3 Revegy Overview Revegy is a personal productivity tool designed to improve your revenue generation by providing you and your team with a configurable toolset to allow you to be more effective and efficient in account/customer management, partner management, and opportunity execution. Revegy is designed to either use as a standalone solution or to compliment a customer relationship management (CRM) or partner relationship management (PRM) solution. Revegy provides you with: Automated deal coaching and analysis Efficient account management tools Efficient opportunity execution tools Efficient partner management tools Improved accuracy and collaboration Use Revegy to: Help identify deal risks and potential issues so you can strengthen your opportunities Improve collaboration with your team and keep everyone up-to-date on important information without the need for extensive meetings and calls Automate your call/meeting preparation and planning Quickly and easily build accurate maps (blueprints) of an account, partner, or opportunity, and document everything from roles and influencers to strategies and tactical issues Gain credibility with your customers or partners by collaborating with them, showing them that you understand their business goals and issues Improve global consistency and collaboration in account or partner teams and in deal transformation from sales to services Quickly display the deal status used to coach your team and improve forecast accuracy Easily generate executive briefing and forecasting reviews Optimize and reinforce the consistent use of training and methodologies Revegy, Inc. 4 Revegy Administration Module Revegy is an innovative set of productivity tools specifically designed to improve the effectiveness of individuals and teams responsible for revenue generation through direct sales, client management, or partner management. An integral part of Revegy is the Revegy server. The Revegy server is a multi-user solution designed to compliment capabilities for the individual, team, and manager. Access to administer the Revegy server and manage the information contained on the server is done through the Revegy Administration Module using the web interface. The Revegy server includes the following features: Central Data Repository Use a leading RDBMS (Relational Database Management System) solution to store all your revenue data in a secure environment. The Revegy server includes version control options that allow for managing versions of Account and Opportunity information. Security and Access Control Tailor the access of key data to definable groups and users within your organization. Assign or re-assign ownership of Accounts. Enhanced Collaboration Access Account and Opportunity data at any time to review and revise information. Collaborate with partners and clients based on the security and access controls selected. Manage Common Information Information such as system preferences, competitors, company solutions, and team contacts are managed centrally, ensuring a consistent use of terminology and process. 5 Personal Settings Configuring My Information My Information includes required information such as username, first and last name, and short name. Optional Information includes title, address, and phone numbers. My Information is accessed from the Set Up menu. 1. Click My Information in the left hand menu under Personal Settings. 2. Enter your username, first and last name, and short name in the Required Information section. Note: The short name is the name that appears on Map cards in Revegy. 3. (optional) Enter your title, address, and phone numbers in the Optional Information section. 4. Click Save. Revegy, Inc. Page 5 of 58

6 Changing Password in the UI Change your Revegy password from the Set Up menu. Revegy password requirements are determined by the Master Company Admin. 1. Click Change Password in the left hand menu under Personal Settings. 2. Enter your current password. 3. Enter a new password. 4. Confirm the new password. 5. Click Save. Configuring Integration Settings Access Integration Settings from the Set Up menu. Integration Settings allow users to set up configuration for a CRM, select News Feed and Stock Quote Provider, and connect to social networks from Accounts and Contacts. Note: Integration settings for a CRM only need configuration when Revegy's full UI is connected to the CRM. When Revegy is embedded within a CRM, integration settings do not have to be configured per user. The user must exist, have the same user ID in Revegy and the CRM, and must be marked as having "Both" access in a user group. 1. Click Integration Settings in the left hand menu under Personal Settings. 2. Select a CRM from the Select CRM drop down menu. 3. Log in using your CRM login information. s vary depending on Revegy configuration and may include: username, password, URL link, or security token. 4. (optional) Select a News Feed Provider from the Select News Feed Provider drop down menu to display on the main Account, Opportunity, or Partner page. 5. (optional) Select a Stock Quote Provider from the Select Stock Quote Provider drop down menu to display on the main Account, Opportunity, or Partner page. Revegy, Inc. Page 6 of 58

7 6. (optional) Select any or none of the social media links to connect directly to social networks. Social networking links display on Contact Map cards and link directly to a contact's profile/account. Edit individual social networking links from the contact card details. 7. Click Test CRM to test the connection between Revegy and the selected CRM. 8. Click Save. Configuring System Settings System Settings are accessed from the Set Up menu. Revegy allows users to configure System Settings such as Default Currency, Date and Time Format, Report File Format, and Report Unit of Measure. 1. Click System Settings in the left hand menu under Personal Settings. 2. Use the drop down menus to select default system settings for Spell Check, Default Currency, Date Format, and Time Format under the Display tab. Revegy, Inc. Page 7 of 58

8 3. Click the Report tab. 4. Use the drop down menus to select default system settings Report File Format, Password Protection, and Report Unit of Measure. Password Protection is available if PDF is selected for the Report File Format. No Password: Anyone is allowed to modify the document. Auto Generate Password: Protect the document from being modified by recipients. Define Password: Protect the document while allowing only certain individuals to modify it. 5. Select the standard Paper Size, Margins, and Minimum Map Print Size by typing a numerical value in the text box or by using the arrows on the right side of each text box. Minimum Map Print Size indicates the minimum point size reduction used when printing Map reports. When you print a Map report, the system reduces the size of the Map so that it prints on one page. However, to ensure the Map is not reduced to a size that is too small to read, the system only reduces the size of the Map by the percentage you set in this field. 6. Click the Tasks tab. 9 7. Use the sliders to determine when you receive notifications and reminders. The System Settings override the Task Settings found in the Manage Preferences. Note: Notifications and reminders are both ed to you. Notifications reference changes, such as new and updated tasks. Reminders reference time, such as upcoming and past due tasks. Off: Turns off all alerts for tasks. Responsible: Task alerts are only active when you are the person assigned to a task. Owner: Task alerts are active when you are assigned as the owner of an Account or Opportunity or the person assigned to a task. Team Member: Alerts are active when you are an Account or Opportunity team member, Account or Opportunity owner, or the person assigned to a task. Note: The System Settings only reduce or match the alert setup of the Task Settings. For example, if the Task Settings are turned off, then the System Settings do not apply. If the Task Settings are set to "Person Responsible," then only the "Off" and "Responsible" System Settings apply. 8. Select the checkboxes for the days notifications and reminders are sent. 9. 10 Admin Access Level Revegy has four different administrative access levels: Server Administrator, Master Company Administrator, Company Administrator, and Information Administrator. Admin access levels are determined when a user is setup. It is recommended to keep restricted numbers of each access level to ensure tight security. Server Admins set up and have access to all configuration options and settings within Revegy. The Server Admin has responsibilities during and after implementation of Revegy. Other responsibilities include ongoing maintenance and communicating information to the user community. Typically, for hosted solutions, the Revegy team acts as the Server Admin. Company Admin access is given to those on-site, and those admins are given many of the same responsibilities as a Server Admin. Revegy, Inc. Page 10 of 58

11 Master Company Admin Only one Master Company Admin is created at the time of provisioning Revegy. Master Company Admins set up and access the company profile, license information, PlugIns, handle system messages, and all other administration menu options. The Master Company Admin Home page includes summaries for company login information, solution statistics, and license statistics. Company Admin Company Admin access is given to users who need to manage users, groups, access security, and configure Maps, Plans, Quotas, Grids, Playbooks, and manage company preferences. Company Admins have responsibilities during and after implementation of Revegy. Other responsibilities include ongoing maintenance and communicating information to the user community. 14 A Day in the Life of a Revegy Sales Operation Administrator Revegy has recommended best practices and a governance model for maintaining the Revegy Instance. It is important that the Revegy tools are maintained and kept current with your business as it evolves over time. Governance Considerations Governance considerations before getting started are listed below. Consider naming conventions for: Accounts, Opportunities, and Partners Users Example: Use addresses as usernames Groups Example: Use countries, line of businesses, or industry sectors Create an Operations group for users who need to test configuration but are not part of the sales teams. Team Members Example: Use full names ("Jack Frost") or short names ("JFrost"). Company Solutions Example: Use full names such as "Racal." Competitors Example: Use full names such as "Computer Associates" instead of "C.A." Make it easy for everyone to understand without added explanation. Consider using full names instead of abbreviations, and consider case. Use conventions already familiar to your business. Communicate to the user community the expectations of governance. Adhoc Considerations Adhoc (when the need arises) considerations are listed below. Considerations for Those Leaving Reallocate Accounts, Opportunities, and Partners to a new sales owner, or, if this is unknown, then allocate to an unassigned status. See "Define Access Security" for additional information. Delete usernames to enable the reuse of the licenses. Ensure you inactivate the team member name. Considerations for Those New to Revegy Reassign Accounts, Opportunities, and Partners to the new starter if this is unassigned. See "Define Access Security" for additional information. Revegy, Inc. 15 Create a new user, and add them to the correct user group(s). Communicate: Send out how to access Revegy along with login credentials and Revegy Quick Tips. Share any documentation that helps new users get started. Relate your process or information relating to your Revegy program to new users. Encourage new users to ask to be added to the team on the Accounts and Opportunities that they will be working on. Follow up with new users in two months to gain feedback. Considerations for New Revegy Releases Review and consider some of the new functionality that you may want to include in your existing tools. You may need to consider timelines for implementing these. Communicate to your user community any details from the Revegy Release that affects them. Monthly Considerations Monthly considerations are listed below. Monitor Revegy usage by running Revegy Admin Reports. Example Reports: Adoption Summary Report by Individual and Utilization Detail Report by Individual Review users who have an inactive status. Consider deleting them because they are still using a Revegy license. Reallocate unassigned Accounts. Review team members. Correct short names to use the first letter of first name and surnames. Max. 8 characters. Example: JFrost Clean up any naming conventions. For example, only use the first name of team members, and do not include last names. Example: Jack Delete any duplicates. Delete any team member that has a Server Login Id as a number string ( deleted. ). This implies their username has been Delete duplicate competitor names and clean up any naming conventions. Example: Racal/RACAL/racal Delete duplicate company solutions and clean up any naming conventions. Example: SS/Self Service/Self-Service Communicate with your Revegy user community. Remind users of the governance that is in place. Validate to users what is available for them to use for competitor and company solutions. 16 Encourage and collect feedback. Share information on adoption and utilization to the business. Meet with sales executives/coaches to review how they are using the tools to coach their teams, and gain feedback on how to improve tools in the future. Build a list of requirements, which can be reviewed during your annual review. Annual Considerations Annual considerations are listed below. Run Users by Group Report Check if the members (users) in each group are correct. At the end of year, there are usually some changes to teams. Communicate with your Revegy user community. Share and remind users of any changes that are in place. Share with users any new features or changes that will help them use the tool more. Encourage users as part of their Account Planning exercise. Evaluate the contacts they have in the Accounts and remove anyone who has moved on. Evaluate team members and their permission. First and Last Quarter Considerations Considerations for your first and last quarter are listed below. Evaluate your existing tools, and determine if they need to be updated to suit the business requirements. Review with your sales executives. Consider any strategy business changes to include. Consider any feedback from the field to improve the tools. Review Revegy s updates to see if there are any new tools that you want to include to help drive improvements to your Revegy tools. Configure your tools to match business requirements. Consider Revegy success criteria and measurements that you want to track in the coming year. Communicate usage to the business. Configuration Considerations Configuration considerations are listed below. Planning and designing tools is important before you start to configure Revegy. Think about the naming convention of your tools for you to easily identify the tools you have created versus standard tools within Revegy. Revegy, Inc. Page 16 of 58

18 Master Company Admin Menu Company Profile The Company Profile page is used to manage the company profile and company-wide settings to determine how users can use Revegy. The Company Profile page is accessed from the Master Company Admin menu. General Company Profile Options The general company profile options include: Company Name Reference ID Primary Contact Phone Address Comments Value The company name The company's reference ID The main person to contact on behalf of the company The primary contact's phone number, including the area code The primary contact's address Section for additional useful information System Settings The system setting options include: Revegy, Inc. 19 Number of months to save inactive accounts Allow individual users to add new Accounts? Allow duplicate Account names? Allow individual users to add new Opportunities? Allow duplicate Opportunity names? Value Represents the number of months that inactive Accounts are saved on the Revegy server. After the specified amount of months, the Accounts are removed from the Revegy system. Enables individuals to add new Accounts to Revegy. This option is typically used in conjunction with CRM integration when Accounts are added from the CRM instead of added directly. Select one option from the drop down list: Not Allowed, Allow with Warning, or Allow. Enables individuals to add new Opportunities to Revegy. This option is typically used in conjunction with CRM integration when Opportunities are added from the CRM instead of added directly. Inactive time limit for online editing (minutes) Company Currency Enable Multi-Currency Support Value Enables individuals to add new Partners to Revegy. This option is typically used in conjunction with CRM integration when Partners are added from the CRM instead of added directly. Select one option from the drop down list: Not Allowed, Allow with Warning, or Allow. Enables individuals to add or update competitor information maintained on the Revegy server. If this option is not checked, then only System Administrators are able to add and update competitor information. Enables individuals to add or update company solution information maintained on the Revegy server. If this option is not checked, then only System Administrators are able to add and update company solution information. Enables individuals to add or update team member information maintained on the Revegy server. If this option is not checked, then only System Administrators are able to add and update team member information. Enables individuals to take Accounts, Partners, or Opportunities offline for editing. When taken offline, the Account, Partner, or Opportunity record is locked and others are not able to edit them until they are "checked in." If a record is inactive for the number of minutes specified, it is released for editing by another user. "Inactive" is defined as the Revegy system not being used. The single company currency used throughout Revegy When checked, the following features are available: All users can specify a local currency. System Administrators can maintain a currency conversion table. All summary views or group owner views have an option to specify a reporting currency. All information within the view is converted to the Revegy, Inc. Page 20 of 58

21 Fiscal Year End Embedded CRM PlugIn Key Server to Server Integration PlugIn Key Value reporting currency when displayed. Select the month your business fiscal year ends (January-December). This value becomes available to all users within a company when running reports. Provided by Revegy. Used for PlugIns when Revegy is embedded in a CRM. Provided by Revegy. This section uses hexadecimal color values. See "Color Picker" for additional information on how to select colors. The branding options include: Select Company Logo Value Accepted file types are: JPEG, PNG, and GIF. There is no minimum or maximum height or width requirement. The logo displays on Revegy Admin pages and each person's copy of Revegy. In the Administration Module, the image displays as uploaded. It shows the expiration date, how many licenses are purchased, and the total number of licenses distributed. The License Information is accessed from the Master Company Admin menu. Revegy, Inc. 24 Note: To sort the list by a particular column, use the arrow indicator near the column heading. PlugIn Administration PlugIn Administration allows for the installation of additional objects and functionality that extends the capabilities of the Revegy Enterprise solution. PlugIns are developed by Revegy and supplied via services engagements. The Server Administrator and Master Company Administrator have access to PlugIn Administration from the Master Company Admin menu. PlugIn Administration options differ between PlugIn Types: "PlugIn Administration CRM and Server to Server Integration Options" "PlugIn Administration CRM s" "PlugIn Administration Server to Server Integration s" Revegy, Inc. 25 PlugIn Administration CRM and Server to Server Integration Options The PlugIn Administration options for CRM and Server to Server Integration include setting up required fields for integrating Revegy and the CRM, selecting how information is exchanged between Revegy and the CRM, and options for sending reports. Connecting and Integrating Revegy and the CRM The checkboxes and text fields in the CRM Options section determine the required configuration settings in the Revegy user interface in Set Up > Integration Settings when you link Revegy and your CRM. Username Required and Password Required: Requires users to enter a username and password for the CRM they are integrating with. URL Required: Requires users to enter the URL path to the CRM they are integrating with. To have a default URL automatically populate the field when users select the correct CRM, enter the URL in the Default URL field. Misc x Name and Misc x Default: Each Name field correlates with a Default field. Use the Misc x Name field to enter the name/description of a new required field users must complete to successfully integrate Revegy and the CRM. To have a default value automatically populate the field when users select the correct CRM, enter the correct value in the correlating Misc x Default field. Leave the Default field blank if no default value is necessary. Revegy, Inc. Page 25 of 58

26 Example: Some CRMs, such as Salesforce.com, require users to enter Security Tokens to log in. The Security Token is typically entered directly after the user's password in the same field. To give the Security Token its own text field rather than share a field with the password, use a Misc x Name field to accomplish this. Exchanging Information Between Revegy and the CRM The first table in the CRM/Server to Server Integration Options section contains options for creating, searching, and updating objects for Accounts and Opportunities and exchanging that information between Revegy and the CRM. Send from Revegy: If this option is selected, objects created or updated in Revegy are automatically created or updated in the CRM. Receive from CRM: If this option is selected, objects created or updated in the CRM are automatically created or updated in Revegy. If both options are selected, objects are sent and received by Revegy and the CRM regardless of which application the objects are created, searched for, or updated in. If neither option is selected, objects are not sent or received by Revegy or the CRM regardless of which application the objects are created, searched for, or updated in. Revegy and the CRM become independent of one another. Account/Opportunity Options Option New (On Demand Only) Creating an object in Revegy or the CRM automatically creates the object in the other application. Revegy, Inc. Page 26 of 58

27 Option New (Auto Create) Search for Existing Updated Check for Merged New Contacts Updating Contacts Team/Owner Creating an object in Revegy automatically creates the object in the CRM. This option is primarily used when Revegy is embedded in SFDC. This option is primarily used when Revegy is first used as a standalone application and is later integrated with the CRM. The first time an object is loaded in the CRM, a prompt to create a tool set and a dialogue box appears that allows a user to search for existing Accounts or Opportunities in Revegy. Updating objects in Revegy or the CRM automatically updates the objects in the other application. This option is only available in SFDC. When an Account is loaded, SFDC runs a process to search for existing merged Accounts. If any existing merged Accounts are found, SFDC attempts to merge them. The source Account fills in missing pieces. Creating a contact in Revegy or the CRM automatically creates the contact in the other application. Updating contacts in Revegy or the CRM automatically update contacts in the other application. When a team/owner is added in the CRM, a process runs to search for an existing user in Revegy. If an existing user is found, the data syncs between Revegy and the CRM. If no existing user is found, no data syncs. Note: It is recommended to use the default options. New (Auto Create), Check for Merged, and Team/Owner should be unchecked. Auto Receive Timing Every time accessed: Synchronization for the selected options begins whenever an Account or Opportunity is opened. When accessed after x hour(s): Synchronization does not occur immediately. Once an Account or Opportunity is opened, the hours entered in the field elapse before synchronization begins. Disabled: Synchronization for Accounts and Opportunities only occurs when manually requested. Revegy, Inc. Page 27 of 58

28 Reports The second table contains options for sending reports for Accounts and Opportunities from Revegy to the CRM. Reports upload to the Documents section in SFDC. Auto Send Report Type Off: Reports for Accounts and Opportunities only run when manually requested. Every X Days: Reports for Accounts and Opportunities run every set number of days entered in the Auto Send Report Value field. Day of Week: Reports for Accounts and Opportunities run once a week determined on the value entered in the Auto Send Report Value field. Example: If the Auto Send Report Value field is set for 1, the reports requested will only pull Monday s reports regardless of the day of the week. PlugIn Administration CRM s The CRM s section is used for customizing the base fields for base integration and lookups. Each mapped Revegy field corresponds with a field in your CRM. The PlugIn Administration allows these corresponding fields to be linked together. Linking the fields ensures that the correct information is pushed and pulled from one linked field to the other. For example, Revegy has a standard mapped Account field named "address." In the CRM, your company has a field that holds the same value. The field may be named the same or may be Revegy, Inc. Page 28 of 58

If these two fields are linked together in the PlugIn Administration, options can be enabled to have information pushed from Revegy to the CRM, pulled from the CRM into Revegy, or both. If both options are enabled, when "address" is updated in Revegy, the new information is automatically pushed to the "BillingStreet" field in the CRM. Updating "BillingStreet" in the CRM would automatically push the new information to the "address" field in Revegy. Mismatched or repeated information between Revegy and the CRM is less likely to occur if the corresponding fields are linked in the PlugIn Administration. The CRM s section is optional. Update s: Updates the Lookups section. Maintain Admin Groups Admin groups are enabled to manage users and track licenses. They are named to fit business needs, for example, by business units or country. Maintain Admin Groups is accessed from the Master Company Admin menu and opens to the Admin Group Management page. Admin groups are added, updated, and deleted from this page. Note: To sort the list by a particular column, use the arrow indicator near the column heading. Adding an Admin Group 1. Click Add New Group from the Admin Group Management page. 2. Enter a Group Name and the number of licenses to allocate. 3. Click Add. The page expands to display a list of available and selected users. 4. Highlight users in the Available Users list. Hold the Shift key or the Ctrl key to add multiple users. 5. 35 Manage Preferences Manage Preferences is accessed from the Company Admin menu and is used to configure the preferences that all Revegy users share, for example, defaults, drop down list values, help text, and integration options. Each time a user synchronizes to the Revegy server, the preferences on their copy of Revegy are updated to ensure consistent use of Revegy throughout the organization. Only the Master Company Admin and Company Admins are able to update preferences. The Company Default Currency, entered on the Company Profile page by the Master Company Admin, is grayed out and set to 1. All other currency values are entered as they compare to the Company Default Currency. Code Name Exchange Rate Enter the currency code that appears in currency drop down lists in the user interface. Example: USD stands for United States Dollar. Enter a name that describes the currency. Example: United States Dollar Enter the exchange rate value as it compares to the Company Default Currency. 38 Active Example: 1 USD is exchanged for 0.6 GBP. Select to enable currencies if multiple currencies are used. Deselect the currencies that are not used. The Company Default Currency cannot be disabled. Use the Update button to save any changes made in this section. Check the Show Inactive option in the right hand corner of the Currency Types section to display all inactive currencies and add new currencies. Relationship Gap Analysis The Relationship Gap Analysis section is used in Influence Maps to identify gaps. The Relationship Gap Analysis is a spreadsheet showing the relationship between team members and contacts. Accounts Active Partners Active Select to include the Relationship Gap Analysis feature for Accounts and Opportunities. Select to include the Relationship Gap Analysis feature for Partners. Use the Update button to save any changes made in this section. Relationship Score The Relationship Score section maintains and defines the score values if the Relationship Gap Analysis is active. When Revegy is provisioned and the Help Name field is populated, new Help icons have likely already been loaded. Use the Update button to save any changes made in these sections. Playbook Images The Playbook Images section is used to define the images used in Playbooks to identify tools and attached documents. Attach Documents (with attachments): If the "Allow Attach Documents" is selected for a Playbook item, it is represented with an icon in the bottom left corner (paperclip). This icon indicates something is currently attached to the item. It is usually a more defined version of the Attach Documents (no attachments) icon.
