Please take the time to read it. 5 ACCESSING SITE CONTENT Once you click on the Site Admin icon you will be presented with your department s site content, known as the Main Menu. The navigation is similar to Windows Explorer however the functionality differs greatly. The pictures below show the transport microsite. CMS Training Notes Page 5
6 Clicking on the + sign next to a Level (page) will expand the branch to let you access the paragraphs, or if available, Level 2 items (red boxes), also known as sub-menu items; in this case it will display the following the level 2 items are visible under the Publications heading. Again, clicking on the + sign next to the Level 2 items, will expand the branch to show Level 3 items, also know as sub-sub menu items. The maximum number of levels is 3. CMS Training Notes Page 6
7 Have a look at the live site page to see how these levels are reflected in the left-side Navigation. Open a new session of Internet Explorer (go to File>New Window) and type in Level 1s are down the Left Hand side eg Publications Level 2s are seen when you click on a Level 1 heading - eg click on Publications to see Minutes Level 3s are seen when you click on a Level 2 heading eg click on Publications, then Minutes, to see Transport Access Forum Levels can contain paragraphs which can be made up of text, images, links, etc; in effect, creating a page. Levels can also be links to other parts of the site, other sites entirely, or even documents. The structure of a page is defined in the Page Layout screen. CMS Training Notes Page 7
8 PAGE LAYOUTS & PARAS Page (Level) information is structured using pre-defined templates. Some of the template elements are generic, whilst others will be unique to your site. See the following image: Click on the Level number icon (the coloured, numbered boxes in the left hand column), to display the properties of the page layout. The properties will be displayed on the right hand side of the page as above. TIP - When editing a live site, this information will now be added automatically. If you need to adjust or change the page layout click on Apply Preset, and choose the name of the site from the list. This will fill in most of the required information for you. The default page template consists of a top navigation bar (header), left-side menus (Level 1) with submenus (Level 2) and sub-submenus (Level 3) and a right hand window containing text. The above example of a Level 1 (Publications) shows the Primary Paragraph as Text only (ignore the secondary paragraph for now). A paragraph can contain various Para elements such as text, image, document link, website link, etc. The actual page can contain a combination of all these by adding extra text paragraphs. CMS Training Notes Page 8
9 Before we move on, please note - in addition to the page layout, there are 3 name fields which must be filled in- Window Title, Heading and Subheading this is done automatically in the newer live site version of CMS, but do check that the auto fill has been done correctly. The format should be as in the example which follows: Homepage Window Title - NHSGGC / Transport Homepage (Homepage name) Heading - Homepage (the CMS will display the microsite name in full in the header area) Sub-Heading not required Level 1 Page Window Title - NHSGGC / Transport / Publications (where Publications is Level 1) Heading - Level 1 Sub-heading - not required Level 2 Page Window Title - NHSGGC / Transport / Publications / Minutes (where Minutes is Level 2) Heading - Level 1 (eg Publications) Sub-heading - Level 2 (eg Minutes) Level 3 Page Window Title - NHSGGC / Transport / Publications / Minutes / Transport and Access Forum (where Transport and Access Forum is Level 3) Heading - Level 1 (eg Publications) Sub-heading - Level 2 / Level 3 (eg Minutes / Transport and Access Forum) To prevent titles and headings from becoming too long you can use shortened versions - not abbreviations - as long as it's clear what the page is about. There are three reasons for this: When searching on the website, pages are displayed using Window Title - so if all your window titles are the same there's nothing to distinguish them. Secondly, when Google indexes the pages it uses the Window Title, so for the same reason, we need to ensure pages are catalogued appropriately. Thirdly, the correct headings will be displayed on each page. CMS Training Notes Page 9
10 LAYING OUT YOUR PAGE 'Paras' can consist of just about anything that can be displayed on a webpage. With a standard layout as above, any text, image or links can be added. In the above page, only text is used, and entered into the Copy box. The URL fields can be used for links, but we ll do these within the Copy box (see Hyperlinks). The Document fields are no longer used (these point to an older Asset database of documents, which has now been superseded with the Document Library). The picture fields are still used. Depending on what you want to display in a single para, you may need to over-ride the paragraph template override specified. CMS Training Notes Page 10

INSERTING TEXT FROM ANOTHER APPLICATION You may have colleagues who will provide you with copy for your website. This will probably be created in Word. Word itself creates a lot of unnecessary code that needs to be cleaned out before it can be used in CMS. CMS has a tool which can be used to clean up the code. When you try and paste a substantial block of text from Word into the Copy box you will get a dialogue box Click on OK and then paste your text into the box that appears and press OK CMS Training Notes Page 17
18 If you experience problems pasting text from Word save your document as a plain text file using Notepad or Wordpad. Then copy and paste the text into the Copy section of a text paragraph and save as normal. Exercise Create new text paragraphs into the level 1 pages for Dining, Music and Films. You will find a desktop folder containing files with the text you need. Open the appropriate text files in notepad then copy the text into the text paragraphs. Name the paragraphs: - Dining Introduction Music Introduction Films Introduction Create a new text paragraph text from the football text file. Save and Preview your page. in the Football level 2 page. Add the Title World Cup then copy the PICTURES To enhance your site you may wish to add pictures. If you wish to use a new image, please contact the NHSGG s Web Team to arrange this for now. In time this facility will be provided to all users. Type a brief but clear and detailed description of the image into the Picture Alt Text, this will help visually impaired visitors. Pictures can be added in two positions; to the right of a text paragraph or beneath a text paragraph. Pictures should be used conservatively, for level 1 pages a side picture would be suitable and for level 2 a full picture. LEVEL 1 SIDE PICTURES To add a picture to the right of your text: - 1. Click on the level 1 title for the Sports Page. 2. This will display the Add / Update a Page Layout screen. 3. If you wish to link to a website, simply type the address and it will automatically be formatted as a link. If the link is to a specific location or document on a website, then this may be unreadable due to the length of the URL, in such a case a manual link should be inserted. Simply click on the Full Screen Mode button on the Copy Box toolbar, then highlight the text you wish to make a link (e.g. click here to view the East Glasgow CHCP Annual Report, then click on the Hyperlink button ; this brings up a box containing various fields. 25 The following screenshot is from the live library showing the information for a Board Meeting Agenda DOCUMENT LIBRARY - ASSET There is a "default" folder called Misc (Miscellaneous), which contains anything which isn't categorised. You create sub-folders within your area, and if organised properly, this will keep your publications organised and easy to manage, especially if someone else comes along to work on the site. It is possible to give unique permission to the sub-folders, so teams within a department can have their own separate storage area. It's not possible to create a sub-sub folder - i.e. only the main folder and sub-folder can be created, unlike content which can have 3 levels (NB if you create a subfolder only you will be able to see it listed in the admin menu and put documents there if a web CMS trained colleague also needs access then please contact the web-team) CMS Training Notes Page 25
