21 Step 3: You can now use the dialpad to enter your voic password and continue to select voic menu options. When you are ready to end the call, click the Back button to return to the main call options menu. Last Revised: 05/07/12 Page 21 of 29

22 3.0 Contacts You can use the Contacts tab to add contacts and group contacts. Add a Contact On the Contacts tab, click Add contact. Enter as much data as you would like for the new contact. Then click Save & Close. The contact now appears in your Contact list. Last Revised: 05/07/12 Page 22 of 29

23 Delete a Contact To delete a contact, right-click on the contact name and select Delete. Add a Group To add, rename, or delete a group, click Groups. To create a new group, enter the group name on the Add tab. Then click Add. Last Revised: 05/07/12 Page 23 of 29

24 You will receive a confirmation that the add was successful. Click OK. Rename a Group On the Rename tab, select a group from the drop-down menu. Enter a new name for the group. Then click Rename. 25 Deleting a Group From the Delete tab, select a group from the drop-down menu. Then click Delete. You will be asked to confirm that you want to delete the group. Click Yes to delete the group. 28 4.0 Call History The Call History tab allows you to view your dialed, received, missed, and recorded calls. You can use the tabs at the right of the screen to filter the calls by type: all, dialed, received, missed, or recordings. Last Revised: 05/07/12 Page 28 of 29
