1 Village on 17 th Ave West Tauranga 3140 Phone: Service overview Volunteer Western Bay of Plenty In the last 12 months, our centre has added some interesting new services to its portfolio. To fit these new services into our membership and responding to feedback from member organisations, we have adjusted our fee structure accordingly. This fee structure will be reviewed on an annual basis. The new structure is based on a three tiered service level: BASIC If you are light user of our services, mainly using our online volunteer role database, the BASIC would probably be the best option for you. PLUS Although, for just $20 per year more you will be able to access more services and resources: access to our Employee Volunteer Programme, discounts on user pays services and promotion of your organisation on our FB and website. PREMIUM If you don t want to worry about whether you would be able to access any of our services or receive the maximum discount on our user pays services, choose our PREMIUM option. Just think about it, the value of just one extra volunteer (at $15 an hour) for only 10 hours in a year will make up for your annual administration fee for the PREMIUM tier. Recruitment & referral database The online volunteer role database assists you with the Recruitment and referral of volunteers to your organisation, including individuals, corporate teams and one-off events. You may list as many positions as you choose for one annual membership fee and you will be able to manage, edit roles yourself. 2. E-Newsletter Volunteer Western Bay of plenty produces four newsletters per month: a separate newsletter for volunteers, student volunteers, member organisations and companies. Member organisations will regularly feature in one of the newsletters promoting their roles and organisation (no guarantee, but active members will have more exposure). 3. Volunteer groups Member will receive requests from groups that would like to give back to the community. For example school groups, family groups, student groups from learning centres. A great way to get some of your big projects started. Page 3/6

Out of town locations Members ( Premium tier only) are allowed to request volunteers for out of town locations (not where its office is based) as long as they are coordinated by one volunteer coordinator. If an organisation has two locations and two coordinators, they have to register separately. Example 1: IHC has got one volunteer coordinator for the Bay of Plenty. By opting for the Basic or Plus tier, they are allowed to upload volunteer roles for the Tauranga area, as their office is based in Tauranga. Example 2: IHC has got one volunteer coordinator for the Bay of Plenty. By opting for the Premium tier, they are allowed to upload volunteer roles for the whole Bay of Plenty. Example 3: Age Concern Tauranga and Age Concern Rotorua are two separate organisations/offices and have their own volunteer coordinator. They need to register as two separate members. 5. Employee Volunteer Programme The Employee volunteering is a programme where business/statutory organisations (employers) are encouraged and supported to offer opportunities for their employees to carry out voluntary work, done of their own free will and for the common good. Volunteer WBOP is actively searching for companies that would like to support their employees to volunteer. 6. Advice & consultancy Members ( Plus & Premium tier) receive free consultation hours to assist their organisation with developing and reviewing their volunteer programme. If your organisation needs more assistance, it is possible to book extra consultancy hours (user pays service). 7. Networking & support Forum A networking and support forum for managers and coordinators of volunteers and others responsible for engaging volunteers (like the Coffee meeting every six weeks). Topics like volunteer retention, volunteer trends and stats are discussed and experiences are shared. 8. Resource Library A resource library on volunteering and volunteerism including manuals, and journals is available for member organisations. 9. Event volunteer management (user pays service) Member organisations can hire our Event Volunteer Coordinator to take care of the organisations volunteers on the day of the event. By taking control of the volunteers, the organisers can concentrate on the event itself. Service can also include assistance with recruiting, interviewing and the induction of your volunteers. 10. Promotion of Volunteering Our Centre promotes the benefits of volunteering to local organisations, businesses and the WBOP community including: National Volunteer Awareness Week (June), International Volunteer Manager s Day (November 5), UN International Volunteer Day (December 5), Student Volunteer Week, Volunteer Expos and Festivals. Receive information on events celebrating, recognising and mobilising volunteers in the Bay of Plenty. Page 4/6

Receive information on volunteer related training Receive information about seminars, forums and training workshops specifically designed to help you to manage, engage, retain and mobilise and upskill your volunteers. 12. Access to IT-helpdesk Our Centre sees an opportunity to match organisations with IT volunteers by offering member organisations access to an IT helpdesk, run by volunteers under the supervision of the Volunteer Centre. 13. Annual excellence awards You can show appreciation to your volunteer, and give them the chance to win some fantastic prizes along with a free breakfast. This is also an excellent opportunity for you to network with local organisations and Volunteer WBOP members. You can nominate for free (one in each category) and nominees are attending for free, extra attendees (up to four people) are at a charge in the Basic and Plus tier, free in the premium tier. 14. Facebook promotion Members are promoted on a regular basis through links to their news articles, volunteer positions and other relevant information. 15. Neighbourly and Seek Volunteer promotion Members are promoted on a regular basis through links to their news articles, volunteer positions and other relevant information. 16. Advocacy on volunteering Our centre communicates with local and central government, business and community sectors about Policy and environment related to volunteering. 17. Member utilisation report (excellent resource for funding applications) Currently on request basis: the centre can generate an utilisation report of your organisation about the use and referrals of the online database. 6 Future services Our centre is proactively searching for other services that will assist members with the development of their volunteer recruitment and volunteer programme. At this moment we are researching the feasibility of the following services: 18. Student Job Website promotion Volunteer WBOP will investigate the opportunity to upload roles ono the Student Job Website. For Member organisations it means an extra portal that our centre offers organisations in the search for volunteers. 19. SEEK Volunteer promotion Members are promoted on a regular basis through their volunteer positions. Volunteer WBOP is currently talking to SEEK Volunteer about uploading roles from its own database to the SEEK Volunteer database. For Member organisations it means an extra portal that our centre offers organisations in the search for volunteers. 20. Volunteer management Quality Mark Volunteer WBOP is researching the possibility of a Quality Mark for volunteer programmes. With assistance from our centre, organisations can work on enhancing their volunteer programme and be accredited for it. A great way to show volunteers that you have got it sorted. 21. Student work placements Member organisations are able to put in request for students that are looking for work placements or students that are looking for work experience in general. Volunteer WBOP is currently discussing this project with the BOP Polytechnic and Waikato University. 22. Full coverage of the Bay of Plenty Volunteer WBOP is researching the possibility to cover the Bay of Plenty from its Tauranga office, offering all services to all communities & volunteers in the Bay. For member organisations it means a one stop shop for the whole bay. 23. Assistance with volunteer interviews Volunteer WBOP is researching the possibility to assist organisations with the first initial contact with the volunteers. After the interview, a report will be send to the member organisation informing them about the suitability of that volunteer. Page 6/6
